How to Fix GST Registration or Address Mismatches Blocking E-Commerce Listings

If an e-commerce listing is blocked because your GST details do not match, compare the GST certificate with the marketplace account field by field. Correct whichever record is actually wrong: fix a marketplace profile without amending GST, or amend the GST registration first when the government record has changed. After an approved GST amendment, update the marketplace tax profile to match the certificate exactly.

Use the correct correction route first

A GST mismatch normally involves two separate records: the registration maintained on the GST Portal and the tax information stored in your marketplace account. The marketplace may reject a listing when the legal name, trade name, GSTIN or business address differs between those records.

Do not begin by changing both records at once. That can create a second inconsistency and make it harder to prove which information is correct. Download or view your GST registration certificate, open the marketplace tax or business-information page, and compare the fields exactly as displayed.

Mismatch Which record may be wrong First action GST amendment normally needed?
Legal name GST certificate or marketplace profile Use the legal entity name shown on the certificate; correct the marketplace profile if only that field was mistyped. Yes, when the legal name has genuinely changed or the GST record is incorrect.
Trade name Marketplace profile or GST certificate Enter the registered trade name when the platform requests it; do not substitute a brand or storefront name for the legal name. Only if the GST registration particulars themselves changed.
Principal place of business GST certificate or marketplace address Match the complete principal address, including locality, state and PIN code. Yes, when the registered principal address changed or is wrong.
Additional place of business GST record or marketplace address field Check whether the platform is asking for the principal location or an additional registered location. Yes, when an additional-place detail in the GST record changes.
GSTIN Marketplace account or GST record Copy the 15-character GSTIN from the certificate and check that the account is using the correct state registration. Not for a marketplace typing error; investigate if the government record itself is wrong.

The GST Portal distinguishes a legal name from a trade name and defines the principal place of business as the primary business location in the State. Its registration guidance is available in Apply for Registration Normal Taxpayer. A separate additional place is another registration particular, not an interchangeable label for the principal address.

Understand the names and addresses before editing

Legal name versus trade name

The legal name identifies the person, company, partnership or other entity registered for GST. The trade name is the name under which the business operates, where one is recorded. A shop name, website name or product brand may be useful to customers but is not automatically the legal name.

If the marketplace asks for both fields, put the legal name in the legal-name field and the registered trade name in the trade-name field. If it asks only for the legal name, do not enter the storefront name merely because customers recognize it. The marketplace tax-information guidance for India says seller information should use the legal name, trade name and principal place of business shown on the GST certificate. That guidance appears on the India Marketplace Sellers tax-help page; it is specific to the seller workflow described there, not a guarantee that every retail marketplace uses identical labels.

Principal versus additional place of business

The principal place is the primary business location within the State for that GST registration. An additional place can be a warehouse, branch, office or other separately declared location. A marketplace may request a return address, dispatch address or business address that does not map neatly to the GST fields. Before changing anything, identify whether the rejected field is asking for the registered principal location or an additional location.

Do not treat a marketplace return address as proof that the GST principal place is wrong. If the marketplace requires a different operational address, use the platform’s designated logistics or return-address field where available, while keeping tax information aligned with the GST certificate.

Step 1: Compare every field and save the rejection message

  1. Download the current GST certificate. Record the legal name, trade name, GSTIN, State and complete principal-place address. If additional places are listed, record those separately.
  2. Open the marketplace tax or business-information settings. Capture the exact values currently stored, including punctuation, abbreviations, apartment or unit numbers, locality, district and PIN code.
  3. Copy the exact listing-block message. Save a screenshot or export of the notice and note the date, affected marketplace account and listing or category.
  4. Mark the first point of difference. A missing locality, an extra space in a name, a wrong state registration or a trade name entered as the legal name can trigger different validation paths.
  5. Check whether the difference reflects a real business change. A marketplace employee typing the wrong address does not by itself mean the government registration should be amended.

Keep the certificate and rejection message together. Support teams may ask for both, and the error text can identify a document mismatch rather than a simple spelling problem.

Step 2: Decide whether the GST record itself must change

Only the marketplace profile is wrong

If the GST certificate contains the current and correct particulars and the marketplace account has a typo, an old trade name or an incorrect address entry, correct the marketplace tax profile. Do not file a GST amendment merely to make an incorrectly entered marketplace value look consistent.

The registered particulars have changed

If your legal name, principal address or additional place has genuinely changed, or the GST registration contains an incorrect particular, use the GST amendment process. The Central Board of Indirect Taxes and Customs (CBIC) states that when particulars furnished in the registration application change, the registered person must submit an electronically signed application with documents relating to the change within 15 days. Read the rule on the CBIC GST Registration Rules page.

Legal-name changes and changes to the principal or additional place of business are core particulars that require approval. A filed application is not the same as an approved correction, and the marketplace may continue to validate against the old certificate until the GST record is updated.

Step 3: Amend the GST registration when required

  1. Sign in to the GST Portal using the credentials for the affected registration.
  2. Go to Services → Registration → Amendment of Registration Core-Fields. The GST Portal’s Non-Core Fields guide explains the amendment navigation and field checks.
  3. Select the relevant core field, such as the legal name or principal/additional place of business.
  4. Enter the new particulars exactly as they should appear on the registration certificate. Use the official address rather than a shortened storefront or courier description.
  5. Upload documents that relate to the change. The evidence should connect the applicant, the changed name or address and the effective change date; use the document types the portal requests for your case.
  6. Review the application, digitally sign it using the available electronic-signature method and submit it.
  7. Save the acknowledgement or application reference number and the uploaded-document copies.

The rule’s 15-day window runs from the change in registration particulars. It is not a 15-day promise that a marketplace listing will be restored. The CBIC rules also describe a seven-working-day period for action after clarification or documents in the registration-application process; that period should not be presented as a guaranteed processing time for every amendment or marketplace unblock.

Address-entry checks

The GST Portal checks address components such as locality and PIN-code consistency. A validation warning can mean that the entered components do not fit the portal’s data format; it is not, by itself, evidence that the official GST address is wrong. Recheck the PIN code, State, district, city or town, locality and building details. Correct a genuine data error, but do not invent an address variation simply to bypass a warning.

Step 4: Confirm the approved GST particulars

After the amendment is processed, open the updated registration particulars or certificate and verify the exact legal name, trade name and address. Check that an additional place has not accidentally replaced the principal place, and that the GSTIN remains the registration you intend to use.

Do not assume that submitting the amendment automatically synchronizes a marketplace account. The cited official materials do not establish an automatic data exchange or an immediate change in marketplace validation. Use the approved GST record as the source of truth, then make the marketplace update separately.

Step 5: Update the marketplace tax settings

  1. Open the marketplace’s seller, tax, business-information or registration settings.
  2. Replace the old value with the approved GST particulars. Use the legal name exactly as shown on the certificate, the registered trade name where requested, the correct GSTIN and the relevant principal-place address.
  3. Upload the current GST certificate or other evidence requested by that platform.
  4. Submit the change and note any case number, verification status or requested follow-up.
  5. After the platform accepts the tax information, retry the listing or onboarding action affected by the mismatch.

The India seller tax guidance cited above says to update tax settings when seller tax information changes. Marketplace interfaces and document rules differ, however. A procedure shown for one marketplace should not be assumed to apply to another. For Amazon India seller registration support, use the platform’s Contact Us and Self-Help Resources page. Its business-seller address-help material identifies GST REG-06 as an India address-document option in the relevant workflow, but current account-specific requirements can vary; check the instructions shown in your account at submission time. The help reference is Business Seller Proof of Address.

Documents to keep ready

  • The current GST registration certificate, including the GSTIN and address pages.
  • The approved amendment certificate or updated registration particulars, when an amendment was filed.
  • Documents supporting the name or address change, as requested by the GST Portal.
  • Proof relevant to the marketplace’s business-address verification, such as the GST REG-06 document where that platform accepts it.
  • A screenshot or copied text of the listing-block or verification error.
  • The GST amendment acknowledgement, application reference number and submission date.
  • Marketplace case numbers, replies and dates of each attempted update.

Store documents securely and avoid uploading unrelated personal information. Submit only what the portal or marketplace requests, with sensitive fields visible only when necessary for verification.

What to do when the listing is still blocked

The marketplace rejects the updated certificate

Compare the rejected upload with the certificate currently displayed on the GST Portal. Confirm that the document belongs to the same GSTIN and legal entity, is legible, and shows the address or name the marketplace is validating. Read the rejection wording for a specific field or document requirement rather than repeatedly uploading the same file.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The account has multiple GST registrations

Make sure the GSTIN selected in the marketplace corresponds to the State and business location used for the listing. A valid GSTIN for one State may not satisfy a listing configured for another registration. Do not replace a registration merely because another GSTIN is easier to verify.

The error does not identify a field

Ask marketplace support which exact field or document failed validation. Include the rejection text, listing or account identifier, the GSTIN’s last four characters if the support channel permits, and the date you submitted the corrected information. Request a written explanation of whether the failure concerns the legal name, trade name, principal address, additional address, GSTIN or document format.

There is no universal platform remedy established for an unspecified mismatch. Marketplace support may require an account-specific form, a fresh document upload or a manual review. Follow the instructions for that account rather than applying another platform’s workflow.

Common mistakes that prolong a GST mismatch

  • Using the brand name as the legal name. A customer-facing brand is not automatically the registered entity.
  • Changing GST details for a marketplace typo. Amend the government record only when the registered particulars actually need correction.
  • Confusing a return or warehouse address with the principal place. Confirm which address the tax field requests.
  • Editing several fields at once without evidence. Unrelated changes can trigger additional verification questions.
  • Assuming submission equals approval. Wait for the approved particulars or certificate before treating the GST record as changed.
  • Expecting automatic synchronization. Update the marketplace tax profile after the GST record is corrected.
  • Ignoring locality and PIN-code validation. Resolve the portal’s actual address-data inconsistency instead of changing a correct official address to an inaccurate variation.
  • Deleting the rejection notice. The exact message is often the only clue to the field that failed.

When professional help is worthwhile

A GST practitioner or chartered accountant can be useful when the legal entity has changed, several places of business are involved, supporting evidence is unclear, or the amendment has been rejected. Professional help is optional for a straightforward marketplace typo where the GST certificate is already correct. If you engage someone, retain the filed application, documents and acknowledgement in your own records.

Expected timing and what each period means

Period or event What it means What it does not mean
Within 15 days of a change CBIC’s stated deadline for submitting an electronically signed amendment with documents relating to the change. It is not a deadline for marketplace approval or listing restoration.
Seven working days after clarification or documents A period described in CBIC material for action in the registration-application process. It is not a guaranteed turnaround for every amendment or marketplace review.
After GST amendment submission The application is filed and can be tracked with its reference number. The marketplace is not necessarily synchronized, and the certificate may not yet show the approved change.
After approved particulars appear You have an updated government record to use when changing marketplace tax settings. A listing cannot be guaranteed to unblock without the marketplace’s own verification.

Final checklist before resubmitting a listing

  1. Legal name matches the GST certificate character for character.
  2. Trade name is entered only where the platform requests it.
  3. The GSTIN belongs to the intended State registration.
  4. The marketplace is using the principal address when its tax field requires that address.
  5. Any additional place is identified separately and supported by the relevant record.
  6. An approved GST amendment, not merely a submitted application, is used when the government particulars changed.
  7. The current certificate and requested proof documents are legible and belong to the same entity.
  8. The original rejection text and support case number are retained.

Once the correct source record is identified, the process is straightforward: amend the GST registration only when its particulars changed, wait for the approved record, then make the marketplace tax profile an exact copy of that record. If validation still fails, the remaining issue is platform-specific and should be handled through the marketplace’s support route using the preserved error and documents.
