Protect farm data on two separate tracks: governance (what a platform may collect, use, share, retain, and return) and security (who can sign in, what connected systems can do, and how you recover from loss). A strong password cannot fix an overly broad data license, and favorable privacy language cannot stop an account takeover.
Before connecting equipment or uploading records, inventory the data, read the provider’s specific terms, verify export and deletion procedures, and turn on multifactor authentication. Then keep an independent, encrypted copy that remains under the farm’s control. The process below is designed for U.S.-based farm owners, operators, and staff; legal rights and duties can differ by jurisdiction, contract, and data type.

Start with the two questions every platform review must answer
Who can use the records?
“Who owns my farm data?” rarely has a one-word answer. A contract may distinguish between the records you enter, information generated by equipment, metadata about your account, and aggregated or derived analytics. It may also give the provider rights to host, analyze, improve products, or disclose information to named recipients. Ownership language is important, but it does not by itself explain every permitted use.
Read the terms for the exact categories collected, the stated purpose for each category, the people and organizations that may access them, and the choices available to you. Ag Data Transparent’s principles treat collection categories, consent, access and control, transparency, choice, and disclosure or use limits as separate issues.

Can someone else get into the account?
Security is the second track. A platform can describe restrictive data practices and still be exposed if an administrator’s password is reused, an employee account remains active after departure, or an integration token is never revoked. Protect the platform account, the email account used for password recovery, the devices that store exports, and every connected service.
Inventory the information before you connect a platform
Make a written list of what the service will receive. The categories vary by product, but a practical inventory often includes:
| Category | Examples | Questions to ask |
|---|---|---|
| Agronomic | Field activities, crop plans, inputs, yields, soil observations and prescriptions | Which fields are required, and can optional layers be declined without disabling core features? |
| Land and location | Boundaries, coordinates, acreage, leased parcels and equipment locations | Who can see precise locations, and are they shared with mapping, analytics or integration partners? |
| Financial and management | Costs, invoices, budgets, contracts, production plans and business contacts | Are records used only to provide the service, or also for benchmarking, marketing or product development? |
| Machine and telemetry | Machine identity, operating hours, settings, diagnostics, work logs and sensor feeds | What does an equipment connection transmit, how often, and how is the connection disabled? |
| Weather and environmental | Weather observations, forecasts, irrigation conditions and environmental measurements | Is the information supplied by a third party, and can the platform combine it with your farm records? |
| Livestock | Animal identification, health, movement, feed and production records | Which staff, advisers or service providers can view individual-animal information? |
| Account and personnel | Names, email addresses, roles, login events and employee identifiers | What happens to a former worker’s account and historical activity logs? |
For each item, record why it is needed, what stops working if access is refused, who receives it, and how you can retrieve or delete it. Keep the inventory with your farm’s other operating records so a new manager can understand the data flow.
Read the data-use terms before signup or connection
Separate collection from purpose
Look for a list of data categories and a reason attached to each one. “To provide and improve services” is broad; ask which improvement activities require identifiable records and which can use de-identified or aggregated information. If the terms do not explain a category or purpose, request a written answer before granting access.
Check consent and control mechanisms
Determine whether collection, use, and sharing rely on explicit consent, a default acceptance, or a contract clause. Find the control panel or support procedure for narrowing permissions and withdrawing consent. A control is useful only if you can identify the account, integration, or data category it affects and the time needed for the change to take effect.
Ag Data Transparent’s Core Principles express the standard this way: “A provider’s collection, access and use of ag data should be granted only with the explicit consent of the farmer in digital or written contracts.” The principles are industry guidance and certification criteria, not a replacement for applicable law or individualized legal advice.

Map every recipient
List the platform itself, equipment and software partners, advisers, affiliates, analytics providers, hosting providers, and any other recipient named in the terms. Pay attention to language that permits disclosure for legal requests, corporate transactions, research, benchmarking, or marketing. “We do not sell your data” does not answer whether data may be shared, licensed, aggregated, or retained for another purpose.
Recommended Free Tools
Read aggregation, sale and disclosure clauses separately
Find out whether the provider may create aggregated or derived datasets, whether those datasets can be commercialized, and whether your operation could be re-identified. Ask whether precise location, financial details, or machine identifiers are included in any aggregate product. Save the version of the terms you accepted and note how the provider announces changes.
Examine security, liability and term changes
Terms may describe safeguards without promising a particular standard or outcome. Check incident-notice language, limitations of liability, your obligations to secure credentials, and the process for reporting unauthorized access. Identify how changes are announced, when they take effect, and whether you may cancel if a material change is unacceptable.
Find retention and termination rules
Look for retention periods by data type, deletion schedules, legal holds, backup-copy treatment, and the point at which the provider stops accepting exports. Confirm whether the provider keeps derived or aggregated data after your account closes. Retention, portability, availability, and termination are distinct questions; an export option does not prove that every copy will be deleted.
Compare platforms using the same evidence
Evaluate two or more services with identical questions rather than marketing claims. Record the answer, the date you checked it, and the relevant terms section.

No universal ranking of farm platforms is established by these criteria. A service that offers excellent MFA but no usable export may be a poor fit for a farm that must change systems; a service with clear terms still needs disciplined account administration.

Run a short pre-connection review
- Request the current terms and a data-flow explanation. Ask the provider to identify each category, recipient, purpose and retention period in writing.
- Test the intended export. Obtain a sample or trial export and verify that it opens in ordinary software or can be imported into another system.
- List the permissions the integration requests. Prefer the narrowest role that supports the required function. Record the token owner and where revocation is managed.
- Confirm account controls. Verify MFA, separate user roles, administrator count, recovery methods and audit or login history.
- Document the exit path. Write down export steps, integration revocation, user removal, deletion requests and the deadline for post-cancellation access.
Secure accounts and connected devices
1. Protect the platform and recovery email
Use a unique, long password for each platform and for the email account that can reset it. Turn on MFA in both places. CISA summarizes the reason plainly: “Strong passwords help, but they are no longer enough to keep accounts and systems safe when used alone.” Start with administrators and anyone who can export records, invite users, change permissions or manage integrations.
2. Prefer phishing-resistant MFA when available
Where the service supports FIDO or WebAuthn, a physical security key can provide strong phishing resistance. Confirm that the particular platform, browser and device support the key before buying or enrolling it; a general recommendation does not establish compatibility with a specific farm service. Keep a documented backup method stored securely so a lost key does not lock out every administrator.
3. Give each person an individual account
Do not share an administrator login. Assign the least privilege that lets each worker perform the job, and maintain at least two trusted administrators for recovery. Review the list when roles change. Remove former staff promptly, disable dormant accounts, and require a new approval when someone needs export or integration rights.

4. Review integrations and tokens
List every connected equipment feed, accounting package, adviser account and automation service. Identify what each connection can read or change, who owns its credentials, and where it can be revoked. Remove connections that are no longer used. Reauthorize an integration only after checking that its requested permissions have not expanded.
5. Keep software and connectivity components current
Install security updates for phones, computers, browsers, mobile apps, gateways and equipment-connectivity components. Updates reduce known weaknesses but do not guarantee that an account or device cannot be compromised. Use a supported operating system and retire devices that can no longer receive fixes.
6. Reduce phishing opportunities
Train staff to reach the platform through a saved bookmark or known application rather than an unexpected email link. Verify unusual requests to export data, add an administrator, or reconnect equipment through a separate channel. Treat an urgent password-reset message as untrusted until confirmed in the platform’s normal interface.

Keep an independent, encrypted copy of important records
Cloud availability is not the same as a backup under your control. A platform outage, locked account, ransomware event, accidental deletion or contract dispute can interrupt access.

- Choose the records that would stop the farm without them. Include field histories, prescriptions, yield maps, livestock records, financial exports, equipment logs, contracts and configuration information.
- Export on a regular schedule. Use a format that can be opened or moved to another service. Preserve the original file and a human-readable copy when practical.
- Verify the export. Open files, check dates and field names, and confirm that expected attachments or metadata are present. A file that downloads successfully but cannot be read is not a usable backup.
- Store a second copy under farm control. Keep it separate from the platform account. Encrypt portable media and devices, and protect the encryption key or recovery phrase from unauthorized users.
- Disconnect removable backup media after the job. CISA warns that a connected drive can be exposed to ransomware. Reconnect it only for a controlled backup or restore.
- Record the procedure. Note the export path, file format, encryption method, storage location and the person responsible for the next check.
An external drive can support this workflow, but it does not solve platform lock-in. You still need a documented export and a way to interpret the files if you leave the service.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Plan for an outage, cancellation or migration
Before an emergency
Save the provider’s support contacts, status page, export instructions and incident-reporting address outside the platform. Keep a current list of administrators, integrations and data locations. Ask how long exports remain available after cancellation and whether support can restore a deleted account.
When switching providers
- Export every required category before cancelling, including historical and attachment data.
- Open and validate the files, then import a copy into the replacement system if possible.
- Revoke equipment and software integrations from the old account.
- Remove users and disable recovery methods that should no longer work.
- Request deletion where the terms allow it and ask what copies, backups or derived datasets will be retained.
- Keep the old export and the provider’s written retention response with your farm records.
When the service is unavailable
Use the latest independent export for field, livestock and operational decisions. Do not create new shared credentials to bypass an outage. Confirm whether the interruption is a provider incident, a local connectivity problem or an account lockout, and preserve relevant messages and timestamps for support.
Understand certification and government confidentiality correctly
What Ag Data Transparent certification can tell you
Ag Data Transparent describes an independent review of provider responses to 11 questions covering data ownership, use, portability and security. The Core Principles originated with the American Farm Bureau Federation and participating organizations in 2014; Ag Data Transparent says members updated the principles in 2024. The OECD’s 2020 discussion describes the broader set of 13 farm-data governance topics.

What the USDA NASS confidentiality pledge covers
The USDA National Agricultural Statistics Service (NASS) describes statutory safeguards for records collected under its confidentiality pledge. Its published statement says: “Published statistics from NASS surveys and censuses will not disclose reported data from an individual.” That commitment concerns NASS survey and census collection and publication.
It is not evidence that private digital-agriculture platforms, advisers, equipment manufacturers or every USDA program provide identical treatment. Private-platform rights and duties depend on the contract, jurisdiction and type of information involved.
Keep current policy developments in context
USDA announced a Data Modernization Plan on September 1, 2026, with commitments to explain why requested information is collected, how it is used and how producer privacy is protected in USDA data collection. Those commitments concern USDA operations.

Use a maintenance schedule instead of a one-time setup
| Cadence | Maintenance task |
|---|---|
| After every staff or role change | Remove departed users, adjust permissions and review integration ownership |
| Regularly during the production season | Export critical records, verify that files open and confirm that the export includes recent work |
| At a planned access review | Check administrators, MFA enrollment, recovery email, connected services and dormant accounts |
| When terms or product features change | Save the new terms, reassess recipients and purposes, and decide whether continued use is acceptable |
| Before renewal or cancellation | Test the exit procedure, export all required data, document retention and revoke integrations |
| After a suspected incident | Reset credentials, revoke sessions and tokens, preserve logs, contact the provider and follow applicable notice obligations |
Assign each task to a named person and keep evidence of completion. A checklist that nobody owns will not protect records during a busy planting or harvest period.
A practical go/no-go decision
Proceed with a platform connection only when you can answer these questions in plain language:
- What exact data enters the service, and why is each category needed?
- Who can access it, including integration partners, affiliates and analytics providers?
- Can the farm narrow consent, revoke access and remove users without waiting indefinitely?
- Can the farm export usable records before cancellation, and how long is post-termination access available?
- What happens to retained backups, derived data and aggregated information?
- Are MFA, individual roles, recovery controls and integration revocation available and workable for the farm?
- Is there an independent copy that is encrypted, tested and disconnected when not in use?
If a provider cannot answer these questions, treat the uncertainty as a business risk. You may still choose the service, but do so with limited permissions, frequent exports and a written exit plan rather than assuming that a privacy label or security feature covers every exposure.
