1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsYou can usually change financial advisors without selling your portfolio: open the new relationship, have the receiving firm submit accurate transfer instructions, and decide in advance how to handle investments it cannot accept. A straightforward brokerage transfer through the Automated Customer Account Transfer Service (ACATS) is estimated by a 2014 U.S. Securities and Exchange Commission (SEC) bulletin to take about three to five business days after the new firm enters the request, but account type, asset eligibility, paperwork, and current firm procedures can change that timeline.
The safest approach is to compare the entire relationship first, inventory every holding, get written answers about transferability and costs, coordinate any time-sensitive activity, and reconcile both statements after completion.

What changes when you change advisors
Your advisor and the firm that holds your assets are related but distinct. An advisor may leave one firm while your account remains at that firm, or you may move custody to a different brokerage. Those situations use different processes. If a professional leaves, FINRA says you may stay with the current firm and work with an assigned representative or transfer elsewhere; the choice is yours. FINRA also states that customers should not experience an interruption in service merely because a broker departs.

A custody transfer moves an account registration and eligible positions from one firm to another. It does not automatically make every investment portable, preserve every account feature, or eliminate fees. The new firm must be able to accept the account type and each position, and the old and new registrations generally must match closely enough for the transfer to be validated.

1. Decide whether the new relationship is actually better
Do not begin with a transfer form. First compare what you receive, what you pay, and how the professional is compensated. Ask for the new firm’s Form CRS and read it beside the current firm’s version. The SEC says Form CRS describes services, fees and costs, conflicts of interest, standards of conduct, and reportable legal or disciplinary history.
Clarify the relationship and services
- Is the proposed account an investment-advisory relationship, a brokerage relationship, or both?
- Who provides financial planning, portfolio monitoring, trading, tax coordination, and day-to-day support?
- Are services ongoing, project-based, or triggered by transactions?
- What account minimums, margin rules, withdrawal procedures, or retirement-custody requirements apply?
A lower stated advisory rate may not produce a lower total cost if the new arrangement adds commissions, account charges, product expenses, or services you do not need. Request the current fee schedules from both firms and compare the complete annual cost of keeping the portfolio in the proposed structure.
Examine incentives and conflicts
Ask how the professional is paid and whether compensation changes with assets, products, transactions, referrals, or the decision to move your account. If an advisor is recruiting clients to a new firm, ask whether the firm offers a transition bonus or other incentive tied to transferred assets. An incentive is not automatically improper, but you should understand who benefits and whether it changes the recommendation.
Check the people and firms
Use the SEC’s and FINRA’s official investor-lookup resources to review the individual and the firm before signing. Compare disciplinary disclosures and business descriptions with what you were told. Keep a copy of the Form CRS, fee schedule, and written proposal so you can later verify that the delivered relationship matches the offer.
If your advisor is leaving the current firm
Ask the existing firm who will service your account, how to reach that person, and whether investment-management instructions remain unchanged. Ask the departing professional why they are moving, which services will be different, and what costs or incentives accompany the move. You can remain at the old firm, transfer only some assets, or move the entire account after weighing those answers.

2. Inventory the account before requesting a transfer
Download the latest statement and create a holding-by-holding inventory. Record the account registration, account number, cash balance, securities, share quantities, cost-basis information shown, options, margin balance, beneficiaries, recurring instructions, and any pending transactions. Include fractional shares, proprietary funds, private placements, annuities, and assets that do not look like ordinary stocks or bonds.
Ask the receiving firm for a written eligibility review
Send the inventory and statement to the new firm and ask it to identify, in writing, which positions can transfer in kind, which must be sold or left behind, and what happens to each exception. Also confirm that the new firm supports the exact account type, registration, margin feature, options level, retirement custody, and minimum balance you need.
The SEC says cash, listed equities, corporate and municipal bonds, government securities, many mutual funds, and listed options are commonly transferable through ACATS. That is not a promise for a particular security. Investments sold only by the old firm, mutual funds unsupported by the new firm, private-placement limited partnerships, fractional shares, and bankrupt securities can require separate treatment.
Understand when ACATS does not apply
ACATS is primarily a brokerage-to-brokerage process. Banks, mutual-fund companies, credit unions, insurers, and limited partnerships are not all required to participate. A directly held mutual fund, bank account, insurance contract, annuity, employer plan, or private investment may have its own transfer or ownership-change procedure.
An annuity listed on a brokerage statement illustrates the distinction: changing the broker of record is not the same as moving the annuity to another insurer. The latter can involve a sale or exchange with separate contract, tax, and surrender considerations. Ask the product issuer and both firms which process applies before giving instructions.

3. Choose what to do with investments that cannot move
For every ineligible position, compare the consequences of leaving it at the old firm, liquidating it and transferring cash, or using another option approved by the issuer and receiving firm. Make the decision position by position rather than selling everything for convenience.

| Transfer in kind | The security moves without a sale when both firms and the product support it. | Will cost basis, lots, restrictions, and account features arrive correctly? |
| Sell and transfer cash | The old firm sells the position and sends cash, or you authorize a sale before transfer. | Could the sale create a taxable gain or loss, surrender charge, bid-ask cost, or missed market exposure? |
| Leave the position behind | The old account remains open for the residual asset. | Will the old firm charge maintenance, inactivity, custodial, or statement fees, and who will monitor the account? |
| Issuer-specific process | The investment follows a separate ownership, redemption, or registration procedure. | What forms, eligibility rules, waiting periods, and tax reporting apply? |
Selling a holding can create capital gains, losses, ordinary income, surrender charges, or other tax effects. A change of advisor by itself does not determine your tax bill; the tax result depends on what is sold, the account type, basis, holding period, and your circumstances. Obtain a tax professional’s advice before authorizing liquidation, especially in a taxable account, annuity, or retirement arrangement.
4. Price the move, not just the advertised advisory rate
Request a written estimate from both firms covering transfer-out charges, account-closing costs, account-opening charges, annual or quarterly maintenance fees, retirement custodial fees, inactivity fees, transaction commissions, wire or check fees, and the ongoing advisory charge. Ask whether any retirement custodial fee is prorated when an account closes. The SEC warns that either firm may charge transfer fees.
The receiving firm may offer to waive or reimburse a transfer fee. Evaluate that offer against the recurring advisory charge, product expenses, trading costs, and service scope over the period you expect to remain invested. A one-time reimbursement does not necessarily offset higher ongoing costs.
Obtain the product expense ratios and other embedded charges for funds, insurance products, structured investments, or alternatives that the new firm proposes. Compare like for like: an account fee, an advisory fee, and a fund expense are separate charges even when they appear on different statements.

5. Start the transfer with accurate instructions
Once the relationship and asset plan are settled, the receiving firm normally starts the brokerage transfer. The SEC’s Investor.gov guidance summarizes this as: “All brokerage account transfers start and end with your new firm.”
- Open or designate the receiving account. Make sure the legal name, taxpayer identification number, registration, beneficiaries, address, and account type match the old account where required. Do not close the old account yet.
- Complete the new firm’s Transfer Instruction Form (TIF). Copy the old firm’s name, account number, registration, and delivery instructions exactly from the statement. Indicate whether the request is full or partial and identify any assets the new firm has approved for special handling.
- Provide supporting documents. The receiving firm may request a recent statement, trust or estate documents, corporate resolutions, medallion or signature guarantees, or forms for retirement, margin, options, or inherited accounts.
- Ask when the request will be submitted. Confirm that the new firm—not you—will submit the ACATS request when applicable, and obtain a case number and point of contact.
- Review the validation notice. Resolve name, registration, account-number, asset, or signature mismatches immediately. The SEC’s 2014 bulletin describes a one-business-day validation window and warns that an unresolved problem or inaction can cause an ACATS request to be purged after two business days, requiring the receiving firm to start again. Firms can change procedures, so confirm how the current request is handled.
Most avoidable delays come from incomplete or inaccurate transfer paperwork. Keep the submitted form, statement, correspondence, and case number in one file.
6. Coordinate activity while the transfer is pending
A validated account can be frozen for transfer. The SEC warns that trading during the process can complicate or delay completion. Before submission, coordinate any time-sensitive withdrawal, required minimum distribution, contribution, option exercise, margin payment, or planned trade with both firms.
- Ask whether automatic investments, dividend reinvestment, standing withdrawals, and bill payments will continue, pause, or be canceled.
- Confirm how an unsettled trade, pending corporate action, option expiration, or margin call will be handled.
- Do not assume that a cash balance shown online is immediately withdrawable during the freeze.
- Keep enough cash elsewhere for essential expenses if access may be restricted.
The exact restrictions depend on the account and firms. Get written confirmation before taking action that could change the account during validation or delivery.

7. Know the realistic timeline
| Stage | Typical or stated timing | Qualification |
|---|---|---|
| ACATS validation | One business day in the SEC’s 2014 bulletin | A mismatch or unanswered request can cause the request to be purged after two business days; confirm current procedures. |
| Straightforward ACATS delivery | Approximately three to five business days after the receiving firm enters the form | This is the SEC bulletin’s estimate, not a present-day guarantee or national average. |
| Transfer outside ACATS | Up to 30 days can be common | The SEC bulletin’s estimate; issuer rules, mailed forms, and asset type can extend the process. |
Ineligible securities, registration differences, missing documents, account restrictions, unsettled activity, and partial-transfer instructions can make a transfer take longer than the uncomplicated estimate. Ask both firms for a case-specific target date rather than relying on a generic promise.

8. Confirm and reconcile what arrived
When the receiving firm says the transfer is complete, compare its first statement with the last statement from the old firm. Check every position, share quantity, cash amount, cost-basis information shown, registration, beneficiary designation, margin balance, and any option or recurring-investment instruction.
Make a separate list of anything still at the old firm. Dividends, interest, and sale proceeds can arrive after the main delivery; the SEC says the old firm must promptly forward those residual assets to the new firm. Keep online access, statements, trade confirmations, and transfer correspondence until all residual items are accounted for.
Report a discrepancy to both firms in writing, include the statement pages and transfer case number, and ask which firm owns the correction. Escalate through each firm’s complaints process and, when appropriate, contact the relevant regulator if the firms do not resolve the issue.
Special situations that need extra planning
IRAs and other retirement accounts
Confirm whether the new custodian accepts the exact IRA type and whether the movement will be handled as a trustee-to-trustee transfer, rollover, or another transaction. Ask about custodial fees, required distribution processing, withholding, beneficiaries, and any outstanding contributions. Do not request a check payable to yourself without understanding the tax and rollover deadlines; have the custodians and your tax professional explain the intended treatment first.
Margin and options
A new firm may require a new margin agreement, different collateral levels, or a fresh options approval. An account can be unable to transfer a position if the receiving firm does not support its strategy or risk level. Resolve borrowing balances, option expirations, and assignment risk before submission.
Employer plans and restricted stock
401(k) plans, 403(b) plans, pensions, and employer stock plans generally follow plan-specific rules rather than a standard brokerage ACATS request. Ask the plan administrator whether an in-service distribution, rollover, or registration change is permitted and how restrictions, blackout periods, and tax reporting work.
Private placements and proprietary products
Private partnerships, proprietary funds, structured products, and other restricted holdings may require issuer consent, valuation documents, or continued custody at the old firm. Obtain the product’s transfer and redemption rules in writing; do not infer liquidity from a price shown on a statement.
A practical checklist
Before you sign
- Read both Forms CRS and current fee schedules.
- Verify the individual and firms through official regulator lookup tools.
- Ask about services, compensation, conflicts, incentives, account minimums, and investment restrictions.
- Download statements and inventory every account and holding.
- Get a written transferability decision and handling plan for exceptions.
- Ask both firms for all one-time and recurring charges.
- Consult a tax professional before selling assets or changing a retirement arrangement.
During the transfer
- Use the receiving firm’s TIF and copy registration details exactly.
- Confirm full versus partial delivery and obtain a case number.
- Coordinate withdrawals, distributions, trades, contributions, and corporate actions before validation.
- Respond immediately to requests for signatures or corrected information.
- Keep both firms’ phone numbers, secure-message channels, and escalation contacts.
After completion
- Compare the first receiving-firm statement with the final old-firm statement.
- Verify positions, quantities, cash, basis information, beneficiaries, and account features.
- Track late dividends, interest, and sale proceeds.
- Confirm that unwanted residual accounts are closed only after all assets and documents are settled.
- Retain statements and confirmations for tax reporting and your records.
Questions to ask each firm
- Which of my holdings cannot transfer in kind, and what are the cost and tax consequences of each alternative?
- What transfer, closure, annual, custodial, inactivity, commission, and product-level charges will I pay?
- Does the receiving account support my registration, margin, options, retirement custody, beneficiaries, and minimum balance?
- Who will contact me if the request is rejected, and what is the escalation path?
- What is the expected timeline for this account and these specific assets?
- What transactions or automatic instructions must pause during validation?
- How will I be notified that the transfer is complete?
- If my advisor leaves, who services my account if I remain?
- What compensation or incentives are connected to moving customer assets?
These questions help expose account-specific issues, but neither the SEC nor FINRA’s general guidance guarantees what an individual firm will approve, charge, or complete by a particular date.
