Read your mortgage history as an audit trail: match each payment to the date the servicer received or credited it, then verify how the total was divided among principal, interest, escrow, fees, and any suspense or unapplied-funds balance. Reconcile those entries with your bank record, monthly statement, and year-to-date totals. If a payment is missing, misapplied, or accompanied by an unsupported fee, ask for an explanation and, if necessary, send a written notice of error or request for information to the servicer’s designated address while continuing scheduled payments.

What an online mortgage payment history is showing you

A servicer’s portal is an account ledger, not merely a list of checks you sent. It can show credits, debits, adjustments, fees, escrow activity, and funds that have not yet been applied to the loan. Labels vary by company, so focus on the underlying concepts rather than expecting every website to use the same column names.

For covered loans, Regulation Z requires periodic statements to disclose the amount due and due date, late-fee information, the monthly payment breakdown, fees and charges, amounts past due, payment totals and allocation for the statement period and year to date, and transaction activity. The account information generally includes the outstanding principal balance and current interest rate. The rule describes transaction activity as “A list of all the transaction activity that occurred since the last statement.”

Not every borrower receives an identical statement every month. Some borrowers receive a coupon book, and some servicers provide another type of notice under an applicable exception or alternative compliance condition. A coupon book may not contain the detailed past-payment information you need; you can ask the servicer for it or make a written request for information.

The five comparisons that reveal what happened to a payment

Comparison What to check Why it matters
Payment date versus receipt or credit date Your bank’s confirmation, the date the servicer received the money, and the date it posted or credited the account A payment can be initiated on one date and credited on another. The difference may explain a balance or fee change.
Total paid versus total allocated Whether principal, interest, escrow, fees or charges, and suspense or unapplied funds add up to the payment amount An unexplained remainder can indicate a pending or partial application, an adjustment, or an error.
Statement period versus year to date The current period’s allocation and the cumulative totals since the start of the year Year-to-date figures help expose a missing entry or a total that does not reconcile over time.
Servicer history versus bank records Amounts and dates in the portal against the bank debit, confirmation number, and prior statements Your bank record shows what left your account; the servicer record shows what it received and did with it.
Expected payment versus actual payment The amount required under the note, escrow analysis, rate notice, or other loan notice A changed amount may have a legitimate loan or escrow explanation rather than a posting mistake.

Step 1: Capture the transaction row before interpreting it

Open the detailed history for the relevant statement period. For every credit or debit, record the date, description, and amount. Download or print the statement if the portal permits it, because online histories can change as adjustments are posted.

Do not assume that an entry labeled “payment” is the only activity affecting what you owe. A transaction history can include escrow disbursements, fees, reversals, corrections, returned-payment entries, and other credits or debits. Note whether the date is labeled payment date, received date, effective date, posting date, or something similar; those labels are not interchangeable.

Build a simple reconciliation table

Field Your record Servicer record Question
Amount sent Bank debit or payment confirmation Portal amount received Are the amounts identical?
Date Date you authorized or your bank sent funds Received, credited, or posted date When did the servicer treat the payment as received?
Allocation Usually not shown by the bank Principal, interest, escrow, fees, suspense or unapplied Do the components total the payment?
Resulting balance Expected balance from your loan terms New principal and escrow balances Does the change follow from the allocation?

Step 2: Follow the allocation, not just the principal balance

A regular mortgage payment can contain more than principal and interest. The statement breakdown may show:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Principal: the amount reducing the loan’s outstanding principal.
  • Interest: the finance charge accrued under the note.
  • Escrow: money collected for items such as property taxes or homeowners insurance, where your loan uses an escrow account.
  • Fees and charges: permitted charges posted to the account, such as an applicable late fee or other servicing charge.
  • Suspense or unapplied funds: money the servicer is holding rather than applying to the loan balance, often because the amount received was not enough to complete the required payment or otherwise needs clarification.

The principal-and-interest portion is not the whole monthly outlay when escrow or permitted charges are involved. A payment can therefore be correct even if the amount reducing principal is smaller than the amount that left your bank account.

Check the arithmetic

Add the amounts assigned to principal, interest, escrow, fees and charges, and suspense or unapplied funds. Compare that sum with the payment credited for the period. If the totals differ, look for a separate reversal, adjustment, returned-payment entry, or a second transaction on the same date before concluding that the account is wrong.

Also compare the new principal balance with the prior principal balance. The reduction should generally correspond to the principal allocation, subject to documented adjustments. Escrow deposits do not reduce principal, and a fee or interest charge can increase what is owed without changing principal.

Step 3: Understand suspense and unapplied funds

When a servicer receives less than the amount needed to make a complete periodic payment, it may hold the money in a suspense or unapplied-funds account. The statement rules call for disclosure of such amounts where applicable.

  1. Find the suspense, unapplied, partial-payment, or similar line in the history.
  2. Compare the held amount with the scheduled payment and the amount you actually sent.
  3. Ask the servicer what amount or action is required for the funds to be applied to the loan balance.
  4. Request the answer in writing if the portal description does not explain how the money will be handled.

A portal label alone may not tell you the exact contractual treatment. Do not assume that a partial payment has reduced principal, stopped delinquency, or satisfied the payment obligation until the servicer explains the account status under your loan terms.

Step 4: Reconcile the statement period and year-to-date totals

Start with the current statement period, then check the year-to-date allocation. The period section should account for activity since the previous statement; the year-to-date section should accumulate the corresponding amounts from the beginning of the year.

  • Confirm that each payment appearing in your bank records appears in the servicer history.
  • Check that a payment is not listed twice or reversed without a matching explanation.
  • Compare cumulative principal, interest, escrow, and fee totals with the sum of the monthly entries.
  • Look for a payment credited in a different month because the servicer used a different received or posting date.
  • Check whether a debit or credit changed the amount currently due even though it was not a payment.

Keep monthly statements, payment confirmations, bank records, and relevant notices in a way that lets you retrieve the same period together. The governing sources support retaining documentation for account questions but do not require a particular product or filing system.

Step 5: Separate a timing issue from a servicing error

Payment appears missing

Compare the bank confirmation and date with the servicer’s received or credited entry. A failure to credit a payment as of receipt when required is an example of a potential servicing error under Regulation X. First check whether the payment was returned, reversed, placed in suspense, or posted under a different date or account number.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Allocation appears wrong

Compare the posted allocation with the payment instructions and the loan terms. Regulation X identifies failure to apply an accepted payment to principal, interest, escrow, or other charges under the mortgage terms and applicable law as a covered error. Ask the servicer to identify the rule or contractual provision it used if the allocation does not make sense.

Unexpected fee appears

Read the statement and related correspondence for the fee’s description, trigger, and amount. A fee imposed without a reasonable basis is a potential servicing error. Check whether a payment was late under the contract, whether a prior payment was returned, and whether the charge is authorized before disputing it.

Dates do not match

Do not conflate the due date, a grace-period date, the date a late fee may be assessed, and delinquency status. The CFPB’s Regulation Z commentary says delinquency begins when an amount sufficient to cover the periodic payment becomes due and unpaid, even if a later date applies for a late fee. Ask the servicer which date each entry represents.

Why the required payment or balance may change

A different amount is not automatically proof of a posting mistake. The CFPB identifies several ordinary explanations:

What to do when you are more than 45 days delinquent

For a covered loan that is more than 45 days delinquent, a periodic statement or separate notice generally includes the length of the delinquency, account history for the previous six months or since the account became current (whichever is shorter), the amount needed to bring the account current, and possible risks and costs. Use that history to compare the servicer’s claimed missed payments with your bank records and prior statements.

The 45-day disclosure threshold is not the same as the contractual due date, a grace period, or the date a late fee may be charged. If the history says you are delinquent, ask for the exact payment and date the servicer says remain unpaid.

How to contact the servicer before sending a formal notice

Call first when you need a quick explanation, but prepare specific questions and record the representative’s name, the date, and any case number. Ask:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • On what date did you receive and credit this payment?
  • How did you allocate the amount among principal, interest, escrow, fees, and suspense or unapplied funds?
  • Why does the current principal or escrow balance differ from the prior statement?
  • What notice or loan provision explains the changed payment?
  • What amount is needed to move funds held in suspense into an applied payment?

A verbal explanation does not replace a written record when the discrepancy affects delinquency, fees, or your balance. If the answer remains incomplete, use the servicer’s formal written process.

Sending a written notice of error or request for information

CFPB consumer guidance recommends writing when you need a timely written response. Use the special address the servicer designates for error notices or information requests; it may be different from the address used for payments. Do not write the dispute on a payment coupon or other payment form.

Include enough detail to identify the issue

  1. State your name, property address, and mortgage account number.
  2. Identify the specific payment, date, amount, and transaction entry at issue.
  3. Describe the suspected error precisely, such as a missing credit, incorrect allocation, or unsupported fee.
  4. For an information request, state exactly which records or explanation you want.
  5. Attach copies of relevant confirmations or statements and keep the originals.
  6. Send the letter to the designated address using a method that gives you proof of delivery.

Continue making scheduled mortgage payments while the servicer reviews the matter. A dispute does not by itself suspend your regular payment obligation.

Response periods and supporting documents

The CFPB says a servicer generally acknowledges receipt within five days, excluding weekends and legal public holidays, and generally responds within 30 days. In specified cases, the response period can be extended by 15 days. Regulation X also provides for copies of documents and information the servicer relied on when determining that no error occurred, subject to the rule’s conditions and protections; a qualifying request for those relied-upon documents generally has a 15-day production period.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

These periods apply within the cited federal rules and their coverage conditions. Keep the letter, delivery proof, response, and any corrected statement together.

Illustrative reconciliation

Suppose your bank shows one payment leaving your account, while the portal shows a payment credit plus a suspense entry. The correct next step is not to guess which balance is right. Compare the total of the principal, interest, escrow, fees, and suspense lines with the bank debit; identify the date the servicer received the funds; then ask what additional amount or action will release the suspense balance. If the servicer cannot explain the posting or the allocation under the loan terms, describe that specific issue in a written notice.

Reader checklist

  • Open the detailed transaction history and save the statement.
  • Record every date, description, and amount, including debits and credits that are not payments.
  • Match each payment to the bank confirmation and the servicer’s received or credited date.
  • Verify principal, interest, escrow, fees or charges, and suspense or unapplied amounts.
  • Reconcile the statement-period totals with the year-to-date totals.
  • Review escrow, rate, buydown, principal-repayment, and mortgage-insurance notices for any changed amount.
  • Call with specific questions and preserve the response details.
  • Send a written notice of error or request for information to the designated address when the discrepancy remains unresolved.
  • Continue scheduled payments while waiting for the response.

Limits of an online history

This guide is focused on U.S. mortgage servicing and CFPB rules. Your note, mortgage, payment instructions, servicing status, and any applicable exemption control the account. A portal may use different labels or display less detail than the regulatory statement. An unexpected entry can have an ordinary explanation, while a missing credit, misallocation, or unsupported fee can be a servicing error; the entry itself is a reason to investigate, not automatic proof of liability.
