If your UAN is already validated through Aadhaar, EPFO’s 19 January 2025 simplified process may let you correct your name, date of birth, gender and other listed fields yourself without uploading documents. Other cases—especially older UANs, incomplete e-KYC, records without UIDAI-validated Aadhaar, deceased-member records or unavailable member self-service—can require employer approval, a joint declaration or physical filing.
The route shown for your UAN is controlling. EPFO’s 16 January 2025 joint-declaration circular and later updates distinguish online, employer-filed and physical cases, so do not assume that another member’s document list or approval path applies to you.

Choose the correct EPFO correction route first
Before changing any field, sign in to the official EPFO member portal and inspect the options and status displayed for your UAN. The practical decision points are your Aadhaar and e-KYC status, the date your UAN was generated, whether member self-service is offered, whether an employer must verify the request, and whether the case is online or physical.

| Your situation | Likely route under EPFO guidance | What to expect |
|---|---|---|
| UAN validated through Aadhaar and the portal offers profile self-update | Member self-service | Name, date of birth, gender and other listed fields may be changed without document upload. |
| UAN obtained before 1 October 2017, or another older-UAN case identified by EPFO | Self-service may be restricted; employer certification can apply | Follow the status and approval instruction shown for that UAN. |
| UAN or member record has incomplete e-KYC | Employer-level approval may be required | The employer verifies or forwards the request rather than the member completing it alone. |
| UAN generated from Aadhaar on or after 1 October 2017 and request received online | Online joint-declaration handling, where applicable | The execution level depends on the particular record and field. |
| UAN generated before 1 October 2017 but name, date of birth and gender are UIDAI-validated | Online joint-declaration handling, where applicable | Use the online option if the portal provides it. |
| No UIDAI-validated Aadhaar, no UAN, or deceased member’s record | Physical filing by the member or claimant | A joint declaration and supporting records are handled through the prescribed physical route. |
| Member cannot file online | Employer-filed request may be available | The employer can upload the physical joint declaration in cases permitted by EPFO. |
| Employer or establishment is closed or untraceable | Attested physical route | An authorized authority can attest the request for submission to the concerned EPFO office or PRO. |
These categories come from EPFO’s January 2025 circular and press release. They are not a guarantee that every field will be processed identically. A portal message, rejection reason or EPFO instruction specific to your UAN takes priority.

What to have ready before you submit
Use the preparation stage to make the requested correction match the identity information you are asking EPFO to record. Inconsistent entries can cause avoidable rejection or a request for employer involvement.
- Your UAN and access to the official member portal.
- The Aadhaar-validation and e-KYC status visible for your UAN.
- The exact field or fields to be changed: name, date of birth, gender or more than one of these.
- The current EPFO entry and the corrected spelling, date or gender designation you want recorded.
- Any supporting records requested by the live portal or the current Annexure-II document list for your case.
- Employer contact details if the portal says employer certification or approval is required.
- For a deceased member, evidence of claimant status and the physical documents required for that category.
Do not rely on a document list copied from an older article. EPFO’s 16 January 2025 circular gives a general document-count rule, but the retrieved official material does not expose the complete field-by-field Annexure-II list. The live portal and current circular are the authority for the precise proof accepted for your correction.
How to use member self-service when it is available
EPFO’s 19 January 2025 press release says a UAN already validated through Aadhaar can use a simplified profile-update process. The process covers name, date of birth, gender, nationality, parent names, marital status, spouse name, date of joining and date of leaving. It removes document upload for eligible self-approved requests.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors- Open the official EPFO member portal. Use the member sign-in, not a link sent by an unsolicited caller or message.
- Check your profile and e-KYC status. Confirm that the UAN is Aadhaar-validated and note any warning that the account is an older UAN or lacks full e-KYC.
- Open the profile-updation option. The label can change as EPFO updates the portal. Select the field that is wrong and enter the correction exactly as it should appear in EPFO records.
- Review the before-and-after values. Check every character in the name, all digits in the date of birth and the selected gender value before submitting. If more than one field is wrong, confirm whether the portal lets you submit them together or requires separate requests.
- Submit through the portal’s verification flow. If the service accepts the request without documents, do not attach unrelated files. If it switches you to employer approval or joint declaration, follow that route instead of repeatedly trying self-service.
- Save the acknowledgement or request reference. Keep a copy of the submitted values and the status screen so you can answer an employer or EPFO query accurately.
Self-service is conditional, not universal. EPFO specifically identifies employer certification for certain UANs obtained before 1 October 2017 and employer-level approval for requests from account holders without full e-KYC. A portal that asks for employer action is not evidence that your correction is impossible; it means your record falls outside the no-upload self-approval route.
Correcting your name
Enter the corrected name consistently with the identity record you are using for the EPFO request. Check spacing, initials, order of given and family names, honorifics and spelling before submission. A small typographical difference can matter when EPFO compares the entry with Aadhaar or another accepted record.

If Aadhaar self-update is offered
Use the profile-updation path, replace the incorrect value, review it carefully and submit. Under the simplified process, eligible Aadhaar-validated UAN holders do not upload supporting documents for the listed self-approved fields.
If employer verification is shown
Start the correction in the portal if possible, then provide the employer with the request reference and any evidence the portal or current Annexure-II instructions require. Do not assume that a document accepted for a date-of-birth change is automatically accepted for a name change.
If your name change is connected with gender transition
EPFO’s 26 December 2025 circular specifically recognizes a Transgender Identity Certificate/Card issued through the National Portal for Transgender Persons as valid proof for changing a member’s name and gender. Use that proof where it matches your case and the current portal or circular asks for supporting documentation. This specific recognition does not replace the general instructions for other name changes.
Changing the date of birth in your UAN
Date-of-birth corrections deserve extra checking because an incorrect date can affect identity matching and other provident-fund services. Enter the date in the format shown by the portal, then compare every digit with the record you intend to use.
Eligible Aadhaar-validated accounts
If the portal presents the simplified self-update option, submit the corrected date through profile updation without a document upload. The option is available only when EPFO’s conditions for that UAN and field are met.

Accounts routed to employer or joint declaration
Use the route displayed for your UAN. The January 2025 circular covers online joint declarations for specified UAN categories and physical filing for records without UIDAI-validated Aadhaar or without a UAN. The exact proof must come from the current portal instructions or Annexure-II; the available official text does not establish one universal list of birth certificates, identity cards or other documents for every member.
When the date is already UIDAI-validated
The circular separately recognizes older UANs whose name, date of birth and gender are UIDAI-validated. That status can determine whether an online joint-declaration route is available, so check the validation indicator rather than relying only on the year your UAN was issued.
Updating gender in EPFO records
Gender corrections follow the same route selector as name and date-of-birth changes: Aadhaar validation and e-KYC status, UAN history, member self-service availability and the portal’s instruction for evidence.
Self-service route
Where the Aadhaar-validated profile service offers gender editing, select the correct value, review the request and submit it. No document upload is required for eligible self-approved requests under the simplified process.
Documented route
If the portal asks for proof, use the current accepted-document instructions. Since 26 December 2025, EPFO has expressly accepted a Transgender Identity Certificate/Card issued through the National Portal for Transgender Persons for name and gender changes. That update is particularly important for transgender members whose existing EPFO entry no longer reflects their identity.

Do not infer acceptance from another field
EPFO’s general document rule does not mean that any two documents will work for every gender correction. Check the field-specific instructions and submit only records that meet the current requirement.
Joint declaration: the fallback when self-service is unavailable
A joint declaration is not one single procedure. EPFO’s 16 January 2025 circular separates online requests, physical member or claimant requests, employer-filed requests and an attested route for a closed establishment.
Online joint declaration
Some member IDs linked to UANs generated from Aadhaar on or after 1 October 2017 can use online filing. The circular also covers certain pre-1 October 2017 UANs where name, date of birth and gender are UIDAI-validated. If the portal provides an online joint-declaration option, complete the fields, attach the evidence it requests and submit through that service.
Employer-filed request
EPFO allows an employer to file online when the member cannot file online, including a deceased-member case where the employer uploads the physical joint declaration. Give the employer the exact correction and the documents required for the applicable category. Keep the signed or submitted copy for your records.
Physical member or claimant filing
Physical filing applies to specified cases such as a member record without UIDAI-validated Aadhaar, a record without a UAN or a deceased member’s record. Follow the form and attestation instructions in the current circular and submit to the designated EPFO office or channel. Do not substitute an informal letter if the process requires the prescribed joint declaration.

Closed or untraceable establishment
The 2024 standard operating procedure and official joint-declaration form provide an alternate-authority certification route when the establishment is closed or the employer cannot be traced. The request is physically attested by the authorized authority identified in the applicable instructions and submitted to the concerned EPFO office or PRO. The authority and attestation requirements must come from the current form; they should not be guessed from a previous employer’s practice.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How many documents are required?
EPFO’s January 2025 circular states the following general rule:
| Submission method | General count stated by EPFO | Important qualification |
|---|---|---|
| Ordinary document submission | At least two documents for each parameter | The documents must be from the acceptable list for that parameter in Annexure II and the current portal instructions. |
| DigiLocker submission, where available | One document | The circular said DigiLocker upload would be introduced shortly; confirm that it is live for your request before relying on it. |
| Eligible member self-service | No document upload | This applies only where EPFO allows the member to make the change directly. |
The count is not a universal checklist. EPFO’s retrieved text does not expose the complete Annexure-II itemization for every name and date-of-birth scenario. Read the live instructions for the exact field, upload format, attestation and file-size rules shown for your case.
What happens after submission?
Save the request number, date and submitted values. If the portal shows employer pending, the next action belongs to the employer; contact the employer’s responsible HR or provident-fund representative with the reference rather than creating duplicate requests. If EPFO asks for clarification, answer the specific discrepancy and use the evidence route stated in the notice.
- Request remains in member stage: verify that the submission completed and that no confirmation action is still pending.
- Request remains with employer: provide the reference and ask the employer to review or forward it. EPFO’s simplified process was designed partly to remove employer approval, but it does not remove it from every category.
- Request is rejected: read the reason, correct the particular mismatch and resubmit through the route EPFO identifies. Do not change unrelated fields to work around a rejection.
- Portal does not offer an edit option: check whether your UAN lacks UIDAI validation, has incomplete e-KYC, belongs to an older category or requires joint declaration. Use the employer or physical route rather than assuming the service is broken.
- Employer has closed: use the alternate-authority attestation process described in the current joint-declaration form and SOP.
Portal labels and availability can change. If an instruction in an older form conflicts with the current portal or a newer EPFO circular, use the current instruction and retain a copy of both the request and the response.
How long can correction take?
EPFO reported that about 8 lakh correction requests were processed through employers in financial year 2024–25. It estimated that almost 45% could be self-approved by members under the simplified process, potentially eliminating nearly 28 days of average employer-approval delay. EPFO also said around 3.9 lakh members had requests pending at various stages and were expected to benefit immediately, and that roughly 27% of member grievances related to profile or KYC issues.
These are EPFO’s reported estimates, not independently audited service-level guarantees. Your timing can still depend on Aadhaar validation, employer action, document sufficiency, physical delivery and EPFO processing. A self-service request may avoid employer delay, but it is not a promise of instant record change.

Security and fraud precautions
Use only the official EPFO member portal. EPFO warns members not to share passwords and says it does not request Aadhaar, PAN or bank details by telephone. A caller who asks for those details, remote access to your device or a payment to “release” a correction is not part of the normal process described here.
Quick Recap
- Type the official portal address yourself or use a trusted bookmark.
- Do not disclose your UAN password, Aadhaar number, PAN or bank information to callers claiming to be EPFO staff.
- Keep copies of forms and acknowledgements, but store them securely.
- Use the employer route only with the employer’s authorized provident-fund contact.
- Never send identity documents to an unverified intermediary promising faster approval.
A practical checklist
- Sign in to the official EPFO member portal.
- Check Aadhaar validation, e-KYC status and the UAN generation category shown for your record.
- Open profile updation or joint declaration and identify whether self-service, employer approval or physical filing applies.
- Enter the corrected name, date of birth or gender exactly once, then proofread every value.
- Follow the current field-specific document instructions; use the recognized transgender identity certificate/card when it applies to a name or gender change.
- Submit online, give the employer the reference when employer action is required, or complete the prescribed physical attestation route.
- Save the acknowledgement and monitor the status until the EPFO profile displays the corrected information.
