How to File GST Returns and Avoid Common Errors (India)

By TheFinanceBase Team 12 min read

For a regular Indian GST taxpayer, the safest sequence is: confirm the return and period on the GST Portal, reconcile sales records, prepare and file GSTR-1, check the read-only GSTR-2B against purchase records, then complete and file GSTR-3B. File a nil return when the rules require one, and use GSTR-1A promptly if a same-period record was missed or reported incorrectly.

This guide covers the common workflow for regular and casual taxpayers making outward supplies. Composition taxpayers and other specialised categories can have different forms, frequencies and rules, so confirm the obligations shown for your GSTIN and period on the portal before using these steps.

Know what each GST return does

GSTR-1 and GSTR-3B are separate filings. Treating one as a substitute for the other is a common source of omissions.

Form or statement What it contains What you can do with it Timing or status
GSTR-1 Details of outward supplies, including invoice-level records for registered recipients, specified large inter-state supplies to unregistered recipients, exports, advances, amendments, exempt, nil-rated and non-GST supplies, plus HSN/SAC summaries Enter online, upload through the Returns Offline Tool, or prepare through supported ASP software using a GSP Filed monthly or quarterly according to the taxpayer’s applicable frequency; a nil GSTR-1 is still required for a no-activity period under portal guidance
GSTR-1A Same-period additions or amendments to records already reported or omitted in GSTR-1 Optional correction facility; it is not a replacement for reviewing the original return Available after GSTR-1 filing or its due date, whichever is later, and before GSTR-3B for that period, subject to portal availability rules
GSTR-2B Auto-drafted input-tax-credit statement based on supplier and ISD reports and import data Read and reconcile against books; the recipient cannot edit it or add documents Static statement used as one input to the GSTR-3B review
GSTR-3B Summary reporting of tax liabilities and input-tax-credit claims Review the populated figures, make permitted entries and file using the authorised method shown on the portal Filed separately from GSTR-1; previous-return status can affect whether a later period can be filed

GSTR-2B is not a return that you submit. The GST Portal describes it as an auto-drafted, read-only statement generated from supplier Form GSTR-1/1A and Form GSTR-5 information, Form GSTR-6 input-tax-credit information and import data. It is evidence to investigate, not an automatic permission to claim every line.

Start with the correct period, frequency and deadline

Use the Returns Dashboard instead of a remembered date

  1. Sign in to the GST Portal.
  2. Open Services > Returns > Returns Dashboard.
  3. Select the relevant financial year and return period.
  4. Read the filing tiles, due dates and any prerequisite-return message shown for your GSTIN.

Filing frequency, forms and extensions vary by taxpayer category and notification. The dashboard for the live period is more reliable than a calendar date copied from an earlier year.

Standard GSTR-1 dates shown in portal guidance

For the ordinary schedule described by the GST Portal, monthly filers have a GSTR-1 due date on the 11th of the succeeding month. Quarterly filers have a due date on the 13th of the month after the quarter ends. Government notification can extend either date. For illustration only, the portal gives January 2021 as due on 11 February 2021 and January–March 2021 as due on 13 April 2021; those historical examples are not deadlines for a current period.

The portal guidance describes quarterly filing as subject to turnover and other eligibility conditions, including a stated Rs. 5 crore preceding-year/current-year threshold test. Check the current scheme conditions for your GSTIN before choosing quarterly filing; do not infer eligibility from turnover alone if the dashboard shows a different obligation.

Choice Portal schedule in the cited guidance What to verify before relying on it
Monthly GSTR-1 11th of the succeeding month Whether an extension or category-specific rule changes the live-period date
Quarterly GSTR-1 13th of the month after the quarter ends Eligibility, turnover conditions, scheme rules and any notified extension

Prepare your records before opening GSTR-1

Build a complete outward-supply register

Start with the sales register and accounting records for the exact return period. Include original invoices, credit notes, debit notes, advances, exports, amendments and supplies that are exempt, nil-rated or outside GST. Separate registered-customer transactions from the categories of inter-state supplies to unregistered recipients that the form asks for.

For every document, check the recipient GSTIN, invoice date and number, place of supply, taxable value, tax rate and tax amounts. The portal advises checking that the recipient GSTIN was valid on the invoice date; an invalid status can cause validation failure. A GSTIN that is valid today is not necessarily valid for an older invoice date.

Classify the supply before entering it

  • Confirm whether the transaction is intra-state or inter-state using the applicable place-of-supply facts.
  • Identify exports, advances, exempt supplies, nil-rated supplies and non-GST supplies separately rather than placing them in a residual category.
  • Match each credit or debit note to the original transaction and use the appropriate amendment function when changing an earlier document.
  • Prepare the required HSN or SAC summary from the same source data used for invoice-level entries.

Check arithmetic and decimal precision

The portal guidance states that invoice value, taxable value and tax amounts are declared to two decimal digits. Round consistently in your accounting records and upload file. A return can appear close to the books while still failing a table-total check because values were rounded differently at line and summary level.

Choose a preparation route that leaves an audit trail

The portal supports three practical approaches. Your transaction volume and the quality of your source records should determine the choice, not a desire to bypass review.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Preparation route Useful when Control to keep
Online entry on the GST Portal The period has a manageable number of documents and you want to review each record in the portal Save the draft, download or inspect validation results, and compare the portal summary with the sales register
Returns Offline Tool upload You have many invoices or a structured spreadsheet-style source and want to validate before uploading Preserve the source file, generated JSON or upload file, and any error file so each correction is traceable
ASP software through a GSP Your accounting process already produces GST data through supported third-party software Confirm that the software’s output maps to the current portal tables and retain the software export plus portal acknowledgement

Uploading data does not file the return. Invoice data remains in draft until you complete the portal’s review and filing steps.

Step-by-step: file GSTR-1

1. Select the correct return tile

From the Returns Dashboard, open the GSTR-1 tile for the selected period. Verify the GSTIN, legal name, financial year, month or quarter and filing frequency before entering anything. A correct return in the wrong period is still wrong and may require a later amendment.

2. Enter or upload the outward-supply data

Use the portal’s online tables, the Returns Offline Tool or supported ASP/GSP software. Enter registered-recipient invoices at the level requested by the form. Add the specified large inter-state unregistered supplies, exports, advances, amendments, exempt or nil-rated supplies and HSN/SAC totals that apply to your period.

For uploads, open the generated validation or error file rather than assuming that a successful file transfer means every record was accepted. Correct the source data and upload again when the file identifies a GSTIN, document, classification or arithmetic error.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Review the draft summary

Compare every table with the invoice register and ledger before using the file button. At minimum, check:

  • Missing invoices and duplicate invoice numbers.
  • Credit and debit notes, including their links to original documents.
  • Wrong tax period, place of supply or registered/unregistered classification.
  • Recipient GSTIN spelling and status on the invoice date.
  • Taxable value, tax rate, integrated/central/state tax amounts and invoice value.
  • HSN/SAC quantities or values and their totals against the underlying invoices.
  • Two-decimal rounding and table totals that do not reconcile.

The portal can display validation warnings when table totals do not align. Resolve warnings and errors where the underlying data is wrong; do not simply proceed because the portal permits a draft to remain open.

4. File by the live due date

After the draft passes your checks, complete the portal’s filing and authorised-signature process. Download or retain the filed return and acknowledgement for your records. Keep the source register, upload file, error file, final summary and acknowledgement together so a later reconciliation can start from the exact data that was submitted.

Use GSTR-1A when a same-period correction is still open

GSTR-1A is an optional portal facility for adding missed records or amending records for the same tax period. The portal describes it as becoming available after GSTR-1 has been filed or after the GSTR-1 due date, whichever is later. It must be used before GSTR-3B for that period, and the availability rules shown for your period control.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Recheck the filed GSTR-1 and identify the exact missing or incorrect document.
  2. Open GSTR-1A when the portal makes it available for that period.
  3. Enter the amendment or addition with the same document, recipient and tax-detail checks used for the original return.
  4. Review the revised summary before filing GSTR-1A.
  5. Complete GSTR-3B only after the correction’s effect on liabilities has been considered.

Changes made through GSTR-1A flow to the supplier’s GSTR-3B. The recipient’s input-tax-credit data for GSTR-1A is reflected in the next applicable GSTR-2B period, so a recipient should not expect an instant edit to the already generated statement.

The portal also describes a cutoff for correcting records from a prior financial year. Because that rule can be amended, verify the current cutoff and any later notification before relying on it.

Reconcile GSTR-2B before preparing GSTR-3B

Understand what GSTR-2B can and cannot tell you

GSTR-2B is read-only and static for the relevant statement period. You cannot add a document or change a supplier’s entry from the recipient side. If an invoice is missing or wrong, contact the supplier and ask the supplier to correct the relevant filing; monitor the next statement that should reflect the change.

Run a three-way reconciliation

  1. Export or view GSTR-2B for the period.
  2. Match each document to the purchase register and the underlying invoice or import record.
  3. Investigate unmatched, duplicated, amended, reversed and reverse-charge items.
  4. Separate credits that appear in the statement from credits that satisfy all applicable legal and factual conditions.
  5. Record the amount to claim, defer or reverse in the working papers used to prepare GSTR-3B.

Do not claim every GSTR-2B line automatically. The statement confirms what was reported into the system, but the portal instructs taxpayers to self-assess other input-tax-credit restrictions. A line appearing once in GSTR-2B does not remove the need to check the invoice, business use, timing, reversals and other applicable conditions. Make sure the same document is not claimed twice, especially after an amendment or a late supplier correction. Account separately for reverse-charge tax rather than treating it as ordinary supplier-reported credit.

Complete and verify GSTR-3B

Open GSTR-3B for the same period only after the GSTR-1 and GSTR-2B checks are complete. Review any auto-populated values against the books and applicable rules. System population reduces typing; it does not replace taxpayer review.

  • Compare outward-liability figures with the final GSTR-1 and sales ledger.
  • Compare input-tax-credit figures with the documented GSTR-2B reconciliation, including amounts deferred or reversed.
  • Check reverse-charge liabilities and the corresponding treatment in the working papers.
  • Investigate unexpected differences rather than forcing the books to match a prefilled value.
  • Confirm that an earlier-period filing block or outstanding return is not preventing submission.

Use the authorised filing method displayed on the portal, then download or retain the filed GSTR-3B and acknowledgement with the period’s records.

Nil returns: no activity does not always mean no filing

Nil GSTR-1

The GST Portal guidance requires a nil GSTR-1 for a period with no business activity. “Nothing happened” is therefore not a reason to skip the return tile. Check the dashboard, select the nil option where offered and complete the filing confirmation by the applicable deadline.

Nil GSTR-3B has additional conditions

A nil GSTR-3B is not available merely because there were no sales. The portal guide says nil treatment requires all of the following:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • No auto-populated data from GSTR-1 or the Invoice Furnishing Facility, where applicable.
  • No auto-populated data from GSTR-2B.
  • No manual entries in the return.
  • No outstanding interest or late-fee liability.

If any of those conditions is not met, review the populated return and the applicable liability instead of selecting nil by assumption.

Common errors and precise fixes

Skipping a return because there were no sales

Why it happens: The taxpayer treats a return as a transaction report rather than a filing obligation.

Fix: Open the current-period dashboard and file the required nil GSTR-1. Apply the separate, stricter nil checks before attempting nil GSTR-3B.

Using a remembered deadline or wrong frequency

Why it happens: Monthly and quarterly dates are confused, or a historical example is reused after a notification changes the date.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: Confirm the frequency, due date and any extension on the selected period’s Returns Dashboard. The ordinary guidance is 11th for monthly GSTR-1 and 13th after quarter end for quarterly GSTR-1, but the live dashboard controls.

Entering an invalid recipient GSTIN

Why it happens: A digit is mistyped, the recipient changed status, or the status was checked only today.

Fix: Verify the GSTIN and its status on the invoice date, correct the source record and regenerate the upload or online entry. Do not rely on a current status for a historical invoice.

Omitting, duplicating or misclassifying invoices

Why it happens: The sales register, credit-note register and return file were prepared separately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: Reconcile the complete invoice register to the draft table-by-table. Match credit and debit notes to their originals and check exports, advances, exempt, nil-rated, non-GST and unregistered inter-state categories before filing.

Ignoring validation warnings and HSN/SAC differences

Why it happens: The summary looks close enough even though invoice-level rounding or classification does not tie out.

Fix: Open the validation or error file, correct the underlying records, regenerate the summary and confirm that taxable value, tax and HSN/SAC totals reconcile to two decimal digits.

Claiming every GSTR-2B line

Why it happens: A populated statement is mistaken for an eligibility certificate.

Fix: Match each line to purchase records and the underlying document, remove duplicates, reverse amounts when required and self-assess all other eligibility restrictions before using the figure in GSTR-3B.

Trying to edit GSTR-2B

Why it happens: The recipient sees a missing or incorrect supplier entry and looks for an edit button.

Fix: There is no recipient-side amendment. Ask the supplier to correct its filing and monitor the next applicable statement; retain correspondence and reconciliation notes.

Filing a later period while a prerequisite return is outstanding

Why it happens: A taxpayer assumes the portal will accept periods independently.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: Read the dashboard’s filing-block message, identify the outstanding GSTR-1 or GSTR-3B and clear the required earlier period before attempting the later return.

A practical filing-day control list

  • GSTIN, legal name, financial year and return period match the dashboard.
  • Monthly or quarterly frequency is confirmed for this GSTIN.
  • Sales invoices, exports, advances, credit notes, debit notes and amendments are complete.
  • Recipient GSTINs were checked for validity on the invoice dates.
  • Place of supply and registered, unregistered, exempt, nil-rated and non-GST classifications are correct.
  • Invoice value, taxable value and tax amounts use the required two-decimal format.
  • HSN/SAC summaries reconcile to the invoice data.
  • Upload validation and error files were reviewed, and warnings were resolved or understood.
  • GSTR-1 was filed, not merely uploaded as a draft.
  • GSTR-1A was considered when a same-period addition or amendment was needed and the facility was available.
  • GSTR-2B was matched to purchase records, duplicates removed and ineligible credit deferred or reversed.
  • GSTR-3B auto-populated values were checked against books and the reconciliation.
  • Nil conditions were tested rather than assumed.
  • Filed returns, acknowledgements, source registers and correction evidence were retained.

What this workflow does not decide for you

This process explains the common portal mechanics; it does not determine an individual’s tax position. The correct form, frequency, place-of-supply treatment, input-tax-credit eligibility, correction deadline and extension can depend on the taxpayer category, transaction facts, tax period and later notifications. When the dashboard or current rule differs from a general example in this guide, follow the live portal information and obtain professional advice for a fact-specific issue.
