Start by signing in to the official EPFO member portal and checking whether your UAN has been validated through Aadhaar and whether the incorrect field is offered for self-update. Eligible Aadhaar-validated members can update several profile fields themselves under EPFO’s revised process, generally without uploading documents. If self-service is unavailable, submit a correction through the Joint Declaration route, usually with employer verification. If the former establishment is closed or the employer cannot be traced, the Joint Declaration format provides an authorized-authority certification route, but you must confirm the applicable authority and submission method with EPFO.
EPFO’s process has changed over time. The instructions below reflect the online profile-update announcement dated 19 January 2025, the Joint Declaration formats and the 26 March 2024 profile-correction SOP. Portal labels, eligibility rules and routing can change, so follow the live prompts shown for your UAN.

Choose the correction route first
The route depends on your Aadhaar validation, UAN history, the field you need to change and whether an employer can certify the request. Use this comparison before entering a request.

A request that does not qualify for self-service is not necessarily impossible; it normally moves to the employer-supported process instead. Conversely, an Aadhaar-validated UAN does not guarantee that every field will be editable online, because the portal determines which fields and cases are eligible.

Check your UAN and records before making a request
Most delays come from submitting a correction that conflicts with another record or choosing a route that the UAN does not support. Gather the facts before opening the form.
Confirm the exact error
Write down the value currently shown in your EPF profile and the value that should replace it. Check spelling, initials, spacing, date format, gender, relationship details and the joining or leaving dates against the records you intend to rely on. The Joint Declaration format has separate columns for the existing incorrect detail and the correct detail, so decide the final wording before submission.
Check Aadhaar validation and e-KYC status
Sign in through the official EPFO member interface using the credentials requested there. Look for the account’s Aadhaar validation or e-KYC status and open the profile-update area. EPFO’s 19 January 2025 announcement says that members whose UAN has already been validated through Aadhaar can update listed fields such as name and date of birth themselves without uploading a document in eligible cases.
That announcement also preserves an exception for certain UANs obtained before 1 October 2017: employer certification may still be required. Treat the portal’s current eligibility message as controlling rather than assuming that Aadhaar validation alone guarantees self-service.
Use records that agree with one another
Before submitting, compare the proposed correction with your Aadhaar record and the employment or identity records relevant to the field. A mismatch can lead to a request for clarification or employer verification. Do not enter a different spelling merely to match one document if the official record you need to correct uses another form; determine the intended final form first and follow the portal’s instructions for evidence.

How to correct details through self-service
If the member portal offers the field for self-update, use the online workflow rather than filing a Joint Declaration unnecessarily. EPFO’s announcement does not provide a permanent, screen-by-screen walkthrough, and labels may change, so use the live labels displayed for your account.
- Sign in to the official EPFO member portal. Use the account information and authentication method requested on the current login screen.
- Open your profile or member-details update area. Check the Aadhaar validation or e-KYC status shown for the UAN.
- Select the field that is wrong. The portal may expose only a subset of fields for self-update. Do not assume that a field listed in the Joint Declaration form will also be editable in self-service.
- Enter the corrected value exactly. Check every character in a name, the day-month-year order for a date of birth, and the spelling of parent, spouse or nationality details before continuing.
- Review the confirmation screen. Compare the old value and the proposed value. Correct an error before submitting; a second inaccurate request can create another reconciliation problem.
- Submit and save the acknowledgement or reference information shown by the portal. Keep a copy of the confirmation, the date of submission and any status message. Use the portal’s status facility for follow-up.
Under the revised process, eligible Aadhaar-validated members can update listed fields without uploading documents. That statement applies to the eligible online cases described by EPFO, not to every member, every field or every historical UAN. If the portal asks for employer certification or supporting material, follow that instruction instead of trying to bypass it.

Use the Joint Declaration or employer-supported correction process when self-update is unavailable, when the portal directs you to employer certification, or when your case needs a formal record-based correction.
Identify the correction clearly
The official Joint Declaration format asks the member to state the incorrect detail and the correct detail. Describe one field accurately rather than combining several unrelated explanations in a free-text note. If multiple fields are wrong, list each one in the places provided and make sure the proposed values are mutually consistent.
Provide the evidence the live process requests
EPFO’s published material does not establish one document checklist that is mandatory for every field and member. The current portal, the relevant EPFO office and the employer’s authorized signatory may request evidence appropriate to the correction. Upload or attach only what the applicable instructions require, and ensure that the names and dates in the evidence agree with the correction.

Obtain employer verification where required
The Joint Declaration format asks the employer’s authorized signatory to verify the request, the attached documents and the establishment’s records. Submit it through the online or employer channel indicated by the current EPFO process. An employer may need to check payroll, appointment or separation records before certifying a joining date, leaving date or reason for leaving.

Keep the submitted declaration, any attachments, the acknowledgement and the status history. If the employer returns the request for clarification, answer the precise discrepancy rather than changing unrelated fields. If a status remains unchanged, use the official EPFO support or grievance channel identified in the current portal instructions; do not create duplicate requests unless EPFO tells you to do so.
Which EPF fields can be corrected?
EPFO’s Joint Declaration materials and the 26 March 2024 profile-correction SOP identify a broad set of profile parameters. Availability and approval route still depend on the current process and the individual case.

The list is not a promise that every item can be changed through one screen or by one route. The Joint Declaration form and the current portal determine what can be submitted and who must certify it.
What documents are needed?
There is no single official proof list in the available material that applies to every name, date-of-birth, employment-date or family-detail correction. Requirements can vary by field, UAN history, Aadhaar validation, employer records and the reviewing authority.

Use this preparation checklist without treating it as a universal mandate:
- Record the exact incorrect value currently displayed in the EPF account.
- Prepare the exact replacement value and check its spelling and date format.
- Keep the identity or civil records relevant to that correction available if the portal, employer or EPFO office asks for them.
- For joining, leaving or separation details, be ready for the employer to compare the request with establishment records.
- Submit clear, legible files in the format and size accepted by the current portal, if an upload is requested.
- Do not upload extra documents merely because they are available; follow the instruction for the field and case.
Aadhaar validation can remove the document-upload step for eligible self-service requests under EPFO’s revised process. It does not eliminate employer certification in every case, particularly for certain UANs obtained before 1 October 2017.

The Joint Declaration format includes an authorized-authority certification section for an establishment that is closed or an employer who is untraceable. This gives such members a route other than waiting for a nonexistent signatory, but the form excerpt does not establish one authority or filing method for every situation.
- Collect the UAN, the exact field to be corrected and the current and proposed values.
- Gather the records that support the correction and keep them consistent with the requested change.
- Check the current EPFO instructions or contact the relevant EPFO office to identify the authorized authority for your establishment and the accepted submission method.
- Complete the Joint Declaration section and the authority certification section required for that case.
- Retain proof of submission and any acknowledgement for follow-up.
Do not substitute an informal letter or an unverified intermediary for the certification route described by EPFO. The applicable office must tell you which authority can act when the establishment is closed or untraceable.
Why a correction may not move forward
The self-update option is missing
The UAN may not meet the Aadhaar-validation requirement, the field may not be enabled for self-service, or the UAN may fall into a historical category requiring employer certification. Check the account status and move to the Joint Declaration route if the portal directs you there.

The employer asks for clarification
Compare the request with the employer’s records and the evidence you supplied. Correct only the discrepancy identified by the employer, then resubmit through the instructed channel. Avoid creating multiple versions with different spellings or dates.
The proposed value conflicts with Aadhaar or another record
Stop and determine which record contains the error before proceeding. A change that fixes the EPF profile but leaves conflicting identity information can trigger another verification request. Use the exact final value supported by the records relevant to your case.
The former employer is unavailable
Use the closed-or-untraceable establishment route in the Joint Declaration format and ask EPFO which authorized authority applies. The correct authority is not established universally by the form alone.

EPFO has not established a guaranteed turnaround for every correction in the materials used here. Check the live status and retain your acknowledgement. Historical figures published with the 2025 announcement should not be treated as a service-level promise for your request.
What EPFO’s 2025 figures mean
EPFO announced the simplified online profile-update process on 19 January 2025. In that announcement, it said the revision would immediately benefit around 3.9 lakh members whose requests were pending at various stages and that about 27% of member grievances related to profile or KYC issues. These figures describe the situation reported at that time, not the likelihood or processing time for an individual application.
EPFO also reported that approximately eight lakh correction requests had been received through employers in financial year 2024–25 and that almost 45% could be self-approved under the revised process. It cited a nearly 28-day average employer-approval delay that the revision was intended to eliminate. Those are historical, published averages and volumes; they are not a guaranteed turnaround, quota or approval probability for your request.
The reason for the controls is data integrity. In its announcement, EPFO said that “the consistency and authenticity of personal data of EPF member in the database of EPFO is of paramount importance” to provide services smoothly and avoid erroneous or fraudulent payments. That is why a request may move from self-service to employer or authorized-authority verification when the account history or field requires it.

Practical checklist before you submit
- Have you identified the exact field that is wrong?
- Have you written both the current incorrect value and the final corrected value?
- Is your UAN validated through Aadhaar, and does the portal actually offer this field for self-update?
- If the UAN was obtained before 1 October 2017, have you checked whether employer certification is required?
- Do your Aadhaar, identity and employment records support the same spelling, date or relationship?
- If the portal requests a Joint Declaration, have you used the official format and the employer-verification section?
- If the employer is closed or untraceable, have you confirmed the applicable authorized authority with EPFO?
- Have you saved the acknowledgement, reference number and submission date?

Use the current EPFO member portal and instructions as the final authority. The self-update route is faster and simpler when your UAN and field qualify; the Joint Declaration route supplies the verification framework when they do not.
