Connect mortgage sourcing to a CRM by mapping the complete advice journey first, choosing one system of record, confirming that the exact CRM, sourcing service, lender and case type are supported, and testing both successful and failed handoffs. An “API available” label is not proof that every field, lender or application route will work. Keep a controlled manual route for excluded or failed cases so advisers do not lose advice evidence or submit duplicates.
What a mortgage-software integration actually connects
Mortgage technology is usually a chain rather than one connection: lead and fact-find, affordability and eligibility data, sourcing, research evidence, recommendation, decision in principle (DIP), full application, lender updates and case completion. A connector may cover only one link in that chain.

Three integration shapes are common:
| Pattern | What it does | What it does not prove |
|---|---|---|
| Embedded sourcing API | Places product searches, filters, rates and related documents inside a CRM, advice platform or website. Iress describes its mortgage API as supporting product filters, direct lender links, ESIS and evidence-of-research generation. Iress API details | It does not automatically provide lender submission, two-way case updates or compatibility with every CRM. |
| Integrated sourcing-and-advice platform | Uses one vendor ecosystem for sourcing, case management, compliance workflow and an audit trail. Twenty7tec describes RESEARCH as having a two-way open API and ADVICE as a mortgage CRM integrated with RESEARCH. RESEARCH and ADVICE | You still need to establish which product owns each record and which external systems are included in your package. |
| Broker-to-lender connection | Transfers application information from adviser software to a lender platform. Iress calls its service Lender Connect; Nationwide gives a lender-side example of DIPs created in third-party platforms. Lender Connect and Nationwide API guidance | A sourcing-to-CRM link does not mean the lender accepts that case, application type or status update through the same route. |
The practical objective is not merely to remove typing. It is to move the right data in each direction, preserve why a recommendation was made, prevent duplicate submissions and make exceptions visible to a named owner.

Draw the journey your firm actually follows before selecting a connector. Include the points where an adviser or administrator currently rekeys information, downloads a document, changes systems or waits for a lender response.
#1 Best Overall
- Lead and identity: capture names, contact details, consent and household relationships.
- Fact-find and affordability: record income, expenditure, commitments, property, deposit, credit and eligibility information.
- Sourcing: send search criteria to the sourcing engine and receive products, filters, fees, rates and lender links.
- Research evidence: store the comparison, rationale, ESIS or evidence-of-research document with the case.
- Recommendation and advice: record the selected product, alternatives considered, suitability reasoning and required disclosures.
- DIP: transfer the lender-required information, receive a reference or outcome and attach it to the case.
- Full application: send the expanded application and supporting evidence, then track lender requests, referrals and decisions.
- Completion: retain final status, lender reference, documents, corrections and the audit history.
Mark every handoff as automatic, user-triggered or manual. That map becomes your acceptance test: an integration is useful only where it removes a real handoff without weakening control.
Choose the system of record
Assign ownership before mapping fields. A typical arrangement makes the CRM authoritative for client identity, household structure, consent, case status and advice notes; the sourcing service authoritative for current product results; and the lender portal authoritative for submitted application status and lender reference. Your firm may choose differently, but it must document the decision.
- Specify who can amend each data item.
- Define whether a correction is pushed automatically, requires approval or must be re-entered.
- Keep an immutable history of material advice changes rather than silently overwriting the prior value.
- Give each case a stable internal identifier and retain external sourcing and lender references against it.
- Decide how a merged household, changed name or withdrawn application is represented in every connected system.
Without ownership rules, two-way synchronisation can overwrite a verified value with an older one. Ask vendors whether updates include timestamps, user identity, conflict handling and a way to retrieve the original payload.
Define the data contract for every handoff
Public product pages do not provide a universal mortgage-integration field schema. Request the actual API documentation, sample payloads and error catalogue for your systems. Build an inventory like this before configuration:
| Handoff | Examples of data | Questions to settle |
|---|---|---|
| CRM to sourcing | Applicant identity, dependants, property value, loan amount, term, purpose, income, commitments, credit and preferences | Which fields are mandatory? What formats and enumerations are accepted? How are multiple applicants and adverse-credit details represented? |
| Sourcing to CRM | Search criteria, product results, rate, fees, lender, eligibility notes, selected product and timestamp | Are results a snapshot or a live link? Can the adviser reproduce the search later? Which filters and lender links are returned? |
| Evidence to advice record | Comparison, ESIS, evidence-of-research, suitability material and document metadata | Is a document generated automatically? Where is it stored, versioned and access-controlled? |
| CRM to lender | Applicant and property data, income, commitments, declarations and supporting-document references | Is submission DIP-only, full application or both? Which lender and case types are excluded? Is the operation one-way or interactive? |
| Lender to CRM | Reference, accepted/referred/declined status, outstanding requirements and messages | Are updates pushed, polled or user-triggered? What happens when a lender changes a status or asks for a correction? |
| Exception back to case | Validation error, timeout, duplicate warning, referral, manual decision and reconciliation note | Who receives the alert, what retry is safe and how is the resolution recorded? |

- Named CRM or advice platform, version and deployment model.
- Named sourcing service and whether the connector is native, embedded, direct API or file exchange.
- API credentials, licensing, environment access, authentication method and rate limits.
- Named lenders and whether the route covers product search, DIP, full application, status or documents.
- Case eligibility: purchase, remortgage, self-employed, specialist, multiple applicants and any other cases important to your firm.
- Read-only, one-way, two-way and user-triggered operations.
- Data residency, retention, support hours, incident notification and service-level commitments.
- Implementation ownership, testing support, change-notice process and exit or export options.
Nationwide publishes a named platform list and exclusions in its API guidance. It says Acre can submit purchase and remortgage DIPs and full applications through the supported route, while cases outside that route may need to continue through NFI Online. Treat this as a lender-specific rule, not a template for every lender.
Implementation: a controlled seven-step process
1. Document the current state
Record each screen, export, email, document and manual rekey from lead to completion. Measure where duplicates, missing fields and delays occur. Include the manual lender route that staff use today; it is your fallback during outages and for unsupported cases.
2. Set ownership and identifiers
Create the source-of-truth matrix and choose a persistent case ID. Decide how applicant IDs, lender references and document IDs relate. Do not use a product name or an email address as the sole key.
3. Map and validate fields
For every field, record source, destination, type, required or optional status, validation rule, owner and permitted correction path. Test dates, currency, percentages, addresses, joint applicants, missing values and changed circumstances. Ask for a versioned mapping so a vendor change can be reviewed before deployment.
4. Configure the smallest useful scope
Start with one journey, such as standard purchase sourcing through DIP, rather than enabling every lender and case type at once. Keep production credentials separate from test credentials and restrict access to the minimum staff and services required.
Rank #3
5. Preserve advice evidence
Configure storage for product comparisons, ESIS, evidence-of-research, suitability material, lender references and manual decisions. Iress advertises ESIS and evidence-of-research generation through its sourcing API; Twenty7tec describes an audit trail in ADVICE. These are vendor-described capabilities, so verify document content, versioning, retention and export against your firm’s compliance policy.

Use realistic, anonymised cases and reconcile all three records—CRM, sourcing and lender—after each test. Test an ordinary purchase, remortgage, amended income, missing mandatory field, unsupported case, lender referral, API timeout, retry and duplicate-submit warning. A test passes only when the user sees the correct outcome, evidence is stored and the next action is unambiguous.
7. Launch in stages and monitor
Pilot with a small adviser group, keep the manual process available, and review failed transfers daily during the first release. Expand lender or case coverage only after the initial reconciliation and exception metrics are stable.
Design exception handling before launch
Automation fails safely only when the exception path is explicit. Define:
- Validation failure: show the field, permitted format and person responsible for correction; do not submit partial data silently.
- Timeout or outage: record the attempted operation, prevent blind retries and provide a documented manual route.
- Duplicate submission: search by internal case ID and lender reference before retrying; require a user confirmation where the lender cannot guarantee idempotency.
- Changed client details: show which systems differ, identify the newest approved value and record who authorised the correction.
- Referral or decline: preserve the lender response and route the case to the adviser without presenting a referral as an approval.
- Unsupported case: label it clearly and transfer the adviser to the approved portal or manual workflow, carrying the evidence already collected.
Every exception should create a case note or event with time, user, system response and resolution. That record is more useful than a generic “integration error” message.

Test cases that expose hidden gaps
| Scenario | What to verify | Pass condition |
|---|---|---|
| Standard purchase with one applicant | Fact-find to sourcing to DIP | No rekeying of agreed fields; lender reference returns to the correct case. |
| Joint applicants and dependants | Relationship, addresses and income allocation | Both applicants remain linked and no data is assigned to the wrong person. |
| Remortgage | Purpose, existing lender and property details | Correct lender route and case type are selected. |
| Missing or invalid value | Required-field and format validation | Clear correction prompt; no incomplete submission. |
| Unsupported or unusual case | Exclusion rules and fallback | Case is routed to the approved manual channel with evidence intact. |
| Amended client information | Conflict and correction propagation | One approved value is visible everywhere and the change is audited. |
| Lender referral | Status, message and adviser alert | Referral is not treated as acceptance; outstanding action is assigned. |
| Timeout and safe retry | Retry, idempotency and duplicate prevention | Retry cannot create a second DIP or application. |
What current provider examples show
These figures describe particular providers’ claims, not independent benchmarks:
| Claim | Qualification | Source |
|---|---|---|
| More than 66 million mortgage quotes through Iress web services in 2025 | Reported by Iress in an October 2026 announcement; it is a provider-reported volume, not a comparison of platforms. | Iress Elev8 announcement |
| Up to 90% of a DIP and 60% of a full mortgage application prepopulated | Current Iress Lender Connect product-page claim; “up to” is not a guaranteed result for every lender or case. | Iress Lender Connect |
| Up to 15 minutes quicker to obtain a DIP | Nationwide’s estimate for its API route; actual time depends on case, data quality and platform. | Nationwide API guidance |
Iress also displays a protection-quote frequency on its API page without a dated methodology. It should not be treated as an independent performance statistic. No like-for-like independent benchmark established that one integration approach is faster or more accurate than another.
Iress announced in October 2026 that its mortgage and protection sourcing data had been integrated into Access FS’s Elev8 CRM, developed by Evolve Tech Solutions, and said Elev8 was used by 300 advisers. This demonstrates embedded sourcing in one named platform; it does not establish that other CRMs have the same connector. Read the announcement.

Common failure modes and fixes
“The vendor has an API, so every lender will work.”
API availability says nothing about lender participation or exclusions. Obtain the named lender and case matrix and retest it when either provider changes its service.
“We synchronise everything both ways.”
Unrestricted two-way updates create conflicts and can erase verified advice data. Define ownership, timestamps, approvals and correction events before enabling two-way writes.
“A successful API response means the case is complete.”
A technical response may confirm receipt, not a DIP decision or full application acceptance. Store the lender reference and interpret statuses according to the lender’s documented meanings.

“We can remove the manual route after launch.”
Excluded cases, outages and referrals will still occur. Keep the approved fallback, train staff on it and reconcile manually completed cases into the CRM.
“Prepopulation percentages are guaranteed savings.”
Figures such as Iress’s “up to” claims and Nationwide’s time estimate are provider statements. Measure your own rekeying, correction rate, turnaround and duplicate rate after launch instead of promising a fixed saving.
A practical go-live checklist
- Workflow map approved by advisers, operations and compliance.
- System-of-record and correction rules documented.
- Versioned field and event inventory signed off.
- Named lender and case-type coverage confirmed in writing.
- Credentials, permissions, environments and support contacts tested.
- Evidence, audit, retention and export behaviour verified.
- Normal, amended, excluded, referred, timeout and duplicate scenarios passed.
- Manual fallback and reconciliation owner assigned.
- Monitoring dashboard tracks failed transfers, retries, duplicates, rekeying and escalations.
- Change-control process in place for lender, CRM or API updates.
For a UK mortgage firm, the safest integration is the one that makes ownership and exceptions clearer, not merely the one that advertises the largest prepopulation percentage. Start with a bounded journey, prove every data handoff and preserve a usable manual path before expanding coverage.
