Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteA UPI payment marked successful is not the same thing as money already credited to your business bank account. To find a missing settlement, connect four records in order: the customer’s payment, your order or sales record, the provider’s settlement batch, and the receiving-bank credit. Match stable identifiers—not just amounts—then trace fees, refunds, disputes and other adjustments before escalating an unmatched item to your acquiring bank or payment provider.
UPI payment versus merchant settlement: the distinction that prevents most errors
A customer payment passes through several stages. The UPI transaction records whether the customer’s account was debited and whether the payment attempt succeeded. Your payment provider or acquiring bank then includes eligible transactions in a settlement calculation. A later bank entry shows when the net amount reached the account or merchant pool specified in your agreement.

These stages can have different statuses and dates. A payment can be successful but not yet included in a settlement batch. A batch can be created while the bank credit is still pending. A bank credit can be lower than the sum of successful payments because fees, taxes, refunds, disputes or other documented adjustments were deducted. NPCI describes itself as the settlement agency for inter-bank UPI transactions and says member banks reconcile NPCI reports with their own records. That inter-bank process is not a universal promise about when an individual merchant will receive a payout.

Build a reconciliation file before investigating a shortfall
Start with one investigation period—for example, a business day or settlement cycle—and preserve the source records without editing them. Keep a working sheet that gives every item one row and links the same transaction across systems.
Records to collect
- Order or sales record: order number, customer reference, sale date, gross amount, refund state and the business account or channel used.
- UPI or payment record: transaction ID, transaction reference, payment or order ID, amount, date and time, status and response code. NPCI merchant integration guidance identifies transaction ID, transaction reference, status and response code as useful merchant-side fields.
- Settlement report: settlement ID or batch number, transaction reference, transaction date, settlement date, transaction amount, fees, taxes, adjustments, net settlement and settlement status.
- Bank statement: posting date, value date if shown, credited amount, narration, UTR or other bank reference and the account in which the credit was posted.
- Provider agreement and schedule: configured settlement cycle, cut-off time, holidays, reserve or risk terms, refund and dispute treatment, and the account designated to receive funds.
Identifiers and the stage they identify
| Identifier or field | Usually owned by | What it proves | What it does not prove |
|---|---|---|---|
| Transaction ID or UPI transaction reference | UPI participant, bank or provider | Which payment attempt was made | That the amount has reached your bank account |
| Order ID or merchant reference | Your order system | Which sale the payment was intended to pay | That the payment was successful |
| Settlement ID or batch number | Payment provider or acquirer | Which transactions and adjustments were grouped for payout | That the receiving bank has posted the credit |
| UTR, bank reference or statement narration | Receiving bank or provider | Which bank credit was posted | Which individual orders make up the credit unless the provider supplies a breakdown |
| Status and response code | Payment system or provider | How the attempt was classified at that point | A guarantee that a later settlement will occur |
When several identifiers exist, retain all of them. Amount-only matching can join two different transactions with the same value and can hide a duplicate, reversal or partial adjustment.
Seven-step workflow for locating a missing UPI settlement
1. Define the period and the account you are checking
Write down the transaction date range, the settlement account or merchant pool, the expected settlement cycle and the statement period being reviewed. Use the provider’s settlement date rather than assuming that the customer’s payment date is the bank-credit date. Include weekends and bank holidays in your review because the agreement may define working days differently from calendar days.
Export the order list, payment report, settlement report and bank statement for the same period. Do not overwrite an original export when adding notes; keep a copy so an auditor or support team can reproduce your matching.
2. Confirm the payment status independently
For each disputed order, compare your order system with the provider’s transaction detail and the UPI app or bank evidence available for the transaction. A customer saying that their account was debited is evidence of a debit attempt, not by itself proof that your merchant account received a successful payment.
Classify the attempt as successful, pending, failed, reversed or unknown according to the provider’s record. If the status is unclear, ask the bank or acquirer to trace the transaction using the transaction reference, amount and precise timestamps. Do not put a pending or failed attempt into the settled-sales total merely because a debit notification exists.
3. Locate the payment in the settlement report
Search the settlement export by transaction reference, payment ID or order reference. A payment report answers “what happened to this payment attempt?” A settlement report answers “which transactions and adjustments were included in this payout?” They are not interchangeable.

Provider reports differ. One published Cashfree report example includes transaction references, transaction dates, transaction amounts, net settlement, fees, settlement date and adjustment entries, and can be downloaded daily or monthly. Those field names and download options are provider-specific; use the report generated by the provider currently handling your account.
If a successful payment is absent from the expected batch, check whether it was outside the cut-off, held for risk review, refunded, disputed, reversed or assigned to a different settlement account. Record the exact status and reason shown rather than inferring one from the amount.
4. Reconcile gross payments to net settlement
Calculate the expected net amount from the rows actually included in the batch:
Expected net settlement = included successful payments − documented fees and taxes − refunds − disputes − other documented debits + documented credits or corrections.

A lower net payout is not a missing settlement if the report explains it with a processing fee, tax, refund debit, dispute debit, reserve, correction or another authorized adjustment. Conversely, an adjustment with no description, reference or contractual basis should remain an exception and be raised with support.
| Difference you observe | Evidence to find | Likely next action |
|---|---|---|
| Gross payment appears, but net is lower | Fee, tax or adjustment row linked to the transaction or batch | Verify the rate and contract; post the documented deduction |
| Payment is successful but absent from the batch | Cut-off, hold, refund, dispute, reversal or alternate-account status | Ask the provider to identify the payment’s settlement disposition |
| Batch total differs from your spreadsheet | Duplicate order, cancelled sale, partial refund or missing transaction reference | Re-run the match using identifiers and inspect unmatched rows |
| Bank credit is lower than batch net | Bank statement narration, UTR and any bank-side charge or split credit | Ask the provider and receiving bank to trace the settlement ID and UTR together |
| Bank credit is absent | Settlement status, expected posting date and receiving account details | Escalate with the batch ID and statement showing no corresponding credit |
5. Match the batch to the bank credit
Compare the settlement report’s net amount and settlement date with the bank statement. Use the settlement ID, UTR or other bank reference where supplied. A single bank credit may combine many transactions, so reconcile at the batch level first and then retain the transaction-level breakdown.
Some provider dashboards expose a transaction-to-settlement path. For example, Razorpay’s India documentation describes opening a payment, viewing its settlement details and then opening the linked settlement ID for a breakdown. Cashfree’s documentation describes settlement reports and status tracking. Dashboard labels and navigation change, so treat these as examples of the evidence path, not as instructions that apply to every provider.

Check the account number or merchant pool named in the agreement. A correctly processed settlement can appear missing if the business changed accounts, uses separate accounts for different channels, or is looking at a statement that excludes the posting date.

6. Escalate an unmatched item with a complete evidence packet
Contact the acquiring bank or payment provider when the payment status, settlement inclusion or bank credit cannot be explained. NPCI’s merchant FAQ directs merchants to the acquiring bank for a UPI transaction grievance or status. Send one concise case per unresolved transaction or batch, with related records attached.
- Transaction ID and UPI transaction reference
- Order or merchant reference
- Amount and exact transaction date and time, including time zone if your systems use more than one
- Payment status and response code
- Settlement ID, batch date and the relevant settlement-report row
- Expected net amount and the calculation showing any documented deductions
- Receiving account details sufficient for the bank to identify the account, without sending unnecessary credentials
- Bank statement page or export showing the expected period and the absence, partial amount or different reference of the credit
- Your requested resolution: status trace, correction, re-credit, explanation of an adjustment or confirmation of the correct payout date
Ask for a case number and record the person or team responsible. Avoid sending full customer credentials, UPI PINs, passwords or unrelated personal data; a transaction reference and timestamp are normally the useful tracing keys.
7. Keep the exception open until it is resolved
For each unmatched row, maintain an owner, current status, evidence location, next action and follow-up date. Close it only when the corrected settlement, reversal or documented explanation is visible in both the provider record and the accounting entry.
NPCI historical member guidance instructs banks to download settlement and adjustment reports daily and reconcile payable and receivable general-ledger accounts daily. That is operational guidance for banks and participating members, not a requirement that every small merchant adopt a particular accounting system. A merchant can apply the same principle at an appropriate scale by reviewing new payments, settlement batches and bank credits on a defined schedule.
How to interpret timing without inventing a deadline
There is no universal merchant payout period established by the NPCI material. NPCI’s merchant FAQ ties receipt to the merchant’s agreement. Your provider’s configured cycle, bank approval, transaction type, business category or model, risk parameters, cut-off time and holidays can all affect when a successful payment becomes a bank credit.
Provider-specific example: a published T+2 cycle
Cashfree’s published guide describes a standard settlement of T+2 working days. It also says timing can vary with bank approval, transaction type, business category or model, risk parameters and other factors. T+2 in that document is a Cashfree-specific description, not a promise for all UPI merchants. Before calling a payment late, check your own agreement, dashboard schedule and current support guidance.

What changed in NPCI Circular 222
NPCI Circular 222, dated 12 September 2025 and effective 3 November 2025, separates member settlement cycles by transaction purpose: cycles 1–10 are authorization-only, while dispute settlements use cycles 11–12. The circular says existing cut-over timings and RTGS posting timelines do not change and that other settlement rules remain unchanged. In the circular’s words, “There shall be no change in the existing cut-over timings or RTGS posting timelines.” This is member-level operational context; it does not establish when a particular merchant’s payout must appear in a bank account.
Do not confuse a consumer transfer delay with a merchant payout
For a personal UPI transfer, the issue may be a debit without credit or a pending transfer rather than a merchant settlement. NPCI’s FAQ says a pending payment may be delayed at the beneficiary bank and may reach the beneficiary within 48 hours, and advises contacting the bank when a failure has not reversed. That guidance concerns a consumer transfer. A merchant should use the transaction-specific status from the bank, app and acquiring provider instead of applying a single 48-hour rule to every payout.

The customer was debited, but your payment record is pending
Keep the order out of the settled-sales total. Capture the transaction reference and timestamps, then ask the bank or acquirer to trace it. If the transaction later reverses, match the reversal to the original attempt and notify the customer according to your service policy.
Your payment record is successful, but no settlement row exists
Check cut-off and settlement eligibility first, then look for a hold, refund, dispute, reversal or alternate settlement account. If none explains the omission, provide the payment reference and expected batch date to the provider and request the settlement disposition.
The settlement row exists, but there is no bank credit
Confirm the receiving account, settlement status, posting date and UTR. Search the statement around the value date as well as the transaction date. If the statement still has no matching credit, escalate to both the provider and receiving bank with the settlement ID and bank reference so they can determine whether the transfer was rejected, returned, split or posted under another narration.
The bank credit is present, but the amount is lower than expected
Reperform the batch calculation from gross included transactions to net settlement. Match each fee, tax, refund, dispute debit or correction to a report row or contract term. If the provider’s net figure and the bank credit agree, the difference is not a missing payment; it is a documented deduction. If they do not agree, open a bank-credit discrepancy case.
The same amount appears more than once
Do not use amount alone to decide that a payment is duplicated. Match transaction references, order IDs, settlement IDs and timestamps. A duplicate-looking amount can represent two legitimate orders, a refund and a new sale, or a split settlement.

Design a control that catches exceptions early
Use a four-stage status model
Keep separate columns for payment status, settlement inclusion, bank-credit status and accounting status. For example, a row can be “successful / included in batch 1842 / bank credit pending / unposted.” This prevents a successful payment from being treated as cash received before the bank confirms it.
Set a matching hierarchy
- Match transaction reference or payment ID when both systems contain it.
- Use the order or merchant reference to confirm the sale.
- Match settlement ID and batch date to the bank credit.
- Use amount and date only as secondary checks, then investigate any collision.
Review adjustments separately
Maintain an adjustment log with the adjustment type, original transaction reference, amount, date, provider explanation and accounting treatment. Refunds and disputes should not be buried in a general “difference” column because they often require a customer communication, reserve release or separate ledger entry.
Set an evidence-retention rule
Keep original exports, statement files, provider notices and support case numbers for the period required by your accounting, tax and payment agreements. Restrict access to customer and bank data, and redact credentials or unnecessary personal information before sharing a case externally.
Choosing a provider or acquiring setup for easier reconciliation
If you are evaluating a payment provider or changing your acquiring arrangement, compare the operational evidence it gives you rather than assuming that a shorter advertised cycle means easier reconciliation. NPCI says merchants partner with an acquiring bank. The following questions reveal whether the workflow will scale with your transaction volume.
| Capability to compare | Questions to ask |
|---|---|
| Transaction linkage | Does every payment row retain the UPI transaction reference, order reference and status or response code? |
| Settlement transparency | Can you open a settlement ID and see the included transactions, fees, taxes and adjustments? |
| Report access | Can reports be downloaded for the required period, and are daily and monthly views available? |
| Status lookup | Can support trace a pending, reversed or disputed payment by reference and timestamp? |
| Bank-credit evidence | Does the provider supply a UTR or bank reference and show the receiving account? |
| Schedule controls | Are cut-off times, working-day definitions, holds and settlement holidays documented for your account? |
| Escalation path | Is there a case number, service-level commitment or acquiring-bank route for an unmatched settlement? |
These criteria help you compare report quality and supportability. The available documents do not establish a ranking of providers, and a provider-specific settlement cycle should not be generalized to the UPI ecosystem.
When to involve NPCI’s complaint facility
Start with the acquiring bank or provider for a merchant payment status or settlement grievance. NPCI also provides a complaint facility that can check transaction status or register and check complaints with member institutions using transaction details or a complaint reference. Use the transaction reference, dates, amount and your provider case number so the complaint can be routed to the relevant member.
Keep the complaint focused on one unresolved event or a clearly identified batch. Attach the provider’s response and bank-statement evidence, and update the case if the amount is later reversed or credited. NPCI’s facility supports status and complaint routing; it does not replace your provider’s settlement agreement or create a universal merchant payout deadline.
