Save the amount, date, payee, loan reference, confirmation number, and delivery or settlement status. Contact the servicer through a verified channel and request a payment trace. If the servicer failed to accept, credit, apply, or transfer the payment correctly, send a written notice of error to the servicer’s designated address while continuing to make other payments that come due.
For covered notices, federal Regulation X generally requires an acknowledgment within five days (excluding weekends and legal public holidays) and a substantive response within 30 business days, with a possible 15-business-day extension in specified circumstances. The notice also provides a narrow 60-day restriction on adverse credit reporting about the disputed payment; it is not a general pause on your mortgage obligations, collection activity, or foreclosure remedies.

What “not showing” can mean
A payment can disappear from the normal payment-history view for several different reasons. “Sent” at your bank does not necessarily mean “received and credited” by the servicer, and a servicer’s temporary display delay is different from a servicing error. Identify where the payment path broke before deciding what to do next.

| What your records show | Likely issue | Next action |
|---|---|---|
| The bank shows an initiated transfer, but no delivery or settlement confirmation | The payment may still be processing, may have failed validation, or may have been returned. | Ask the payment provider for status, expected delivery date, and a trace or return code. |
| The payment was delivered, but the servicer’s history is blank | A posting delay, misapplied payment, unapplied funds, or account-identification problem. | Ask the servicer to locate the funds and give you a case number. |
| A full installment appears in a bank record, but the servicer says it is short | The amount may have been partial under the loan’s payment requirements, or fees and other amounts may be involved. | Request the servicer’s payment application and suspense-account explanation. |
| The payment was sent to a former servicer after servicing changed | Routing instructions may not have been updated. | Compare the transfer notice with the payment date and ask both servicers to trace it. |
| The servicer says it was applied to another loan or category | The account number, payment coupon, or electronic instructions may have identified the payment incorrectly. | Provide the confirmation and loan reference and request correction in writing. |
The date that matters legally can depend on when the servicer received the payment, the payment method and its written requirements, the loan terms, and applicable law. A bank withdrawal alone is valuable evidence, but it does not by itself establish how the servicer must have applied the money.

Collect the payment-source record
Open the bank, bill-pay, payroll, or payment-app record used to send the installment. Record the date initiated, amount, payee, account or loan reference, confirmation number, and—if listed—the date delivered, settled, or posted to the recipient. Download the statement or confirmation as a PDF and keep the original message or screen capture. A status such as “scheduled,” “pending,” “processed,” “sent,” “delivered,” or “returned” has a different meaning, so preserve the exact wording.
Check whether the payment was pulled by the servicer’s automated debit system or pushed through your bank’s bill-pay service. A bill-pay service may mail a check or use an electronic network, and the date you authorized it may not be the date the servicer received it. Ask the bank which method was used and whether it can provide a trace number, clearing date, or image of a negotiated check.
Compare the servicer’s own records
Sign in using the address you normally use, not a link in an unexpected email. Review the detailed transaction activity, the latest periodic statement, and any section labeled unapplied funds, suspense, partial payment, or other account activity. Mortgage statements include payment applications and dated transaction activity, so compare the statement period with the date your bank says the funds arrived.
Recommended Free Tools
Do not send online-banking credentials, a complete bank account number, or an unredacted statement to an unverified caller or email address. Use the phone number printed on a prior mortgage statement, the address displayed after you sign in, or a verified transfer notice.
Check whether servicing changed
A servicing transfer can make a properly timed payment appear to be missing. Review recent letters, statements, and secure messages for the transfer date, the old servicer’s cutoff date, the new servicer’s start date, and new payment instructions. Compare those dates with the date you authorized and the date the payment was delivered.
Update every payment instruction
- Confirm the new servicer’s name, payment address, website, and electronic-payment instructions from a verified notice or statement.
- Cancel or edit an old automatic debit only after you know when the new instruction becomes effective; an overlapping debit can create a duplicate payment.
- Change bank bill-pay payee information, mailing address, and loan reference.
- Save proof of the change and check the next statement for the expected payment.
If a transfer occurred, contact the old and new servicers with the same payment details. The Consumer Financial Protection Bureau (CFPB) says that, for 60 days after a servicing transfer, a new servicer generally may not treat as late or charge a late fee on a qualifying payment sent to the former servicer on time or within the applicable grace period. That protection is specific to the transfer period; it is not a rule that makes every disputed payment timely.
Ask the servicer to trace the payment
Call the servicer promptly and explain that one identified payment is missing. Give the payment date, amount, method, confirmation or trace number, and loan reference. Ask the representative to check each possible location:

- received but awaiting normal posting;
- rejected and returned to the payment source;
- placed in unapplied or suspense funds;
- applied to principal, escrow, fees, or another category rather than the expected installment;
- assigned to a different loan because of an account-number or transfer problem; or
- sent to the wrong servicer or address.
Ask what date the servicer records as receipt, what payment requirements it applied, and which documents would resolve the mismatch. Request a case or reference number and the department handling the trace. Follow the call with a secure message or letter repeating the facts, so there is a dated record.
Write down the date and time of each contact, the representative’s name or identification, the department, the statements made, and any promised response date. Keep the call log with the bank confirmation and statements rather than relying on memory.
Understand full, partial, and misapplied payments
Full payment
CFPB guidance says a servicer generally must credit a full payment as of the day it comes in. If the payment met the servicer’s written requirements and was received, ask why the account does not show that receipt date and request a corrected payment history.
Partial payment
A payment that is less than the amount required for a full installment can be held in a special account until enough money accumulates for a full payment. It may therefore not appear as a normal posted installment immediately. The periodic statement should disclose relevant payment application or unapplied-funds information. Ask for the exact amount needed to complete the installment and how the servicer will apply the funds.

If the money was received but credited to the wrong loan, payment period, or account category, provide the confirmation and loan-identifying information and request a written correction. Do not assume that a balance change in one screen proves the installment was properly applied; compare the transaction history, statement, principal and escrow entries, and any suspense balance.
When to send a formal notice of error
Use a written notice of error when the evidence suggests the servicer failed to accept a payment that met its written requirements, failed to apply an accepted payment as required, failed to credit it as of receipt, or mishandled information during a servicing transfer. A routine phone complaint can start a trace, but it may not trigger the specific federal response process.
Include the information required to identify the account
Your notice should contain your name, information that enables the servicer to locate the mortgage account, and a clear description of the specific error. State what happened, identify the payment by date and amount, and explain the correction you seek. Attach copies, not irreplaceable originals, of the confirmation and relevant statement.

Use the designated address
Some servicers designate a special address for notices of error or qualified written correspondence. Look on a periodic statement, coupon book, or the servicer’s website for the address and send the notice there. An ordinary payment coupon, an envelope used only for payments, or a general customer-service email may not count as delivery to the required address. Keep the complete notice, attachments, and proof of delivery.

Sample notice
The following wording is a drafting aid. Replace the bracketed fields with your information, include only enough account data to identify the loan, and follow the servicer’s delivery instructions:
I am writing to report an error in the servicing of my mortgage account. My payment of $[amount], sent on [date] by [method] with confirmation/reference [number], is not shown or has not been credited correctly. Please investigate whether the payment was received, where it was applied or held, and correct the account if an error occurred. My name is [name], and the loan account can be identified by [account information]. Please send your response to [mailing address].
Describe one or more specific servicing errors rather than making a general demand for an explanation. If a transfer is involved, identify the former and current servicer, the transfer date stated in the notice, and where the payment was sent.
Know the response deadlines
For a qualifying written notice, Regulation X generally sets the following process:
| Stage | General rule | What you should do |
|---|---|---|
| Acknowledgment | The servicer generally must acknowledge receipt within five days, excluding Saturdays, Sundays, and legal public holidays. | Save the acknowledgment and note the date it was received. |
| Investigation and response | The servicer generally has 30 business days to investigate and either correct the error or explain why it believes no error occurred. | Keep paying other installments and preserve any additional evidence requested. |
| Possible extension | For specified notices, the servicer may take up to 15 additional business days if it gives advance notice and the reason for the extension. | Record the stated reason and the revised response date. |
| Early correction | In some circumstances, the servicer can correct the asserted error and notify you in writing within five days. | Check the corrected statement and payment history rather than closing the case solely because a message arrived. |
The servicer cannot charge a fee or require you to make a payment as a condition of responding to the notice. That procedural rule does not cancel the mortgage contract or eliminate the obligation to make later installments that come due.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsKeep paying while the dispute is open
Continue making payments due after the disputed installment according to the loan terms, unless a qualified professional advising you on your specific case tells you otherwise. A notice of error is not a payment-forbearance agreement. If the disputed amount is still shown as due, ask the servicer how to submit later payments so they are not diverted or rejected, and keep proof of every payment.
If the mortgage is becoming unaffordable, contact the servicer’s loss-mitigation department promptly and ask about available assistance. Do not assume that a posting dispute automatically pauses late charges, collection activity, or foreclosure procedures.

Understand the 60-day credit-reporting protection
After the servicer receives a qualifying notice of error, it generally may not furnish adverse information to a consumer reporting agency about the payment that is the subject of the notice for 60 days. The protection is narrow. It does not guarantee that a credit score will not change, prevent reporting about unrelated payments, or stop every collection or foreclosure remedy. Federal rules preserve remedies in many circumstances, including foreclosure rights.
Keep the delivery proof because the start of the period depends on the servicer’s receipt of the notice. If adverse information about the disputed payment appears during the protected period, include the notice, receipt evidence, and the credit-report entry in your written follow-up. Do not stop making other scheduled payments merely because this protection exists.
Escalate a missing response or unresolved error
Recognize warning signs
CFPB guidance identifies more than five days without an acknowledgment and more than 30 days without further communication after an acknowledgment as possible red flags. An unexplained extension, a response that ignores the payment evidence, continued late charges, or a payment history that remains wrong also warrants follow-up.
Make a complaint to the CFPB
As described by the CFPB, you can submit a mortgage-servicing complaint online or call 855-411-CFPB (2372). Provide a concise chronology, the payment confirmation, the notice of error, delivery proof, statements, case numbers, and the servicer’s responses. Keep copies of everything submitted.
Address a transfer with both servicers
For a servicing-transfer problem, the CFPB indicates that a borrower may send an information request or notice of error to both the old and new servicers. Identify the same payment and transfer dates in each submission and ask each company to state whether it received, forwarded, returned, or credited the funds.
Get time-sensitive professional help
If you have a foreclosure notice, an imminent deadline, continuing late charges, or a threatened credit consequence, promptly contact a HUD-approved housing counselor or a qualified attorney. The correct remedy can depend on your state, loan type, contract language, evidence of receipt, and procedural posture, so no general checklist can determine the deadline in an individual case.
A decision path for common outcomes
The payment is still pending at the bank
Obtain the expected delivery date and a trace number. Do not send a duplicate payment until you know whether the first one will settle; ask the servicer how to avoid a returned or duplicate transaction. Recheck the account after the stated delivery window.

The bank confirms delivery and the servicer cannot locate it
Send the confirmation and settlement evidence through the servicer’s secure channel, request a trace, and consider a notice of error if the servicer does not correct or explain the account. State the receipt date shown by the payment provider and ask the servicer to verify its lockbox, electronic-payment, suspense, and transfer records.
The servicer found the money in suspense
Ask why it was treated as partial, what amount completes a full installment, whether the statement discloses the holding, and when the funds will be applied. If your payment met the written full-payment requirement, explain that distinction in writing and request correction.
The payment went to the former servicer
Send the former servicer the confirmation and ask it to forward or return the funds under its transfer procedures. Notify the new servicer as well. Compare the payment date with the transfer notice and the 60-day transfer protection, and update future payment instructions.
The servicer says the payment was applied correctly
Request the transaction-level application, including principal, interest, escrow, fees, suspense, and the payment date used. Compare it with the loan statement and your confirmation. If the explanation does not address the specific error, send a written notice to the designated address.
Build a complete paper trail
- Save the bank or bill-pay confirmation and the statement showing withdrawal or settlement.
- Keep the mortgage statement, transaction history, and screenshots showing the missing payment.
- Record every call, secure message, letter, case number, and promised deadline.
- Retain a copy of the notice of error, all attachments, mailing receipt, delivery confirmation, and acknowledgment.
- Store responses and corrected statements in date order so the payment history can be reconstructed.
Redact unrelated transactions and sensitive credentials before sharing documents, but leave the payment date, amount, payee, account reference, and status visible. Never send a password or one-time security code to a person who contacts you unexpectedly.
Prevent the next posting problem
After the account is corrected, verify that the next statement shows the expected payment date, principal and interest allocation, escrow changes, and any removed late charge. Calendar the due date and the servicer’s grace-period deadline, and review the account after every automatic debit. When a servicing transfer is announced, read the notice immediately and change bill-pay instructions before the first payment to the new servicer.
Keep the payment method’s confirmation until the corresponding mortgage statement is available. If the servicer changes its website, address, or payment processor, verify the change through a prior statement or independently obtained customer-service number rather than relying on an unsolicited message.
What this process cannot decide
The federal guidance summarized here is U.S.-specific consumer information. It does not determine whether a particular payment was legally timely, whether a loan is covered by a particular rule, or what state-law remedy or foreclosure deadline applies. Those questions depend on the loan documents, payment channel, receipt evidence, servicing history, and the facts of the account. Use the records and deadlines above to create a clear dispute file, then obtain individualized housing or legal advice when the consequences are urgent.
