How to Correct an Indian GST E-Invoice With the Wrong GSTIN, Tax Amount or Invoice Details

Short answer: An e-invoice reported to India’s Invoice Registration Portal (IRP) cannot be edited in place. If the invoice is still within the IRP’s stated 24-hour cancellation window, cancel it (and first cancel any active e-way bill when required), then issue a fresh, correct invoice. After 24 hours, the original IRP record remains; you may need a GSTR-1 correction, a credit or debit note where the law supports it, or help from the GST helpdesk or a tax professional.

Do not confuse a change in GSTR-1 with an amendment to the IRP document. They are separate records with different correction routes. The exact treatment depends on the incorrect field, the actual supply, whether an e-way bill is active, and whether the relevant return has been filed.

Start by identifying which record is wrong

Before taking action, compare the commercial transaction, the issued invoice, the IRP record and the GSTR-1 entry. An error can exist in one record or in all of them.

  • IRP e-invoice: the document associated with the Invoice Reference Number (IRN). The IRP FAQ says it does not provide in-place amendment.
  • GSTR-1: the outward-supplies return into which eligible e-invoice data is auto-populated. GST Portal guidance allows certain auto-populated entries to be edited or deleted in the return.
  • Underlying supply: the actual goods or services, customer, value, tax rate, place of supply and delivery. A return edit cannot change what was actually supplied.

Record the IRN, invoice number and date, customer GSTIN, taxable value, tax rate, tax amounts, HSN or SAC, place of supply, e-way-bill number and the date and time the IRN was generated. Preserve the original invoice and a short explanation of the error for your audit file.

The practical decision points are summarized below. The 24-hour rule, e-way-bill dependency, return facilities and statutory deadlines should be checked against the live portal and current law on the day you act.

Situation Likely route What it does not do
Less than 24 hours since IRN generation Cancel the IRP e-invoice, subject to portal and e-way-bill conditions, then issue a new invoice. It does not edit the existing IRN.
More than 24 hours since generation Use the applicable GSTR-1 correction, credit/debit note or other legally appropriate document; contact the helpdesk for unresolved IRP issues. It does not erase or rewrite the original IRP record.
Only the auto-populated GSTR-1 entry is wrong Edit or delete the entry in GSTR-1 using the GST Portal facility; a filed period may have a separate amendment facility. It does not amend the IRP e-invoice.
Taxable value or tax was actually overcharged or undercharged Assess a section 34 credit note or a debit note, respectively, based on the facts. A note is not a universal fix for a typographical or classification error.
Recipient action or input-tax-credit consequences are involved Coordinate with the recipient and check the relevant return and Invoice Management System (IMS) status. Issuing a note alone does not guarantee restoration or denial of input tax credit.

Correct an e-invoice within the 24-hour cancellation window

The IRP FAQ states that an e-invoice cannot be amended and may be cancelled within 24 hours of generation. Cancellation is therefore the cleanest route when the wrong GSTIN, amount or invoice detail is discovered promptly.

Check the e-way bill first

An active e-way bill can prevent cancellation. The IRP FAQ says the e-way bill must be cancelled first, with both cancellations completed within the relevant time window. Verify the current status in the e-way-bill system before attempting the IRN cancellation. If goods have already moved or another party has acted on the document, coordinate the operational reversal rather than assuming a portal cancellation solves every commercial issue.

Cancel the IRP document

  1. Confirm the IRN generation date and time and that the 24-hour period has not expired.
  2. Check for an active e-way bill and cancel it first when the system requires.
  3. Use the cancellation function for the IRN in the IRP or through your authorised accounting or GST application.
  4. Select the applicable cancellation reason and retain the acknowledgement, cancellation timestamp and original invoice copy.
  5. Issue a new invoice with a new invoice number and generate a new IRN when e-invoicing applies. Recheck every field before dispatch or reporting.
  6. Reconcile the replacement invoice with e-way-bill data and the next GSTR-1 auto-population.

Cancellation is not an edit. The cancelled IRN remains part of the electronic trail, while the replacement invoice is a separate document.

What to do after 24 hours

Once the stated cancellation window expires, the IRP FAQ says the IRP cannot cancel the e-invoice. Do not try to create the impression that a GSTR-1 edit changed the original IRN. Instead, identify whether the error is a return-reporting mistake, a genuine overcharge or undercharge, or a substantive error in the supply documentation.

If the error is only in GSTR-1

The GST Portal says e-invoice details are auto-populated into specified GSTR-1 tables and may be edited or deleted. When an auto-populated entry is edited, the displayed Source, IRN and IRN Date fields are cleared. That changes the return record; it does not amend the IRP document.

Use the portal’s current GSTR-1 workflow and preserve the original auto-populated values, the corrected values and the reason for the change. If the GSTR-1 for the tax period has already been filed, check whether the applicable amendment return facility is available. The GST Portal guide identifies GSTR-1A as an amendment return for a filed GSTR-1 tax period; availability and timing should be confirmed in the live account.

If the underlying supply needs a value or tax adjustment

Section 34 of the Central Goods and Services Tax Act covers a supplier’s credit note where the taxable value or tax charged exceeds what is payable, goods are returned, or goods or services are deficient. A debit note may be relevant when the taxable value or tax originally charged is lower than the amount payable. The document must describe the real adjustment; it is not a general-purpose correction for every wrong field.

Section 34 requires the credit-note details to be declared for the month in which the note is issued, no later than September following the financial year of the original supply or the relevant annual-return filing, whichever is earlier. The exact statutory text and current amendments are available from the CBIC Central Goods and Services Tax Act. A reduction in output tax is restricted where the incidence of tax and interest has been passed on, so check the commercial and recipient facts before reducing tax.

How to handle a wrong customer GSTIN

The IRP FAQ directly addresses the question “I wrongly quoted GSTN of the customer.” It says the customer GSTIN cannot be amended on the e-invoice. Within the cancellation period, follow the cancellation-and-reissue process. After that period, the FAQ points to a credit note in the stated cases, while the return and commercial treatment must be checked against the actual transaction.

A wrong GSTIN can mean a single digit was mistyped, the GSTIN belongs to another registration of the same legal entity, or the invoice was issued to the wrong customer altogether. Those cases are not interchangeable. Verify:

  • the customer’s legal name and GSTIN on the purchase order and tax records;
  • whether the supply was actually made to that registered person;
  • the place of supply and whether the tax should be integrated GST or central plus state/union-territory GST;
  • whether the recipient has reported, accepted, rejected or claimed credit for the invoice; and
  • whether a credit note, replacement commercial document or other correction is legally supported.

Do not promise the recipient that a credit note will automatically restore input-tax credit. Coordinate the supplier’s GSTR-1 correction with the recipient’s records and obtain professional advice where the invoice was issued to the wrong taxable person or tax jurisdiction.

How to handle a wrong tax amount or tax rate

Recalculate the invoice from the underlying supply before choosing a document. Check the taxable value, discounts, applicable rate, place of supply, tax type, cess where applicable and the arithmetic total. Compare the calculation with the invoice particulars required under the GST invoice rules, including description, taxable value, rate and tax amount. The CBIC invoice-rules page sets out the relevant particulars.

Tax or value was overcharged

If the actual taxable value or tax charged exceeds what is payable, a section 34 credit note may be appropriate. State the original invoice reference and the precise adjustment, report it in the required period and consider whether the recipient has already taken credit or whether the tax incidence has been passed on.

Tax or value was undercharged

If the actual amount payable is higher than the amount on the invoice, assess a debit note and the related return reporting. Confirm the correct rate and place of supply first; a debit note cannot cure a fundamentally wrong customer or transaction description.

Only the arithmetic display is wrong

If the underlying value and tax are correct but a return entry displays an error, use the applicable GSTR-1 editing route rather than issuing a credit note merely to alter a screen value. Keep a reconciliation showing the original invoice, corrected return data and calculations.

How to handle a wrong HSN, SAC or other invoice detail

The IRP FAQ also asks, “What if wrong HSN is mentioned e-invoice. How to correct it?” It states that an e-invoice cannot be amended and recommends contacting the GST Helpdesk with the invoice number and the specific issue when cancellation is not possible. Use that guidance without assuming that every HSN error is solved by a credit note.

First determine whether the wrong code changes the tax rate, place-of-supply treatment, exemption, reporting classification or only the descriptive field. Obtain the correct classification for the actual goods or services and document why it applies. If the tax and value are unaffected, the relevant correction may be in the return or in the supporting records rather than a credit note. If the classification changes tax or the nature of the supply, reassess the invoice, return, recipient and payment consequences together.

Other required invoice particulars include supplier and recipient identity or GSTIN where applicable, a unique invoice number and date, description, taxable value, tax rate and amount, and relevant place-of-supply information. The CBIC tax-invoice rules should be checked for the current requirements. For an unresolved IRP-specific problem, submit the invoice number and a clear field-by-field description to the GST Helpdesk and retain the ticket.

GSTR-1, IRP and IMS: keep the records aligned

When you edit or delete an auto-populated e-invoice in GSTR-1, the GST Portal clears the displayed IRN source markers for that return entry. This is useful for correcting the return, but it does not create a new IRN or change the cancelled or uncancelled status of the original e-invoice.

There is an additional complication when the recipient uses IMS. GSTN’s Additional FAQ on IMS dated 17 October 2024 describes a specific case: an incorrect invoice is corrected with a credit note, and the recipient rejects that credit note. Because the note is not linked in a way that tells the system whether the original invoice was accepted or rejected, GSTN advises amending the invoice details in GSTR-1 for that scenario. Apply this advice only to the described situation and verify the current IMS behavior before acting.

Tell the recipient what has been cancelled, amended or credited, and provide the replacement or adjustment document. The recipient may need to revisit its purchase register, IMS action and input-tax-credit position. Supplier and recipient records should use the same corrected invoice number, date, value and tax treatment.

A practical correction checklist

  1. Freeze the facts: save the original invoice, IRN, generation timestamp, e-way-bill status and transaction evidence.
  2. Classify the error: customer GSTIN, HSN/SAC, value, rate, tax type, place of supply, arithmetic, invoice number/date or another field.
  3. Check the clock: determine whether 24 hours have elapsed since IRN generation.
  4. Check movement: identify any active e-way bill and cancel it first if the portal requires.
  5. Choose the record to correct: IRP cancellation and reissue, GSTR-1 edit or deletion, credit/debit note, or helpdesk escalation.
  6. Recalculate: validate taxable value, rate, tax amount and place of supply against the actual transaction.
  7. Coordinate: notify the recipient and check its reporting, IMS action and credit position.
  8. Reconcile: match the corrected return, note or replacement invoice to ledgers, e-way-bill data and payment records.
  9. Retain evidence: keep cancellation acknowledgements, portal screenshots or reports, helpdesk tickets, revised documents and the reason for correction.

Common mistakes to avoid

  • Editing GSTR-1 and calling it an IRP amendment: the two records remain distinct.
  • Waiting beyond 24 hours while assuming cancellation is still available: check the actual IRN timestamp immediately.
  • Issuing a credit note for every typo: section 34 is tied to specified value, tax, return, deficiency and related conditions.
  • Ignoring the e-way bill: an active e-way bill can affect cancellation.
  • Changing tax without checking place of supply: the correct tax type may change with the transaction facts.
  • Assuming the recipient’s ITC will correct itself: recipient reporting and IMS actions may require coordination.
  • Overlooking statutory dates: note the section 34 reporting deadline and confirm current portal cut-offs before filing.

When to involve a GST professional or the helpdesk

Use the GST Helpdesk for an IRP problem that cannot be cancelled or that produces a portal error, providing the invoice number and the exact field or message. Engage a qualified GST practitioner or chartered accountant when the error involves a wrong customer or state, a change in tax rate or place of supply, a filed return, a substantial credit or debit note, recipient input-tax credit, or a disputed classification.

For current portal instructions, consult the IRIS IRP FAQ on amending and cancelling e-invoices, the GST Portal GSTR-1 guide and the GSTR-1 outward-supplies creation guide. Portal labels, return facilities and legal deadlines can change, so verify them at the time of correction.
