If an EPFO pensioner who was already receiving monthly pension dies, notify the pension payee bank promptly and submit the death certificate. The bank’s payee branch is expected to pass the death intimation and certificate to its link branch and the concerned EPFO Regional Office. Then use the deceased person’s Pension Payment Order (PPO) to establish which widow, widower or children are authorized for family pension and obtain the current claim instructions for that PPO.
Do not automatically treat this as the same process used when an EPF/EPS member dies before pension starts. An existing pensioner has a PPO-based case; a member who had not begun pension follows a member-death claim route, where EPFO’s Form 10-D guidance and online nominee facility may apply.

First identify which EPFO death-claim situation applies
The first decision is whether pension had already commenced. That determines the record you rely on, the office that normally starts the process and whether the online member-death route is relevant.
| Situation | Primary record | First channel | Forms and evidence |
|---|---|---|---|
| Person was already receiving EPS pension | Existing Pension Payment Order (PPO) | Pension payee bank, followed by the link branch and concerned EPFO Regional Office | Requirements depend on the PPO and current instructions. The EPFO manual and sample letter refer to Form TR 40-A, death certificate, the pensioner’s PPO portion, bank proof, identification and certain declarations. |
| EPF/EPS member died before pension began | Membership and nominee records, rather than an active pension PPO | EPFO member-death claim channel, including the online pension nominee option where applicable | EPFO identifies Form 10-D for monthly pension claims, including widow/children pension after a member’s death. The online page asks for UAN, beneficiary details matching EPFO records, Aadhaar-linked mobile access and applicable death, bank-account and date-of-birth proofs. |
If you cannot tell which category applies, check whether a PPO and regular pension credit exist. Ask the payee bank or the EPFO Regional Office to classify the case before submitting a form.

What the PPO establishes
The PPO is the central document for a person who was already drawing pension. The EPFO Pension Manual describes it as the record of family-pension entitlement and the family categories covered. It can show whether a widow or widower and eligible children were authorized to receive family pension after the pensioner’s death.
- Find the PPO number and keep clear copies of every page available to the family.
- Check the names and relationships recorded for family-pension purposes.
- Note the pension payee bank and branch shown in the pension records or where the monthly credit was received.
- Do not assume that a person who was not named or authorized in the PPO can be added without an EPFO decision; ask the Regional Office what evidence is required for that circumstance.
A PPO does not by itself replace the claim. It tells the bank and EPFO which authorization and family details must be matched to the claimant’s documents.
Step-by-step: reporting the death of an existing EPFO pensioner
1. Gather the core records
Before contacting the bank, assemble the PPO, the pensioner’s identifying details, the death certificate and the claimant’s basic bank and identity information. If the family has only part of the PPO, tell the bank that immediately and ask how to obtain a certified or replacement copy. Keep the originals secure and prepare copies for submission.

2. Notify the pension payee bank
Contact the branch that paid the pension, not merely a different branch of the same bank. Provide the death certificate and identify the PPO. Request written acknowledgement of the death intimation when the branch offers one, and record the date, branch, staff reference or inward number and the name of the person who accepted the papers.
Under the EPFO Pension Manual’s described workflow, the payee branch communicates the death and certificate to the bank’s link branch and the concerned EPFO Regional Office. Ask the branch to confirm where it sent the intimation and whether any separate claimant submission is required.

3. Obtain the current claimant checklist
Requirements can differ according to the PPO, the family member claiming, and instructions in force when the claim is filed. Ask both the payee bank and the concerned EPFO Regional Office for the checklist that applies to this PPO. The older EPFO Manual of Accounting Procedure—EPS 1995, Chapter 11, and its sample family-pension letter identify documents that may include:
- Form TR 40-A;
- the death certificate;
- the pensioner’s half or relevant portion of the PPO;
- the claimant’s bank-account details or passbook evidence;
- personal identification;
- a non-remarriage certificate for a widow or widower where required;
- a non-marriage certificate for an eligible child where required; and
- a refund undertaking in circumstances specified by the office.
That manual is older. Treat the list as an example of the formalities that may be requested, not as a universal current checklist. Ask which documents must be originals, copies, signed declarations or verified by the bank.

1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors4. Match the claimant to the PPO
Complete the claim using the exact spelling, relationship and identifying information recorded in the PPO and EPFO records. If a name differs between the PPO, identity document and bank account, disclose the mismatch rather than silently changing one record. Ask the bank or Regional Office whether a correction, affidavit or additional proof is needed.
5. File through the channel directed for the PPO
Submit the completed claim and supporting papers to the payee bank, the link branch or the EPFO Regional Office as instructed. Obtain a receipt or acknowledgement listing the documents received. If the branch tells you to approach EPFO directly, ask for the office name, inward procedure and any reference number needed for follow-up.
6. Preserve a complete claim file
Keep a dated copy of the death intimation, death certificate, PPO pages, every form, bank acknowledgement, identity and bank proofs, declarations, correspondence and reference numbers. A simple chronology helps if the claim moves between the payee branch, link branch and Regional Office.

Documents: what is commonly requested and why
| Document or detail | Purpose in the claim | Qualification |
|---|---|---|
| Death certificate | Confirms the event that triggers family-pension processing. | The payee branch communicates it onward under the manual’s described process. Confirm whether the office needs a particular copy or verification. |
| PPO and PPO number | Shows the pension record and the family-pension authorization. | Use the existing PPO for a pensioner who was already receiving pension. |
| Form TR 40-A | Identified in the EPS accounting manual’s sample family-pension correspondence. | The older manual does not establish that every current case uses this form; confirm with the bank or Regional Office. |
| Claimant’s bank details or passbook | Provides the account information for payment if the claim is approved. | Ask whether the account must meet a particular ownership or verification requirement. |
| Personal identification | Links the claimant to the person named in the PPO and claim. | Use the documents and format the current office accepts. |
| Non-remarriage or non-marriage certificate | Addresses conditions that may apply to a widow, widower or eligible child. | Only relevant where the claimant category and current instructions require it. |
| Refund undertaking | Provides an undertaking for recovery of amounts paid in circumstances covered by the office’s rules. | Do not sign a blank or unexplained undertaking; ask what event it covers and retain a copy. |
How EPFO’s online pension death-claim option fits
EPFO’s nominee login page for pension displays a version date of 6 October 2026 and describes an online pension death-claim route for a family or nominee after a member’s demise. The page asks for the member’s UAN, beneficiary details that match EPFO records, access to an Aadhaar-linked mobile number and applicable uploads such as death, bank-account and date-of-birth proofs.

Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →That description is directed to a member-death claim. It should not be assumed to replace the bank and Regional Office workflow for someone who was already receiving pension under a PPO. If the deceased person had an active pension PPO, ask the payee bank or Regional Office whether the online route is accepted for that case, whether it is supplementary, or whether a paper submission is required.
For an online submission, save the acknowledgement or reference number, download a copy of the completed claim if available and keep the uploaded files exactly as submitted. If the beneficiary details do not match EPFO’s records, resolve that mismatch with the office rather than repeatedly submitting an unchanged claim.
When the member died before pension started
A person who died while still an EPF/EPS member and before receiving pension does not have the same PPO-based starting point. EPFO’s Form 10-D instructions identify monthly pension claims, including widow/children pension after a member’s death. EPFO also provides a member-death pension claim route through its online nominee facility.
In this situation, determine the member’s UAN and nominee or family records, then follow the current member-death instructions. The online page’s requirements include beneficiary information matching EPFO records, Aadhaar-linked mobile access and relevant death, bank and date-of-birth proofs. The bank-first death-intimation process described for an existing pensioner should not be substituted for the member-death instructions unless the bank or Regional Office specifically directs it.

Common problems and how to handle them
The family cannot find the PPO
Ask the pension payee bank to search its pension records using the pensioner’s name, account and other identifiers. Contact the concerned EPFO Regional Office with the pensioner’s details and death certificate and ask about obtaining PPO particulars or a copy. Keep evidence of each request and do not create a new pension claim merely because the paper PPO is missing.
The bank accepts the death certificate but gives no next step
Request the branch’s inward or acknowledgement number and ask whether it has informed the link branch and Regional Office. Then contact the Regional Office with the PPO number and the bank acknowledgement, asking for the claimant checklist and submission channel.
The claimant’s name or relationship differs from the PPO
Stop before filing an inconsistent claim. Ask which identity, relationship or civil records the office will accept to explain the difference. Submit the requested clarification with the claim and keep the office’s written response.
The office asks for a form not mentioned in an older manual
Follow the current instruction issued for the case, while retaining a copy of the request. The EPS 1995 accounting manual is useful for understanding examples such as Form TR 40-A and declarations, but it is not a substitute for confirmation of present requirements.

An online claim cannot be completed
Check that the UAN, beneficiary details and Aadhaar-linked mobile access correspond to EPFO records. If the data still fails validation, use the reference or error information when contacting EPFO and ask whether the claim must be filed through the bank or Regional Office.

Following up without losing the paper trail
Use one folder, physical or digital, for the entire case. Record the death-intimation date, bank branch, link-branch contact if provided, Regional Office, claim-submission date, reference numbers and every request for additional documents. Keep copies of any declarations and note who requested them.
EPFO pensioner services include online pension-status and enquiry facilities. Use those facilities where they recognize the PPO or reference number, but continue to communicate with the payee bank and Regional Office for case-specific questions. A status screen does not replace a submission acknowledgement or proof of the documents delivered.
What the official material does—and does not—settle
The EPFO Pension Manual establishes the importance of the PPO and describes the payee branch’s communication of a pensioner’s death and certificate to the link branch and concerned Regional Office. The EPFO Manual of Accounting Procedure—EPS 1995, Chapter 11, supplies an older sample family-pension letter and examples of documents. EPFO’s live nominee-login page, displayed as version 6 October 2026, explains the online member-death pension route and its access requirements. Form 10-D instructions identify monthly pension claim categories, including widow/children pension after a member’s death.

Frequently Asked Questions
Is Form 10-D automatically required when an EPFO pensioner with a PPO dies?
No universal requirement is established for that situation. EPFO identifies Form 10-D for monthly pension claims, including widow/children pension after a member’s death, while an existing pensioner’s case is handled against the PPO. Ask the payee bank or Regional Office which form applies to the specific PPO.
Can a family member use the online nominee portal for a person who was already receiving pension?
The online page describes a member-death claim and asks for UAN, matching beneficiary records, Aadhaar-linked mobile access and supporting uploads. Do not assume it replaces the PPO-based bank and Regional Office process; obtain confirmation for the individual case.
What if the pensioner’s bank account is closed after death?
Report the death to the payee branch and provide the death certificate and PPO details. Ask the branch and Regional Office how they want the family-pension claim and new receiving-account details submitted; the applicable procedure is case-specific.
Where should a claimant ask about a delayed or incomplete claim?
Start with the payee bank’s acknowledgement or reference, then contact the concerned EPFO Regional Office with the PPO number and submission record. EPFO pensioner-status and enquiry facilities may provide an additional status check when the case is indexed there.
