Track every crypto movement in a lot-level ledger, not just your profitable sales. Record the asset, units, time, U.S.-dollar value, fees, account or wallet, transaction hash, and the acquisition lot used when you dispose of units. Then reconcile that ledger to broker Form 1099-DA statements and use the reconciled results for Form 8949 and Schedule D. During a bull market, update the ledger and tax estimate at least monthly—or after each active trading week—so a sudden sale does not create an unexpected cash shortfall.
This guide is focused on U.S. federal reporting. State and local rules, non-U.S. filings, entity taxation, estimated payments, payroll taxes, and complex DeFi arrangements can change the result.

Why a transaction-level crypto ledger matters
Crypto tax is determined by individual economic events, not by the balance shown in an exchange account. A single year can contain purchases, sales, coin-to-coin swaps, transfers, staking receipts, liquidity-provider activity, fees and rewards. Each event can affect proceeds, basis, income, holding period or the evidence needed to defend your calculation.

When you later dispose of specific units, you need to identify their acquisition date, quantity and adjusted cost. A spreadsheet that records only deposits and withdrawals cannot reliably reconstruct that history.

A complete ledger also protects you when a broker statement is incomplete. The phased Form 1099-DA rules mean that your own records remain essential, particularly for assets transferred from self-custody, older lots and activities that a broker is not yet required to report.
The fields to capture for every crypto event
Use one row per economically distinct event. Preserve the original exchange export or wallet download and keep a separate correction log; never overwrite the raw data. At minimum, each row should contain:
| Field | What to record | Why it matters |
|---|---|---|
| Date and time | Timestamp from the source, plus a normalized UTC timestamp | Determines ordering, holding period and the value used at the event time. |
| Asset and units | Token symbol, contract or network where relevant, and exact quantity | Prevents similarly named assets or wrapped versions from being combined. |
| Event type | Buy, sell, crypto-to-crypto exchange, transfer, fee, reward, staking, liquidity provision, wrap, unwrap or another documented category | Controls whether the row is a disposition, income-type receipt, internal movement or adjustment. |
| U.S.-dollar value | Fair market value at the transaction time and the pricing source used | Needed for proceeds, basis, income calculations and an audit trail. |
| Fees | Network, trading and other transaction costs, with the asset and amount used to pay each fee | Fees may change proceeds or basis and must not be silently omitted. |
| Account or wallet | Exchange account, hardware or software wallet, and chain | Allows you to match transfers and apply wallet-level basis allocation rules. |
| Transaction identifier | Exchange order or trade ID, deposit and withdrawal ID, or on-chain transaction hash | Provides evidence that two records are the same movement and supports later review. |
| Acquisition lot | Acquisition date, units acquired, unit cost, total cost and remaining units for the lot used in a disposition | Establishes adjusted basis and short- or long-term holding period. |
Build the ledger from source records
1. Export every exchange and wallet
Download CSV files, API data and wallet histories from every centralized exchange, brokerage account, hardware wallet, software wallet and chain you used. Include accounts that are now closed. Save the original file exactly as received, note the export date, and keep a read-only backup. For on-chain activity, retain the transaction hash, network and address; a screenshot without the hash is weak evidence.

Keep the source timestamp, then add a UTC column for ordering. Standardize token symbols without discarding contract addresses, because different assets can share a symbol. Preserve the chain’s native decimal precision and avoid rounding until reporting totals are calculated.
3. Assign an event label
Use a controlled list such as buy, sell, crypto-to-crypto exchange, transfer-in, transfer-out, fee, reward, staking, liquidity provision, wrap and unwrap. Add a notes field for facts that do not fit a standard label, including the protocol, pool, validator or counterparty. Consistent labels make later filtering and reconciliation possible.
4. Add value and fee data
For each taxable or potentially taxable event, record the U.S.-dollar fair market value at that time and the source of the price. Record fees separately rather than netting them invisibly. The IRS explains that, in an exchange of digital assets, transaction costs paid by the taxpayer to effect the exchange are generally allocable to the disposition of the transferred digital assets for basis purposes. The precise treatment can depend on the facts, so preserve the fee asset, amount and calculation.

5. Create an acquisition-lot schedule
Maintain a lot table with acquisition date, acquisition quantity, acquisition U.S.-dollar cost, fees, wallet or account, units disposed, disposition date, proceeds and remaining units. When a sale or swap occurs, link the disposed units to the lot or lots selected under your permitted identification method. Keep an adjustment log for corrections so the original exchange data remains auditable.
How to classify common transactions
Purchases and sales for cash
A purchase generally creates a new lot with a cost basis equal to the U.S.-dollar amount paid, adjusted for applicable fees. A sale is a disposition: record gross proceeds, fees, the lots disposed of and the resulting gain or loss. Do not use the cash amount that arrived in your bank as a substitute for the complete trade record if fees were withheld.
Crypto-to-crypto swaps
Swapping one coin for another is generally a disposition of the asset you give up and an acquisition of the asset you receive. Record both sides, the U.S.-dollar fair value, fees and the exact lots surrendered. A swap can create a taxable gain even when no dollars were withdrawn.
Transfers between your own wallets or exchanges
A self-transfer is not a sale merely because it crosses platforms. Match the sending withdrawal to the receiving deposit using the transaction hash, amount, time and addresses. Record the network fee and retain evidence that both accounts belong to you. The receiving lot should carry the original acquisition date and basis, reduced only by any fee treatment required by the facts.
Rewards, staking and airdrop-like receipts
Label receipts separately from purchases and transfers. Record the token amount, U.S.-dollar value when received, date, wallet, protocol and transaction hash. Whether and when a receipt is income can depend on the arrangement and applicable guidance; do not force it into a capital-gain category simply because the token was later sold.

Fees paid in crypto
A fee paid with a token is itself a movement of that token. Record the units used, their value at the time, the related transaction and the lot from which the fee units came. Omitting small network fees can materially distort basis over hundreds of trades.

Basis, holding periods and lot controls
For each disposition, calculate proceeds minus adjusted basis and any applicable adjustments. Keep short-term and long-term buckets separate. The holding period starts the day after acquisition for federal capital-gain purposes; a lot that has crossed the applicable one-year threshold may have a different tax character from a lot of the same token acquired later.
Do not assume that an exchange’s default “average cost” display is the method you used for your return. Your ledger should show which units were identified, how many remain and why a lot was selected. If historical basis is not attached to specific units, Revenue Procedure 2024-28 provides transition guidance for allocating unused basis among digital assets held in each wallet or account as of January 1, 2025. Apply that guidance to the facts of your records and retain the allocation workpapers.

Form 1099-DA: what changes in 2025 and 2026
Broker reporting is being phased in, so a statement is not a complete substitute for your ledger.
| Activity | What brokers report under the cited IRS timeline | What you should do |
|---|---|---|
| Transactions effected on or after January 1, 2025, reported in 2026 | Gross proceeds for covered transactions. The IRS says it will not impose certain penalties when a broker makes a good-faith effort to file and furnish Forms 1099-DA correctly and on time. | Expect incomplete or inconsistent basis information; reconcile the statement to your own lot records and retain the statement with your workpapers. |
| Transactions effected on or after January 1, 2026, reported in 2027 | Basis reporting begins for certain covered digital assets and transactions, subject to detailed rules and exceptions. | Review which lots the broker treats as covered and continue documenting assets transferred in from self-custody. |
The final regulations focus on brokers that take possession of digital assets. Decentralized or non-custodial brokers are not covered by the same reporting requirement in the cited IRS summary. A missing basis field does not mean your basis is zero; it means you must substantiate the correct amount from purchase records, transfers and lot allocations.
Reconcile a 1099-DA to your ledger
- Import the statement without changing the original values.
- Match each reported disposal to a ledger row using date, asset, quantity, proceeds and transaction identifier where available.
- Investigate missing basis, duplicate disposals, proceeds that differ from your trade confirmations, and assets that arrived from a self-custody wallet.
- Document why your ledger amount is correct when it differs from the form. Keep the statement, source export, price evidence and adjustment note together.
- Use the reconciled figures—not an unexamined form total—to prepare Form 8949 and Schedule D.
The IRS describes the purpose of the statements this way: “The final regulations ensure that taxpayers will receive statements that include information reported to the IRS on Form 1099-DA, Digital Asset Proceeds from Broker Transactions, that will help them file their income tax returns and determine their tax obligations.” That assistance works only when you can explain omissions and corrections.
Wallet transfers and basis allocation
Transfers are a major source of duplicate sales and lost basis. A reliable transfer workflow has four checks:

- Match the outgoing and incoming transaction hashes or exchange IDs.
- Compare token, network, quantity, timestamp and addresses.
- Mark both rows as an internal transfer, not a disposition, when ownership did not change.
- Carry the acquisition date and basis into the receiving location, while recording any network fee as a separate event.
If you cannot establish that two addresses are yours, do not assume the movement is an internal transfer. Preserve account ownership evidence, withdrawal confirmations and wallet signatures. Revenue Procedure 2024-28 is particularly relevant when unused basis must be allocated across wallets or accounts at the January 1, 2025 transition point.

Notice 2024-57 identifies wrapping and unwrapping, liquidity-provider transactions, staking, transactions described as lending, short sales and notional-principal contracts as categories for which brokers are not required to report until further guidance. That reporting exception is not a conclusion that the activity is tax-free.
For each DeFi event, record the protocol and pool, wallet, token amounts before and after, U.S.-dollar values, fees, transaction hash, and any rights or obligations received. Keep deposits and withdrawals from liquidity pools distinct from swaps. A wrapped token may represent exposure to an underlying asset but is not automatically interchangeable for recordkeeping purposes. Where the facts do not fit a straightforward sale or exchange, obtain professional advice rather than inventing a tax label.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Estimate how much cash to reserve during a bull market
There is no universal crypto tax rate or reliable percentage that applies to every taxpayer. Build a rolling estimate from your own realized results and assumptions.
- Close the period. After each active trading week or at least monthly, confirm that all exchange and wallet data through the period has been imported and transfer-matched.
- Calculate realized capital results. Sum proceeds minus adjusted basis for every disposition, separating short-term and long-term gains and losses.
- Add separately tracked income-type events. Include applicable staking, reward or other receipts using the treatment supported by your facts and professional advice.
- Apply assumptions. Model federal and state treatment, filing status, other income, loss carryforwards, deductions and estimated-payment requirements. The IRS guidance does not provide a single rate for all taxpayers.
- Reserve cash. Set aside an amount based on the current estimate in a liquid account, and update it when a large position is sold, a holding crosses a long-term threshold or a broker statement changes.
- Keep unrealized gains separate. An appreciated coin you still hold is a planning figure, not a realized disposition. Show its estimated value in a separate dashboard so it does not inflate the amount already subject to tax.
Illustrative calculation
Suppose your reconciled ledger shows $80,000 of short-term gains, $20,000 of long-term gains and $10,000 of realized losses. Your preliminary capital result is $90,000, split into the relevant holding-period buckets. Add any separately determined income-type receipts, then apply your actual federal and state assumptions. The resulting reserve is a planning estimate, not a tax bill; revisit it when your income, residence or trades change.
Prepare the federal return
Use the reconciled lot ledger to prepare Form 8949 for reportable dispositions and carry the totals to Schedule D. Keep supporting workpapers that show the source export, trade confirmation or wallet hash, pricing evidence, fee calculation, lot identification and any correction. If the broker form omits basis or reports a duplicate, document the adjustment rather than deleting the broker row.

Store encrypted backups in more than one location, restrict access to wallet credentials, and never put seed phrases in a tax spreadsheet or cloud folder.
Choosing a tracking method
The best method is the one that covers your actual activity and produces an auditable export. Before adopting software or a spreadsheet, compare these capabilities:
| Capability | Questions to ask |
|---|---|
| Source coverage | Does it import every exchange, chain, wallet and DeFi protocol you use? |
| Lot-level basis | Can you view acquisition lots, holding periods, remaining units and identification choices? |
| Transfer matching | Can it match self-transfers by hash, address, quantity and time without creating sales? |
| Fees and rewards | Can it preserve fee assets and amounts and keep rewards or staking receipts distinct? |
| 1099-DA reconciliation | Can you import broker data, flag missing basis and explain differences? |
| Export and audit trail | Can you export the complete ledger, raw imports, adjustments and source references? |
| Update frequency | Does data refresh quickly enough for weekly or monthly bull-market reviews? |
| Jurisdiction support | Does the output match every country, state or local return you must file? |
A spreadsheet can work for a small, simple history if it preserves raw data, formulas and lot links. Multiple chains, frequent swaps or DeFi activity usually require stronger import and reconciliation controls. The IRS does not endorse a particular commercial tracker, so verify coverage and calculations independently.
Common failures and how to fix them
“I only need my exchange’s annual summary.”
Annual summaries can omit wallet activity, transfers, fees, rewards and basis for assets moved between platforms. Import the underlying trade and transaction history and reconcile it to the summary.
“A transfer appears as a sale.”
Match the outgoing and incoming records by hash, quantity, network and time. Correct the event type and preserve proof of common ownership. Do not simply delete one side.
“My 1099-DA has no cost basis.”
Reconstruct basis from purchase confirmations, prior-year records, transfer evidence and the lot schedule. For 2025 activity, incomplete basis information may occur during the phased rollout; document your good-faith reconciliation.
“I cannot explain an old wallet balance.”
Separate known lots from unidentified units, search archived exchange and wallet exports, and use the transition allocation guidance where applicable. Do not assign an arbitrary zero basis without documenting why no evidence exists.
Recommended Free Tools
“My dashboard says I owe tax on my entire portfolio increase.”
Separate realized gains and losses from unrealized appreciation. Only dispositions and separately applicable income events belong in the current-period tax calculation.
“DeFi activity was not on a broker form, so it must be ignored.”
Broker-reporting exceptions under Notice 2024-57 do not make an event tax-free. Record the economic activity and seek advice when the classification is uncertain.
