Before paying a GST invoice, verify three separate things: the supplier’s identity, the invoice’s GST and e-invoice data, and the underlying purchase or service. Start with the GSTIN printed on the invoice in the official GST taxpayer search. If e-invoicing applies to that supplier and transaction on the invoice date, validate the signed QR code or signed JSON through the IRP verification tools. Then match the invoice to your purchase order, delivery evidence, service records and the payment account. A registration lookup or valid IRN can support an invoice’s identity and reported data, but neither proves that goods arrived or that services were performed.

What a genuine-looking GST invoice does—and does not—prove

A GST invoice can contain a real GSTIN and still be connected to the wrong supplier, a changed bank account, an undelivered order or a service that was never performed. Verification therefore has two layers:

As an Amazon Associate I earn from qualifying purchases.

  • Tax and identity checks: confirm that the GSTIN belongs to the taxpayer named on the document and, where required, that the invoice data passed through the e-invoice reporting system.
  • Commercial checks: confirm that the named supplier actually sold the described goods or services to you, for the stated quantity and value, and that the requested beneficiary is the account you independently expect to pay.

Use a failed or inconsistent check as a reason to pause and investigate, not as a final legal finding that an invoice is fraudulent. Contact the supplier through a telephone number, email address or portal record you already trusted—not only through contact details in the questionable invoice.

Prepare the records you need before checking

Have the complete invoice PDF or paper copy available, including any QR code, IRN and signature. Gather the purchase order or contract, quotation, delivery challan or goods-receipt record, timesheet or service acceptance record, and the supplier details already stored in your accounting system. If the invoice requests a different bank account from earlier approved records, keep the earlier remittance instructions as a comparison document.

Do not rely on a screenshot of a QR code or a copied text version of the invoice when the original file is available. A PDF can be altered after it is downloaded, so verification should be performed on the document you intend to approve and the result should be retained with your payment records.

Step 1: Check the supplier’s GSTIN and identity

Use the official taxpayer search

  1. Open the GST portal’s Search Taxpayer facility.
  2. Enter the supplier GSTIN exactly as printed on the invoice and complete the portal’s requested verification.
  3. Record the taxpayer name and other displayed registration details.
  4. Compare those details with the legal name and address on the invoice, the supplier in your purchase order and the party that delivered the goods or performed the service.

The GSTIN search confirms information associated with that registration. It does not establish that the taxpayer issued this particular invoice or that the transaction occurred. A valid GSTIN can be copied onto a document created by someone else, so the identity result must agree with your existing supplier relationship and transaction records.

When the lookup and invoice disagree

Stop the approval if the GSTIN lookup fails, the displayed taxpayer name is different, the address is inconsistent in a way your records cannot explain, or the invoice names a different legal entity from the one that accepted your order. Ask the supplier to explain the difference using a known contact. Do not “fix” the invoice yourself by editing its GSTIN or name; request a corrected document and keep the original.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 2: Decide whether an IRN should be present

Not every GST invoice is an e-invoice. E-invoicing applies only to suppliers and transactions covered by the rules in force for the relevant date. When it applies, invoice data is submitted through an Invoice Registration Portal (IRP), which returns a signed invoice containing an Invoice Reference Number (IRN) and a QR code. The GSTN e-invoice overview explains this reporting flow, while the IRP’s e-invoicing mandate guidance provides applicability information.

Do not declare an invoice fake solely because it lacks an IRN or signed QR code. First check the latest government notification and the official applicability facility for the supplier, transaction type and invoice date. The rules can change, and applicability depends on facts such as the supplier and transaction rather than on the word “GST” appearing on the invoice.

Questions to answer for applicability

  • Was the supplier within the e-invoicing coverage in force on the invoice date?
  • Was the document type and transaction one for which reporting was required?
  • Is the document a type that your supplier legitimately issues outside the e-invoice process under the current rules?

If you cannot answer these questions from the current official guidance, ask the supplier for the rule basis or consult a qualified GST professional. Do not use an old threshold, exemption list or secondary article as a current legal conclusion.

Step 3: Verify a covered e-invoice’s QR code or signed JSON

Use the IRP verification facilities

The IRP tools page provides facilities to verify a signed e-invoice QR code and a signed invoice JSON file: Verify signed invoice and QR code. Use the original QR image or the signed JSON supplied with the invoice rather than retyping the particulars.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open the IRP verification tools page.
  2. Choose the function for QR-code verification or signed-invoice-JSON verification, according to what the supplier provided.
  3. Upload or scan the document as the facility requests and wait for the portal’s verification result.
  4. Compare every returned particular with the invoice you received and with your order records.
  5. Save the verification result, the original invoice and the date of your check in the payment file.

Compare the returned fields

The QR information described by the IRP can show the supplier and recipient GSTINs, invoice number, invoice generation date, invoice value, HSN information, IRN and digital-signature information. Check the returned values against the printed or PDF invoice, not just whether the QR opens.

  • Supplier GSTIN: must be the taxpayer you identified in Step 1.
  • Recipient GSTIN: must be your entity’s GSTIN where the transaction is addressed to a registered recipient.
  • Invoice number and date: must match the document submitted for approval.
  • Invoice value: must agree with the total you are being asked to pay, subject to any clearly documented adjustment.
  • HSN information: should be consistent with the goods or services described and your purchase records.
  • IRN and signature details: should be returned as part of a successful signed-data verification.

A failed signature check, an invoice number that differs from the PDF, a different party GSTIN, a different date or a different value is a stop signal. Ask the supplier to explain whether the wrong file was sent, the invoice was cancelled and reissued, or the document was altered. Do not pay against the mismatched copy while that question is unresolved.

Understand what the IRN represents

The IRP’s IRN explanation states that an IRN is generated using the supplier GSTIN, document type, document number and financial year. That means the identifying particulars used to create the IRN matter: a document number or financial year that does not match the verified record is not a harmless formatting difference.

GSTN’s FAQ also describes searching for an invoice by IRN or by financial year, document type and document number. If the supplier gives you an IRN, you can use the process described in the GSTN e-Invoice JSON FAQ to locate the associated record where the facility and your access permit it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 4: Inspect the invoice’s required particulars

The IRP’s Rule 46 explainer lists core invoice particulars such as the supplier’s name, address and GSTIN; invoice serial number and date; recipient particulars in relevant cases; tax details; and a signature. Exact requirements can vary with the transaction and recipient circumstances, so treat the page as an operational explainer and confirm the current rule for an unusual transaction.

Read the document for internal consistency. The legal supplier name should not change between the header, tax section, bank instructions and signature block. The serial number and date should be clear, and the tax calculation should follow from the taxable value and stated tax components. A missing field is not automatically proof of fraud, but it is a reason to obtain a corrected invoice or professional advice before claiming input tax credit or paying.

Invoice-particulars checklist

Invoice element Compare it with Pause when
Supplier name, address and GSTIN GST taxpayer search, approved supplier record and purchase order The registration belongs to a different entity or the document uses unexplained alternate details
Invoice serial number and date Verified QR or JSON, supplier correspondence and the order timeline The number or date changes between the invoice and the verified record
Recipient particulars Your legal name, address and GSTIN where applicable The invoice is addressed to another business or an unrecognised registration
Description and HSN information Purchase order, contract and goods or service records The description is vague, unrelated or inconsistent with what you received
Quantity, taxable value and tax components Order quantity, agreed price, delivery record and calculation The totals cannot be reproduced from the agreed transaction
Total and payment instructions Approved remittance details and supplier confirmation from a known channel A new or unrelated beneficiary is introduced without independent confirmation
Signature or e-invoice signature data Signed QR or JSON verification where e-invoicing applies The signature fails or the verified data differs from the document

Step 5: Reconcile the invoice with the real transaction

Tax-system validation cannot tell you whether a truck arrived, a subscription was activated or a consultant completed the agreed work. Perform a commercial reconciliation before payment.

For goods

  • Match each line to the purchase order or confirmed quotation.
  • Compare quantities and units with the delivery challan, goods-receipt note or warehouse record.
  • Check that returned, damaged or short-delivered items are credited or excluded.
  • Confirm that the taxable value and total reflect agreed discounts, freight or other documented charges.

For services

  • Match the service description and period to the contract or work order.
  • Obtain the responsible manager’s confirmation, timesheet, milestone acceptance or other evidence that the work was performed.
  • Check recurring invoices against the active contract and cancellation date rather than approving them solely because the supplier is familiar.

For either type of purchase

Look for duplicate invoice numbers, repeated amounts, an invoice dated before the order without an explanation, or a total that does not match the approved commitment. Verify that credit notes, advances and prior payments have been applied correctly. If the document is addressed to your business but no one can identify the order owner or recipient of the service, treat that absence of commercial evidence as a payment hold.

Step 6: Confirm the payment beneficiary independently

Invoice fraud often succeeds after a genuine supplier identity has been copied but the payment destination is changed. Compare the bank account or payment identifier with your approved vendor master and previous settled invoices. A new account is not automatically illegitimate—suppliers do change banks—but obtain confirmation through a previously known channel and follow your organisation’s change-control procedure.

Do not call only the phone number printed on a suspicious invoice or reply only to its email address. Use a contact from an earlier contract, a verified supplier portal or a separately stored business record. Ask the supplier to confirm the invoice number, amount, beneficiary name and account change. Record who confirmed it, when and through which channel.

Red flags that should stop payment

  • The GSTIN search returns a taxpayer name that does not match the invoice or your supplier relationship.
  • The supplier cannot explain why its registered details differ from the document.
  • An invoice that should be covered by e-invoicing has a failed signed-QR or JSON verification.
  • The verified invoice number, party GSTIN, date or value differs from the PDF or paper invoice.
  • The line items, quantities, tax calculation or total do not match the order and delivery or service records.
  • The beneficiary is new, unrelated or changed through an urgent email without independent confirmation.
  • The supplier pressures you to bypass normal approval, split a payment or pay immediately to avoid a claimed penalty.
  • Someone sends only an image or screenshot and refuses to provide the original invoice or verification data.

Each red flag calls for investigation. None alone is a court finding that the document is fraudulent; the safe response is to pause, preserve evidence and obtain an explanation from a trusted contact.

What to do when a check fails

  1. Put the payment on hold. Do not partially pay the disputed invoice unless your finance or legal process specifically permits it.
  2. Preserve the evidence. Keep the original PDF or paper invoice, email headers where available, QR or JSON file, verification result, purchase order, delivery or service records and payment instructions.
  3. Contact the supplier independently. Ask for a written explanation and, where appropriate, a corrected or cancelled and reissued invoice.
  4. Re-run verification. If a new invoice is issued, check its GSTIN, applicability, QR or JSON and commercial records again rather than relying on the prior result.
  5. Escalate internally. Notify the budget owner, procurement team, accounts-payable lead and security or legal team if the document appears connected to account takeover, impersonation or attempted diversion of funds.
  6. Take tax advice where needed. Questions about input tax credit, document correction, cancellation or reporting depend on the current rules and your transaction facts.

Keep a repeatable approval record

For each invoice, retain a short verification log containing the invoice number and date, supplier GSTIN, taxpayer-search date and result, whether e-invoicing was expected, QR or JSON verification result and the person who matched the order and delivery or service evidence. Store the verified invoice and supporting records under the same payment reference so another reviewer can reproduce the decision.

A practical two-person control is useful for higher-value or first-time payments: one person performs the tax and identity checks, while another confirms receipt or service completion and the beneficiary. Separate approval from the person who requested a bank-account change.

Common mistakes to avoid

Assuming every GST invoice must have an IRN

Because e-invoicing is conditional, the absence of an IRN is not a universal fraud test. Determine coverage for the supplier, transaction and invoice date from current official guidance before drawing a conclusion.

Treating a successful QR scan as proof of delivery

The QR or signed JSON verification addresses the invoice data reported through the IRP. It does not confirm physical delivery, service performance, quality, return status or the legitimacy of the bank account receiving your money.

Checking only the first page

Fraudsters can leave the header intact while changing line items, totals, bank instructions or an attachment. Compare the complete document and the verified data, including the amount and beneficiary.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Using the invoice’s contact details to authenticate itself

An attacker controls those details if the document is fake. Use a previously trusted contact path for confirmation.

Relying on an old threshold or rate article

Applicability, exemptions, tax rates and procedural requirements can change. The supplied official portal links describe verification procedures, but they do not replace checking the current notification for your transaction. A tax professional should confirm a disputed classification or input-tax-credit question.

A compact pre-payment decision path

  1. Identity: Does the GSTIN search identify the same legal supplier shown in your order and invoice? If no, hold payment.
  2. Applicability: Was this supplier and transaction covered by e-invoicing on the invoice date? If uncertain, check current official guidance before judging the absence of an IRN.
  3. Integrity: If covered, does the IRP verify the signed QR or JSON, and do the GSTINs, number, date and value match? If no, hold payment.
  4. Commercial reality: Do the goods, services, quantities and totals match independent records? If no, investigate.
  5. Beneficiary: Has the requested payment account been confirmed through a trusted channel? If no, do not release funds.
  6. Evidence: Can another reviewer reproduce each check from the saved invoice and records? If no, complete the file before approval.

Limits of the verification process

A GST taxpayer search is an identity lookup, not proof that a named taxpayer issued the invoice. An IRN or valid signed QR indicates that the invoice data passed the relevant IRP validation process; it does not establish that the goods or services were supplied, that the prices are commercially fair, that the recipient accepted the work or that the payment account is safe. Those questions require your own procurement, receiving and payment controls.

For unusual transactions, cross-border elements, suspected impersonation or a disputed input-tax-credit claim, preserve the documents and obtain advice based on the current law. Do not invent a GST rate, penalty, threshold or complaint route from an outdated explainer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Final pre-payment checklist

  • GSTIN checked in the official taxpayer search and matched to the supplier identity.
  • Invoice date and transaction reviewed against current e-invoicing applicability guidance.
  • Signed QR or JSON verified through the IRP when e-invoicing applies.
  • Verified GSTINs, invoice number, date, value and other returned data matched to the invoice.
  • Supplier, recipient and invoice particulars reviewed for internal consistency.
  • Line items, quantities, taxable value, tax components and total reconciled to the order and delivery or service evidence.
  • Payment beneficiary confirmed independently, especially after any account change.
  • Invoice, verification result and supporting records saved before approval.
