Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesPrepare a complete, clearly labeled digital loan file covering income, assets, identity, employment and address history, debts, and any situation-specific records. Keep every page, make each scan readable, and reconcile names, dates, balances and totals with your final Form 1003 (Uniform Residential Loan Application). Automated underwriting may verify some information electronically, but it does not eliminate the lender’s documentation requirements; the lender’s current conditions list is the controlling checklist.
What AI-powered mortgage underwriting actually means
“AI-powered underwriting” usually refers to an automated underwriting system (AUS) that evaluates a mortgage application against agency and lender rules. Fannie Mae’s Desktop Underwriter (DU) and Freddie Mac’s Loan Product Advisor are examples. The system can analyze information from the application and, where authorized, electronic third-party reports. A lender still reviews the file, resolves findings and applies its own controls.

Freddie Mac describes underwriting as verification of employment, income, assets, debts and credit history, whether performed manually or through an automated system such as Loan Product Advisor. Fannie Mae likewise states that employment-documentation standards are the same for DU casefiles as for manually underwritten loans. An approval recommendation is therefore not permission to submit an incomplete file.

Build the document set before you apply
Use the following as a preparation checklist, then follow the lender’s personalized conditions. Fannie Mae’s consumer checklist identifies these common documents.
Employment and earned-income records
- Recent pay stubs: provide the most recent two months when requested. The latest pay stub generally must be dated no earlier than 30 days before the initial application and show year-to-date earnings. Your lender may require a newer stub if underwriting occurs later.
- W-2 forms: gather the last two years for wage income. Include every employer whose wages appear in the income being used.
- Employment history: prepare two years of employer names and addresses, including prior employers if your current position has not covered the full period.
- Variable compensation: bonus, commission, overtime and similar income can require a longer history and evidence that the income is likely to continue. Ask for conditions specific to your pay structure.
Self-employment, contract and business income
- Federal income-tax returns and business returns when required for self-employment, rental or commission income.
- 1099 forms and other records for contract work.
- Year-to-date profit-and-loss statements or business financial statements when requested.
- A current business license if you are self-employed and the lender requires proof that the business is operating.
- Additional ownership, business-account or continuance documentation if the lender must determine how much business income is stable and available to you.
Do not assume that a high current balance or a single profitable month establishes qualifying income. Fannie Mae’s standard is a stable, documented history of receipt and a reasonable expectation that the income will continue. Self-employed borrowers should ask the lender exactly which years, schedules, statements and ownership records apply to their business.
Benefits and other recurring income
- Social Security award letters and evidence of receipt when Social Security income is used.
- Documentation for pension, disability, alimony, child support or other benefits if included in qualifying income.
- Evidence of continuance when the income has an expiration date or could change.
- Records for foreign-currency income, which can require special conversion and stability analysis.
Assets and funds to close
Collect complete statements for every account that will support the down payment, closing costs, reserves or required cash balance:
- Checking and savings accounts.
- Certificates of deposit.
- Bonds, brokerage and other investment accounts.
- Retirement accounts.
- Business accounts, when the lender allows funds from them and needs to evaluate their effect on the business.
Statements should show the account holder, institution, account identifier (with sensitive numbers redacted only as the lender permits), statement period, beginning and ending balances, and all pages. If a large deposit or transfer appears, expect to explain its source with a sale document, transfer record, gift documentation or another acceptable trail.
Identity, housing and transaction documents
- Government-issued photo identification.
- Social Security card or ITIN documentation when requested.
- Two years of residential addresses.
- Proof of rent or a lease if you rent or need to document housing history.
- A ratified sales contract for the property being purchased.
- Gift letter and supporting transfer evidence when someone is giving you funds.
- Divorce decrees, separation agreements or other court documents when they affect income, debts or asset ownership.
- Bankruptcy filings, discharge papers and trustee documents when applicable.
Provide the full document, not only the page that appears favorable. Missing exhibits, signatures or schedules are common causes of follow-up conditions.

Make every file acceptable to an underwriter and an automated system
Fannie Mae says employment documents must be complete and legible, identify the employer and information source, and come from an original third-party source such as payroll or human resources. The same discipline should be applied to statements and other records.
- Capture the entire page: include headers, footers, dates, page numbers, account-holder names and all transaction pages.
- Keep text readable: use enough resolution to read small figures and avoid glare, shadows, skewed pages and compression artifacts.
- Do not crop evidence: a cropped statement can hide the statement period or institution and may be rejected.
- Use the original electronic PDF when available: downloading a statement directly from the institution generally preserves clarity and page order.
- Use a scanner or camera correctly: Fannie Mae permits a photocopier, fax machine, document scanner or camera to produce copies for the loan file. Hold the camera parallel to the page, use even lighting and check every page before uploading.
- Preserve multi-page order: combine pages in the order shown on the original statement and do not omit blank or continuation pages.
- Avoid password protection unless supported: encrypted files may be unreadable to a lender’s portal. Use the portal’s approved secure-delivery method instead of emailing an inaccessible file.
A practical naming and folder system
A consistent file structure lets a processor find an answer without guessing which version is current. Use one top-level folder for the loan and subfolders by evidence type.

Reconcile the package with Form 1003
The final Uniform Residential Loan Application (Form 1003) must be complete, signed and dated and must reflect the income, assets, debts and final loan terms used in underwriting. Before signing, compare the application against your files.

| Form 1003 field | What to verify against your documents | Common mismatch |
|---|---|---|
| Legal name and identifying information | Name spelling, suffix, Social Security number or ITIN and current address | Pay stub uses a shortened name or a different suffix |
| Employment | Employer name, address, start date and position | Application lists a parent company while payroll lists a subsidiary |
| Income | Base pay, variable pay, business income and benefit amounts | Gross monthly figure does not tie to year-to-date or tax records |
| Assets | Institution, account ownership and balances used for closing or reserves | Joint account or business account is treated as individually owned |
| Liabilities and housing | Monthly payments, balances, current rent or mortgage and property obligations | Debt was paid off or opened after an earlier application version |
| Loan terms and property | Purchase price, loan amount, occupancy and property address | Sales-contract amendment is not reflected in the application |
Explain discrepancies before submission. A name, date or balance difference may be harmless, but unexplained differences can trigger a new verification request or delay a decision.

How electronic verification changes your preparation
When a lender offers electronic verification, ask what the system will actually validate. The DU Validation Service can use authorized electronic third-party reports to validate income, employment and assets. If a component is validated, representation-and-warranty relief may apply subject to the Selling Guide and the lender’s controls.
Electronic verification does not mean “no documents.” A lender can still request records for information the report does not cover, for an exception, for a stale report or for a discrepancy between the report and Form 1003.
| Question to ask | Why it matters |
|---|---|
| Which income, employment and asset fields are being validated? | You can identify the documents that remain necessary rather than assuming every field is covered. |
| What consent is required? | Electronic reports generally require your authorization, and some providers require credentials or a secure sign-in. |
| How are credentials protected and deleted? | You should understand who can access financial data and how it is handled. |
| Which residual documents are still required? | Tax returns, award letters, explanations, contracts or source-of-funds records may remain mandatory. |
| What happens if the report is stale or fails? | You may need to upload a current statement or use a manual verification route. |
| How are corrections made? | Ask whether the lender will refresh the report, update the application or request a written explanation. |
Fannie Mae advises lenders to explain the process, obtain consent and credentials where required, and set expectations about security and data access. Read the authorization screen and use only the lender’s official portal or approved transmission channel.
Prepare for income-specific conditions
Self-employed income
Expect scrutiny of business history, ownership percentage, cash flow and the effect of business withdrawals on the company. Have personal and business returns, current profit-and-loss information, business-account statements and a license available when applicable. Ask whether the lender needs a balance sheet, year-to-date comparison or evidence that the business remains active.

Commission, bonus and overtime
Variable pay is not automatically treated like base salary. The lender may require a documented history, employer verification and evidence of continuance. Keep year-end statements, pay stubs showing separate earnings categories and any written compensation plan.
Rental income
Organize leases, tax schedules, deposit records and property-related statements if rental income is being used. The lender may analyze vacancies, expenses and whether the lease is executed and current.
Benefits and income with an end date
Provide award letters and payment evidence, then identify any stated expiration or review date. The lender must determine whether the income is expected to continue under the applicable program rules.
Foreign-currency income
Supply the source statements, payment history and currency information requested by the lender. Conversion and stability analysis can require additional documentation, so do not rely on a self-calculated exchange rate.

- Request the lender’s current checklist. Separate baseline documents from conditions tied to your employment, assets, property or loan program.
- Collect originals. Download institution-generated PDFs and obtain employer, payroll, court or government records from the issuing source.
- Scan missing pages. Use a scanner or camera that produces sharp, uncropped pages; review the resulting PDF at 100% zoom.
- Sort by category and chronology. Put statement pages in order and group pay stubs, W-2s and tax records by year.
- Rename files consistently. Include borrower, document type and date or coverage period.
- Run a reconciliation check. Compare names, addresses, employer details, balances, dates and income totals with Form 1003.
- Upload through the approved channel. Follow file-size, format and naming rules; do not send sensitive records to an unverified address.
- Track conditions. Maintain a list of requested items, the date supplied and the portal’s confirmation. Replace stale documents promptly.
- Answer explanations precisely. If a deposit, address gap, employment change or credit inquiry is questioned, provide a short factual explanation with supporting records.
- Keep the submitted set. Save the exact files and confirmations so you can identify what the underwriter reviewed.
Common problems and how to correct them
“Unreadable” or incomplete scan
Rescan the original in better lighting or download the institution’s PDF. Include all pages, especially continuation pages and pages with transaction detail. Do not annotate the original unless the lender asks for an explanation in a separate document.
Best Value
- Scanner type: Document

- Digitize documents and images
Statement is too old
Request a current statement or an interim transaction history in the format the lender accepts. Keep the older statement if it documents a required period; do not substitute one for the other without confirming.
Names do not match
Tell the processor whether the difference is a legal name change, nickname, marriage, transliteration or employer record issue. Provide identification, a marriage certificate, court order or other supporting record when applicable.
Large deposit cannot be sourced
Trace the funds from the originating account to the account used for closing. Provide a sale settlement statement, transfer confirmation, gift letter and donor evidence, or another source document the lender accepts. Do not move money between accounts merely to make the statement look cleaner.

Pick the symptom - the matching free tool is one click away.
Electronic verification fails
Ask whether the lender can refresh the report, correct an employer or account match, or switch to manual documentation. Upload the requested pay stubs, statements or employer verification rather than repeatedly submitting credentials to an unfamiliar site.
New information appears after submission
Report a job change, new debt, transferred funds, amended contract or address change immediately. The lender must underwrite the facts that exist at decision and closing, not only the facts shown on the first application version.
Privacy and security controls
- Use the lender’s authenticated portal and verify the domain before entering bank credentials.
- Confirm who will receive an emailed document and whether email is permitted for that file.
- Do not share one-time passcodes or portal passwords with an unknown caller.
- Redact account numbers only when the lender permits it; excessive redaction can make a document unusable.
- Store local copies in an encrypted location and remove accidental duplicates from shared devices.
- Review electronic-consent language so you understand which accounts and records will be accessed.
What the lender’s final conditions list controls
Agency checklists are a starting point, not a substitute for the lender’s instructions. Loan program, property type, occupancy, income source, credit history and changes during processing can all produce additional conditions. If a condition conflicts with a document you already supplied, ask the processor which version, date range or explanation is missing. Do not assume an automated approval overrides a written condition.
A complete package is one that lets the lender connect every material number in the application to a dated, legible source document or an authorized validation result. Keep the file orderly, answer exceptions with evidence and refresh documents when requested.
