There is no universal deadline or document list. The procedure differs by country, tax year, notice type and legal provision.
This guide explains the common workflow, then separates the official India e-Proceedings process from the U.S. Internal Revenue Service (IRS) CP05B example. Neither example should be treated as a rule for every tax notice or jurisdiction.

Start with the notice, not a reply
Before drafting anything, establish exactly what document you received. A tax authority may be asking for information, supporting documents, a correction, a return, an explanation, or payment. Those requests can have different deadlines and consequences even when they concern the same tax year.
Recommended Free Tools
Use the authority’s official website or account to authenticate the notice. Do not rely on a link, telephone number or email address in a suspicious message until you have independently verified it. In India, a registered user can view and download notices in the Income Tax e-Filing portal’s e-Proceedings service. The downloaded notice is the controlling source for the request and due date.

Record these facts immediately
| Item | What to record | Why it matters |
|---|---|---|
| Issuing authority and jurisdiction | For example, India’s Income Tax Department or the U.S. IRS | Determines the portal, legal rules and available remedies |
| Taxpayer identity | Name, taxpayer identification number and address shown on the notice | Confirms that the notice belongs to you and that the account is correct |
| Tax period | Tax year or assessment year | Prevents you from sending records for the wrong period |
| Notice type or legal provision | The notice title, reference number and cited section, if any | Identifies the issue and the procedure being used |
| Issue and response dates | Date issued, date received if shown, and the stated due date | Lets you calculate the time remaining without borrowing a deadline from another notice |
| Requested action | Documents, explanation, amended filing, payment or other action | Defines what a complete response must contain |
| Submission method | Portal, mail, upload facility or another channel named in the notice | A response sent to the wrong channel may not be treated as filed |
| Stated consequences | Possible refund reduction, demand, recovery action or other warning | Shows the urgency and whether specialist help is prudent |
Save the original file, every page and any attached schedules. Keep a separate note of the notice reference number so you can quote it in portal messages or calls.
Classify what the authority wants
Read the operative paragraphs and headings rather than inferring the issue from the envelope or email subject. Use the notice’s wording to choose the response path.
Information or document request
The authority wants records that support a return item or explain a discrepancy. Respond to each requested item and identify the file that answers it. Do not upload unrelated personal or financial records simply to appear cooperative.
Clarification or correction request
The notice may ask you to explain a figure, correct an error, or confirm information. Compare the notice with the filed return and your source records before deciding whether you agree. If you agree, state the correction plainly; if you disagree, explain the factual basis and attach the supporting record.
Show-cause or proposed adjustment
A show-cause procedure gives you an opportunity to explain why a proposed action should not be taken. The deadline and required format are controlled by that particular provision. For example, India’s limitation-period summary lists a 7-to-30-day response period for a section 148A show-cause notice. That range is specific to that procedure and is not a general deadline for all Indian notices.

Demand or payment notice
A demand is different from a request for information. Check whether the document says tax is payable, how the amount was calculated, the payment due date and the consequences of non-payment. The India Income Tax Department’s assessment overview says an intimation deemed a notice of demand requires payment within 30 days to avoid recovery proceedings. Confirm the current law and the exact date on your notice before relying on that period.
Gather evidence that answers the stated issue
Begin with the filed return and computation for the tax period named in the notice. Then collect the records that prove the particular income, withholding, deduction, credit or transaction under review. The list below is a starting framework, not a universal checklist.
| Notice issue | Potentially relevant records |
|---|---|
| Income or withholding mismatch | Filed return, income statements, withholding certificates, payroll records, bank or investment statements and the authority’s third-party information |
| U.S. IRS CP05B example | Forms W-2, W-2G and 1099; income and withholding records; records supporting credits and business income reported on the return |
| Deduction or credit questioned | Invoices, receipts, eligibility calculations, payment evidence and records showing the relevant dates and ownership |
| Business or self-employment item | Books, invoices, expense records, bank statements, payroll records and the computation used on the return |
| Prior correspondence or adjustment | Earlier notices, replies, acknowledgements, amended returns and payment confirmations for the same tax period |
Use a working copy of each document and retain the originals. Give files descriptive names that include the tax period and issue, such as 2024-income-w2.pdf or AY2025-credit-calculation.xlsx. Redact information only when the authority permits it and the redaction does not remove evidence needed to identify the taxpayer or transaction.
Write a point-by-point response
A reviewer should be able to match every question in the notice to a sentence and an attachment. A concise structure is usually stronger than a long narrative.
- Identify the proceeding. State your name, taxpayer identification number as permitted, tax period, notice reference number and date.
- State your position. Say whether you agree, disagree or partly agree with each point.
- Explain the facts. Use dates, amounts and labels that match the return and the notice. Avoid speculation and emotional language.
- Map evidence to each point. Name the attachment and describe what it proves. If a requested record does not exist, say so and explain what alternative evidence you are providing.
- State the requested outcome. For example, ask the authority to accept the supporting records, correct a mismatch or issue the refund after review.
- Check completeness. Confirm that every required field is filled, every attachment opens and the submission is within the stated deadline.
For a simple discrepancy, a useful paragraph might read: “The income amount on the notice differs from the amount reported because [brief factual explanation]. The attached [record] shows the correct amount and withholding for [tax period]. Please update the account using the enclosed evidence.” Adapt the wording to the notice; do not claim facts you cannot document.

India: e-Proceedings on the Income Tax e-Filing portal
- Sign in to the official Income Tax e-Filing account for the taxpayer named in the notice.
- Open the e-Proceedings area and select the relevant notice or proceeding.
- View and download the notice before preparing the response so you can work from the exact request and deadline.
- Enter the written response or remarks requested by the workflow.
- Attach the documents requested for that proceeding, observing file-type and size limits displayed by the portal.
- Review the complete response and submit it through the portal.
- Save the successful-submission confirmation and transaction ID, along with a copy of the response and every uploaded file.
The India e-Proceedings manual describes a transaction ID after successful submission, and the help-center FAQ says a submitted response can later be viewed. Treat the transaction ID as your proof of filing, but continue monitoring the proceeding for later messages.
United States: IRS CP05B example
CP05B is a specific IRS notice concerning a mismatch between income on a refund return and third-party documentation. The IRS instructs recipients to read the notice, gather the required documentation and reply by the date shown on that notice. Review the return and the income and withholding records, including Forms W-2, W-2G or 1099 when applicable, as well as records supporting credits and business income reported.
Follow the response method printed on CP05B. Do not substitute the deadline or upload process from an IRS notice with a different number. If the information does not support the return or no response is received, the IRS says it may disallow all or part of the refund or notify the taxpayer of an amount owed. That consequence is specific to the CP05B guidance and should not be generalized to every IRS notice.
Deadlines are notice-specific
“An income tax notice” has no single response period. Use the due date printed on the actual notice and confirm that the official account still accepts a response. The following examples illustrate why copying a deadline from another case is risky.
Rank #4
| Procedure or notice | Deadline or timing stated in the official guidance | Important qualification |
|---|---|---|
| India section 148A show-cause notice | 7 to 30 days to reply | This is the limitation-period summary for that specific statutory procedure, not a general deadline for Indian notices |
| India CPC e-Proceedings | Submission may become unavailable after the response due date | The FAQ also describes a particular workflow in which the response window ends seven days before a proceeding limitation date; an authority may have discretion to reopen it |
| India demand intimation | Payment within 30 days to avoid recovery proceedings | Applies to a demand as described in the assessment overview; verify the amount and date on the actual notice |
| U.S. IRS CP05B | Reply by the date shown on the notice | The IRS instruction applies to CP05B and does not establish a deadline for other IRS notices |
Submit early enough to allow for portal outages, authentication problems, file conversion and a final review. A screenshot of an upload screen without a confirmation number is not a substitute for the authority’s acknowledgement.
If the deadline has passed or the response is wrong
Act as soon as you discover the problem. First check whether the official account still offers a response or communication option. Then follow the contact or escalation instructions in the notice and explain the reason for the delay or error, attaching the response you intended to file.
India’s e-Proceedings FAQ says the submit option can be unavailable after the due date and that a submitted response cannot be edited. The reviewed official guidance does not establish one remedy for every late or mistaken response. Do not create a second submission blindly or assume that an email will replace a portal filing. Ask the authority how to correct or supplement the record, keep proof of that request and obtain qualified, jurisdiction-specific tax advice when the amount or legal consequences are significant.

Save the notice, your submitted response, every attachment in the form submitted, the submission date and time, transaction or acknowledgement number, portal messages, payment records and all later correspondence. Keep a chronology showing when each action occurred. Store an encrypted digital copy and a backup that you can access if the portal later closes the proceeding.
Do not discard records merely because the authority accepted the upload. Acceptance confirms delivery, not necessarily agreement with your position. Continue checking the account and your mail for an assessment, adjustment, demand, request for more information or closure notice.

Compare multiple notices without mixing their rules
If you receive more than one notice, create a separate line for each proceeding. Compare the following fields before deciding which task to do first:
- Issuing authority and jurisdiction
- Notice type or cited legal provision
- Tax year or assessment year
- Action requested
- Official response channel
- Deadline and time zone, if stated
- Documents requested
- Consequences listed in the notice
- Whether the portal allows editing, supplementation or only one submission
Prioritize the earliest verified deadline and any notice that threatens collection, refund loss or a formal assessment. Keep the proceedings separate: a document uploaded for one tax year may not answer a question in another, and a response filed in one country cannot satisfy a notice issued by another authority.
When professional help is sensible
Consider a qualified tax professional or attorney when the notice involves a large balance, suspected fraud or omission, a proposed reassessment, a business or cross-border issue, a show-cause proceeding, repeated notices, or a deadline you cannot meet. Bring the complete case file rather than only the first page. A professional can help interpret the cited provision and communicate with the authority, but you remain responsible for checking that the final response is accurate and filed through the required channel.

- You verified the notice in the authority’s official account or contact channel.
- You recorded the authority, taxpayer identity, tax period, notice reference, issue date, due date and requested action.
- You classified the request as information, clarification, correction, show-cause, payment or another specific action.
- You reconciled the notice with the filed return and gathered only relevant supporting records.
- Your response answers each point, states whether you agree or disagree and maps each claim to an attachment.
- You used the response method named in the notice.
- You submitted before the stated deadline and saved the transaction or acknowledgement number.
- You retained the notice, response, attachments and later correspondence.
- If the deadline passed or the filing was wrong, you contacted the authority promptly using the notice’s instructions and documented that contact.
The practical rule
Treat every notice as a separate legal workflow. Read the actual document, meet its own deadline, answer only what it asks with records that prove your position, and preserve evidence that the authority received your response. India’s e-Proceedings and the IRS CP05B process show why a deadline or checklist from another notice cannot safely be reused.
