When an invoice is absent or wrong in your GSTR-2B, do not try to edit the statement or claim credit solely because the purchase appears in your books. Reconcile the document, determine whether the supplier filed after the statement cutoff or reported incorrect details, obtain a correction through the supplier’s permitted return process, and then make a separate statutory eligibility decision.
GSTR-2B is a read-only, static statement generated from supplier filings and specified government feeds. It helps you prepare GSTR-3B, but it is not itself a legal approval of every credit shown and it cannot be repaired by the recipient.

Why is my invoice missing from GSTR-2B?
A missing invoice usually reflects a timing, identification, or supplier-reporting problem. Start by identifying which one applies; each requires a different response.

The supplier filed after the statement cutoff
GSTR-2B is generated for a defined period using information available by the applicable cutoff. If your supplier files GSTR-1, GSTR-1A, or another specified form after that cutoff, the document can flow into the next open GSTR-2B rather than the statement you first checked. A document missing from one period is therefore not automatically a permanent omission.

Check the immediately following open statement before escalating the issue. Portal examples and cutoff dates can change, so treat the cutoff displayed for the relevant period as the operational reference rather than applying an old example date to every month.
The supplier used incorrect invoice details
An invoice can fail to match when the supplier reports a wrong recipient GSTIN, invoice number, invoice date, taxable value, tax amount, document type, or place of supply. Even a small difference can prevent your purchase register from matching the supplier record or can change the tax treatment.
The supplier omitted the document
If the supplier did not include the outward supply in the return mechanism for the period, no corresponding document will be available for your GSTR-2B. Your possession of a tax invoice does not cause the portal to create a supplier record.

Sometimes the invoice appears in GSTR-2B but is marked as unavailable, or it appears available while another statutory restriction applies. The portal itself warns that the “ITC not available” indicator does not represent every possible legal reason for ineligibility. A visual match is therefore only one control in the review.

How GSTR-2B works
The GST Portal defines GSTR-2B as a read-only, static, auto-drafted input-tax-credit statement. It is assembled from supplier-filed GSTR-1/1A and other specified feeds, is used to take appropriate credit in GSTR-3B, and is not filed by the recipient.
The portal’s FAQ, under the question about errors or omissions in supplier-uploaded details, gives this answer: “No, you cannot make any changes or add document to the Form GSTR-2B, in case there are any errors or omission in the details uploaded by your supplier taxpayers?” The practical implication is straightforward: you can investigate and document a discrepancy, but only the supplier can report or correct its outward-supply information through the permitted return process.
How do I fix a GSTR-2B mismatch?
Use the following sequence for every missing, duplicated, or incorrect document. Keep the accounting entry and the portal evidence together so another reviewer can reproduce your conclusion.
- Compare the source records. Put the supplier’s invoice, your purchase register, and the relevant GSTR-2B document details side by side. Check the supplier GSTIN, invoice number, invoice date, taxable value, each tax component, document type, and place of supply. Record exactly which field differs.
- Check the filing period and cutoff. Confirm the period in which the supplier says it filed. If filing occurred after the cutoff for the statement you reviewed, look in the next open GSTR-2B before treating the item as omitted.
- Preserve evidence. Retain the tax invoice, purchase entry, evidence that the goods or services were received, payment records where relevant, the GSTR-2B download or screen record, and your written discrepancy communication. These records support an audit trail; they do not override a statutory condition that is not met.
- Send a precise supplier request. Identify the supplier GSTIN, invoice number and date, the exact field that is missing or wrong, the correct value, and the return period concerned. Ask the supplier to file or amend the outward-supply details using the return mechanism available for that period. Do not ask the supplier to “edit your GSTR-2B”; the supplier must correct its own filing.
- Recheck the next relevant statement. Supplier details accepted after the original cutoff are reflected in the next open GSTR-2B according to the portal’s process. Match the updated document to your register and mark the original exception closed only after checking for duplicates.
- Make a separate eligibility decision. Review the applicable version of section 16, other restrictions, the nature and receipt of the supply, and the return period. Decide whether to claim, defer, reverse, or exclude the credit; do not let an automated match substitute for this legal review.
- Monitor the time limit. Section 16(4) imposes a time limit linked to the financial year of the invoice and the applicable law. The operative wording and deadline can change through amendments, so verify the current CBIC-hosted Act text for the invoice’s period before relying on a specific calendar date.
Reconciliation fields that should agree
| Field | What to compare | Why a difference matters |
|---|---|---|
| Supplier GSTIN | Invoice, purchase register, and GSTR-2B | A wrong recipient GSTIN can route the document to another taxpayer or prevent your match. |
| Invoice number and date | Exact characters, numbering, and date | Differences can create an unmatched or duplicate record. |
| Taxable value | Value before tax | An incorrect value can alter the credit amount and reconciliation result. |
| Tax amounts | IGST, CGST, SGST or UTGST as applicable | Wrong amounts or tax heads can require supplier correction and a fresh eligibility review. |
| Document type | Invoice, credit note, debit note, or other reported type | The document type determines whether it creates, reduces, or changes credit. |
| Place of supply | Reported place against the transaction facts | An incorrect place can affect the tax charged and the credit treatment. |
Delayed filing versus persistent omission
Use the filing timeline to choose between waiting and escalating. The same missing invoice can require different action depending on when the supplier submitted it.

| What you observe | Likely explanation | Next action |
|---|---|---|
| Invoice absent in the current statement, supplier confirms a late filing | Information arrived after that period’s cutoff | Check the next open GSTR-2B and reconcile it before claiming. |
| Invoice absent in current and subsequent statements, supplier confirms no filing | Persistent omission | Send a documented request for filing through the permitted return process and keep the credit under review. |
| Invoice appears with wrong GSTIN, number, date, value, tax, type, or place | Incorrect outward-supply data | Give the supplier the exact correction and recheck the statement after the amended data is accepted. |
| Invoice appears, but portal marks credit unavailable or another restriction is known | Potential substantive ineligibility | Apply the statutory tests; do not rely on a matching document alone. |
What evidence should you keep?
A defensible reconciliation file connects the accounting entry to the actual supply and to the supplier’s reporting history. Keep:
- The original tax invoice and any debit or credit note.
- The purchase-register line showing posting date, supplier GSTIN, values, and tax split.
- Proof that the goods or services were received, such as a goods-receipt record, service-acceptance record, delivery documentation, or another contemporaneous record appropriate to the transaction.
- Payment documentation where it is relevant to your internal control or statutory review.
- The GSTR-2B document view or downloaded statement for the original period and any later period in which the invoice appears.
- The supplier’s confirmation, your email or portal communication, and the requested correction details.
- A reconciliation note stating the conclusion, the person who reviewed it, and the date of the decision.
These items demonstrate a controlled review. They do not permit you to add an invoice to GSTR-2B or bypass a condition in the GST law.
How to ask a supplier to correct its return
Vague requests such as “please fix the GST” create avoidable delays. Send one request per discrepancy or a schedule that identifies every invoice and field.

Do not answer this with a simple yes or no based only on the invoice. Section 16 and related provisions require a separate legal assessment. The CBIC-hosted Act text describes core conditions that include possession of a prescribed document, receipt of the supply, communication of supplier-furnished details, payment of tax to the Government, and filing of the recipient’s return, subject to the wording and restrictions applicable to the period.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsIf the supplier has not furnished the outward-supply details through the relevant reporting channel, the communicated-details condition may not be satisfied. You should normally request the supplier to file or correct the transaction and defer the credit decision until the applicable requirements are met. A purchase entry, payment, or signed invoice is not a substitute for a condition that depends on supplier-furnished information.

The exact legal result can depend on the invoice period, the type of document, subsequent amendments, and other restrictions. Verify the operative text for that period and document why the credit is being claimed, deferred, reversed, or excluded. GSTR-2B is evidence of what the system received; it is not a complete eligibility ruling.
What if the invoice appears after I already claimed credit?
Compare the later statement with your claim register before posting anything again. If the original claim was validly made and the later appearance is the same document, mark it as already claimed so that the new system entry does not produce a duplicate. If the later data changes the tax amount, document type, or eligibility, quantify the difference and follow the applicable correction or reversal process for the return period. Keep the original and revised records together.
How to decide whether to wait, escalate, or exclude the credit
| Decision | Use it when | Control to record |
|---|---|---|
| Wait and recheck | The supplier filed after the cutoff and the next statement is still open. | Supplier filing date, cutoff reviewed, and date scheduled for the next reconciliation. |
| Escalate to supplier | The document is omitted or has a specific incorrect field. | Invoice-level correction request and supplier response. |
| Defer the claim | Required supplier-furnished details are not communicated or statutory facts remain unverified. | Reason for deferral and the event that will trigger a fresh review. |
| Reverse or exclude | The supply fails an applicable condition or restriction, or a later correction reduces the eligible amount. | Legal basis, calculation, return period, and approving reviewer. |
Common mistakes that prolong a mismatch
- Trying to edit GSTR-2B: The recipient cannot add or amend supplier documents in a read-only statement.
- Checking only one month: A late filing can appear in the next open statement, so review subsequent periods.
- Sending an unspecified supplier complaint: Without the invoice number, period, and incorrect field, the supplier cannot reliably correct the record.
- Claiming because the invoice is in the books: Internal posting does not prove supplier communication, receipt, tax payment, or every other statutory requirement.
- Treating a system match as legal approval: GSTR-2B cannot capture every reason credit may be restricted.
- Ignoring tax-head differences: A matching taxable value with the wrong IGST, CGST, SGST, or UTGST can still produce an incorrect claim.
- Failing to check duplicates after correction: The same invoice can appear in a later statement after you have already resolved the exception.
- Waiting beyond the applicable statutory period: A supplier dispute does not suspend the time limit in section 16(4); verify the current deadline for the invoice’s financial year.
Examples of the correct treatment
Example: late supplier filing
You record an April invoice, but it is absent from April’s GSTR-2B. The supplier confirms that the outward supply was filed after April’s cutoff. You retain the invoice and receipt evidence, defer the claim while the next statement is open, and then reconcile the invoice when it appears. You do not create a manual GSTR-2B entry.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Example: wrong recipient GSTIN
The invoice is addressed to your business, but the supplier reported a different GSTIN. The document does not match your GSTR-2B. You send the supplier both GSTINs and the invoice reference, ask for correction through the permitted return process, and wait for the corrected document to flow into a later statement. The original invoice remains in your evidence file, but it is not treated as system-confirmed merely because the paper copy is correct.
Example: incorrect tax amount
The taxable value matches, but the supplier reported a lower IGST amount. You record the exact difference, request correction, and prevent the higher amount in your purchase register from becoming a claim until the legal and portal records support it. After correction, you check that no duplicate or residual amount remains.
Example: document appears but another restriction applies
The invoice is present in GSTR-2B, yet your review identifies a statutory restriction unrelated to supplier reporting. You do not claim simply because the row is visible. You document the restriction and apply the treatment required for that period.
Preventing recurring mismatches
Close each month with a documented reconciliation
- Import or enter the purchase register for the period.
- Download or view the relevant GSTR-2B and match supplier GSTIN, invoice number, date, values, tax, document type, and place of supply.
- Classify exceptions as delayed, omitted, incorrect, duplicate, or potentially ineligible.
- Send supplier requests before the next internal close, with an owner and due date.
- Review the next open statement and update the exception log.
- Obtain a separate approval for the claim decision under the applicable law and deadline.
Use workflow software only as a control aid
GST accounting or reconciliation software can compare a purchase register with supplier-reported records, flag field-level differences, track supplier follow-ups, and prevent duplicate posting. It cannot edit a supplier’s filed return, insert a document into GSTR-2B, or establish that every statutory condition for ITC is satisfied. Treat any automated “matched” status as a workflow result requiring human eligibility review.
