When a business tax payment is due, first build a dated cash forecast, then protect payroll and essential operations while confirming the exact liability and payment channel. If the full federal balance will not be available, contact the IRS promptly about the options that fit your tax type and entity instead of ignoring the bill. Federal rules do not replace separate state and local requirements.
Start with a dated cash forecast, not the profit figure
A profitable income statement does not prove that enough money will be in the bank on the day a tax payment is due. Customer invoices may arrive late, while payroll, suppliers, debt service and taxes have fixed or near-fixed dates. The immediate management question is therefore: how much cash will be available on each relevant date?

Use a spreadsheet or your existing bookkeeping system to create a rolling 4-to-13-week view. SBA guidance treats cash-flow statements, projections and comparisons of actual results with forecasts as core financial-planning practices. A forecast is a management tool, not a guarantee: update it as invoices are paid, delayed or disputed.

List the opening cash position
Begin with cash that is actually available for business use today. Reconcile the bank balance and separate funds that cannot be treated as working capital, such as employee withholding and other money held for someone else. Do not use trust-fund taxes or another party’s funds to cover operations or a different tax bill.

Put every expected receipt on a realistic date
List customer invoices, card settlements, grants, owner contributions and other expected inflows by the date you realistically expect the money to clear. Label each receipt as confirmed, probable or uncertain. An overdue invoice is not the same as cash in the bank. Treat disputed or historically late receivables conservatively and revise the forecast when the customer confirms a payment date.
Put every outflow on its actual due date
Include the tax bill and any estimated-tax installments separately from:
- Payroll, payroll taxes and benefits
- Critical inventory, contractors and suppliers
- Rent, utilities, insurance and other essential operating costs
- Accounts payable already committed
- Loan, lease and credit payments
- Expected refunds, owner draws or other planned transfers
Mark the tax due date prominently. A weekly view usually exposes a shortfall that a monthly total can hide. If a payment falls on a weekend or holiday, verify the applicable deadline for that tax and account rather than assuming every obligation follows the same rule.
Compare the low point, not just the total
After entering receipts and outflows, identify the lowest projected cash balance before and after the tax date. Run a conservative version that excludes uncertain receipts. If that version goes negative, decide early whether to accelerate legitimate collections, defer discretionary spending, use an existing low-cost credit source, or discuss an arrangement with the tax authority. These actions manage timing; they do not reduce the tax owed.
Confirm exactly what you owe before moving money
Before scheduling a payment, identify five facts:
- Tax: income, employment, excise, sales-related or another obligation.
- Tax period: the quarter, year or payroll period to which it belongs.
- Authority: federal, state, local or a combination.
- Entity: sole proprietorship, partnership, corporation, S corporation or another form.
- Amount and deadline: the balance shown on the return, notice or current account record, and the date payment must be received.
Federal business tax obligations differ by business form and tax type. Your state, county, city or other local authority may use different forms, portals, deadlines, penalties and payment plans. Check each authority separately. If a notice, filed return and bookkeeping record disagree, resolve the discrepancy before sending money or ask a qualified tax professional to review it.

Protect continuity while you decide how to pay
A tax payment matters, but a payment that causes missed payroll or shuts down a critical supplier can create a larger operational problem. Compare the tax date with obligations that could interrupt the business if missed. There is no universal legal priority order for every company, so document the consequences of each choice.
Improve inflows lawfully
- Invoice immediately for completed work rather than waiting for a routine billing date.
- Contact customers with overdue balances and ask for a specific payment date.
- Offer only collection terms your contracts and policies permit.
- Confirm when card processors, marketplaces or other intermediaries will release funds.
Reduce or time discretionary outflows
- Pause nonessential purchases, subscriptions, travel and expansion spending until the low point passes.
- Ask suppliers whether existing terms allow a later payment, and record any fees or loss of discount.
- Do not quietly change agreed terms or stop paying a critical vendor without understanding the contractual and operational consequences.
If you consider a bank loan, line of credit or supplier financing, compare its total cost and timing with IRS interest, penalties and any available arrangement. IRS Form 9465 instructions discuss considering alternatives such as bank loans or available credit in applicable situations; that is not a blanket recommendation for every business or tax type. Avoid high-cost credit simply because it is fast.
Choose a correct federal payment channel when you can pay in full
Once the forecast shows that the full federal amount can be paid without jeopardizing essential obligations, use an IRS-supported channel that accepts the specific payment type. Bank-account methods are generally free, but acceptance depends on the tax and account. Confirm the tax form or payment type, period and entity before submitting.
| Channel | What the IRS guidance establishes |
|---|---|
| Business Tax Account | A bank-account payment option listed for businesses. |
| Direct Pay for businesses | A bank-account payment option for eligible business payments. |
| EFTPS | The IRS describes EFTPS as accepting all business payment types and recurring payments; verify that it accepts your particular obligation and due date. |
| Card or digital wallet | Listed by the IRS, with provider fees or limits possible. |
| Wire transfer | Listed by the IRS; confirm instructions and timing for the specific payment. |
| Check or cash | Listed by the IRS in circumstances where the method and payment type are accepted; follow the current instructions carefully. |
After paying, save the confirmation number, date, amount, tax period and payment type. Reconcile the transaction to the business books and retain the notice or receipt with the tax records. A bank debit alone does not prove that the payment was applied to the correct account.
Handle estimated taxes before the next deadline
The IRS says income taxes are generally paid as income is earned or received. Self-employed individuals may need estimated payments, and estimates can include income and self-employment tax. Partnerships and S corporation shareholders may have estimated-tax responsibilities, while corporations generally follow separate estimated-tax thresholds and procedures.

Required amounts depend on the taxpayer’s income, withholding, credits, prior payments and applicable rules. Use current-year IRS instructions or qualified tax advice rather than copying last year’s installment. Late or insufficient estimated payments can result in an underpayment penalty.
The IRS explains that self-employed taxpayers generally make payments by period. Paying more frequently than quarterly can be acceptable if enough has been paid by the end of the applicable quarter. A weekly or monthly transfer into a tax reserve can therefore smooth cash flow, but it does not change the legal amount or deadline. Confirm that any recurring payment method accepts the correct tax type and period.
If you cannot pay the federal balance in full
Do not wait for the account to become harder to resolve. The IRS payment guidance directs businesses to call the number on the notice or 800-829-4933 to discuss paying over time. Have the notice, filed returns, account details, cash forecast and a realistic proposed payment amount available.
Compare the available paths on the facts of your account
IRS collection guidance describes several possible remedies, including payment plans, a temporary delay in collection and an offer in compromise. They are not interchangeable:
- Payment plan: may spread payments over time, subject to eligibility, fees, interest and continuing compliance.
- Temporary delay: may postpone active collection when the IRS determines that immediate payment would create undue hardship; the debt and continuing charges do not simply disappear.
- Offer in compromise: a fact-specific process for settling for less than the full amount when the statutory requirements are met. It is not a routine cash-flow technique and requires review of the business’s ability to pay and financial circumstances.
Ask which option applies to your tax type and entity, what must be filed and paid to remain current, what fees and interest will accrue, and what happens if a scheduled payment is missed. The IRS may require current returns and payments before approving an arrangement.

Understand the business-specific payment-plan limits
The current IRS Simple Payment Plan guidance, updated March 3, 2026, lists business-specific assessed-balance thresholds, including $25,000 or less for certain businesses with trust-fund taxes and $50,000 or less for businesses without trust-fund taxes. These are eligibility criteria, not a promise of approval. The IRS also states that businesses should call about payment plans; do not assume an individual online application is available for a business account. Sole proprietors and independent contractors may apply as individuals in circumstances described by the IRS, but the correct route depends on how the account is recorded.
Because thresholds, fees, procedures and eligible tax types can change, verify the current IRS rules when you call. State and local authorities have their own arrangements and will not automatically follow an IRS agreement.
Keep filing and payment obligations current
A payment arrangement does not excuse future returns or new liabilities. Ask how to keep the account in good standing and add future filing and payment dates to the cash forecast. If you cannot make a proposed payment, contact the IRS before the due date rather than silently missing it.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Do not confuse an extension to file with extra time to pay
An extension to file generally gives more time to submit a return; it does not automatically extend the time to pay tax due. Verify the tax-specific filing and payment deadlines separately. The IRS warns that insufficient or late estimated-tax payments may lead to penalties, and an extension should not be treated as a funding strategy.

Build the next tax payment into ordinary cash management
Maintain bookkeeping that shows cash reality
SBA guidance says proper bookkeeping can help keep a business running smoothly. Your records should make it possible to see available cash, receivables, payables, payroll, tax liabilities and bank reconciliations without reconstructing the business from scattered statements. A CPA, bookkeeper or online bookkeeping service can help, but the owner still needs to understand the forecast and the dates behind it.
Review forecast versus actual results
At least weekly during a tight period, compare expected receipts and expenses with what actually cleared. Record why a customer paid late, why a supplier bill changed or why payroll was higher than expected. SBA forecasting guidance emphasizes tracking drivers such as sales, costs, expenses and cash flow, then comparing actual results with projections. Use the variance to adjust future dates rather than merely noting that the forecast was wrong.
Use a visible tax reserve
A separate tax-reserve account or clearly labeled ledger can make the obligation visible and reduce the temptation to spend it. There is no universal reserve percentage: the appropriate amount depends on the tax regime, income pattern, entity and jurisdiction. Calculate it from current estimates and update it when profits or payroll change.
Schedule a recurring review
Add federal, state and local tax dates to the same calendar used for payroll and debt service. Before scheduling recurring estimated payments, confirm the payment method, tax type, period and account. Recheck the amount whenever revenue, owner compensation, payroll or business structure changes.
A practical decision checklist
- Reconcile the bank accounts and identify cash that is truly available.
- Build a 4-to-13-week forecast with dated receipts and outflows.
- Mark the tax amount, tax period, authority, entity and deadline.
- Separate confirmed receipts from uncertain or disputed collections.
- Check the projected low cash point against payroll, essential suppliers, debt and other critical obligations.
- Accelerate legitimate collections and defer discretionary spending where appropriate.
- Confirm the IRS payment channel accepts the exact federal tax type.
- Pay in full and save the confirmation if the forecast supports it.
- If full payment is not possible, call the number on the notice or 800-829-4933 promptly.
- Ask about eligibility, fees, interest, required filings, future payments and good-standing conditions.
- Record the arrangement or payment in the books and update the forecast.
- Set the next estimated-tax and filing dates before closing the task.
What happens if a business ignores the balance?
IRS collection guidance lists possible enforcement actions for unresolved debts. The timing and action depend on the account and the taxpayer’s circumstances, so no general deadline should be assumed. Prompt contact, complete filings and a documented payment plan are more useful than avoidance. If a notice is unclear or the amount is disputed, obtain professional help quickly while preserving every notice, return and payment record.
The forecasting principle that keeps the process useful
Tim Berry, founder and chairman of Palo Alto Software, wrote in an SBA-hosted article: “The goal of business forecasting is not what you might think. It isn’t about accurately guessing the future. It’s about running your business right.” Applied to a tax deadline, that means using the forecast to make a timely decision, updating it when reality changes and contacting the authority before a missed payment becomes the only fact left to manage.
This article provides general U.S. federal information, not individualized tax advice. Verify current-year IRS rules, account eligibility, fees, payment channels and collection procedures at IRS.gov, and check the separate requirements of every state and local tax authority involved.
