If the vehicle carrying goods changes during an active journey, update Part B of the existing e-way bill before the goods move onward. Enter the conveyance actually carrying the next leg, along with the current place, state, transport mode and required vehicle or transport-document details. If an invoice, destination or another submitted bill field is wrong, Part B is not the fix: the official FAQ says the submitted e-way bill cannot be edited, so you must cancel it when permitted and generate a new bill with corrected information.
This guide applies to India’s GST e-way bill system. It explains the distinction between a transport change and an incorrect bill, who may make the update, how validity is affected, and what to do when a journey is delayed or a consignment is transferred between conveyances.

First decide whether you need a Part B update or a new e-way bill
The correct action depends on what changed. Part B records the conveyance and transport information for movement. It is designed to be updated when the goods move in a different vehicle or by a different transport leg. It does not provide a general edit function for information that was submitted incorrectly when the bill was generated.

A useful test is simple: ask whether the original bill information was correct when generated and only the conveyance changed afterward. If yes, update Part B. If the bill itself contains a wrong submitted fact, do not try to disguise that correction as a vehicle update.

Who can update Part B?
When no transporter is assigned
The generator can update the vehicle or transport details if the e-way bill has not been assigned to a transporter. In API terminology, the generator remains the party authorized to perform the update and, where eligible, request an extension.
When a transporter is assigned
The assigned or current transporter updates Part B. If the bill was assigned onward to another transporter, the latest assigned transporter is the party expected to enter the conveyance for the next movement. Coordinate the hand-off so that only the party with the current assignment attempts the update.
When responsibility is unclear
Check the bill’s assignment and status before the goods move. A failed update caused by the wrong user does not make an unrecorded vehicle lawful; the conveyance details still need to match the vehicle actually carrying the goods. Keep evidence of the hand-off, such as the transporter assignment and the time the vehicle changed, in your shipment file.
How to update vehicle or transport details in Part B
The labels can change as the portal is revised, but the official workflow is the vehicle or transport update action for the existing e-way bill. Complete it before the goods continue on the changed conveyance.
- Identify the exact change. Confirm the current vehicle, the place where the change occurred, the next movement mode and whether this is a breakdown, transshipment, route-leg change or another reason. Do not use this workflow to repair a wrong invoice or destination.
- Open the existing bill in the e-Way Bill System portal. Sign in with the authorized generator or the transporter currently assigned to the bill, then choose the action for updating vehicle or transport details (often presented as a Part B or vehicle-update function).
- Enter the current location. Provide the place and State or Union territory from which the next leg starts. The API field names for these values are
fromPlaceandfromState. - Select the reason. Choose the applicable reason code and add the explanatory text where required. The API identifies these fields as
reasonCodeandreasonRem. Use a factual description, such as breakdown, transshipment or route-leg change, rather than a vague note. - Select the transport mode. Enter the mode for the next leg in
transMode. The identifier must correspond to that mode. - Enter the conveyance identifier. For road movement, enter the vehicle number in
vehicleNo. For rail, air or ship, enter the relevant transport-document number and date. The API validation requires the identifier appropriate to the selected mode. - Review before submitting. Check the registration number, document number and date, current place and reason against the dispatch records and the vehicle physically at the site. A typographical error creates a new compliance problem.
- Submit and retain the acknowledgement. Save the updated bill number, date and time, the user who made the change and the vehicle or document details. Give the driver or transporter access to the updated bill before departure.
- Repeat for every later leg. In a transshipment route, update Part B again whenever the goods move to another conveyance. Each update should describe the vehicle or transport document for the leg that is about to begin.
Rule 138(5) states that a transporter transferring goods from one conveyance to another in transit must update the conveyance details on the common portal before the transfer and further movement. That timing matters: entering the new vehicle after it has already departed does not satisfy the operational instruction.

Handling common vehicle and route changes
Vehicle breakdown
Move the goods to the replacement vehicle only after the existing bill has been updated with the replacement vehicle’s details. The official FAQ says the e-way bill should always show the vehicle actually carrying the goods. Part B may be updated repeatedly as needed, provided the bill remains within its original validity period.
Transshipment between vehicles
At the transfer point, record the current place and state, select the transshipment reason, and enter the vehicle for the next leg. If the goods are transferred again, make another update before the next departure. The same principle applies when several transporters handle successive legs: the transporter assigned for the current leg should enter its conveyance.
Route change with another leg
A route diversion by itself is not described in the official material as a standalone route-edit field. Where the diversion causes a new movement leg or a different conveyance, update Part B from the current place with the next mode and vehicle or transport-document details. Keep dispatch instructions, toll records or other commercial records that explain why the route changed.
Change from road to rail, air or ship
Update the mode to the next leg and replace the road vehicle number with the transport-document number and date required for rail, air or ship. When goods later return to road movement, make another Part B update with the road vehicle number. At every stage, the portal record should correspond to the conveyance actually in use.
Does changing the vehicle extend e-way bill validity?
No. A Part B vehicle update does not restart or recalculate the validity clock. Validity begins when the first Part B detail is entered: the first vehicle entry for road movement or the first transport-document number for rail, air or ship. Later entries record new conveyances but do not create a fresh period.

Standard validity calculation
The official FAQ states that regular movement receives one day for every 100 kilometres or part of 100 kilometres. For over-dimensional cargo, it states one day for every 20 kilometres or part thereof. The validity expires at midnight on the last day shown for the bill. These are operational values stated in the FAQ, not independent statistics.

When an extension may be available
An extension is intended for exceptional circumstances, such as a natural calamity, law-and-order problem, transshipment delay or vehicle accident. The transporter carrying the consignment when validity is about to expire should request it through the portal, explain the reason, and provide the current place, remaining distance and current Part B details. API guidance says the current transporter may request the extension, or the generator may do so when no transporter is assigned.
Check the live portal option and the bill’s status before relying on an extension. An extension is not an automatic consequence of changing vehicles, and the request should be made while the consignment and circumstances remain verifiable.
When cancellation and a new bill are required
The official FAQ uses unambiguous language: “If there is a mistake, incorrect or wrong entry after submission of the e-way bill, then it cannot be edited or corrected. Only option available is cancellation of eway bill and generate a new one with correct details.”
That route applies to a wrong submitted invoice number, destination, value, product description, tax information or other bill field. It is not a substitute for updating a changed vehicle.

Cancellation sequence
- Confirm that the error is in the bill information rather than only in the conveyance details.
- Check the bill status and whether it has been verified in transit. The cited rules restrict cancellation after verification.
- Use the cancellation function within the 24-hour period stated in the general FAQ, subject to the current portal status and applicable rule text.
- Record the cancellation reason and acknowledgement.
- Correct the underlying invoice or transport document where necessary.
- Generate a fresh e-way bill with the corrected information before movement continues, and provide it to the transporter.
Because portal controls and notifications can change, treat the 24-hour statement as the FAQ’s operational guidance for the general case, not as permission to cancel a bill that the portal marks as non-cancellable.
Short-distance exception in Rule 138(5)
Rule 138(5) includes an exception for movement of goods under 10 kilometres within a State or Union territory from the transporter’s place of business finally to the consignee’s place of business. The exception is fact-specific. It should not be generalized to every local delivery, a short detour, or a transfer that does not meet the rule’s described transporter-to-consignee conditions.

Example 1: Truck failure after dispatch
A consignment leaves a supplier in one truck, which breaks down at a service area. The invoice and destination are correct. The assigned transporter opens the existing bill, enters the service area as the current place, selects the breakdown reason, and records the replacement truck number before loading and departure. The validity end date remains unchanged.
Example 2: Two-stage transshipment
Goods travel by road to a rail terminal, then by rail to another State, and finally by road to the consignee. The first road vehicle is entered in Part B. Before rail movement, the transporter updates the mode and rail transport-document details. Before the final road leg, the current transporter updates Part B with the last road vehicle. Each entry is made before that leg begins; none restarts validity.

The vehicle is unchanged, but the consignee’s destination was entered incorrectly. A vehicle update would leave the substantive error untouched. The bill holder checks whether cancellation is still available, cancels within the applicable window if permitted, corrects the documents and generates a new e-way bill.

Example 4: Delay caused by an accident
A crash prevents arrival before the original expiry. The transporter carrying the goods documents the accident, current location and remaining distance, checks the portal’s extension option and submits the requested Part B and reason information. The transporter should not assume that changing the vehicle alone grants extra time.

For teams integrating with the GSTN APIs, the documented fields explain what the portal expects:

API validation also requires the bill to be active and within its validity period. If the bill is expired, cancelled or otherwise ineligible, a routine Part B update will fail; resolve the status through the permitted extension, cancellation or replacement process instead of repeatedly resubmitting the same request.

- Wrong user or transporter assignment: verify whether the generator or latest assigned transporter has authority to update the bill.
- Bill is not active: inspect the status and validity dates. An expired or cancelled bill cannot be treated as an ordinary active bill.
- Mode and identifier do not match: use a vehicle number for road and the required transport-document number for rail, air or ship.
- Vehicle has already departed: stop further movement if practical, contact the responsible transporter and make the update before the next movement. Document the timing and circumstances.
- Underlying invoice is wrong: stop trying vehicle-update actions; follow the cancellation-and-regeneration path if the bill remains cancellable.
- Validity is close to expiry: gather the reason, current place, remaining distance and current Part B details so an eligible extension request can be made without delay.
- Portal labels differ from internal instructions: rely on the bill’s current status, the portal’s validation message and the latest official FAQ or rule text rather than an old screenshot.
Records to retain after a change
For each changed leg, retain the original bill, the updated Part B acknowledgement, the time and place of transfer, the vehicle or transport-document details, transporter assignment evidence and any breakdown, accident or delay record. If a new bill is generated, keep the cancellation acknowledgement and the corrected invoice or transport document with it. These records let the consignor, transporter and consignee show why the conveyance changed and which bill was valid for each movement.
What the official wording means in practice
The FAQ’s operational rule is that “the e-way bill for transportation of goods should always have the vehicle number that is actually carrying the goods.” Rule 138(5) adds the timing requirement: a transporter transferring goods must update conveyance details before the transfer and further movement. Together, those statements make the compliance objective clear: the online record should track the real conveyance for every leg, while errors in the submitted bill itself must be corrected through cancellation and a replacement bill.
The official FAQ, GSTN API documentation and CGST e-way bill rules are India-specific. The FAQ and API material accessed on October 13, 2026, are operational documents whose portal labels and technical validations may change. For a disputed consignment, check the current bill status, notifications and rule text before acting.
