Windows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallOutdated Drivers Are Slowing You Down
One free scan finds every outdated or missing driver and matches the right update for your exact hardware.Free scan · exact hardware matchKeep two kinds of evidence for every state and local tax (SALT) deduction: proof that you paid and proof that the charge qualifies. A bank or card statement, canceled check, payroll form, receipt, tax bill, assessment, payment confirmation, or prior-year return may establish the amount and timing. The bill, assessment, tax form, or tax-law description establishes what the payment was for and why it belongs on Schedule A.
The IRS does not prescribe a special format. Its Publication 17 (2025) says, “The law doesn’t require any special form of records.” Paper files and electronic records are both acceptable if they remain complete, readable, secure, and retrievable.

Build one record for each deductible payment
For each amount you might claim, save a record that answers four questions:
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches- What tax was it? State income tax, local income tax, real-estate tax, personal-property tax, or general sales tax.
- How much was paid or withheld? Keep the gross amount shown on the official form, bill, receipt, or payment confirmation.
- Which tax year does it belong to? Label estimated payments, prior-year return payments, and property-tax installments by the year to which they apply and the date actually paid.
- Why is it deductible? Retain the assessment, tax bill, payroll form, return, or other document showing that the charge is a qualifying tax rather than a service fee, improvement assessment, business deduction, or other nondeductible amount.
Link payment evidence to the supporting document. For example, store a property-tax bill beside the bank transaction that paid it, or a state estimated-tax confirmation beside the account statement showing the transfer. The IRS specifically advises keeping receipts, canceled checks, other proof of payment, and records supporting deductions and credits.

Records to keep by SALT category
State and local income tax withheld from wages
Keep each applicable Form W-2 and Form 1099 that reports state or local income-tax withholding. Use the form for the tax year of the return you are preparing, and retain any employer or payer correction that changes the withholding amount.
Do not count an amount twice. The 2025 Schedule A instructions say not to include state or local income taxes already deducted on another form, such as Schedule C, E, or F. Keep a note showing which amounts were claimed as itemized deductions and which were allocated to a business or rental activity.
Recommended Free Tools
If you changed jobs or worked in more than one state, keep every W-2 and identify the state and local boxes used in your total. A payroll summary can help you reconcile the forms, but the official forms remain the primary support for withholding reported on the federal return.
Estimated payments and payments with a prior-year return
Save the state or city payment confirmation, the date and amount of the electronic transfer, and the bank or card record that cleared it. Keep a copy of the prior-year state or local return and its payment voucher when you pay a balance with that return.
For tax year 2025, the Schedule A instructions include qualifying state and local income-tax payments for a prior year and estimated payments made during 2025. A payment’s date and tax-year designation matter: a 2025 payment toward 2024 tax is not the same record as a 2025 estimated payment for 2025 tax.

Retain the official property-tax bill or assessment, every payment confirmation, and—when ownership changed—the closing or settlement statement showing prorated taxes. For a mortgage escrow account, keep the lender’s annual escrow statement and the underlying government bill; the escrow statement alone may not explain the assessment or tax period.
For 2025, deductible real-estate tax generally must be a tax assessed uniformly at a like rate on real property throughout the community, with proceeds used for general community or governmental purposes. The 2025 instructions require the tax to have been paid during 2025 and assessed before 2026.
Separate true taxes from charges for services and from assessments for improvements that increase the property’s value. Examples that need special review include fees for trash collection, water, sewer, or other services, and a sidewalk or street assessment that pays for an improvement. Keep the complete bill so you can identify and exclude those items rather than deducting the total automatically. IRS Publication 530 provides additional homeowner property-tax guidance.
When a bill covers multiple parcels or several installments, mark the parcel, installment, amount, and payment date. If a settlement statement allocates taxes between buyer and seller, retain it with the closing documents and the actual payment or escrow disbursement record supporting the amount you treated as paid.
Personal-property taxes
Keep the assessment or bill and the cleared payment record. Confirm that the charge is a qualifying deductible personal-property tax under the applicable year’s Schedule A instructions; a registration fee or charge based on a service or benefit is not automatically a deductible tax.

Retain the jurisdiction’s description of the charge when the bill uses a broad label such as “registration” or “renewal.” That description helps show whether the amount is an ad valorem personal-property tax or a fee for a license, registration, or service.
General sales tax
On Schedule A line 5a, an eligible taxpayer may elect general sales taxes instead of state and local income taxes. If you use the actual-expense method, retain receipts and purchase records that identify the taxable purchase, date, and amount. Publication 17 (2025) explains that receipts are needed for the actual-expense method.
The alternative is the IRS optional sales-tax tables. With the table method, retain the information used to determine the table amount—such as filing status, income, and qualifying residence information—and records of certain major purchases or permitted additions. You do not need to preserve a receipt for every ordinary purchase when you use the table method, but keep records supporting any separate amount the instructions require.

| Sales-tax method | What to retain | Documentation trade-off |
|---|---|---|
| Actual expenses | Receipts and purchase records for relevant taxable spending | Potentially more precise, but requires collecting and organizing receipts |
| IRS optional tables | Table-calculation inputs and records for qualifying major purchases or additions | Less receipt tracking for routine purchases, but uses an IRS table rather than your complete spending total |
Choose one method for the election; do not claim both general sales tax and state or local income tax for the same Schedule A line. If you switch methods in a later year, create a new folder and worksheet rather than mixing receipts and table calculations from different years.
A practical recordkeeping workflow
- Collect documents as payments occur. Download payroll forms, payment confirmations, bills, assessments, receipts, and closing statements instead of waiting until filing season.
- Mark the tax year and payment date. Use a filename or paper notation such as “2025 state estimated tax—payment April 15, 2025.” This prevents a prior-year balance from being confused with a current-year estimate.
- Classify the tax. Tag each item as income-tax withholding, estimated payment, prior-year payment, real-estate tax, personal-property tax, or sales tax.
- Match payment proof to qualification proof. Pair the cleared transaction with the bill, assessment, official tax form, or return that explains it.
- Remove nondeductible or duplicated amounts. Exclude business or rental taxes deducted elsewhere, service charges, improvement assessments, refunds, and any amount already included in another deduction.
- Maintain a running worksheet. Record the document name, tax type, tax year, amount, payment date, source account, and where the file is stored. A simple spreadsheet is sufficient; the IRS does not require a particular product or template.
- Reconcile before filing. Compare your worksheet with W-2s and 1099s, state account histories, bank records, escrow statements, and the final Schedule A entries.
- Preserve the filed return and its support together. Keep the signed or electronically filed federal return, Schedule A, worksheets, and underlying records in the same tax-year folder.
At reconciliation, total each category separately before applying the SALT limit. A separate subtotal for withholding, estimated payments, property taxes, personal-property taxes, and elected sales tax makes an omitted or duplicated payment easier to spot.
Paper versus electronic storage
| Storage choice | Good practice | Advantages | Risks to control |
|---|---|---|---|
| Paper | Use a tax-year folder with subfolders for income tax, property tax, sales tax, and payment proof | Easy to see original bills and annotate them | Loss, fire, fading, and slow searching; keep a secure backup of irreplaceable records |
| Electronic | Scan or download legible PDFs, use consistent filenames, and keep a second backup | Searchable, easy to match to a worksheet, and accessible when preparing a return | Corruption, accidental deletion, password loss, or an unreadable export; test that files open |
Electronic storage is allowed, but an electronic system that maintains tax books and records must preserve the same information as paper records and be capable of producing it in a readable form. Keep original digital downloads where practical, not only screenshots, and protect files containing bank or tax-identification information with strong access controls.

A paper organizer or commercial tax-document product is optional, not an IRS requirement. If you use one, arrange records by tax year and category and keep payment proof immediately behind the bill or assessment it supports. For digital files, use a second location for backup and periodically open sample files to confirm that they remain readable.
How long to keep SALT records
The period is tied to the federal return and the situation, not simply to the date on a receipt. IRS Publication 17 (2025) gives these general periods:
| Situation | General retention period |
|---|---|
| Ordinary filed return | Three years after the return is filed (or its due date if later, as applicable) |
| More than 25% of gross income omitted | Six years |
| Fraudulent return or no return filed | No limit |
| Claim for refund | The later of three years after filing the original return or two years after paying the tax |
| Worthless-security or bad-debt-loss claim | Seven years |
These are IRS general rules, not permission to discard records that are still relevant to another issue. Keep property-tax and improvement records that affect a property’s basis until the limitations period expires for the year the property is sold or otherwise disposed of in a taxable transaction. If a home has been owned for many years, retain records of capital improvements and basis adjustments through the sale-related period, even though they are not all current-year SALT deductions.
Keep records longer when a document supports more than one tax year or a continuing property-basis question. Before deleting a file, check whether it supports a pending refund claim, an amended return, a property sale, or another deduction with a different limitations period.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Account for the 2025 SALT limit
Recordkeeping does not guarantee that every qualifying payment will be deductible. For tax year 2025, the general SALT limit is $40,000, or $20,000 for married filing separately. The limit is reduced when modified adjusted gross income exceeds $500,000, or $250,000 for married filing separately, but the reduction cannot lower the limit below $10,000, or $5,000 for married filing separately. Follow the worksheet in the 2025 Schedule A instructions when its conditions apply.
Label your worksheet and supporting documents “2025” and recheck the instructions for every later tax year. These thresholds are year-specific and should not be carried forward as a permanent rule. Keep the full qualifying total in your records even when the cap limits the amount entered on Schedule A; the worksheet should show how the capped figure was reached.

Common recordkeeping mistakes and fixes
- Keeping only a bank statement: A statement proves money left an account but not whether it was income tax, a service charge, or an improvement assessment. Add the bill, assessment, or tax-form detail.
- Keeping only the bill: A bill shows what was assessed but not necessarily that you paid it in the claimed year. Add a cleared check, card statement, payment confirmation, or escrow record.
- Mixing tax years: Separate 2024 balances paid in 2025 from 2025 estimates paid in 2025 and label each clearly.
- Deducting escrow deposits automatically: Reconcile escrow activity to the government’s property-tax bill and the lender’s disbursement record.
- Including service charges or improvements: Preserve the detailed assessment and remove nonqualifying line items.
- Double-counting business taxes: Check Schedules C, E, and F and other business records before putting an amount on Schedule A.
- Using actual sales tax without receipts: Either reconstruct and retain the purchase records or use the IRS optional table method if it produces the appropriate result.
- Discarding basis records after filing: Keep property-improvement and acquisition records through the taxable disposition’s limitations period.
- Relying on a single storage location: Keep a backup of electronic files and protect paper originals from loss or damage.
- Forgetting amended or corrected forms: Replace an outdated W-2 or payment record in the worksheet, but retain the correction notice and the original for an audit trail.
When to get help
Consider a qualified tax professional when property ownership changed during the year, escrow and assessments do not reconcile, a payment covers several tax years, you have both personal and business use, or your income is near the 2025 SALT phase-down threshold. Bring the categorized worksheet and source documents so the preparer can test eligibility rather than relying on an unexplained total.
Tax-preparation software can help total categories and apply the Schedule A worksheet, but it cannot replace the underlying bills, forms, and payment records. Ask the preparer which documents to retain if a state account is corrected after filing or if a property transaction creates a continuing basis issue.
Frequently Asked Questions
What receipts do I need for state and local tax deductions?
Keep receipts or official records that identify the tax type, amount, tax year, and payment date. Pair them with proof of payment, such as a cleared check, bank or card statement, payroll form, or electronic confirmation. For property taxes, retain the bill or assessment; for withholding, retain Forms W-2 or applicable Forms 1099.
How long should I keep SALT records?
For an ordinary filed federal return, IRS Publication 17 (2025) gives a general three-year period. The period can be six years when more than 25% of gross income is omitted, unlimited for a fraudulent or unfiled return, later of three years after filing or two years after payment for a refund claim, and seven years for specified worthless-security or bad-debt-loss claims. Keep property-basis records through the limitations period for the year of taxable disposition.
Do I need receipts to deduct sales tax?
Yes, if you elect the actual-expense method. Publication 17 says to retain receipts for actual taxable purchases. The IRS optional sales-tax tables are an alternative that generally reduces routine receipt tracking, but you still need the table inputs and records for certain major purchases or permitted additions.
Is a bank statement enough to support a property-tax deduction?
Usually not by itself. The statement can show that money left your account, but the property-tax bill or assessment shows what the payment was for and whether it includes service charges or improvement assessments. Keep both, plus escrow and closing records when relevant.
Can I store tax records electronically?
Yes. The IRS does not require paper or a particular format. Electronic systems must preserve the same information and be able to produce readable records. Use legible files, consistent names, backups, and access controls, and confirm that stored files still open.
What is the 2025 SALT deduction limit?
The general 2025 limit is $40,000, or $20,000 for married filing separately. It is reduced above modified adjusted gross income of $500,000, or $250,000 for married filing separately, but cannot fall below $10,000, or $5,000 for married filing separately. Use the 2025 Schedule A worksheet and check the instructions for later years.
The Bottom Line
For every SALT amount, preserve both sides of the proof: a record showing what the charge was and a record showing when and how it was paid or withheld. Label the tax year, separate qualifying taxes from service charges and business deductions, reconcile the records before filing, and retain them for the applicable IRS period. For 2025, keep the full qualifying total and apply the $40,000/$20,000 limit and worksheet rather than assuming every payment is deductible.
