How to Coordinate Your Financial Adviser and CPA on Taxes

By TheFinanceBase Team 12 min read

The most reliable way to coordinate a financial adviser and a CPA is to make the working arrangement explicit: define each engagement’s scope, assign every task and decision to a person, agree on how records will move, and keep a written decision and follow-up log. Do not assume the professionals share information or responsibility automatically. You remain the person who authorizes disclosures, approves recommendations, and confirms that important work was completed.

This guide is U.S.-focused and general. Your engagement letters, state rules, privacy policies, tax facts, and current IRS and CFP Board requirements control the details of your situation.

Why adviser–CPA coordination matters

Your financial adviser may recommend an investment, retirement distribution, charitable gift, insurance change, or other action with tax consequences. Your CPA or other tax professional may need accurate information about those decisions to prepare returns, calculate estimates, review withholding, or advise on planning. If each professional sees only part of the picture, you can end up with duplicated work, missing information, conflicting assumptions, or a deadline that nobody owns.

Coordination does not mean combining the professionals into one firm or giving either of them unlimited access to your records. It means creating a controlled process in which you know:

  • What services each professional is engaged to provide.
  • Which professional leads each task or decision.
  • What information one professional needs from the other.
  • What you must provide, approve, or sign.
  • How completion and unresolved issues will be reported.

CFP Board guidance says a CFP professional working with another provider should communicate about the scope of their respective services and the allocation of responsibility between them. That principle does not prescribe one universal split between investment and tax work; your engagement terms and facts determine the actual division.

Start with a written scope and responsibility map

Before sending records or asking for a joint recommendation, request a plain-language description of each engagement. Ask what is included, what is excluded, what information is needed from the other professional, and what actions require your approval. Put the answers in a shared note or meeting recap that all three of you can review.

Questions for each professional

  • What services are you engaged to provide this year?
  • Do you provide preparation, planning, representation, or some combination?
  • Which tax or investment questions are outside your scope?
  • What information do you need from the other professional, and in what format?
  • What decisions will you make, what decisions will you recommend, and what decisions must I make?
  • Who monitors deadlines and tells me when an item is complete?
  • How should I handle a disagreement between your recommendations?
  • Who is my primary contact for urgent questions?

Use a responsibility table

Complete a table like this with the professionals. It is a planning aid, not a substitute for either engagement letter or applicable law.

Work item or decision Lead professional Other professional’s input Your action Due date or trigger
Tax return preparation and filing Confirm in the CPA or preparer engagement Provide financial data the preparer requests Supply records, answer questions, review the return, and authorize filing Set with the tax professional and applicable filing deadlines
Financial plan or investment recommendation with tax consequences Confirm whether the adviser leads the recommendation Ask the tax professional to assess relevant tax treatment Approve, reject, or modify the action before it is implemented Before the transaction or plan change
Estimated taxes or withholding review Ask who calculates and updates the figures Adviser supplies relevant cash-flow or transaction information when authorized Provide income, distribution, and payment updates; make or authorize payments Set to your income pattern and payment dates
IRS information access or representation Confirm whether the CPA, adviser, or another eligible representative needs authority Only the information and period you authorize Review and sign the correct IRS form, if needed Before access or representation is required
Corrections or amended filings Confirm who evaluates and prepares the correction Provide supporting facts and records Approve the approach and sign required documents When an error or new information is identified

Do not fill a blank cell by assumption. If nobody will own an item, ask the professionals to assign it before work begins.

Build a repeatable communication process

A single annual handoff is rarely enough when your finances change during the year. Ask the adviser and tax professional what contact pattern fits your situation. The reviewed professional standards do not establish one ideal meeting cadence, so the schedule should reflect your income volatility, transactions, filing complexity, and upcoming decisions.

Use joint meetings selectively

Schedule a joint call or meeting when a decision could materially affect both sides, when one professional needs facts held by the other, or when their recommendations appear inconsistent. Send an agenda in advance with the decision to be made, the relevant dates, and the records available. You do not need every routine communication to include both professionals.

Keep a decision and action log

After each meeting, record the issue, the options discussed, the recommendation from each professional, your decision, information still needed, the person responsible for the next action, and the follow-up date. Ask each professional to correct factual errors in the recap. A short written log prevents a verbal suggestion from being mistaken for an approved instruction.

Define response and escalation rules

Agree on where routine messages go, how urgent matters are marked, and what happens if a deadline is approaching without an answer. If a professional says the other person owns an item, refer to the responsibility table rather than relying on memory. CFP Board team guidance says a CFP professional should communicate team responsibilities and take reasonable steps to obtain adequate factual information when the information received does not support the requested service or recommendation. It also describes discussing or escalating concerns when another team member may not have performed assigned work in the client’s best interests.

Share information deliberately and securely

Ask each firm how it protects, handles, and shares non-public personal information. CFP Board’s Code of Ethics and Standards of Conduct requires covered CFP professionals to maintain policies for protecting, handling, and sharing client information and to provide written notice at engagement and at least annually, subject to exceptions in the Code. A privacy notice is not a blanket instruction to exchange every record with every provider.

Agree on the minimum necessary records

Ask both professionals for a tailored list rather than relying on a universal checklist. Depending on your facts, they may need different combinations of account statements, income records, prior returns, transaction confirmations, basis information, distribution records, charitable documentation, or entity records. Confirm the tax year, account, owner, and date range for every request.

Authorize the route, not just the destination

Tell the adviser and CPA which channels you approve for sending records. A secure client portal, encrypted transfer, or another firm-approved system may be appropriate; ordinary email or consumer file-sharing may not meet a firm’s policy. Verify the recipient address or portal account before uploading anything, and ask how long files remain available and who can download them.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep your own controlled copy

Maintain a record of what you sent, when you sent it, to whom, and for which purpose. Store signed authorizations and engagement letters with your tax records. If a professional asks for information that appears unrelated to the agreed service, ask why it is needed before disclosing it.

Understand IRS access versus IRS representation

IRS permissions are not interchangeable. Ask the tax professional exactly what authority is needed, for which tax types, and for which periods. Do not assume your financial adviser needs IRS access merely because the adviser and CPA coordinate.

Authorization What it generally permits What it does not permit Client checks
Form 8821, Tax Information Authorization Allows a named designee to inspect or receive confidential IRS information for the tax matters and periods listed. It does not authorize the designee to speak on your behalf or represent you before the IRS. The IRS instructions state: "Form 8821 doesn’t authorize your designee to speak on your behalf." Review every designee, tax type, form number, and period; limit the authorization to the stated need.
Form 2848, Power of Attorney and Declaration of Representative Authorizes an eligible representative to act before the IRS for the matters and periods listed. It is not a general permission for unrelated records or future matters outside the form. Confirm the representative’s eligibility and the precise matters and periods covered.
Oral authorization May allow disclosure during a particular IRS conversation. It generally ends when that conversation ends and is not a continuing authorization for future access. Ask whether a continuing written authorization is needed.

Use the current IRS instructions when completing any form. Ask the CPA to explain whether the request is for information access, representation, or both; those are different functions.

Choose the tax professional for the work you need

A recommendation from an adviser is a starting point, not a reason to skip your own evaluation. Ask whether the professional handles your type of tax matters, whether planning is included in addition to return preparation, and whether representation would be available if an IRS issue arises.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Credential or status Licensing or oversight Typical scope to verify IRS representation point
Certified public accountant (CPA) Licensed by a state board of accountancy. Confirm whether the individual or firm provides preparation, planning, and representation, and whether they work with your financial-planning process. IRS guidance identifies CPAs as having unlimited representation rights, subject to the applicable authorization and scope.
Enrolled agent (EA) Federally authorized tax practitioner status administered by the IRS. Confirm services, experience with your issues, and availability for planning or representation. IRS guidance identifies enrolled agents as having unlimited representation rights. IRS preparer guidance states that enrolled agents must complete 72 hours of continuing education every three years.
Attorney Licensed by a state bar or other applicable authority. Confirm tax experience and whether the attorney’s practice matches your needs. IRS guidance identifies attorneys as having unlimited representation rights.
Other return preparer May have a preparer tax identification number (PTIN) or other status. Ask exactly what services and credentials apply to the person you would hire. A PTIN authorizes federal return preparation; it is not, by itself, a general IRS representation credential. Some preparers have limited representation rights in defined circumstances.

“Unlimited” representation rights do not mean an automatic right to act on every matter. The person must be properly authorized and acting within the credential and form’s scope.

Interview for practical fit

  • Have you handled clients with my income sources, investments, entities, or transactions?
  • Do you provide tax planning during the year or only prepare returns after year-end?
  • Who will actually perform the work, review it, and communicate with my adviser?
  • What information do you need, and how do you want it delivered?
  • What is your process when a recommendation depends on facts that are not yet available?
  • If the IRS contacts me, can you represent me, and under what engagement and authorization?
  • How do you charge for planning, return preparation, amended returns, notices, and representation?

Evaluate referrals and disclose economic arrangements

When an adviser recommends a CPA or another provider, ask what the recommendation is based on. CFP Board guidance says a recommendation should have a reasonable basis in the provider’s reputation, experience, and qualifications. Its materials also require disclosure of certain material economic benefits tied to recommending or engaging another provider.

Ask directly:

  • Do you or your firm receive a referral fee, revenue share, ownership benefit, or other economic benefit?
  • Does the recommended professional pay for access to clients, marketing, or a platform arrangement?
  • Are there other qualified providers you would consider?
  • What experience and credentials did you review before making the recommendation?

CFP Board’s example of due diligence includes considering experience, client feedback, and publicly available credential or disciplinary information. You can request the basis for the recommendation without treating it as an accusation.

Coordinate decisions that commonly cross both practices

The following are examples of moments that justify a joint review. They are not a universal tax-planning checklist; ask your professionals which apply to you.

Investment transactions

Before selling, exchanging, or rebalancing a taxable investment, ask what transaction information the CPA will need and whether timing, basis, or other tax facts affect the analysis. The adviser should identify the proposed action and its financial purpose; the tax professional should address the tax treatment within the agreed scope.

Retirement distributions and conversions

Before taking an unusual distribution or changing a retirement strategy, give the CPA the amount, expected timing, and other income information the CPA needs. Ask who will estimate the tax effect, who will update withholding or estimated payments, and when the estimate will be revisited.

Equity compensation, business income, or a liquidity event

These situations often create information gaps because transaction documents, payroll data, basis records, and cash-flow projections may sit with different people. Hold a joint meeting early enough to identify missing documents and decision dates. Do not wait until return preparation if a transaction is still changeable.

Charitable gifts and large deductions

Ask the adviser to describe the proposed asset or account action and the CPA to confirm the tax questions that must be answered. Keep valuation, acknowledgement, and transfer records in the format the tax professional requests.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Estimated taxes and withholding

Clarify who produces the calculation, what assumptions it uses, and what events trigger an update. Tell both professionals promptly about changes in compensation, distributions, business income, or other cash flows that affect the estimate.

Create a year-round workflow

  1. At engagement or renewal: read both engagement letters, confirm service boundaries, and complete the responsibility table.
  2. Before a major decision: describe the proposed action, date, amount, purpose, and records available; ask whether a joint review is needed.
  3. Before information exchange: confirm the minimum records, approved transfer method, recipient, and your authorization.
  4. After a recommendation: record the alternatives, assumptions, unresolved facts, your approval point, and the implementation owner.
  5. During the year: report material changes promptly and update estimates or planning assumptions as your professionals direct.
  6. Before filing: ask what records are still missing, who reviews the return, and how questions will be resolved.
  7. After filing: save the filed return, authorizations, payment confirmations, and decision log; ask who will handle notices or corrections.
  8. At year-end review: identify what worked, which deadlines were missed, and what scope or communication changes are needed for the next year.

Fix common coordination failures

Both professionals say the other person owns the task

Point to the written responsibility table and ask for one named owner, one deliverable, and one date. If the scope is unclear, request an engagement clarification before proceeding.

A professional requests broad access

Ask which records, tax matters, and periods are necessary and whether the request is for information access or representation. Narrow the authorization or decline to sign until the purpose is clear.

Recommendations conflict

Ask each professional to state the assumptions, objective, uncertainty, and information relied upon. Put the disagreement in the decision log and decide whether a joint meeting or an independent second opinion is warranted. You, not either professional, make the final personal decision unless you have separately granted authority for a specific action.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A deadline is approaching without an answer

Send a concise escalation message naming the deadline, the unanswered question, the records already supplied, and the action you need from each person. Keep proof of the request. If no one can take responsibility in time, ask what interim protective step is available and what follow-up will be required.

Information appears wrong or incomplete

Do not approve a filing or transaction merely to keep the schedule. Tell the professional what appears inconsistent, provide the source record, and ask how the issue will be investigated and documented.

Keep the client in control

Coordination works only when you can see and approve the important decisions. Request copies of engagement letters, recommendations, calculations, signed forms, filed returns, and final action confirmations. Ask for explanations in plain language and distinguish a professional’s advice from an instruction you have authorized.

You can end or change an authorization according to the current form and IRS procedures, change the professionals’ access to your records, or seek another opinion. Before doing so, ask what pending deadlines, notices, or obligations could be affected and obtain copies of your records.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The practical standard is simple: every important tax-related action should have a defined owner, an identified source of information, a clear client approval point, and a dated record of what happened. That structure helps your adviser and CPA work together without surrendering your control over sensitive information or financial decisions.
