How to protect your home with a property title monitoring service

A property title monitoring service can warn you when a deed, mortgage, lien, or other document matching your name or property information is recorded. It cannot stop the filing, prove that the document is valid, or automatically restore your title. The safest approach is to enroll first in any free alert program offered by the recorder, clerk, or register of deeds in every county where you own property, then use the alert to inspect the official record and respond quickly when something looks wrong.

Paid services may watch more than one county or add listing and identity checks, but their value depends on coverage, notification speed, and response benefits stated in writing. The Illinois attorney general’s homeowner fact sheet, revised in March 2026, puts the distinction plainly: “These services are notification services, not insurance.”

What a property title monitoring service actually does

Monitoring services compare newly recorded public documents with identifiers you provide. Depending on the program, those identifiers may include your name, a business name, a parcel number, or another property reference. When a matching document is indexed, the service sends a notice, usually by email or another channel specified during enrollment.

County programs generally search only that county’s official records. A notice is therefore an opportunity to investigate, not a countywide or nationwide title lock. Duval County’s clerk explains that its free service monitors names rather than specific addresses and supplies a document number for checking the underlying record. A matching name may belong to someone else, reflect a legitimate refinance, or indicate suspicious activity.

Records covered vary by jurisdiction. Polk County describes alerts for official-record filings that use a subscriber’s information, including deeds, titles, and mortgages. Another county may monitor a narrower or different set of instruments. Read the county’s description instead of assuming that every service watches liens, assignments, powers of attorney, or court filings.

What happens after a match

  1. The recorder or monitoring contractor indexes a newly recorded document.
  2. The system compares the index with your enrolled name, parcel, or other identifier.
  3. If the match meets its rules, it sends a notice containing whatever details the program provides. Duval County says its alerts can arrive within 48 hours and include a document number.
  4. You open the official records portal, retrieve the document, and decide whether it concerns your property and whether the transaction is legitimate.

The alert itself is not a legal finding. The recorder normally records and indexes documents; it does not decide who legally owns a property or investigate every suspicious filing.

Why the county recorder should be your first stop

Many recorder, clerk, or register-of-deeds offices offer free property-fraud notifications. Enrollment is often limited to the county’s records, so repeat the check for every county in which you own real estate. A service in one county generally does not monitor another county’s filings.

California’s Department of Real Estate directs consumers to their own county’s website when a county is not on its list of electronic or letter-notification programs. That guidance illustrates why a state-level page is not a guarantee of statewide coverage: availability, enrollment rules, identifiers, and delivery methods are local decisions.

Ask the office for the official enrollment page or telephone number. Avoid entering personal information into an advertisement that merely uses phrases such as “title lock” or “deed protection” without identifying the public office behind it.

Questions to ask the local office

  • Is a free alert available, and how do I enroll or cancel it?
  • Does the system search my name, a business name, a parcel number, an address, or several identifiers?
  • Which document types and recording indexes are included?
  • Does it cover only this county, or are neighboring counties included?
  • How are notices delivered, and what is the usual delay after recording?
  • Will the notice include an instrument or document number and a link or instructions for viewing the official record?
  • Is there a way to add a spouse, trust, company, or former name that appears in the records?

A broader county partnership

Some counties contract with a monitoring provider for coverage beyond their standard recording index. El Dorado County, California, announced a free Recorder-Clerk partnership that it describes as monitoring public records, rental and sale listings, and the dark web, with email notifications and periodic analysis. The county also describes a separate optional paid service. Those are that county’s stated features; they should not be treated as a nationwide standard or as a promise that terms will remain unchanged.

Free county alerts versus paid monitoring

Compare the actual coverage rather than the marketing label. A paid plan can be useful if you own property in several jurisdictions or need identity and listing surveillance, but a paid subscription does not automatically add insurance or a legal remedy.

Question Free county alert Paid or broader monitoring
Geographic scope Usually one county’s official records May combine counties, public-record sources, listings, or other databases; exact jurisdictions must be stated
Identifiers Often a person or business name; some programs accept parcel information May add addresses, parcels, identity data, or other identifiers, depending on the written terms
Documents or signals Documents recorded in the county system, such as deeds or mortgages where covered May include additional public records, rental or sale listings, or online exposure checks; coverage is provider-specific
Notification Usually an email, letter, or portal message after a matching record is indexed May offer multiple channels, analysis, or assistance; timing and availability vary
Cost Often free from the public office Recurring or one-time charge, with cancellation and renewal terms to check
Blocking or title repair Does not block recording or remove a document Monitoring still does not itself block recording; any response service, insurance, or legal benefit must be expressly included

The Illinois attorney general warns that paid title services are notification services rather than insurance and points homeowners toward free county alerts. If a company advertises “insurance,” check whether it is an actual title-insurance policy, what risks and exclusions apply, who underwrites it, and whether it covers a post-recording dispute. A monitoring subscription alone is not that policy.

How to enroll and configure monitoring

  1. List every property and county. Include a primary residence, rental, vacant land, inherited property, and any property held through a trust or company. Record the legal owner name shown on the deed.
  2. Find the official office. Search for the county recorder, clerk, or register of deeds website using the county’s government domain or a telephone number printed on an official page.
  3. Read the coverage description. Confirm the identifiers, instrument types, county boundary, enrollment duration, and delivery method. Note whether the program is name-based, because a name match can be unrelated to your address.
  4. Enroll all relevant names. Add variations that could appear in records, such as a middle initial, former surname, trust name, or business name, if the program permits them. Use a dedicated email address that you check regularly if that helps prevent notices from being missed.
  5. Save retrieval instructions. Keep the portal address, account credentials, support number, and the procedure for searching by document or instrument number in a secure place.
  6. Test your notification settings. Confirm that messages are not being routed to spam and that a second owner receives notices when the program allows multiple recipients.
  7. Repeat in other counties. Do not assume that enrollment follows you when you buy, refinance, or transfer property in another jurisdiction.

What to do when an alert arrives

Respond promptly, but do not assume fraud from the subject line. A legitimate refinance, mortgage assignment, estate transfer, or transaction involving someone with the same name can generate a notice.

1. Verify the document in the official record

Use the document or instrument number in the county’s official portal. Confirm the legal description, parcel reference, owner name, recording date, document type, and parties. Download or print the available index and document for your records. An address alone may be insufficient because records can use legal descriptions or parcel numbers.

2. Separate a false match from a transaction you recognize

Compare the filing with your closing papers, lender communications, refinance documents, estate records, or an authorized power of attorney. If the name is common, check the legal description and other identifying details. Do not contact an unfamiliar person named in the document until you have preserved the record and considered advice from an attorney or law enforcement.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Report a suspicious filing

If the document appears unauthorized, contact local law enforcement and the recorder or clerk promptly. The recorder can confirm what was recorded and explain the public-record process, but may not be able to interpret the legal effect or cancel the filing. Ask for a case or reference number and keep copies of every communication.

  • Cross-cut paper and credit card shredder cuts material into approximate 0.2 x 1.2 inches (5 x 30 mm) pieces; meets security level P-3 standards
  • Shreds up to 12 sheets of 20-pound bond paper at a time, also can shred credit cards (one at a time, but not suitable for metal credit cards), staples, and small paper clips
  • 9 minute runtime and 30 minute cool down; if unit goes over max run time, it automatically shuts off to prevent overheating
  • 4 mode control switch (auto/on, off, reverse, forward) and LED status indicators for power on, overheat and overload; 5 gallon bin reduces empty frequency
  • Quality tested: As part of Amazon Basics quality inspections, we test every shredder before shipping it, which means you may see some paper shreds from the testing

4. Notify the parties that can protect your interests

  • Contact your title-insurance company or agent and provide the recorded document.
  • Notify your mortgage company or loan servicer if a mortgage, lien, assignment, or release is involved.
  • Tell a real-estate attorney what happened and ask what state-specific deadlines and filings apply.
  • If a fake rental or sale advertisement uses your property, report it to the platform hosting the listing and preserve screenshots, URLs, and messages.

5. Expect a state-specific correction process

Removing or correcting a fraudulent recording may require a court petition or another formal proceeding. The Illinois attorney general says a homeowner may need to petition a court to remove a fraudulent recording. Miami County likewise recommends consulting a real-estate attorney. Do not assume that an affidavit, police report, or phone call automatically clears the title.

What monitoring cannot do

It cannot prevent recording

Miami County’s recorder says it cannot block or lock a deed or title. Polk County similarly states that its alert service does not prevent the activity. A recorder generally must accept a document that meets statutory recording requirements; the alert comes after indexing, not before the filing.

It cannot establish legal ownership

Miami County answers a common question directly: recording a deed does not automatically transfer legal ownership. Ownership is determined by applicable law and, when disputed, potentially by a court. An alert is evidence that a document was recorded, not proof that the document is genuine, effective, or enforceable.

It cannot guarantee that every suspicious act will trigger a notice

A system limited to one county cannot see a filing elsewhere. A name-based system may miss a document indexed under a different spelling or entity name, and a parcel-based system may not cover unrelated identity activity. Review the service’s exclusions and keep your own records.

It is not title insurance or automatic legal help

Insurance depends on an actual policy, its covered risks, exclusions, limits, and claims procedures. Monitoring providers may offer assistance, but a promise to help does not replace legal advice or a policy unless the written contract says so.

Reduce the personal-information trail that makes fraud easier

Monitoring is only one layer of a property-protection plan. Use ordinary information-security practices to reduce exposed personal data and to make legitimate transactions easier to recognize.

  • Shred bank, mortgage, tax, and closing papers that contain account numbers or identity information instead of discarding them intact.
  • Use unique passwords and multifactor authentication for email, banking, mortgage, and county-record accounts.
  • Keep copies of your deed, title policy, mortgage, payoff statement, and closing disclosure in a secure location.
  • Update your mailing address with the recorder, tax authority, lender, and insurer after a move.
  • Review bank and mortgage statements for unfamiliar payments, payoff requests, or changes to contact details.
  • Limit public posting of property addresses, travel plans, and scans of closing documents.
  • Tell co-owners, trustees, and property managers how an alert will be handled so a notice is not ignored as spam.

How to judge whether a paid plan is worth the cost

Start with the gap between your free county alerts and your actual risk. A subscription may be more defensible when you own properties in several counties, hold title through multiple entities, need listing surveillance, or cannot regularly check several public portals. It is less compelling when it duplicates a free local alert and adds no written response, insurance, or broader coverage.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use this five-part comparison

  1. Jurisdiction: List every county and state the plan searches. “Nationwide” should be defined by the records and states actually included.
  2. Identifiers: Confirm whether the plan watches names, former names, entities, parcel numbers, addresses, or combinations.
  3. Signals: Identify the document types, listing sites, public databases, and online sources checked, plus exclusions.
  4. Speed and evidence: Ask when notices are sent, whether timing is measured from recording or indexing, and whether each notice includes a document number and direct record access.
  5. Response and coverage: Read what staff assistance, attorney access, reimbursement, or insurance means in the contract. Check limits, exclusions, waiting periods, renewal price, and cancellation terms.

Do not pay because a sales page suggests that a “title lock” prevents a deed from being recorded. The official county statements and the Illinois attorney general’s guidance distinguish an alert from a lock and a notification service from insurance.

What the available numbers do—and do not—show

Duval County’s current property-fraud page reports more than 45,000 individuals and businesses enrolled, with the page dated 2026 but without a specified publication date. That is a participation count for one local program, not a measure of fraud prevalence, losses, or the probability that your property will be targeted.

No general, directly attributable statistic on the annual frequency or cost of home-title fraud is established by the official material described here. Treat dramatic percentages or dollar figures in advertisements cautiously unless the methodology, geography, date, and source are clearly identified.

A practical decision for homeowners

  • Own one home in one county: Enroll in the county’s free alert first, verify that your name is covered, and keep your deed and title-insurance information accessible.
  • Own homes or land in several counties: Enroll separately in each county, then assess whether a paid service genuinely fills the remaining geographic or identifier gaps.
  • Own through a trust, company, or estate: Ask whether entity names and trustee or manager names can be monitored, and include former names where permitted.
  • Receive an unfamiliar alert: Retrieve the official document before drawing conclusions, preserve evidence, and escalate promptly if the filing is unauthorized.
  • Consider a paid plan: Buy only for clearly stated additional coverage or assistance, not for an implied ability to block recording or guarantee title restoration.
