A visa denial does not automatically entitle you to a travel-insurance payout. You can claim only if your policy expressly covers visa refusal or covers the particular event under its cancellation wording. Start by checking the policy schedule and full wording, then contact the insurer or claims administrator promptly. Preserve the formal refusal notice, booking and payment records, cancellation confirmations, receipts, and written evidence of any refund offered or refused by airlines, hotels, agents, or other providers.
Keep two possible remedies separate: a refund of the insurance premium is not the same as reimbursement for flights, accommodation, visa fees, or other canceled-trip expenses.

First determine what kind of refund you may have
People often ask, “My visa was denied. Can I get a refund?” There are at least two different questions behind that wording:
- Can the insurer reimburse trip losses? This depends on a covered cancellation benefit and may include only specified, nonrecoverable expenses.
- Can the insurer return the policy premium? Some providers have a separate visa-refusal premium-refund process. That normally returns the insurance cost, not the price of your flights, hotel, or visa application.
A general travel-insurance policy, a trip-cancellation limit, or the fact that your trip became impossible does not by itself make visa refusal a covered reason. The policy must identify visa refusal as a covered event or cover the underlying circumstances in a way that applies to your case.

Examples showing why the distinction matters
| Product or source example | What it may establish | What it does not establish |
|---|---|---|
| Traveloka Visa Protection wording (2025 example) | When the benefit is included and its conditions are met, specified visa-application fees and nonrefundable airline-ticket costs may be reimbursed. | It is not a universal rule for other insurers, countries, or policies. Its exclusions, limits, and timing requirements apply only to that wording. |
| AXA Schengen provider information | A qualifying refusal may permit a refund of the insurance premium, subject to that provider’s documentation and policy conditions. | A premium refund is not proof that flights, hotels, visa fees, or other trip costs are insured. |
| Visa card trip-cancellation documentation | A card benefit may require evidence of card-charged travel costs, nonrecoverable prepaid costs, and the reason for cancellation. | Eligibility and coverage depend on the particular card’s terms, activation requirements, and governing documents. |
| Ordinary trip-cancellation wording | It may cover listed causes such as illness or another named event. | A cancellation limit alone does not add visa refusal to the list of covered causes. |
Audit your policy before canceling anything
Download the policy schedule, certificate, wording, endorsements, and any benefit guide supplied with a card or booking. Search the documents for the following terms:
visa refusalorvisa denialtrip cancellationandtrip interruptionnon-refundable,nonrecoverable, orprepaidclaim,notice, and the claims administrator’s contact detailsexclusion,deductible,excess, andlimit
Record the answers to these questions before you submit a claim:
- Is the person whose visa was refused an insured traveler?
- Were the relevant dates and destination within the policy period and territory?
- Does the wording specifically list visa refusal, or does another covered circumstance apply?
- Which costs are eligible: visa fees, air tickets, accommodation, tours, transport, or only certain items?
- What is the maximum benefit, sublimit, excess, or deductible?
- Did the policy require purchase before a visa application, before booking, or within a specified period?
- Is there a timing condition between the refusal and the scheduled departure?
- Does the policy pay only after another provider has refused a refund?
- What notice deadline and submission method apply?
Do not infer an answer from a sales page or a brief certificate. The full wording and any endorsement control. If the documents conflict, ask the insurer to identify the operative clause in writing.

Obtain the official refusal evidence
Ask the consulate, embassy, visa center, or immigration authority for the formal refusal letter or decision notice. Keep every page, attachment, envelope, email, and electronic record. The document should identify the applicant, application or reference number, decision date, and stated reason.
For a Schengen application, the EU Visa Code provides for communicating a refusal and its reasons on a standard form. It also provides an appeal right under the national law of the Member State that made the decision. The refusal form helps you understand the appeal route and gives an insurer evidence of the event. An appeal right does not itself create an insurance entitlement, and filing an appeal does not automatically extend a claim deadline.

If the authority gave only an online status, download a dated copy and ask whether a signed or standardized notice is available. Translate documents only as the insurer requests; retain the original-language version and the translation. Never alter a refusal notice or omit an unfavorable page.
Stop the loss and document every attempted refund
Most cancellation benefits are designed to cover losses that cannot be recovered elsewhere. Before claiming, contact each airline, accommodation provider, tour operator, booking agent, and transport company. Ask specifically about:
Recommended Free Tools
- a cash refund;
- a credit, voucher, or date change;
- taxes and government charges that can be returned;
- cancellation fees and the deadline to avoid additional charges; and
- whether the provider will issue a written “nonrefundable” or “no refund” decision.
Keep booking references, fare rules, cancellation screens, emails, chat transcripts, and confirmation of the date you canceled. If a provider offers a partial refund or credit, disclose it. Claiming the full original price after receiving money or a usable credit can lead to a reduction, rejection, or allegation of misrepresentation.
Do not cancel a booking blindly if the policy requires prior authorization or if a refundable cancellation option is available. Call the insurer or administrator and ask what action is required to minimize the loss. Follow the provider’s instruction, then preserve the instruction and the name of the person who gave it.

Identity and policy records
- Policy or certificate number and the full schedule.
- Insured traveler names, contact details, and identification requested by the administrator.
- Proof that the policy was active for the booking and travel dates.
- For card coverage, the card statement showing the required travel purchase and evidence that the traveler met the card’s eligibility conditions.
Visa records
- The official refusal letter or standardized refusal form.
- Visa application receipt, appointment confirmation, and correspondence with the authority if requested.
- Receipts for visa application fees and evidence of payment.
- Any document showing the refusal date and the stated ground.
Trip and payment records
- Airline tickets, fare conditions, hotel or rental confirmations, tours, rail tickets, and other prepaid arrangements.
- Invoices, receipts, bank or card statements, and payment confirmations linking each expense to the insured traveler.
- Proof of the amount that was refundable, refunded, credited, or retained by each provider.
- Cancellation confirmations and correspondence showing when and why each reservation was canceled.
Claim administration records
- The completed claim form and a concise chronology of application, refusal, cancellation, and refund requests.
- The claim reference number, submission receipt, uploaded-file list, and copies of every email.
- Any additional evidence requested by the administrator, including certified copies or translations.
Scan documents clearly, name files consistently, and keep originals unless the administrator specifically asks for them. A Visa card benefit example asks for card-charged travel costs, proof of nonrecoverable prepaid expenses, and independent documentation of the cancellation cause; other products may require more or less.
File the claim step by step
- Check the covered event and limits. Confirm that visa refusal is listed or that another covered cause applies. Note eligible expense categories, sublimits, excesses, timing rules, and exclusions.
- Obtain the refusal decision. Secure the formal notice and reasons before submitting. If the authority has not issued a document, ask the insurer whether a portal record is acceptable.
- Notify the insurer or administrator promptly. Use the claims phone number, portal, or email in the policy. Ask for the filing deadline, required form, document format, whether originals are needed, and whether prior approval was required before cancellation.
- Request refunds from every supplier. Cancel according to the supplier’s rules and obtain written confirmation of all refunds, credits, fees, and amounts that remain unrecoverable.
- Complete the form truthfully. State the refusal date and reason exactly as shown. List each expense separately, identify any refund or credit, and explain any discrepancy between the amount paid and amount claimed.
- Upload or send the evidence. Include the policy number, refusal notice, receipts, payment proof, booking documents, cancellation confirmations, supplier responses, and any card-eligibility evidence.
- Keep a complete copy. Save the final form, attachments, transmission receipt, claim number, and notes of telephone calls. Record the date by which the administrator said it would respond.
- Answer follow-up requests quickly. If a document is unavailable, explain why and provide the closest independent evidence. Do not ignore a request while waiting for an appeal or another provider’s response.
New Zealand’s Consumer Protection guidance advises contacting the insurer as soon as possible and retaining receipts and claim documents. That is a sound general practice, but it does not replace the deadline in your own policy. Deadlines and complaint procedures vary by country, insurer, product, and edition.
Which losses might be covered?
The policy wording—not the fact of refusal—determines the payable amount. Use this framework when reading the benefit table.
| Expense | Evidence normally relevant | Questions to resolve |
|---|---|---|
| Visa application fee | Authority receipt and payment confirmation. | Is the fee expressly covered, and is it subject to a separate sublimit? |
| Airline ticket | Ticket, fare rules, cancellation record, and proof of the amount not refunded. | Does the benefit cover only nonrefundable fares, and are taxes or credits deducted? |
| Accommodation | Booking invoice, cancellation terms, and supplier response. | Is lodging included, or does the wording mention airline tickets only? |
| Tours, rail, car hire, or other prepaid services | Contract, receipt, cancellation terms, and unrecovered amount. | Are these categories listed, and does a maximum per traveler apply? |
| Insurance premium | Policy purchase receipt and refusal notice. | Is there a separate premium-refund clause, and does it exclude visa fees or transaction charges? |
AXA Schengen’s example describes a premium refund in a qualifying refusal case while excluding visa fees and currency or transaction charges. Traveloka’s example instead describes specified visa fees and nonrefundable airline-ticket costs when its visa-denial benefit is included. Those contrasting remedies illustrate why you must identify the exact benefit rather than claim every trip expense under “travel insurance.”
Read exclusions and timing conditions closely
Visa-denial wording can impose conditions that are easy to miss. In the Traveloka Visa Protection example, the benefit requires meeting visa-application requirements, proof of the refusal, receipts for visa fees, proof that the ticket is nonrefundable, and a refusal within 90 days before scheduled departure. The same example excludes certain refusals connected with failing to submit required documents or failing to meet authority requirements.

That 90-day period is a term of that 2025 example, not an industry-wide deadline. Another policy may use a different period, require purchase before the visa application, exclude particular refusal reasons, or cover only one type of expense. Read definitions such as “visa,” “refusal,” “nonrefundable,” “pre-existing condition,” and “reasonable care,” because a condition hidden in a definition can change the result.
Common issues to check include:
- an incomplete application or missing document;
- failure to satisfy the destination authority’s stated requirements;
- an application made after the policy’s permitted date;
- a refusal received outside the policy’s specified window before departure;
- expenses that another provider refunded or credited;
- fees, currency conversion costs, or transaction charges excluded by the wording; and
- failure to notify the administrator or cancel promptly.
Special considerations for card-based coverage
If the protection came with a payment card rather than a standalone policy, locate the card’s current benefits guide and eligibility rules. Coverage may require that the entire fare, a specified portion of the trip, or taxes and fees were charged to the eligible card. The claims administrator may request card statements, ticket proof, nonrecoverable-expense substantiation, and independent documentation of the cancellation reason.
Do not assume that a card’s general “trip cancellation” heading covers a refused visa. Verify the named causes, who is insured, activation requirements, maximum amounts, and whether the card issuer or a separate administrator handles claims. The card document governs even if a travel agent described the benefit more broadly.
If the insurer asks questions or declines the claim
Respond in writing and keep the tone factual. Provide the requested document, explain any unavailable item, and identify the policy clause you believe applies. If the insurer declines or reduces payment, request:
- the written decision;
- the exact exclusion, definition, or condition relied on;
- the evidence the decision-maker considered; and
- the calculation showing refunds, credits, excesses, sublimits, or deductions.
Then use the insurer’s internal complaint or reconsideration process within its stated time limit. If the response remains unsatisfactory, consult the ombudsman, financial-dispute service, regulator, or court route available in the country governing the policy. The correct escalation body depends on your residence, insurer, product, and governing law; there is no single worldwide complaint process.

Keep pursuing a visa appeal separately if you choose. The Schengen Visa Code’s appeal right concerns the immigration decision, while an insurance claim concerns the contract between you and the insurer. One process does not automatically suspend the other.
Practical scenarios
The policy expressly covers visa refusal
Submit the formal refusal, application-fee receipt, nonrefundable-ticket proof, supplier refund evidence, and every timing document. The administrator will still apply the policy’s limits, exclusions, and deduction for any recovery from the supplier.
The policy says only “trip cancellation”
Do not assume approval. Identify the covered-cause list and definitions. If visa refusal is absent, ask the insurer whether the stated refusal reason fits another listed event. Obtain the answer in writing before representing the expense as covered.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →The insurer offers a premium refund but not trip reimbursement
Read the premium-refund conditions and accept that remedy only as a return of the policy cost. It does not establish payment for airfare, accommodation, or visa fees unless a separate benefit says so.
A supplier refunded part of the booking
Claim only the documented unrecovered balance that the policy permits. Include the refund or credit confirmation so the administrator can calculate the net loss.
The refusal resulted from missing documents
Expect heightened scrutiny. Some visa-denial benefits exclude failure to submit required documents or meet authority requirements. Submit the full application correspondence and ask the administrator to identify the applicable exclusion rather than guessing.
Checklist before you press submit
- Policy wording confirms a potentially covered event.
- Insured traveler, destination, dates, and policy period match.
- Official refusal notice and stated reason are attached.
- Visa-fee and travel-payment receipts are legible.
- Every supplier was contacted and its refund decision is documented.
- Credits, partial refunds, taxes, and cancellation fees are disclosed.
- Claim form answers match the original records.
- Submission deadline and required format are confirmed.
- Copies, claim number, and transmission receipt are saved.
Because policy editions and procedures change, verify the current wording supplied for your policy before relying on any example above. Without your insurer, country, destination, refusal reason, booking facts, and policy edition, no one can make an individualized coverage determination.
