Plan a startup conference side event around one clear purpose, then choose a format and venue your budget can actually support. Price the full event—not just the room—before making promises, and confirm access, venue permission, and local requirements before you announce it.
Start with the outcome, not the venue
Decide what attendees should get from the gathering: founder introductions, peer learning, investor-founder discussion, product demonstrations, or community building. Set an expected attendee range and one or two outcomes you can check afterward, such as whether participants made useful introductions or learned something specific.

Those decisions determine what you need to pay for. A conversation-focused gathering may work as a compact meetup or roundtable; a learning event may call for a short panel followed by informal networking. These are options, not universally proven formulas. Keep the agenda short enough for the room you can confirm and avoid clashing with the conference schedule.

The UK Cabinet Office advises event organizers: “Be realistic. It’s better to underestimate income and slightly overestimate costs.” Its voluntary-event guide is general planning guidance, not a local cost estimate.

Build a complete budget before you commit
Make a working budget with separate estimated and actual columns. A low room fee can still produce a costly event if you must add equipment, staffing, food, or transport. Include costs that are easy to overlook:
- Venue rental, cleaning, security, and any setup or overtime charges
- Food and non-alcoholic drinks, including service or delivery costs
- Audio-visual equipment, Wi-Fi, signs, printing, and registration supplies
- Accessibility accommodations and transportation
- Insurance, first aid, staffing or volunteer expenses, and applicable local fees
- Weather backup costs if you plan to meet outdoors
Estimate income conservatively from tickets, donations, grants, or sponsorship. Decide in advance which expenses you can cut if income or attendance is lower than expected, and leave a contingency for surprises. New South Wales’ event budgeting guidance suggests considering best-, likely-, and worst-case assumptions and cash flow; its lead-time advice is specific to its public-event context, not a universal deadline.

Compare venues by total cost and attendee experience
Ask the conference whether side rooms are available, and also consider local coworking spaces, startup offices, university entrepreneurship centers, or community venues. Confirm prices, in-kind terms, access conditions, and permission directly; do not describe a venue as free until those details are settled.

- Access: Check transit links, accessible entrances and restrooms, and whether the route works for attendees staying near the conference.
- Included services: Confirm seating, Wi-Fi, AV, registration space, and whether food is allowed or subject to restrictions.
- Time and flexibility: Get the complete access window, including setup and cleanup, and review cancellation terms.
- Risk: For an outdoor gathering, identify an indoor backup and confirm what happens if weather forces a change.
Confirm permissions and conference rules
Venue permission and local requirements depend on the location and format. Before committing, ask the venue and relevant local authorities about applicable permits, insurance, food or alcohol rules, sound restrictions, accessibility, safety, and any other operating conditions. Requirements from one city or country should not be assumed to apply elsewhere.
If the event is inside the conference venue, ask the organizer about credentials, room access, registration cutoffs, equipment, scheduling, and whether guests need separate registration. Conference-specific restrictions can be significant: for example, the UNFCCC side-event handbook describes rules for its own conference. Treat those as conference-specific, not general requirements.

Keep coordination and promotion manageable
Name one lead organizer to coordinate with co-hosts, the venue, speakers, and conference staff. For a small event, keep the program and division of responsibilities simple; assign clear owners for venue contact, check-in, timing, speaker coordination, and closeout.
Promote through relevant communities you can already reach—conference groups, startup newsletters, partner mailing lists, and direct invitations—before paying for promotion. Make the invitation useful at a glance: say who the event is for, what participants will do, the time and location, transit details, cost, accessibility information, and how to contact the organizer.

Share registration and access information early, invite accommodation requests in the RSVP flow, and provide a contact person. The Province of British Columbia recommends giving event information at least four weeks in advance to support participant planning; treat that as guidance from its context, not a universal legal deadline. Prepare check-in and closeout
For a modest gathering, a registration export or printed attendee list, pens, blank badges, and clear direction signs may be enough. Keep attendee information secure and avoid collecting details you do not need. A Write the Docs organizer guide lists attendee lists, blank badges, lanyards, pens, and queue signage among useful check-in supplies; that does not mean a small event needs a badge printer.
Afterward, reconcile actual spending against the estimate, settle expenses, thank attendees and contributors, and record attendance and brief feedback against the outcomes you chose at the start. That record makes the next budget more realistic.
