Correcting a PIN while the e-way bill is still being prepared
1. Check the digits and the intended address
Read the PIN directly from the underlying dispatch or delivery document rather than relying on memory. Check each digit, then confirm that the selected state and the place associated with the PIN match the transaction. A valid PIN for a different location is still the wrong value for this bill.
Keep the invoice and item information available while you make the correction. The objective is to submit one consistent set of details, not merely to make the validation warning disappear. If the destination has more than one relevant address, identify the address actually represented by the movement and use the corresponding PIN.
2. If a valid PIN is reported as invalid
The PIN-specific E-Way Bill System FAQ says that, when the code is valid but the system displays it as invalid, the generator may choose the state manually from the drop-down list and proceed. That document is dated 1 October 2018. Portal labels and validation behavior can change, so treat the instruction as source-dated guidance: first verify that the current screen offers the same state-selection option.
This advice applies to a genuine validation mismatch. It is not permission to choose a state that does not correspond to the PIN or to the actual movement of goods. If the code itself is wrong, replace it with the correct code before continuing. If the manual selection is absent or produces another error, capture the message and use the portal’s current support channel rather than guessing.
3. If fields become locked after you enter products
The current FAQ says the system normally permits editing before submission, but some fields may become unavailable after product or commodity details are entered because those changes can affect tax rates. Its suggested workaround is to remove the product entries, edit the required field, and then enter the product details again.
Use that workaround carefully. Before removing anything, have the invoice line items, quantities and other source information ready for accurate re-entry. Review the entire draft after re-entering the products; changing a location field should not lead to an accidental change in the commodity information. Do not submit a partially rebuilt draft simply because the PIN warning has disappeared.
4. Validate the draft before submitting
- Confirm the corrected PIN digit by digit against the transaction records.
- Confirm that the state selected in the form corresponds to the destination represented by that PIN.
- Review the remaining address and invoice fields for consistency.
- Check that any product details removed during editing have been entered again correctly.
- Submit only after the portal accepts the corrected combination.
These checks address a draft. Once the system generates the e-way bill, the correction rules change.

What changes after the e-way bill is generated
Generated Part-A information is not editable
The E-Way Bill System FAQ says that a generated e-way bill cannot be edited or modified. It identifies Part-B as the information that may be updated; that exception does not make the PIN in Part-A editable. Do not tell a driver, transporter or portal operator to overwrite the PIN on the existing bill.
A wrong PIN is therefore treated as wrong information on the generated bill, not as a normal Part-B update. The documented remedy is cancellation followed by generation of a new bill, but only when the bill meets the applicable conditions.
Why the Part-A and Part-B distinction matters
Part-A contains the core consignment details used to identify the movement, including the location information represented by the PIN. Part-B concerns the transport-related information identified by the system as updateable. The FAQ’s limited Part-B exception should not be read as a general editing facility for every field on a generated bill.
Changing a vehicle or other transport detail in Part-B does not correct a destination PIN. If the PIN is wrong, keep the original bill number and status visible while deciding whether cancellation is available. Creating another bill without addressing the first bill can leave two records that do not describe the same movement.

The FAQ and the rule text describe electronic cancellation where the goods are not transported or are not transported according to the information furnished. Cancellation must be completed within 24 hours of generation. The same sources state that a bill already verified by a proper officer in transit cannot be cancelled.
That means a PIN error alone does not guarantee that cancellation remains available. Before attempting it, establish whether the goods have moved, whether the movement matches the bill, whether the 24-hour period is still open, and whether an officer has verified the bill in transit. The rule language is reproduced in the Chapter XVI e-way bill rules; the operational explanation appears in the E-Way Bill System FAQ.
How to use the cancellation-and-regeneration route
The sources establish the eligibility rules, but they do not provide a guaranteed, current click-by-click menu path. Portal wording can change. Use the current cancellation function shown in your account and retain the transaction evidence.

- Check the bill status first. Confirm the generation time, whether the goods have been transported, whether the movement matches the bill, and whether a proper officer has verified it in transit.
- Confirm that the cancellation window is still available. The official deadline is 24 hours from generation. If that period has passed, do not assume that a portal option or a support request can extend it.
- Open the portal’s cancellation option for the generated bill. Follow the current on-screen prompts and submit the cancellation only for the incorrect bill. Do not create a replacement while treating the original as if it had been edited.
- Record the cancellation outcome. Save the bill number, the time of the request and the portal confirmation or error message. This creates a factual record if the replacement process is questioned.
- Create a fresh e-way bill with the correct PIN. Re-enter the destination and other Part-A information from the source documents. Check the PIN and state together before submission.
- Review the new bill against the transaction. Make sure the replacement reflects the actual movement and that the old, incorrect bill is identified as cancelled in your records.
If the portal refuses cancellation, stop and determine whether the reason is the deadline, transit verification or another status condition. Do not describe the new bill as a correction to the old bill; it is a separate bill generated with corrected information.
Timing examples that clarify the decision
If you notice the mistake while the form is still open, correct the draft and verify it before submitting. If the bill was generated minutes ago, first check whether the goods have moved and whether the bill has been verified; the 24-hour period is necessary but not sufficient by itself. If the goods are already in transit and a proper officer has verified the bill, the cited rule bars cancellation even if the PIN is plainly wrong.
Similarly, a bill that is still within 24 hours but describes goods that have already been transported may not satisfy the cancellation condition that the goods were not transported or were not transported according to the furnished information. The facts of the movement matter, not only the age of the bill.
When cancellation is no longer documented as available
The cited official sources do not establish a PIN-specific correction mechanism after the 24-hour period or after a proper officer has verified the bill in transit. They also do not promise an administrative override for those situations.
Do not invent a workaround such as changing Part-B, generating repeated replacement bills without resolving the original status, or asking someone to alter the stored Part-A record. Contact the GST helpdesk or a qualified GST practitioner for instructions tied to the exact bill status, and verify the advice before the goods move. Keep the original bill, the source invoice, the portal messages and the chronology of events available for that conversation.
When seeking help, state whether the error was a mistyped PIN, a valid PIN rejected by validation, or a mismatch between the PIN and the destination. Include the generation time, transportation status and any transit-verification information. Those facts determine which documented route, if any, can still be used.

Confusing a valid-PIN warning with a wrong PIN
The manual state-selection instruction addresses a portal message that conflicts with a PIN you have already confirmed as valid. It does not validate an unverified code. Check the source address first.

Treating Part-B as a place to fix the PIN
The FAQ’s Part-B exception concerns the information identified as Part-B. It does not authorize changing generated Part-A details such as the PIN.
Waiting until the goods are in transit
Transit verification can remove the cancellation route. Resolve a discovered error as soon as it is found, and check the bill’s status before goods move.

Assuming every wrong bill can be cancelled
Cancellation is conditional on the goods not being transported, or not being transported according to the bill, as well as the stated deadline and verification restriction. A PIN mistake does not erase those conditions.
Following an old screen description literally
The PIN-specific instruction comes from a FAQ dated 1 October 2018. Use it as a documented principle, but compare the wording and controls with the current portal rather than assuming every button is in the same place.
Submitting a replacement without preserving the original record
A fresh bill does not erase the history of the first bill. Save the original number, status and any cancellation response so the relationship between the two records is clear.
