How to Fix Slow Performance in Large Excel Files

By TheFinanceBase Team 8 min read

Fix a slow Excel workbook by first identifying whether calculation, workbook clutter, add-ins, file location, or the data model is the bottleneck. Save a backup, test a local copy, then work through calculation settings, unused cells and objects, startup components, links, and oversized datasets. The safest changes preserve full precision and the original file until you verify the result.

1. Triage the slowdown before changing the workbook

Test a local copy

Save a copy to a local drive and open that copy. A workbook on a network share, web folder, SharePoint, redirected Documents folder, offline-files location, Remote Desktop/Citrix session, network appliance, or virtualized environment can appear slow because of storage or connection latency. If the local copy is responsive, investigate the storage path rather than rewriting formulas. Microsoft’s troubleshooting guidance covers these location tests: Excel not responding, hangs, freezes, or stops working.

Use the symptom to choose the first test

  • Delay after editing a cell or pressing F9: investigate calculation, data tables, volatile functions, external links, and circular references.
  • Slow opening or saving: check external links, unused formatted cells, excessive styles, shapes, hidden objects, startup files, and file size.
  • Scrolling or selecting is slow: test Page Break Preview, shapes, objects, and display/driver issues.
  • Only one computer is affected: test Safe Mode, add-ins, printer drivers, and available RAM.
  • Importing data causes a warning: stop before saving over the source file; the worksheet grid may be too small for the dataset.

2. Control calculation without sacrificing accuracy

Choose the appropriate calculation mode

In Windows desktop Excel, open File > Options > Formulas > Calculation options > Workbook Calculation. The choices are:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Mode Behavior Best use
Automatic Recalculates dependent formulas as inputs change; this is the default. Normal working files where current results matter immediately.
Partial Recalculates dependent formulas but excludes data tables. Workbooks whose data tables are the dominant calculation cost.
Manual Recalculates only when explicitly triggered, such as with F9. Diagnosis or controlled batch editing, with a deliberate final recalculation.

In desktop Excel, the calculation setting applies to all open workbooks, not only the active file. In Excel for the web, use Formulas > Calculation Options; the labels are Automatic, Automatic Except for Data Tables, and Manual. The web setting applies only to the current workbook in that browser. Choose Calculate Workbook to force a full recalculation. See Microsoft’s current instructions at change formula recalculation, iteration, or precision in Excel.

Manual mode is a diagnostic, not a cure. Microsoft recommends it to test whether automatic recalculation is causing hangs with complex formulas. Before sharing or relying on results, return to the intended mode and calculate the workbook.

Reduce calculation work at the source

  • Replace formulas that reference entire columns with bounded ranges where the data has a known extent.
  • Review data tables and automatic-recalculation (volatile) functions; both can trigger repeated work.
  • Limit links to other worksheets and workbooks to the ranges actually needed.
  • Inspect circular references before enabling iteration. Iterative calculation is at File > Options > Formulas > Calculation options > Enable iterative calculation. The controls are Maximum Iterations and Maximum Change; Microsoft’s current defaults are 100 iterations or stopping when every value changes by less than 0.001. More iterations or a smaller maximum change can lengthen calculation.

Use multi-threaded calculation appropriately

Go to File > Options > Advanced > Formulas > Enable multi-threaded calculation. It is enabled by default. To restrict resources, select Manual under Number of calculation threads and enter a value; Microsoft’s current calculation-options page allows up to 1,024, while its Advanced Options documentation says Excel supports up to 64 processor cores. Only workloads that can be split run concurrently, so enabling more threads will not make every formula multi-threaded. Details are in Microsoft’s calculation guidance and Advanced Options.

Do not use “Set precision as displayed” as a speed trick

The option at File > Options > Advanced > When calculating this workbook > Set precision as displayed permanently replaces stored full-precision values with the displayed precision. Turning it off later does not restore the original values. Keep it off unless deliberately changing the workbook’s numerical model.

Account for calculation-chain and version effects

Excel stores calculation-chain metadata so it does not have to determine formula order from scratch on every load; editing or recalculating can reorder that chain. An older workbook may also recalculate all formulas when first opened in a newer Excel version. After saving it in the current version, later opens can be faster. Microsoft explains the metadata in Excel calculation-chain metadata.

3. Remove workbook clutter that consumes resources

Clean unused formatted cells (Microsoft 365)

In current Excel for Microsoft 365, choose Review > Check Performance. The Workbook Performance pane reports used cells and cells that can be optimized. Select Optimize all for the workbook, or open a worksheet’s details and choose Optimize sheet. The feature targets hidden internal information such as formatting, blank cells, and non-printing characters. Excessive unused cells can slow or destabilize a file. Follow Microsoft’s instructions at Clean up cells in your workbook.

This feature is documented for Microsoft 365, not universally for Excel 2016, 2019, 2021, or 2024. Do not run it on Pixel Art worksheets: Excel cannot distinguish artwork from unwanted formatted cells and may remove it. Use Undo immediately if that happens.

Audit styles, names, objects, and shapes

Microsoft identifies these workbook-level trouble spots:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Formulas referencing entire columns.
  • Array formulas whose arguments contain uneven numbers of elements.
  • Hundreds or thousands of hidden, zero-height, or zero-width objects.
  • Excessive styles created by repeated copy-and-paste between workbooks.
  • Excessive or invalid defined names.
  • Hundreds of thousands of geometric shapes or complex shape objects.

Extensive formatting and shapes can make an .xlsx large despite modest visible data. If available RAM is insufficient, Excel and other applications may become slow or unstable. Remove obsolete names, styles, objects, and shapes from a backup copy, then reopen and test.

  • 256 GB SSD of storage.
  • Multitasking is easy with 16GB of RAM
  • Equipped with a blazing fast Core i5 2.00 GHz processor.

Check the worksheet view and printer path

Page Break Preview can slow Excel because it is printer-intensive. Switch to Normal view and test with a different printer driver. If performance changes, the workbook may be healthy while the printer or video-driver path is the problem.

4. Isolate add-ins and files that load at startup

Run Excel in Safe Mode

On Windows 10 or 11, open Start > All apps > Windows System > Run, enter Excel /safe, and select OK. Safe Mode bypasses alternative startup locations, changed toolbars, startup folders, Excel add-ins, and most COM add-ins. If the workbook is faster, continue with add-in and startup isolation. Microsoft’s procedure is documented at Excel not responding, hangs, freezes, or stops working.

Test COM add-ins one at a time

  1. Open File > Options > Add-ins.
  2. In Manage, select COM Add-ins, then select Go.
  3. Clear every check box and select OK.
  4. Restart Excel normally.
  5. Re-enable one add-in, restart, and test; repeat until the slowdown returns.

Inspect XLSTART and the alternate startup folder

Workbooks, templates, or workspace files in Excel’s XLSTART folder open automatically. To inspect configured trusted locations, use File > Options > Trust Center > Trust Center Settings > Trusted Locations; move suspected startup files elsewhere and restart Excel. Also check File > Options > Advanced > General > At startup, open all files in, temporarily move files from that folder, and restart.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Manage external links and file-location overhead

Control link updates

Go to File > Options > Advanced > When calculating this workbook. Update links to other documents controls calculation and updating of formulas that reference other applications. Save external link values stores copies of values from linked documents. If links cover large ranges, clearing that option can reduce disk usage and opening time. Confirm that users can still refresh links when current data is required. See Advanced Options.

Separate content problems from location problems

Keep the local-copy test as a permanent diagnostic. If local performance is good but the shared copy is slow, involve the network, SharePoint, synchronization, or virtual-desktop administrator rather than adding more formulas or formatting changes.

6. Handle datasets larger than the worksheet grid

Do not save over the source after a grid-limit warning

If Excel displays “This data set is too large for the Excel grid. If you save this workbook, you’ll lose data that wasn’t loaded,” saving over the original can permanently discard rows or columns that were not loaded. Preserve the source file.

Load the complete file into a PivotTable

  1. Open a blank workbook.
  2. Choose Data > From Text/CSV in Get & Transform Data.
  3. Select the file and choose Import.
  4. In the preview, choose Load To and select PivotTable Report. If Load To is hidden, select the arrow beside Load first.

The PivotTable can summarize the complete imported dataset without displaying every row in the worksheet grid. Microsoft’s procedure is at What to do if a data set is too large for the Excel grid.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use a Data Model when millions of rows are required

Data Models are supported in Excel for Microsoft 365, Excel 2024, 2021, 2019, and 2016 and can contain millions of rows, but larger models consume more memory and can slow Excel and other applications. For Excel for the web in Microsoft 365, Microsoft’s current documented total file-size limit for workbooks containing Data Models is 250 MB; Microsoft says Microsoft 365 limits are not configurable and may change. Use the current Data Model specification and limits, rather than older articles that mention a 10 MB web limit. For memory-reduction techniques, see Create a memory-efficient Data Model using Excel and Power Pivot.

7. Update Excel and account for known version-specific fixes

Microsoft’s troubleshooting page says Microsoft 365 Current Channel Version 2503 and later include fixes for PivotTable refresh performance, freeze-pane rendering, and geometric-shape loading. Version 2601 or later improves responsiveness during file-property or user-profile-card activity. Update Microsoft 365 before spending time rebuilding a workbook, especially one with PivotTables, freeze panes, or many shapes.

For slow Alt+ shortcut-key behavior, Microsoft documents a registry workaround for Office 365 version 1908 or later: in HKEY_CURRENT_USERSoftwareMicrosoftOffice16.0Common, create a REG_DWORD named UseAsyncRibbonKeytips and set its value to 1. Registry changes affect the user profile; back up the registry and involve an administrator if required. The source is Tips for improving Excel’s performance.

8. Avoid legacy-format compatibility traps

Saving to Excel 97–2003 format can create performance, fidelity, or error problems. Excel 2007 and later support up to 64 levels of formula nesting, 255 function arguments, 1,024 operands, and 8,192 formula characters; the older format has substantially lower limits. Exceeding those limits can convert formulas to #VALUE! when saved.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Structured table references work in Excel 2007 and later but become ordinary cell references in Excel 97–2003 format.
  • Array formulas exceeding earlier-format limits, including arrays larger than 256 columns or 65,536 rows, may fail to save correctly or produce different results.
  • Text-heavy workbooks using LEN, MID, SEARCH, FIND, or REPLACE can have compatibility-related performance issues. Ensure these functions use the appropriate Compatibility Version in File > Options.

Keep the modern .xlsx or .xlsm format whenever recipients support it, and test a separate compatibility copy before delivering an old-format file.

A safe repair order

  1. Make a backup and test a local copy.
  2. Open in Safe Mode to rule out add-ins and startup files.
  3. Observe whether editing, opening, saving, scrolling, or importing is the slow operation.
  4. Test calculation mode; inspect data tables, volatile formulas, links, and circular references.
  5. Leave “Set precision as displayed” off and avoid destructive precision changes.
  6. Run Check Performance in Microsoft 365, while protecting Pixel Art sheets.
  7. Remove unnecessary styles, names, hidden objects, shapes, and whole-column references.
  8. Review external-link settings and shared-storage latency.
  9. For oversized data, load to a PivotTable or Data Model instead of forcing every row into the grid.
  10. Update Excel and save in a modern format; recalculate and verify key outputs before replacing the original.
