Save exchange and wallet evidence, the date and time, asset and quantity, Australian-dollar value at that moment, purpose, counterparty or wallet address, transaction fees, related professional costs, and your capital-gain or capital-loss calculation. Export histories regularly—at least every three months—and retain the records for five years from the applicable later date under Australian Taxation Office (ATO) guidance.
What the ATO expects you to record
The ATO says, “You must keep records of each of your crypto assets and every transaction, to work out whether you have a made a capital gain or loss.” Your records should allow another person to trace an asset from acquisition, through any holding or transfer, to disposal or the end of the relevant tax calculation.

For each event, capture the information below while it is still available:
- Date and time: retain the timestamp shown by the exchange or blockchain, and note whether it is UTC or local time.
- Asset and quantity: identify the cryptoasset and the exact amount received, sent, bought, sold, staked or otherwise disposed of.
- Australian-dollar value: record the value in AUD at the time of the transaction, not just the number of coins or tokens.
- Transaction type and purpose: describe whether it was a purchase, sale, swap, transfer, staking receipt, airdrop or another event, and why it occurred.
- Other party or destination: store the counterparty, exchange account or wallet address. For blockchain activity, include the transaction hash when one is available.
- Costs: record commissions, brokerage, network or other transaction fees, plus agent, accountant and legal costs connected with the transaction.
- Supporting source: link each spreadsheet row to the original receipt, exchange export, invoice, wallet report or blockchain record.
The ATO’s detailed record-keeping guidance is available at Keeping crypto records.

Build one chronological transaction ledger
A single row for every event is easier to audit than a collection of monthly totals. Use a spreadsheet or professional tax software, but preserve the underlying exports as well. A practical ledger can use these columns:
| Ledger field | What to enter | Useful evidence |
|---|---|---|
| Timestamp | Exchange or chain date and time, with the time zone | Exchange statement or blockchain record |
| Asset and quantity | Token symbol and precise amount in or out | Trade confirmation, wallet history or staking statement |
| Event type | Buy, sell, swap, transfer, staking receipt, airdrop or other event | Order record, wallet activity or platform report |
| AUD value | Value at the event time in Australian dollars | Exchange report or valuation record used for the calculation |
| Purpose | Why you made or received the transaction | Trade note, invoice, contract or contemporaneous explanation |
| Counterparty or wallet | Other party, exchange account or destination/source address | Address record, transfer confirmation or invoice |
| Transaction hash | Blockchain identifier where available | Block explorer or wallet export |
| Fees and related costs | Trading, brokerage, network, agent, accountant or legal costs | Fee line on the receipt, invoice or statement |
| Source link | Path to the original file or receipt | Saved PDF, CSV, email or wallet export |
| Tax calculation | Cost-base information and resulting capital gain or loss | Calculation worksheet or software audit trail |
Use a consistent file name such as 2025-03-14_Exchange_BTC-buy.csv and keep an index that maps each ledger row to its source file. Do not overwrite an original export when you clean or combine data; retain the untouched file and label any transformed copy.
Keep evidence for each stage of an asset’s life
Acquisition records
For every purchase or other acquisition, save an invoice or exchange statement showing the asset, amount paid in AUD, date and time, purpose, commissions or brokerage and any related professional costs. If you acquired crypto through a non-cash arrangement, retain the documents that explain what was exchanged and the value used in your calculation.

Holding, staking and airdrop records
Preserve wallet records and keys, and keep documents showing the date and quantity of crypto received through staking or an airdrop. Store private keys separately from tax exports: the key proves control of a wallet but should not be placed in a tax spreadsheet or shared with an accountant by ordinary email.

For staking or airdrop receipts, create a ledger row when the asset arrives, attach the platform or protocol record, and record the AUD value used at that time. Keep later disposal records tied to that original receipt so the history remains continuous.
Disposal records
For a sale, swap or other disposal, save the receipt or exchange record, sale price in AUD, date and time, purpose, selling fees and the calculation that produces the capital gain or loss. Retain the quantity disposed of and identify which acquisition records support the cost-base calculation.

How to document transfers between your own wallets
A transfer from one wallet to another while you maintain ownership is not a disposal for tax purposes and does not need to be reported as a disposal, according to the ATO’s tax-time crypto guidance. The transfer still belongs in your records because it explains why the asset appears at a new address and prevents an exchange import or tax program from treating it as a sale.
- Record the date and time, asset and quantity sent.
- Enter the sending and receiving wallet addresses and the transaction hash.
- Record the network fee and identify which wallet paid it.
- Label the event “same-owner transfer” and retain evidence that both wallets were controlled by you.
- Reconcile the outgoing amount with the incoming amount, allowing for the network fee.
The ATO statement is published in its Tax Time crypto asset guidance. A transfer to another person, a payment for goods or services, or a transaction where ownership changes needs its own analysis; do not label it an internal transfer merely because a wallet address is involved.

Export exchange and wallet data on a schedule
Online account access is not a reliable archive. Exchanges can change interfaces, close accounts or limit the age of downloadable reports. The ATO recommends exporting transaction history regularly and setting a reminder to export at least every three months. It also advises exporting everything before closing an account.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Every three months: download trades, deposits, withdrawals, fees, staking and other activity from each exchange.
- After material activity: save the confirmation for a large purchase, sale, swap, staking receipt or airdrop immediately.
- For each self-custody wallet: save an address list and transaction history, and record the relevant public addresses and hashes.
- Before closing or abandoning an account: export all available history, statements and tax documents, then verify that the files open.
- After each export: compare the period totals with your ledger and investigate missing deposits, withdrawals or fees.
Use at least two storage locations, such as an encrypted local drive and a secure backup. Keep private keys and recovery phrases in a separate security system; tax records should never disclose credentials that could move your assets.
Choosing a spreadsheet, software or calculator
The ATO says a simple spreadsheet or professional software can support record keeping, and that a reputable Australian crypto tax calculator may synchronize exchange and wallet accounts. The ATO does not endorse a particular provider. Choose the method you can maintain and explain, then preserve the source files and the final calculation.
| Capability to compare | Why it matters |
|---|---|
| Exchange and wallet import coverage | All accounts and addresses must be represented; unsupported sources create gaps that imports cannot fix. |
| Transfer and fee treatment | Internal transfers should not become false disposals, while trading and network fees must remain visible. |
| AUD valuation history | The method should retain the AUD value used for each event at its transaction time. |
| Export and audit trail | You need downloadable records and a way to show how inputs produced the gain or loss. |
| Staking and airdrop support | Receipts need dates, quantities, source documents and appropriate event labels. |
| Long-term retention | Files should remain readable and retrievable for the full retention period, independent of a live subscription. |
Automated synchronization is a convenience, not evidence by itself. Check imported data against exchange statements and blockchain histories, correct duplicate transfers, and save the corrected output together with the original files.

- the date you prepared or obtained the record;
- the date the transaction or act was completed; or
- the year of the capital-gains-tax (CGT) event.
The ATO says you may need to keep records longer when necessary to cover the amendment period or to substantiate carried-forward losses. Apply the five-year period to the supporting evidence and the calculation, not only to the final tax return.
Records may be electronic or on paper. They must be in English or readily translatable into English. Keep a readable copy of every export, and test old backups periodically so a file-format or storage failure does not become a tax-record gap. The ATO’s retention guidance appears in Keeping crypto records.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Reconstructing records you have lost
If an exchange download is missing, reconstruct the history from every independent source and document what you did. The ATO Community response identifies current wallet addresses, exchange records, wallet transaction histories, period emails and other documentation as useful reconstruction sources.
- List every account and address: include exchanges you no longer use and all self-custody wallets.
- Request or download exchange records: look for trade history, deposits, withdrawals, fee reports, account statements and tax documents.
- Recover on-chain history: use each public wallet address and transaction hash to assemble incoming, outgoing and fee activity.
- Search contemporaneous evidence: collect purchase emails, invoices, bank statements, payment-provider records and notes that explain the purpose of a transaction.
- Reconcile balances: match opening balances, acquisitions, transfers, disposals and closing balances for each asset and wallet.
- Flag assumptions: distinguish an original document from a reconstructed value, retain the calculation and explain the basis for any estimate.
- Get help when the gap affects a return: contact the ATO and consider a registered tax agent for difficult unfiled or incomplete histories.
Do not fill an unverified gap by copying a current price or a remembered coin amount. A reconstruction is strongest when several independent records agree and every unresolved item is clearly identified.

A quarterly control checklist
- Export every exchange’s complete history, including fees and withdrawals.
- Capture transaction histories for each wallet and add any new public addresses.
- Match outgoing exchange withdrawals to wallet deposits and label same-owner transfers.
- Check that each event has an AUD value, purpose, counterparty or wallet address and source file.
- Attach acquisition and disposal receipts and update the gain-or-loss worksheet.
- Add staking and airdrop receipts with their dates and quantities.
- Back up the original exports and verify that the files can be opened.
- Record the date of the review so you can demonstrate when the ledger was reconciled.
Common record-keeping failures and fixes
Keeping only coin quantities
Problem: a ledger shows “0.5 BTC” but no AUD value, timestamp or fee. Fix: add the transaction-time AUD value, the exchange or chain timestamp and the cost evidence before calculating a gain or loss.
Relying on an exchange login
Problem: the account is inaccessible when you prepare the return. Fix: follow the ATO’s at-least-quarterly export practice and preserve files outside the exchange.
Counting an internal transfer as a sale
Problem: an import treats a withdrawal from one of your wallets as a disposal. Fix: pair the sending and receiving addresses, include the hash and fee, and label the event as a same-owner transfer.
Recommended Free Tools
Mixing original and edited data
Problem: a cleaned CSV replaces the original, so you cannot show where a value came from. Fix: preserve the original export, save the transformed file separately and keep a change log.
Leaving staking or airdrops outside the ledger
Problem: received tokens appear later with no acquisition evidence. Fix: record the receipt date, quantity, AUD value and platform or protocol document when the tokens arrive.
What a complete tax-file folder contains
Organise folders by tax year and retain a master index. A complete set normally includes:
- the chronological ledger and its calculation worksheets;
- untouched exchange CSV or PDF exports and account statements;
- wallet address lists, transaction histories and blockchain hashes;
- purchase, sale and swap confirmations;
- staking and airdrop records;
- bank statements, invoices and professional-fee documents that support values or costs;
- a transfer reconciliation showing movements between wallets you own; and
- notes explaining reconstructed entries, assumptions and corrections.
Keep access credentials and private keys outside this tax folder. The tax file should prove what happened without creating a new security risk.
Do these 3 things before closing this tab:

Consider a registered tax agent when records span many exchanges or wallets, include substantial staking or airdrop activity, contain unexplained gaps, or involve unfiled returns and carried-forward losses. Give the agent the original exports, your ledger, reconciliation notes and the evidence behind any reconstruction.
