Track the request from the moment you submit it, then preserve every contact and promised action. Ask the bank to confirm the request in writing, record its reference number and received date, and keep a dated log of calls, messages, documents, status updates and responses. If the matter remains unresolved, find the bank’s formal complaint procedure and clearly convert the unresolved service issue into a complaint. A routine service request and a formal complaint can follow different internal procedures and different legal clocks.
There is no worldwide tracking portal or single deadline for every bank. Your bank’s charter, country, product and complaint type determine which process applies. The examples below show how Canadian, UK and US authorities describe their own regimes; use them as jurisdiction-labeled reference points, not as a universal promise.

Service request or formal complaint: identify the track first
A service request is an operational task such as correcting account information, investigating a transaction, releasing a document or fixing an online-banking problem. A formal complaint says that you are dissatisfied with the bank’s action, inaction or service and asks for a remedy. Banks may route those two matters to different teams, assign different reference numbers and start different clocks.

If you are dissatisfied with the handling or delay, say explicitly that you are making a formal complaint rather than assuming the original service request automatically became one. Ask the bank to confirm in writing:
#1 Best Overall
- the category recorded (service request, complaint or both);
- the reference or case number;
- the date the bank says it received the matter;
- the team currently responsible; and
- the next step and expected date.
If the bank gives no number, preserve the sent message, upload confirmation, screen showing submission, or details of an in-person visit. Note that no reference number was supplied. That absence is part of your evidence, not a reason to abandon the record.
Build an evidence file on day one
Use one running file, notebook, notes app or spreadsheet. A paper notebook is optional; the Financial Consumer Agency of Canada (FCAC) specifically recommends taking notes, and an electronic log works just as well. Keep the original files unchanged and make working copies when you annotate them.
Record the initial submission
- Date and time, including your time zone if you and the bank are in different locations.
- Channel used: secure message, telephone, branch, email, web form, mail or another bank-published route.
- Department or branch, if known.
- A short factual description of what you asked the bank to do.
- The outcome you want, such as a correction, explanation, reimbursement or document.
- Relevant dates and supporting documents, including transaction dates, notices or previous case numbers.
- Confirmation screen, email, letter or receipt, plus the reference number and received date.
FCAC’s consumer guidance states: “Take notes. Always write down the conversation dates, the employee names and what you discussed.” Follow that instruction for every call or visit, not only the first one.
Use a consistent log format
Give every entry a filename beginning with the date, for example 2026-10-17_secure-message-status-request.pdf or 2026-10-21_call-log.txt. A useful row contains:
- date and time;
- channel and department;
- employee name or identifier;
- reference number;
- what you asked and what the bank said;
- action the bank promised;
- promised date or next-update date; and
- the file name of any attachment or screenshot.
Save messages, letters, email confirmations, uploaded documents, delivery receipts, screenshots showing the date and status, and the bank’s final response. Keep a copy of each attachment as sent, even if you later send a corrected version.
Protect confidential information
Do not place full account numbers, passwords, PINs, one-time security codes or online-banking credentials in an ordinary email or an unsecured evidence folder. Redact those details from copies you use for escalation while retaining enough information for the bank to identify the account. Send account-specific material through the bank’s secure message centre, authenticated upload or another channel the bank publishes.

Ask for a status update that produces useful evidence
Use a bank-published channel, preferably the same secure channel associated with the case. A vague “Any update?” often produces a vague answer. Ask four operational questions and request a written reply:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- What stage is the request or complaint at now?
- What action remains before a decision or completion?
- Which team or person owns that action?
- On what date should I expect the next update or final response?
Ask the bank to confirm the current reference number and the date it treats as receipt. Keep the response, including an automated acknowledgment. The official guidance supports requesting up-to-date information; it does not establish that every bank offers a live status tracker in its app or website.
Status-request template
You can adapt this wording in a secure message:
Subject: Status request — case [reference number]
I submitted this matter on [date] through [channel]. Please confirm whether it is recorded as a service request, a formal complaint, or both. Please provide the current stage, the remaining action, the responsible team, and the date of the next update or final response. Please also confirm the received date used for any applicable complaint timeline. If any information is missing, tell me exactly what you need. Please reply in writing through this secure channel.
Recap material phone conversations
After a call that changes the next step, send a short recap through the bank’s secure channel: identify the date, employee, reference number, what the bank said it would do and by when. Ask the bank to correct the recap if it is inaccurate. A recap creates a contemporaneous record without pretending that your summary is a transcript.
When a delay should become a formal complaint
Move to the bank’s complaint process when the service request remains unresolved, the promised date has passed without an explanation, or the bank’s response does not address the remedy you sought. Find the bank’s complaint-handling procedure on its website, in account documents or by asking a representative to provide it. Procedures can have several internal stages and a named complaint team.

Make the conversion explicit
Say plainly that you are making a complaint about the unresolved request and delay. Include:
- the original request date, channel and reference number;
- a concise chronology of contacts and missed or changed dates;
- the documents supporting your account;
- the practical harm or continuing problem, stated factually; and
- the remedy you want.
Ask for written acknowledgment, the complaint reference number and the date from which the bank counts its complaint timeline. Do not silently substitute the service-request date if the bank or local rules distinguish it from the date the formal complaint was first communicated.
Complaint wording example
I am making a formal complaint about the unresolved service request opened on [date], reference [number]. The request concerns [brief description]. I contacted the bank on [dates] and was told [brief factual summary], but the matter remains unresolved. I want [specific remedy]. Please acknowledge this complaint in writing, confirm the date you treat as the complaint received date, provide the complaint reference, and explain the next escalation stage and expected response date.

Keep all earlier service-request evidence with the complaint. The delay history can show what the bank knew, what it promised and when the issue became a complaint, but it does not by itself establish that a particular legal deadline applies.
How complaint clocks differ by jurisdiction
Official examples illustrate why the trigger and deadline must be checked locally. They concern complaints within the named authority’s scope, not every bank service request.
| Authority and year | Stated period | What the period covers | Important qualification |
|---|---|---|---|
| Financial Consumer Agency of Canada (FCAC), 2026 consumer guidance | 56 calendar days | A bank must give a detailed written response after a complaint is first made. | Eligible consumers may contact the Ombudsman for Banking Services and Investments (OBSI) after that period or earlier in some situations, including when the bank has issued a detailed written response and closed the file. OBSI eligibility and terms still apply. |
| Financial Conduct Authority (FCA), 2025 consumer guidance | Eight weeks | Firms generally must provide the outcome of a complaint in writing within eight weeks. | A firm must explain if it needs more time. Separate timelines apply to certain payment-service or e-money complaints, so the general period is not universal. |
| Office of the Comptroller of the Currency (OCC), HelpWithMyBank.gov page checked 2026 | 60 days | For an eligible complaint involving a national bank or federal savings association, the OCC says it will send a results letter after it has a complete file. | This is the OCC service’s response target, not a general deadline for a bank to resolve every customer request. |
The Canadian 56-day period is counted from when the formal complaint is first made under FCAC’s guide. The UK eight-week rule is a general FCA complaint-outcome period with product-specific exceptions. The US 60-day figure describes the OCC’s own results-letter target after a complete file, not the bank’s internal service level.

Choose an external escalation route carefully
If the bank’s internal process does not resolve the issue, identify the external body for your location and product. A provincial credit union, payment provider, national bank or federal savings association may fall under different schemes. The bank’s complaint procedure should name the relevant ombudsman or regulator; the authority’s own eligibility page controls.

Before filing, compare four points:
- Jurisdiction and remit: which authority supervises this bank and accepts this type of complaint?
- Eligibility: must you complain to the bank first, wait for a response or obtain a final response?
- Clock and trigger: are days calendar days, business days or weeks, and what event starts the count?
- Cost and remedy: is the service free, can it recommend or require a remedy, and do other legal remedies remain available?
In Canada, FCAC’s guide identifies OBSI as a possible next step for eligible consumers after the applicable bank period or in specified earlier circumstances. In the UK, FCA guidance explains when a firm must issue a written outcome and when it must explain a delay. In the US, an OCC filing is limited to complaints within the OCC’s remit and uses its complete-file process. These routes are not interchangeable, and filing with the wrong body can cost time.
Prepare the external submission
- Download or save the bank’s final response, including its date and any explanation of escalation rights.
- Assemble a one-page chronology followed by the evidence file in date order.
- State the remedy you seek and why the bank’s response is inadequate.
- Remove unnecessary credentials and sensitive data while leaving identifiers needed to match the case.
- Check the external body’s filing window, eligible products, required forms and consent rules before submitting.
- Save the completed form, upload confirmation and the authority’s case number.
Common failure points and how to correct them
The bank says it cannot find the request
Send the original confirmation, timestamp, channel and any transaction or branch details. Ask the bank to search by your contact details and to confirm in writing whether it found the case or opened a new one. Record both reference numbers if a replacement case is created.
The promised date passes
Send a status request on the next business day through a published channel. Quote the promise and ask for a revised date, the reason for the change and the team responsible. If the matter is still unresolved, use the formal complaint wording rather than opening endless duplicate service requests.
A representative gives a verbal final answer
Ask whether the answer is the bank’s formal complaint response. If it is, request the detailed written response and its date. If it is not, ask what action remains and when the written outcome will arrive. Record the employee’s name and the exact distinction the bank gives you.

You used an informal channel
A social-media message or an unverified email may not create a complaint record and may expose personal information. Move the matter to the bank’s published secure channel, explain the earlier contact and ask the bank to confirm the official received date.
You are close to an external deadline
Do not wait for another informal promise. Check the external body’s eligibility and filing window immediately, submit the required bank correspondence and explain any missing final response. Keep proof of submission. The external body, not a general article, decides whether an exception applies.
A practical evidence checklist
Before you escalate, verify that your file contains:

- each promised action and promised date, plus any revised date;
- your written status requests and the bank’s replies;
- the date you first used the words “formal complaint,” if applicable;
- the bank’s acknowledgment, investigation updates and final response; and
- the name and filing requirements of the external body you are considering.
Keep the log chronological and factual. Separate what you know from what a representative predicted, and mark dates as calendar days, business days or weeks only when the bank or applicable rule uses that term.
What the official guidance requires banks to track
FCAC’s Guideline on Complaint-Handling Procedures for Banks and Authorized Foreign Banks states: “A Bank should document and track complaints to final decisions and provide Consumers with comprehensive, up-to-date information in a timely manner upon request.” That principle supports asking for the complaint’s current stage and preserving the bank’s answer. It does not promise a particular app feature, response time for every service request or identical process across institutions.
The safest record is therefore one you control: a dated chronology backed by the bank’s own confirmations and written responses. It gives the bank a clear opportunity to correct the delay and gives an ombudsman or regulator a usable file if escalation becomes necessary.
