Fix a suspect point-of-sale transaction by tracing it through four checkpoints: the register, its offline or pending queue, the integration and synchronization job, and the analytics or reporting store. Record a stable transaction identity at each checkpoint, retry only with an idempotent key, and preserve voids and corrections as statuses instead of deleting history.
This method separates a genuinely missing sale from a delayed upload, a split-tender export, a second version of a corrected transaction, or a payment that succeeded before the register crashed. It also gives you a defensible way to reconcile POS totals with a Z report and the bank deposit.

What “missing,” “duplicate,” and “delayed” actually mean
A transaction can appear to be wrong in analytics even when the register recorded it correctly. The failure may be in posting, synchronization, payment recovery, or the reporting model. Treat these as different conditions:
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →- Missing: no corresponding record can be found at the expected downstream checkpoint, or a sequence gap indicates that a register transaction never arrived.
- Delayed: the sale exists locally or in a queue but has not reached central POS, the integration destination, or the analytics store by the time you checked.
- Duplicate: two rows represent the same sale or payment, usually because an event was sent twice or a retry created a second record.
- Legitimate multiple rows: one sale produced several tender rows, such as cash plus card in a split-tender payment, or a posted transaction and its corrected version are both retained for audit.
- Voided or reversed: the original sale remains part of the audit trail while a status or separate event removes its value from current sales calculations.
Do not delete rows to make a report look right. First establish where the record exists, which identity it carries, and what business state it represents.

The four-checkpoint investigation
Use the same order for every incident. Moving downstream before proving the upstream state often creates duplicate retries or hides an offline sale.
1. Register checkpoint
Start at the physical POS or register that accepted the sale. Confirm the business date, store, register identifier, receipt or sequence number, and transaction or payment reference. Determine whether the register marked the sale complete, whether payment was approved, and whether a receipt was issued. If a register was offline, the local record may be authoritative even though headquarters has no row yet.
2. Offline or pending-queue checkpoint
Inspect the register’s pending, delayed, or offline queue. Connectivity interruptions can stop posting to a back-office system while data remains in register memory. Lightspeed documents Pending Queue and Delayed Queue diagnostics for this situation, and Salesforce documents that offline orders synchronize after the POS returns online. A queued item is delayed work, not proof of a lost sale.

If the register has a completed record but the central system does not, inspect the connector, webhook, batch, or channel synchronization job. Check the item’s attempt count, last error, response code, and next retry time. In Microsoft Dynamics 365 Commerce, the documented path for a transaction missing at headquarters includes checking POS-to-headquarters status and running the P-0001 channel transactions job where applicable.
4. Analytics or reporting-store checkpoint
Finally, verify whether the central transaction reached the dataset used by the report. A successful integration response does not guarantee that an extract, warehouse load, transformation, or event-processing step completed. Compare the source transaction reference with the analytics row and inspect ingestion time, processing status, and any deduplication key.
Establish a transaction identity before changing anything
Write down the identifying fields before you retry, merge, or correct a record. SAP’s transaction-gap check uses business date, store ID, POS ID, and transaction sequence number to detect a missing transaction in a register’s sequence. Those fields are useful for locating a sale, but they are not always globally unique across stores or dates.

| Identity field | Why it matters | How to use it |
|---|---|---|
| Business date | Separates trading days from calendar timestamps and supports daily close reconciliation. | Use the POS business date, not only the server or warehouse load date. |
| Store ID | Prevents the same register sequence from being mistaken for a transaction in another location. | Keep it in every source, queue, and analytics record. |
| POS or register ID | Allows sequence-gap checks at the workstation that created the sale. | Use the platform’s stable register identifier, including when hardware is replaced. |
| Receipt or transaction sequence number | Shows ordering and exposes gaps within a register and business date. | Investigate missing numbers, but do not assume every gap is a lost sale until voids and unused numbers are accounted for. |
| Platform transaction ID | Provides the source-system key for joins and replay protection. | Preserve it unchanged through every integration layer. |
| Payment reference or authorization reference | Links a tender attempt to a payment connector and helps recover a payment after a crash. | Use it as the idempotency key for payment retries when the platform supports that flow. |
| Analytics event transaction ID | Allows purchase-event deduplication. | Google Analytics states that a unique transaction ID lets it deduplicate and reconcile data; do not reuse an ID for a separate purchase. |
Store both the source transaction ID and the payment reference. A receipt number alone can collide across stores, registers, or business dates, while a payment reference alone may identify a tender rather than the complete sale.
Check the register and offline queue
Confirm local completion
- Open the register’s transaction history for the business date.
- Search by receipt number and then by the payment reference if the receipt search fails.
- Confirm the final local state: completed, suspended, voided, refunded, or failed.
- Check whether the payment was approved and whether a receipt was printed or otherwise issued.
- Record the queue status and the last attempted upload time.
If the sale is present locally and marked complete, do not ring it again. Restore connectivity according to your POS operating procedure and allow the queue to drain. Capture the queue item’s error text if it remains pending; “offline” and “authentication failed” require different fixes.
When a queue item remains delayed
- Verify that the register has a working network path to the central service.
- Check whether the system clock and business date are correct; an out-of-date clock can place a transaction outside the expected reporting window.
- Look for a full local queue, expired credentials, or a destination that is rejecting the payload.
- Escalate a single repeatedly failing item with its transaction ID, sequence number, and exact error rather than repeatedly pressing “send.”
Salesforce’s offline-order behavior illustrates the intended pattern: the local order is retained and synchronizes when the POS is online again. The important control is durable local storage plus a retry that cannot create a second sale.
Verify the integration and destination
Read the synchronization state
For each suspect transaction, capture the integration attempt ID, send time, response status, and destination acknowledgment. A record can be accepted by an API and still be absent from the report because a downstream batch failed. Conversely, a timeout may hide a successful write.
Run a documented channel job when required
In Dynamics 365 Commerce, Microsoft instructs operators to check whether the POS transaction reached headquarters and, when it has not, to run the P-0001 channel transactions job. Use the equivalent documented channel or replication job for your platform; do not invent a second transaction manually while the original may still be in flight.
Recommended Free Tools
Check transformations and reporting loads
Compare the source payload with the destination row field by field. Confirm that the transaction ID was not truncated, normalized differently, or replaced by an event ID. Check whether the row is in an ingestion, quarantine, or rejected partition. A report filtered to “posted” status can also hide a valid transaction that is still marked pending or requires approval.

Tell a true duplicate from a split tender or correction
Split-tender sales
A transaction-tender export can contain multiple rows for one sale because a customer paid with more than one tender. Lightspeed documents this exact explanation for apparently duplicate rows. Group rows by the sale-level transaction ID and sum the tender amounts before calling them duplicate revenue. Two card and cash rows that add to the receipt total are normally one sale.
Payment succeeded before a POS crash
A register can send an authorization request, receive approval at the payment connector, and crash before displaying the response. If the operator retries without checking the original reference, the customer may be charged twice. Microsoft’s duplicate-payment protection addresses this case by querying the prior transaction reference and recovering the existing payment before sending another request.
Posted, modified, and corrected versions
Some systems retain an original posted version and a modified version. Compare version, status, amendment time, and line-item identifiers. Reconcile the pair according to the platform’s accounting rules instead of deleting one row. The analytics model should identify which version contributes to current totals while preserving both for audit.
A practical duplicate test
- Group records by the stable sale transaction ID.
- Within each group, separate tender rows from sale-level rows.
- Compare payment references, authorization amounts, timestamps, and store/register identity.
- Check whether one record is a void, reversal, refund, or corrected version.
- Only classify two records as duplicate sales when the sale identity, economic amount, and business event are the same and no legitimate status relationship explains both.
Retry safely with idempotency
Idempotency means that sending the same operation again produces one business result, not two charges or two sales. Every retryable operation needs a key that the connector or destination can recognize as already processed.
Choose the key
Use the platform transaction reference for a sale and the payment or authorization reference for a tender when those are the documented replay keys. Do not generate a new random ID on each retry. If the destination supports an explicit idempotency-key header or field, persist it with the attempt record.
Use a read-before-write recovery flow
- Search the destination by the original transaction or payment reference.
- If an approved or completed result exists, link the local record to it and stop retrying.
- If no result exists and the prior attempt is definitively rejected, resend with the same idempotency key.
- If the prior attempt timed out and the connector cannot confirm its state, use the connector’s recovery or inquiry operation before issuing another authorization.
- Log the decision, response, and operator who approved any manual intervention.
Never rely solely on an HTTP timeout to conclude that payment failed. A timeout describes the response path, not necessarily the payment processor’s outcome.

Keep voids and corrections as explicit states
Deleting a voided sale destroys the evidence needed to explain a receipt, cash drawer, tax report, or bank settlement. Retain the original transaction and attach a void, reversal, refund, or correction status with its timestamp and actor.
SAP Customer Activity Repository uses a DISTVOID flag so voided transactions and line items can be excluded from analytics calculations without erasing the audit trail. Your model should provide the same separation: operational history remains complete, while current-sales measures filter out statuses that do not represent collectible revenue.
Minimum status fields
- Sale status: pending, posted, voided, refunded, reversed, or corrected.
- Payment status: authorized, captured, declined, reversed, or unknown.
- Effective version: identifies which corrected version supplies the current analytical value.
- Reason and actor: records why and by whom the state changed.
- Related transaction ID: links a reversal, refund, or correction to the original.
Reconcile POS totals with the Z report and bank deposit
Daily reconciliation is a separate control from fixing an individual row. It proves that the set of transactions, tender totals, and settlement activity agree.
- Freeze the scope. Use one store, business date, and register population. Note whether the Z report is register-level or store-level.
- Extract sale-level totals. Sum posted sales after applying the documented treatment for voids, refunds, discounts, tax, and corrections.
- Rebuild tender totals. Group tender rows by type and include split-tender payments only once in the sale total.
- Compare to the Z report. Investigate sequence gaps, offline receipts, open transactions, and transactions posted after close.
- Compare card and electronic tenders to settlement data. A bank deposit may be net of fees, rolling reserves, chargebacks, or settlement timing; record those reconciling items rather than forcing the POS gross total to equal the bank credit.
- Resolve exceptions by identity. Attach each difference to a receipt, sequence number, payment reference, queue item, or documented adjustment.
- Sign off and retain evidence. Keep the source extracts, exception list, correction references, and approval with the business-date close.
A delayed transaction can legitimately fall outside the day’s central report while still appearing on the register’s Z report. Mark that item as a timing difference and clear it when synchronization completes; do not create a second sale to make the report balance.

Set operational thresholds deliberately
There is no universal POS latency target or duplicate-rate benchmark established by the available authoritative guidance. Set thresholds from your platform’s operating requirements and business process, such as the maximum queue age tolerated before daily close, the time required for headquarters reporting, and the point at which payment support must be called.
Useful alerts
- A register queue item exceeds the agreed age.
- A transaction sequence gap appears for a closed business date.
- Retries increase without a corresponding destination acknowledgment.
- Payment references repeat across supposedly separate sales.
- Analytics ingestion lags central POS while the integration reports success.
- HTTP errors or client-side timeouts exceed the normal pattern for a store or channel.
Choose the right place to fix the problem
| Failure location | Primary evidence | Best corrective action |
|---|---|---|
| Register or local storage | No completed local record, incorrect business date, or failed payment state. | Resolve POS configuration, payment completion, or operator workflow before touching analytics. |
| Offline or pending queue | Completed local sale with an unsent or repeatedly failing queue item. | Restore connectivity or credentials, then drain the durable queue with idempotent retries. |
| Channel integration | Source record exists but headquarters or central POS lacks it. | Inspect the synchronization log and run the platform’s documented channel-transactions job. |
| Payment connector | Timeout or crash occurred after authorization may have succeeded. | Query by the original payment reference and recover the result before any new authorization. |
| Analytics model | Central transaction exists, but the report omits or multiplies it. | Correct joins, event IDs, status filters, or ingestion processing; retain source lineage. |
| Accounting or settlement timing | POS and Z report agree, but bank credit arrives on another date or net amount. | Record settlement, fee, chargeback, and timing adjustments explicitly. |
Platform-specific clues to apply
SAP transaction-gap checks and void flags
SAP describes a transaction gap as a missing number in the sequence recorded at a particular POS workstation, store, and business date. Use that combination to scope the investigation, then account for unused, voided, or corrected numbers. SAP Customer Activity Repository’s DISTVOID approach demonstrates how to exclude voided transactions from calculations while retaining them for audit.
Google Analytics purchase events
For purchase events, provide a unique transaction ID. Google Analytics states that it will deduplicate and reconcile data when that ID is unique. Reusing the same ID for separate purchases can undercount; generating a new ID when retrying the same purchase can overcount.

Check whether the transaction reached headquarters and, for a missing channel transaction, run the P-0001 channel transactions job as documented by Microsoft. For a possible duplicate payment after a POS crash, use the transaction-reference recovery flow before sending another payment request.
Salesforce offline orders
Use the offline-order synchronization status to distinguish a locally retained order from a lost order. If the POS is back online but the order remains unsynchronized, collect the order ID, queue age, and connector error for escalation.
Lightspeed queue and tender diagnostics
Use Pending Queue or Delayed Queue diagnostics for interrupted connectivity. When an export shows multiple tender rows, test whether they belong to one split-tender sale before labeling them duplicate revenue.
A repeatable incident checklist
- Business date, store ID, POS/register ID, receipt or sequence number recorded.
- Source transaction ID and payment reference recorded.
- Local completion and payment outcome confirmed.
- Offline, pending, or delayed queue status captured.
- Integration attempt, response, and destination acknowledgment checked.
- Analytics ingestion and deduplication key verified.
- Split tender, corrected version, void, refund, or reversal ruled in or out.
- Any retry performed with the original idempotency key.
- Void or correction retained as a status with a related transaction.
- Z report, POS totals, tender totals, and settlement differences documented.
- Queue age, latency, timeout, and error alerts reviewed.
Practical operating standard
The durable fix is a lineage and identity discipline: every sale must be traceable from register to queue, synchronization job, destination, and report. Unique transaction and payment references make retries safe; durable offline queues explain delays; tender-level grouping prevents split payments from becoming false duplicates; and explicit void or correction statuses preserve auditability while keeping analytics accurate. Apply those controls at the layer where the failure occurs, and reconcile unresolved timing differences instead of manufacturing replacement sales.
