Keep the evidence behind every important figure on your Indian income-tax return: income statements, tax-credit records, deduction receipts, transaction documents, and the return package itself. Organise those records by financial year, make them searchable, keep a secure backup, and retain them for the period that applies to your taxpayer status, document type and tax year.

The Income Tax Department’s ITR-4 filing FAQ for AY 2025-26 lists Form 16, Form 26AS and AIS, Form 16A, bank statements, housing-loan interest certificates, donation receipts, rental documents, and investment-premium receipts as documents to have ready where applicable. That checklist helps you prepare a return, but it is not an exhaustive retention list for every return form or taxpayer.

What your records must prove

A useful record system lets you move from any material number on the return to the document that supports it. Keep the source statement, receipt, invoice, contract or certificate, plus evidence of payment where that matters. The statutory standard in Section 44AA of the Income-tax Act, 1961 is that required books and documents must enable the Assessing Officer to compute total income under the Act.

For an ordinary individual return, this does not mean creating a formal accounting system for every household expense. It means preserving enough reliable evidence to explain reported income, tax deducted or collected, deductions, exemptions, capital transactions and other positions taken on the return.

Income and tax-credit records

Record group Examples Why it matters
Salary or pension Form 16; salary slips; pension statements or certificates Supports gross salary or pension, exemptions shown by the payer and tax deducted.
Non-salary income Bank interest certificates; dividend statements; interest, royalty or other payer statements Supports income that may not appear on Form 16 and helps reconcile amounts reported.
Tax deducted or collected Form 16A; Form 26AS; Annual Information Statement (AIS); payer certificates Supports tax-credit claims and exposes mismatches before filing.
Banking and investments Bank statements; broker or investment-platform statements; interest and dividend records Provides transaction dates, receipts, credits and supporting detail for income and capital transactions.

Download or otherwise preserve the relevant year’s Form 26AS and AIS rather than relying only on a portal view that may change. Compare those records with payer certificates, bank credits and your own income schedule. If a credit or income amount differs, investigate the source and obtain a correction from the payer where necessary; do not silently alter an original statement.

Deductions, exemptions and reliefs

Claim area Documents to retain where applicable Practical check
Home-loan interest Interest certificate from the lender; loan account statement; relevant property records Check the certificate’s financial year, borrower name and interest amount against the claim.
Donations Donation receipt and payment proof Confirm the donee’s details, date, amount and payment mode before claiming.
Rent or house property Rental agreement; rent receipts; bank or other payment evidence Keep a consistent trail for the period and amount used in the return.
Insurance or investment premiums LIC or ULIP premium receipts and payment records Retain receipts for the premiums actually included in the deduction.
Other claimed deductions Receipts, certificates and payment evidence for the specific deduction File only evidence for claims you actually make, with the relevant return line noted in your index.

The ITR-4 FAQ names these examples for AY 2025-26, but eligibility and documentation can differ by deduction, return form and tax year. Keep the underlying evidence even when the return utility does not ask you to upload it.

Business, professional and capital-asset records

  • For business or professional receipts, retain invoices, engagement records, payment evidence, bank credits and any withholding certificates that explain the gross receipts reported.
  • For claimed expenses, keep supplier invoices, bills, contracts, payment proof and a clear business or professional purpose. Preserve the original file without editing its contents.
  • For shares, securities, property or other capital assets, retain purchase contracts, sale statements, broker reports, transfer documents, improvement bills and transaction charges. These records establish dates, costs and proceeds used in the computation.
  • For rental property, keep the agreement, rent receipts, deposit or payment trail, ownership documents and property-related certificates relevant to the figures reported.

This is practical support inferred from the need for records that permit income computation and from the department’s filing checklist. It is not a declaration that every taxpayer must keep every item on this list.

Keep the completed return as a package

Save the final filed return, acknowledgement, computation, tax-payment challans, tax-credit records and any schedules submitted. Store them with the source documents for the same financial year. If you amend or revise a return, retain the original filing package and the revised package, with a note explaining which version is operative.

Use financial-year folders and a clear index

India’s financial year and assessment year are different labels. For example, income earned from 1 April 2024 to 31 March 2025 belongs to FY 2024-25 and is generally reported in AY 2025-26. Use both labels in folder names so a document cannot be mistaken for a different year.

  1. Create one master folder per financial year. Add a matching secure digital folder if you keep paper originals. A practical name is FY2024-25_AY2025-26.
  2. Divide the year into consistent categories. Use income, tax deducted or collected, deductions and reliefs, property and capital transactions, business or professional activity, return and acknowledgements, and correspondence or notices.
  3. Name files so they sort naturally. Start with the document date, then identify the source and tax year, for example 2025-04-30_Bank-Interest-Certificate_FY2024-25.pdf. Do not rename a file in a way that changes the original document’s content or provenance.
  4. Maintain an index. A spreadsheet can contain document name, source, date received, financial year, return line or claim supported, amount, and physical or digital storage location.
  5. Preserve originals. Keep the original invoice, statement or receipt and make working copies for calculations. If you scan paper, check that every page is legible and that the file opens after scanning.
  6. Back up in a second secure location. Use a separate storage location, protect access with a strong password and periodically open sample files to confirm that they remain readable.

A document file folder or expanding file organiser can help with paper receipts and certificates, but organisation itself is not legal compliance. Electronic filing is also workable when files are complete, readable, backed up and available if requested.

How long should you keep Indian tax records?

There is no single verified period that safely applies to every personal tax document, every taxpayer or every tax year. The most specific period in the cited 1961 Act framework is Rule 6F.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Rule 6F: six years for specified books and documents

Rule 6F of the Income-tax Rules, 1962 states that the books of account and documents covered by sub-rules (2) and (3) are to be kept for six years from the end of the relevant assessment year. This is a rule for the specified books and documents within Rule 6F; it should not be presented as a universal six-year rule for every individual’s receipts, bank files or future tax regime.

For orientation, a record connected with AY 2025-26 relates to an assessment year ending on 31 March 2026. Counting the Rule 6F period starts from that end of the assessment year; confirm the disposal date for your circumstances before destroying anything.

Reopened assessments extend retention

The proviso to Rule 6F says that when an assessment is reopened under Section 147 within the period specified in Section 149, records kept at the time of reopening must continue to be kept until that reopened assessment is completed. A notice, reassessment, appeal or other unresolved matter is therefore a reason to preserve the relevant file beyond an ordinary calendar calculation.

Penalty for failing to maintain or retain required records

The Income Tax Department’s Section 271A text states a penalty of ₹25,000 for specified failures to maintain required books or documents or to retain them for the prescribed period. The penalty provision concerns records required under the applicable rules; it does not turn every household paper into a statutory book of account.

Tax years beginning on or after 1 April 2026

The Income-tax Act, 2025 introduces a changed assessment framework, but the replacement record-keeping requirements and transition treatment are not established here. For a tax year beginning on or after 1 April 2026, check the applicable 2025 Act provision, rules and transition guidance before applying the 1961 Act’s six-year period. Until then, keep records connected with open notices, reassessments, disputes or unresolved claims rather than disposing of them.

Who has formal books-of-account duties?

Section 44AA separates specified professions from other business or professional cases and authorises rules that prescribe the records, form, manner, place and retention requirements. The central test is functional: whether books and documents are needed to enable the Assessing Officer to compute total income.

Specified professions and other businesses

People carrying on a specified profession, and taxpayers in other business or professional situations covered by Section 44AA and its rules, may have formal books-of-account duties. The version of Section 44AA cited for this guidance displays historical threshold amounts; do not reuse those amounts as current law. Check the applicable Act, rules, taxpayer category and tax year before relying on a threshold or deciding that no books are required.

Presumptive taxation does not erase source evidence

The ITR-4 FAQ describes presumptive schemes under Sections 44AD, 44ADA and 44AE, under which an eligible taxpayer may compute income on an estimated basis. It specifically states that a person in a specified profession who opts for Section 44ADA and declares income at 50% of gross receipts is not required to maintain Section 44AA books for that profession.

That limited relief from formal books does not make invoices, receipts, bank records or expense evidence useless. Preserve records needed to establish gross receipts, support the chosen scheme, calculate the return and answer a later question. Eligibility and related audit or reporting consequences depend on the taxpayer and year, so verify them rather than treating “presumptive” as a blanket exemption from record keeping.

Issue Regular books approach Presumptive approach
Income computation Based on recorded receipts, expenses and other applicable adjustments. Based on the estimated method under the qualifying section and facts.
Formal books May be required under Section 44AA and the applicable rules. The FAQ gives a specified-profession Section 44ADA example where Section 44AA books are not required at the stated 50% declaration.
Underlying evidence Needed to support entries, claims and reconciliations. Still needed to support gross receipts, eligibility and the filed return.
Audit or reporting consequences Depend on the taxpayer, income, turnover, profession and applicable year. Depend on the presumptive section, eligibility and the applicable year.

Reconcile everything before submitting the return

A short reconciliation prevents many avoidable notices and credit mismatches.

  1. Collect the year’s source documents. Gather payer certificates, bank and broker statements, receipts, certificates, invoices and property records before opening the return utility.
  2. Download Form 26AS and AIS. Compare tax deducted or collected and reported income with Form 16, Form 16A, bank credits and payer records.
  3. Map each return figure. In your index, record the source document and the return schedule or line that uses it. A figure with no source should be investigated before filing.
  4. Investigate differences. Check whether a payer reported income in a different period, used an incorrect PAN, duplicated a transaction or omitted a correction. Keep correspondence and revised certificates with the file.
  5. Verify deduction conditions. Match the amount claimed to the receipt or certificate, payment date, claimant name and relevant financial year.
  6. Check capital and property calculations. Tie sale proceeds and purchase or improvement costs to contracts, broker statements, bank entries and other transaction records.
  7. Save the final filing package. Keep the submitted return, acknowledgement, computation and challans together with the evidence used to prepare them.
  8. Test your backup. Open a sample of files from the backup location and confirm that names, pages and amounts are readable.

Paper, digital or hybrid storage?

The sources do not prescribe a paper organiser or a particular electronic service. Choose the method that lets you retrieve complete, legible records and control access.

Criterion Paper storage Digital storage Hybrid practice
Searchability Depends on labels and an index. File names, folders and text search can locate records quickly. Scan key papers and retain a paper index for originals.
Legibility over time Protect from moisture, fading and physical damage. Check that files open and remain readable after format or device changes. Keep the original paper where it has evidentiary value and a readable scan for access.
Backup and recovery A second physical copy needs a separate secure location. Use a second secure location and periodically test recovery. Use digital backup for quick recovery while protecting paper originals.
Privacy and access Restrict access to the filing cabinet or room. Use strong account protection and controlled sharing. Apply access controls to both the cabinet and digital storage.
Originals Immediately available in original form. Confirm whether a particular proceeding or record requires an original. Keep originals for documents where authenticity may matter.

Common mistakes and how to correct them

Using the ITR-4 checklist as the complete retention rule

The FAQ is preparation guidance for ITR-4 and AY 2025-26. If you file another return form, run a business, hold investments or claim a specialised deduction, add the source records that explain those entries.

Assuming presumptive taxation means “no records”

Presumptive treatment may remove a formal books requirement in a qualifying case, such as the specified-profession Section 44ADA example, but you still need evidence of receipts, eligibility and the figures reported.

Deleting files as soon as six years pass

Rule 6F’s period applies to specified books and documents under the 1961 Act. It does not settle every personal record or the post-1 April 2026 regime. Keep material tied to a notice, reassessment, appeal, dispute or unresolved claim until that matter is complete.

Keeping only a portal view

Save copies of Form 26AS, AIS, acknowledgements and certificates used in the filing. A local copy preserves the version you actually reconciled.

Editing an original invoice or statement

Never overwrite the source. Put calculations, annotations or renamed working copies beside the untouched original and note the relationship in your index.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Mixing financial and assessment years

Use both labels in the folder and filename. This avoids attaching FY 2024-25 evidence to the wrong assessment-year package and makes later retrieval faster.

A defensible record is a connected record

The strongest tax file is not the largest pile of paper. It is a connected chain: the return line points to a computation, the computation points to a statement or receipt, and the statement can be opened, read and matched to the bank, payer or transaction record. Build that chain for every material income amount, tax credit and deduction, then preserve the filed return and the correspondence that explains any correction.
