Start with the airline that canceled your flight. Ask to be moved to the next suitable flight to your destination with no new fare or change fee, and get the replacement itinerary and ticket status in writing. In the United States, the Department of Transportation (DOT) says most airlines will rebook a canceled passenger on the first available flight to the destination at no additional charge. A free replacement on the same airline does not automatically give you a right to another carrier’s flight, however. If the proposed itinerary does not work, check your refund rights before accepting it or allowing an airline deadline to pass.
What to do immediately after the cancellation
Airlines often send a replacement option by email, text message, or in the mobile app. Open all three channels before buying anything yourself. An offer can have an acceptance deadline, and an airline does not have to keep an alternative-flight offer open indefinitely. The DOT explains these deadlines and refund consequences on its refund guidance.

- Open the airline’s app or website. Look for a disruption, “manage trip,” or rebooking notice. Check the email address and phone number on the reservation as well.
- Call or message the operating airline if the offer is unsuitable or missing. Say that the airline canceled the flight and ask for the next suitable available flight to your final destination at no additional charge.
- Ask for an earlier same-airline option. The first automated offer may not be the earliest flight with space. Ask the agent to search all flights operated by that airline, including a different connection or nearby departure time.
- Ask about another carrier only as a separate request. Tell the agent that you would like partner or other-airline options checked and ask whether your ticket can be endorsed. Do not assume the airline must provide this.
- Verify the replacement before ending the conversation. Confirm the flight numbers, date, connection cities, final destination airport, and whether the reservation is confirmed. Ask whether your original ticket has been reissued or remains valid for the new itinerary.
- If you booked through an agent or travel website, contact it too. For a U.S. refund, the merchant of record—the business that took your payment—may be responsible for processing the money back.
- If you do not want the offer, reject it clearly. Ask for the refund procedure instead of simply ignoring the message. Save the cancellation notice, offered itinerary, your rejection, and the agent’s response.
Avoid purchasing a replacement ticket before you understand your choices. A self-funded ticket can be difficult to recover if you have not first rejected the airline’s alternative or established what the applicable rules require.

For a U.S.-covered cancellation, DOT guidance says most airlines will rebook passengers on the first flight to the destination on which space is available, without an additional charge. Same-airline rebooking
Same-airline travel is usually the most straightforward path. Ask the agent to search the complete schedule rather than accepting only the first automatically assigned flight. A free change can still put you on a later date, a longer connection, or a different airport, so compare the full itinerary before accepting it.
Partner and other-airline flights
There is no general U.S. rule requiring an airline to endorse a canceled ticket to another airline. DOT recommends asking, but says the answer depends on the carrier’s policy, agreements, and available seats. The other airline may have a flight that arrives sooner, yet the original carrier can decline to transfer the ticket. Do not buy that other flight on the assumption that reimbursement is automatic.
Controllable cancellations
For cancellations within an airline’s control, such as certain operational problems, DOT publishes carrier-specific commitments to rebook passengers on the same airline at no additional cost. The commitments for partner or other-airline travel vary. Check the airline’s entry in the DOT customer-service dashboard for the applicable commitment; the dashboard does not create one universal other-carrier entitlement.

How to decide whether to accept the replacement
Do not judge an offer only by the departure time. A flight that leaves sooner can arrive later because of a long connection or a different destination airport. Compare the alternatives on the points below.

U.S. guidance describes the first available flight on the airline and does not promise a particular seat, connection, or airport. UK and EU rules use “comparable” transport or availability standards rather than guaranteeing your preferred schedule. Your practical goal is a confirmed itinerary that gets you where you need to go at a reasonable time without creating a second charge.
When a U.S. refund is better than rebooking
If you reject the alternative, or do not take the offered alternative, DOT says you may be entitled to a refund for a U.S.-covered flight rather than a voucher or forced rebooking. The airline may set a deadline to accept the alternative. The DOT refund page was last updated November 7, 2025, so check the current page and the airline’s cancellation notice for the procedure that applies to your trip: Refunds.
Refund timing listed by DOT
For a purchase made by credit card, DOT lists a seven-business-day refund timeline after you reject the alternative. For other payment methods, it lists 20 calendar days. These are the timelines stated in the DOT guidance; your bank may take additional time to post the credit.
How to protect the refund option
- State in writing that you are rejecting the alternative because you do not want to travel on the proposed itinerary.
- Ask the airline or merchant of record to confirm that the booking is being processed as a refund, not as a travel credit.
- Keep the cancellation notice, the offered replacement, your rejection, confirmation numbers, and receipts for any necessary expenses.
- Do not let a response deadline pass without deciding. Silence can cause the alternative reservation to be canceled, and it can complicate your record of what you requested.
If an agent tells you that only a voucher is available, ask which rule or fare condition is being applied and repeat that you are requesting the refund associated with rejecting the canceled-flight alternative. If the airline still refuses, use the complaint instructions on the DOT consumer-protection site and provide your saved documentation.

Rights on flights covered by UK rules
The UK Civil Aviation Authority (CAA) says its cancellation guidance covers a flight departing a UK airport on any airline; a flight arriving at a UK airport on a UK or EU airline; or a flight arriving at an EU airport on a UK airline. The route and operating carrier matter, so a trip that merely connects with the UK may not be covered in the same way. See the CAA’s cancellation guidance to check scope.
For a covered cancellation, the passenger can choose either a refund or alternative transport. The alternative may be:
- travel as soon as possible; or
- travel on a later date that suits you, subject to available seats.
The CAA also says that if another airline could get you to the destination significantly sooner, you may have a right to be booked on that alternative transport. Raise that option directly with the airline; it is not the same as independently buying a ticket and seeking payment later.

When the UK rules require you to wait for rerouting, the airline must provide reasonable food and drink, a means to communicate, and accommodation plus transport to that accommodation when the rerouting means staying overnight. Keep receipts and ask the airline how it will arrange or reimburse the care. These care duties are separate from any compensation question and do not guarantee that every expense will be accepted if you choose a more expensive option than necessary.

Rights under EU Regulation 261/2004
Article 8 of Regulation (EC) No 261/2004 gives covered passengers a choice among reimbursement, rerouting to the final destination at the earliest opportunity under comparable transport conditions, and rerouting at a later date convenient to the passenger, subject to seat availability. First determine whether the regulation covers your particular flight. Coverage can depend on the departure airport, destination, operating carrier, and whether the itinerary is treated as one booking. Once coverage is established, the choice is between the listed remedies—not an unlimited right to demand any airline, route, or seat you prefer. “Comparable transport conditions” refers to the quality and basic conditions of the rerouting, while “earliest opportunity” depends on actual available seats.
What to say to the airline
Use a precise request so the agent knows you are seeking a cancellation rebooking rather than buying a new ticket:
“My flight was canceled. Please rebook me to [destination] on the next suitable available flight at no additional charge. If you cannot offer a flight soon, please check partner or other-carrier options and confirm whether my ticket can be endorsed. Please confirm the complete itinerary and that my existing ticket remains valid.”

If you prefer a refund, say:
“I reject the replacement offered for the canceled flight and request the refund due for this itinerary. Please confirm the refund method, the merchant of record handling it, and any deadline or reference number.”
Ask the agent to spell out the final destination airport and every connection. “To the city” can conceal a different airport, and a reservation that appears in an app may still be waiting for ticket issuance.
Common mistakes that create unexpected costs
- Buying first and asking later. The airline may have been able to rebook you for free, while reimbursement for a self-purchased ticket is uncertain.
- Assuming another airline is mandatory. In the United States, DOT says there is no general endorsement requirement. Ask, but do not treat a refusal as proof that the airline has violated a universal rule.
- Accepting a voucher when you wanted cash. For a U.S.-covered cancellation, rejecting the alternative can preserve a refund route. Read the offer before clicking “accept.”
- Ignoring the acceptance deadline. The airline can set a deadline, and an unanswered offer may expire.
- Failing to verify the whole ticket. Confirm every segment, the booking reference, ticket status, and the amount charged. A free rebooking should not leave one segment unconfirmed.
- Missing the operating-carrier distinction. A ticket sold by one company may be operated by another. Ask which airline controls the disrupted flight and which desk can reissue the ticket.
- Assuming meals, hotels, or compensation apply everywhere. Care and compensation depend on the governing jurisdiction and facts. UK guidance has specific care duties; the U.S. sources cited here do not create a universal hotel or meal entitlement for every cancellation.
Documentation checklist for a fee dispute or refund
Keep a simple timeline while the disruption is active. Save the original itinerary, the cancellation timestamp, every replacement offer, screenshots showing price or “no additional charge,” and the final confirmation. Record the agent’s name or chat reference when available. If you pay for food, lodging, ground transport, or a new ticket while waiting, retain itemized receipts and note why the expense was necessary. The official guidance describes offers, deadlines, availability, and refund procedures; maintaining this record makes it easier to show exactly what you accepted or rejected.

Bottom line for minimizing your cost
For most U.S. cancellations, begin by requesting the first suitable flight with space on the canceling airline at no extra charge. Ask—but do not assume—the airline will endorse your ticket to another carrier. If the itinerary is unacceptable, reject it explicitly and check the applicable refund deadline before the offer expires. On UK-covered routes, choose between refund and earliest or later rerouting and ask for care while waiting. Under EU Regulation 261/2004, use the Article 8 choice of reimbursement or comparable rerouting. In every case, compare arrival airport and time, confirm the ticket in writing, and keep the cancellation and refund trail.
