Stop and identify the problem before the vehicle moves again. A submitted error in the e-way bill generally cannot be edited: if cancellation is still legally available, cancel the incorrect bill and generate a new one with the correct details. A wrong or changed vehicle number is different: the generator or assigned transporter may update Part B while the bill is active and within its validity, using the vehicle actually carrying the goods. If the validity has expired, movement should stop. Only the transporter carrying the consignment may request an exceptional extension, normally through the e-way bill system’s window from eight hours before expiry to eight hours after expiry. If the portal rejects the action, keep the goods stationary and contact the GST helpdesk and a qualified GST professional.
First decide which kind of mismatch you have
An e-way bill problem is not one single correction task. The permitted action depends on whether the error is in the submitted bill data, in Part B transport details, or in the bill’s validity status. Treating all three as an editable field can leave the vehicle carrying goods without a valid document.

The key distinction is that Part B is transport information, while a wrong submitted entry may require replacing the entire bill. Do not attempt to “fix” a Part A mistake by changing a vehicle field, and do not assume a Part B update remains possible after the validity deadline.
What to do when the submitted e-way bill contains a wrong entry
Understand what cannot be edited
The official E-Way Bill System FAQ says a submitted incorrect or wrong entry cannot be edited through the normal procedure. The stated remedy is cancellation and generation of a fresh e-way bill containing the correct information. This applies to an error in the submitted bill rather than a legitimate change in the vehicle used after the bill was generated.

Before taking action, compare the electronic bill with the underlying invoice, bill of supply or delivery challan. Confirm the document number and date, consignor and consignee details, goods description, value, tax information, place of dispatch, place of delivery and the transport information. The person responsible for the bill should identify exactly which field is wrong and preserve the incorrect bill number and screenshots or downloaded copies for the business record.
Check whether cancellation is still possible
CBIC Rule 138 permits electronic cancellation within 24 hours of generation when the goods have not been transported or are not transported as described. A bill cannot be cancelled after it has been verified in transit. The 24-hour period is a legal operating limit, not a guarantee that the portal will offer a cancellation button in every situation. Check the live status on the portal before directing a driver or transporter.
If the goods have already moved, if a tax or transport officer has verified the bill, or if the 24-hour period has passed, do not describe cancellation as available. Escalate the facts to the person responsible for GST compliance and obtain advice from a qualified GST professional. A replacement bill should never be used to conceal a movement that has already occurred under incorrect information.
Cancel and regenerate when the conditions are met
- Pause the dispatch decision. Tell the person in charge of the conveyance not to start or resume movement under the incorrect bill while its status is being checked.
- Reconcile the source document. Use the invoice, bill of supply or delivery challan as the controlling record for the corrected entry.
- Check the bill status and generation time. Confirm that fewer than 24 hours have elapsed and that the bill has not been verified in transit.
- Cancel electronically. Use the e-way bill portal’s cancellation function and retain the cancellation reference or downloaded confirmation.
- Generate a new e-way bill. Enter the corrected details exactly as they appear on the applicable tax document and add the correct transport information.
- Give the replacement number to the driver or person in charge. Ensure the old number is not presented as the current transport document.
Cancellation does not change the underlying invoice or delivery document. If the source document itself is wrong, resolve that accounting or tax-document issue before generating a replacement e-way bill.
How to correct a vehicle or Part B mismatch while the bill is valid
Confirm that the bill is eligible
Part B transport details can be updated for a live, active e-way bill only while it remains within its validity period. The E-Way Bill API documentation does not allow a vehicle update after expiry. Check the bill’s status and expiry time first, then compare the recorded vehicle with the vehicle physically carrying the goods.

For road movement, enter the actual vehicle number. A placeholder, the number of a vehicle that has already left the consignment, or the registration of a vehicle that is not carrying the goods creates a new mismatch rather than correcting the old one.
Identify who may make the update
- When no transporter is assigned in the e-way bill, the generator may update Part B.
- When a transporter is assigned, the assigned transporter may update the transport details.
- The transporter handling a vehicle change should coordinate with the consignor or consignee so that the invoice and movement records remain consistent.
Do not ask an unauthorised party to use another entity’s credentials. The portal’s role rules are part of the correction process, and the record should show the party responsible for the transport update.

The official FAQ allows a transporter to repair the broken vehicle and continue on the same e-way bill. If the goods are transferred to another vehicle, the transporter can update the new vehicle in Part B and continue, provided the original validity has not ended. Vehicle details may be updated repeatedly when circumstances change en route; each update must describe the conveyance actually carrying the consignment at that point.
- Move the goods only as necessary to secure them or perform the authorised repair or trans-shipment, while keeping the shipment records and reason for the change.
- Sign in with the generator or assigned transporter account permitted for the bill.
- Open the active e-way bill and choose the Part B or vehicle-update function.
- Enter the current vehicle number and the applicable transport details. For road transport, use the registration number of the replacement or repaired vehicle.
- Submit the update before the bill expires and save the updated bill number or confirmation.
- Provide the current e-way bill details to the person in charge of the conveyance before normal movement resumes.
A breakdown does not automatically create a new validity period. The vehicle change preserves the original e-way bill and its remaining validity. If the remaining time is insufficient, follow the exceptional extension process rather than continuing after expiry.
What to do when e-way bill validity has expired
Stop movement first
The official E-Way Bill System FAQ states: “If validity of the e-way bill expires, the goods are not supposed to be moved.” That is the immediate operational rule. Do not tell the driver to continue because the destination is close, because an update is pending, or because a new bill might be generated later. Keep the goods stationary at the present location while an eligible resolution is attempted.

Expiry also blocks an ordinary Part B vehicle update. The API documentation disallows a vehicle update after expiry, so changing the vehicle number cannot be used to revive an expired bill.

Determine whether an exceptional extension can be requested
The FAQ describes an extension as an exceptional remedy. It is not a routine renewal available for every late delivery. The transporter carrying the consignment as recorded in the system when validity expires may request the extension. The portal and extension API documentation describe a request window beginning eight hours before expiry and ending eight hours after expiry.
Examples of circumstances listed in the official material include:
- Natural calamity
- Law-and-order problems
- Delay during trans-shipment
- Vehicle accident
These examples do not guarantee approval. The requester must explain the actual event affecting this consignment and provide information that allows the system and the tax authorities to assess the remaining journey.

- The reason for the delay, stated factually and tied to the exceptional circumstance.
- The present location of the goods when the request is made.
- The approximate distance remaining to the destination.
- Current Part B transport details, including the vehicle information for road movement.
- The e-way bill number and the identity of the transporter recorded for the consignment.
Extension is based on the remaining distance. It does not permit the requester to rewrite Part A. The Part A data cannot be changed as part of an extension request; if Part A is wrong, use the separate cancellation-and-regeneration analysis when cancellation is legally available.
Submit the extension during the permitted window
- Verify the clock. Check the exact expiry time shown for the bill and confirm that the request is within eight hours before or eight hours after that time.
- Confirm the requester. The transporter currently carrying the consignment, as recorded in the system at expiry, should make the request.
- Open the extension function. Select the e-way bill and the option for extending validity rather than the ordinary Part B vehicle update.
- Enter the reason and location. Describe the exceptional event and the place where the goods are held, without substituting a generic explanation.
- Enter remaining distance and Part B details. Use a realistic approximate distance and the current vehicle and transport information.
- Submit and verify the result. Save the confirmation and the new validity shown by the portal before permitting movement.
Do not treat an on-screen attempt as an approval. Movement should resume only after the system accepts the request and displays a valid extended status. Keep the original and extended records with the shipment file.

Do not improvise a workaround
A rejected action can mean that the bill is outside the timing window, the requester is not the authorised transporter, the bill has already been verified, the status is not active, the vehicle data is invalid, or the system cannot accept the requested operation after expiry. Generating multiple replacement bills, changing unrelated fields, or sending the vehicle onward without an accepted action can create additional compliance problems.
Use a controlled escalation
- Keep the goods from moving while the bill remains expired or otherwise invalid.
- Capture the bill number, status, expiry time, error message, user role, present location and current vehicle details.
- Check the invoice, bill of supply or delivery challan against the portal record so that a data error is not mistaken for a system error.
- Contact the GST helpdesk if the official FAQ’s procedure cannot be completed or the portal appears not to be functioning correctly.
- Ask a qualified GST professional to assess the consignment-specific facts, especially where the 24-hour cancellation period, transit verification or eight-hour extension window has passed.
The helpdesk can address a portal issue, but it does not turn an ineligible cancellation or an ordinary delay into an automatic extension. Keep evidence of the attempted correction and every support interaction.

CBIC’s e-way bill rules require the person in charge of the conveyance to carry the applicable invoice, bill of supply or delivery challan and a copy of the e-way bill or its number. After a correction, vehicle update or approved extension, provide the current electronic record and retain the prior records in the business file so the chronology can be explained.

- Invoice, bill of supply or delivery challan applicable to the movement
- Current e-way bill copy or number
- Cancellation confirmation and replacement number, when cancellation and regeneration were used
- Updated Part B or vehicle-update confirmation, when the vehicle changed
- Approved extension confirmation, when validity was extended
- Breakdown, accident, trans-shipment or other delay evidence supporting an exceptional request
The e-way bill does not replace the underlying tax document. The information on both should describe the same goods, parties and movement.
Practical decision checklist before the vehicle moves
- Field: Is the problem a wrong submitted entry, or only a changed transport detail?
- Status: Is the bill active, and has it been verified in transit?
- Clock: Is it within 24 hours of generation for a possible cancellation, within the original validity for a Part B update, or within eight hours before or after expiry for an extension request?
- Authority: Is the person acting the generator with no transporter assigned, the assigned transporter, or the transporter carrying the consignment at expiry?
- Vehicle: Does the recorded number match the vehicle physically carrying the goods now?
- Extension facts: Is there a genuine exceptional circumstance, and are the present location and approximate remaining distance accurate?
- Documents: Does the person in charge have the invoice, bill of supply or delivery challan and the current e-way bill number or copy?
- Result: Has the portal accepted the action and displayed a usable status, rather than merely allowing an unfinished request?
If any answer is negative, pause movement and resolve that specific issue before dispatch resumes. The safest record is one that shows which field changed, who was authorised to change it, when the action occurred and what status the portal displayed afterward.
How to prevent a repeat mismatch or expiry
Validate before generation
Match the e-way bill to the invoice, bill of supply or delivery challan before the vehicle leaves. A second-person check of the destination, goods, value, document number and initial transport details can catch an error while the 24-hour cancellation option may still exist.

Record the expiry time with the dispatch plan and review it after every hand-off, trans-shipment or delay. A vehicle breakdown, accident or law-and-order stoppage should trigger an immediate check of the remaining validity, not a decision to wait until the deadline has passed.
Keep role and vehicle data current
Make sure the assigned transporter knows who can update Part B and that the person entering a vehicle number has the registration of the actual conveyance. When a vehicle is repaired or replaced, update Part B while the bill is active and retain the confirmation.
Escalate before expiry when delay is foreseeable
Because the extension window opens eight hours before expiry, a transporter who sees that an exceptional delay will prevent timely delivery should prepare the reason, location, remaining distance and current Part B details in advance. Approval is still exceptional, but early preparation reduces the risk of an expired bill and a vehicle stopped without a valid document.
