Use a campus app only after confirming that your university approves it for the job you need, reading that app’s current privacy notice, and limiting permissions to the features you actually use. Then protect the account with a unique password and the strongest multifactor authentication (MFA) option your school supports. If the app’s data practices, vendor relationship, or approval status are unclear, ask campus IT or the privacy office before entering coursework or education-record information.
No single setting makes a campus app private. Privacy depends on the app’s purpose, the university’s contract and controls, the information sent to the service, your phone permissions, and how securely you sign in. The legal guidance below is U.S.-specific and cannot determine what any particular college app collects.

Start with this five-minute privacy check
- Find the official app. Start from your university’s official website or app directory and verify that it is the intended service.
- Confirm approval and purpose. Ask whether the school authorizes the app for your course, advising, enrollment, payments, health services, or another specific task.
- Read the current notices. Check the app’s privacy policy and any university-specific notice for collection, uses, sharing, retention, security, analytics, location, and rights-request contacts.
- Set permissions deliberately. Allow only access needed for features you choose. Deny optional location, camera, microphone, contacts, photos, Bluetooth, or notification access when the app can work without it.
- Secure the account. Use a password that is not reused elsewhere, enable campus-supported MFA, sign out of shared devices, and report suspicious activity or a lost phone promptly.
These steps reduce unnecessary exposure, but they do not prove that an app is compliant with every privacy law or that a university sends no data to a vendor.

Why institutional approval matters
A university-approved app used for an institutional purpose is different from a service you choose on your own. For coursework or another school activity, the U.S. Department of Education advises checking with school administration and information-technology staff before using an online tool. Approval should be tied to the particular purpose, not just the app’s popularity.

Questions to ask before using an app for class
- Is this service approved for this course or activity?
- What information will the university send to the provider?
- Is the provider allowed to use the information only to perform the school’s service?
- Who controls access, security, retention, and deletion?
- Does the university offer a browser portal or another lower-data option?
When a school relies on a contractor for an institutional service, Department of Education guidance describes conditions that generally matter: the service must perform a function the school would otherwise provide, the school must retain direct control over personally identifiable information (PII) from education records, the arrangement must be consistent with the school’s annual FERPA rights notice, and the provider must not use or redisclose the information for unauthorized purposes. A contract or privacy statement alone is not proof that every condition is met; the institution must assess the facts.
FERPA does not automatically cover everything in a campus app
The Family Educational Rights and Privacy Act (FERPA) generally restricts disclosure of PII from education records without written consent, while allowing specific exceptions under stated conditions. Whether a field in an app is an education record, whether the university is disclosing it, and whether an exception applies are fact-specific questions.
What you should not assume
- Not every piece of information an app collects is automatically a FERPA-protected education record.
- FERPA does not ban universities from using vendors.
- A privacy policy by itself does not establish FERPA compliance.
- A service you use in a personal capacity is not necessarily treated the same as a tool used as part of a school activity.
Department guidance recognizes conditional disclosures to contractors and service providers, often with written agreements and safeguards. The university remains responsible for understanding what data is involved and which exception, if any, supports the disclosure.

- Identify the exact app feature and the information it requests or displays.
- Ask the instructor or program administrator whether the tool is approved for that activity.
- Ask campus IT, the registrar, or the privacy office what education-record data is transmitted and under what agreement.
- Request a non-app alternative if you cannot obtain a clear answer or if the requested access exceeds what the feature needs.
The Department of Education FAQ uses the practical question, “I want to use online tool or application as part of my course. However, I am worried that it is a violation of FERPA. What should I do?” The answer is to consult school administration and IT rather than trying to decide from the app’s marketing language alone.

Read the app’s privacy notice like a data map
Read the notice for the exact app and the exact university. Another college’s policy cannot establish what your school or its provider does. Look for these items and write down anything you cannot explain.

Federal Trade Commission mobile-app best-practice guidance recommends accessible notices that explain collection, use, sharing, and security. That material was written for mobile health-app developers, not specifically for colleges, so treat it as a practical privacy framework rather than campus-specific legal advice.
Choose phone permissions feature by feature
Permissions are a practical control, not a complete privacy guarantee. Review location, camera, microphone, contacts, photos, Bluetooth, and notifications wherever they appear. Keep access only when it supports a feature you deliberately use.

Examples of a narrow choice
- A campus map may need location for turn-by-turn directions. That does not by itself establish a need for continuous or background location.
- A document-submission feature may need access to a selected photo or file, not your entire photo library.
- A video advising session may need the microphone and camera during the session, but not between sessions.
- Emergency or deadline notifications may be useful, while promotional notifications may not be.
If the phone offers “while using,” “ask every time,” selected-photo access, or another narrower option, choose it when it still supports your intended feature. Revisit the choice if a feature stops working or the app adds a new function.

Android permission controls
On Android, open the device’s app-permission settings, select the campus app, and review each permission. Menu labels and available choices vary by phone manufacturer and Android release, so use the current Android Help instructions for your device. You can usually change a permission from allowed to denied, allow it only while the app is in use, or permit selected content. Denying a permission may disable the related feature; it should not be treated as evidence that the app is unsafe.
The available evidence does not establish current iPhone menu paths. On any phone, use the operating system’s current privacy settings and the app’s own help documentation rather than relying on an old screenshot.
Secure sign-in and everyday use
Use a unique password and campus MFA
Create a strong password used nowhere else. A password manager can help you generate and store unique credentials, but follow campus IT guidance and do not assume that any particular commercial service is university-approved. Enable the MFA method your school supports, such as an authenticator application, security key, or another institutional option. Colleges do not all offer the same methods.

- Sign out after using a library, lab, roommate’s, or hotel device.
- Do not save the campus password in a browser you do not control.
- Use a private browsing window only as a convenience; it does not hide activity from the university, the app provider, or the network.
- Lock your phone and computer with a passcode or biometric control.
Keep software current
Install operating-system and app updates from the official device store or university channel. Updates can correct security defects and permission behavior. This is practical security advice, not a guarantee that updated software has no vulnerabilities.

Act quickly after loss or suspicious activity
If your phone is lost, contact campus IT and your mobile carrier as appropriate, change the campus password from a trusted device, and revoke or reset active sessions if the university provides that control. Report unfamiliar sign-ins, unexpected MFA prompts, or messages asking for your campus credentials. Do not approve an MFA request you did not initiate.

Ask whether the same task works through a university web portal, a limited-feature app, or an in-person channel. A browser is not automatically private, but it may avoid permissions such as contacts, Bluetooth, or background location. Compare the actual data practices rather than assuming one format is safer.

Only compare two real services using each service’s current policy or official campus documentation. Do not rank “the best” campus app without verified, comparable facts.
A campus policy example: what to look for, not what to copy
Florida Institute of Technology’s One Florida Tech Mobile Application Privacy Policy, last reviewed March 19, 2026, illustrates the level of detail a reader may find in an institution-specific notice. It describes the app as an interface to official university systems and discusses academic, enrollment, financial, and campus-service information. It also identifies Google Analytics technical and usage data, a Modo Labs platform, HTTPS/TLS, role-based access controls, notifications, and location-related uses and sharing.

Those statements apply to that institution’s app and date. They do not establish what another university collects, whether another app uses background location, or what another school’s vendor contract permits. Use the example as a checklist for topics to find in your own campus notice.
When the notice or vendor relationship is unclear
Contact the office responsible for the app, campus IT, the privacy office, or the registrar. Send specific questions rather than a general request for “privacy information.”
- Is the app approved for my course or service?
- What records and identifiers does the university send to the provider?
- What may the provider do with those records, and what uses are prohibited?
- How does the university control access, security, retention, deletion, and redisclosure?
- Which data is optional, and can I complete the task without granting it?
- Is there a browser, paper, phone, or other lower-data alternative?
- Who should I contact if I believe information is inaccurate or exposed?
Save the answer and the date you received it. Policies, app features, and contracts can change, so recheck the current notice when the app updates or your school changes providers.
Where COPPA fits—and where it does not
The Children’s Online Privacy Protection Act (COPPA) is focused on children’s personal information and certain child-directed services. Federal Trade Commission guidance discusses parental or school consent in educational contexts for children. COPPA is not the general privacy framework for adult college students. If an under-13 student uses a child-directed service, ask the school or provider which rules and consent process apply; otherwise, focus on the app’s notice, institutional approval, security, and any applicable FERPA analysis.
Bottom line for students
Before you sign in, verify the app’s institutional purpose and approval, read its current notice, and ask what data reaches the provider. During use, grant only feature-specific permissions, use a unique password and campus MFA, and protect sessions on shared devices. If the answers are incomplete, pause and ask campus IT or the privacy office for a web or lower-data alternative. These actions cannot eliminate all risk, but they give you practical control and help ensure that a campus app is used for the purpose the university authorized.
