An invoice appearing in GSTR-2B is useful evidence for reconciliation, but it is not by itself a legal approval. Keep the invoice trail, receipt and payment evidence, return workings, reconciliation history and registers needed to explain every credit.
What GST input tax credit is—and what it is not
ITC lets a registered person offset eligible GST paid on business inputs against GST payable on outward supplies. The credit can relate to goods, services or both, but only to the extent permitted by the Central Goods and Services Tax (CGST) Act, the rules and applicable restrictions.

A valid-looking tax invoice is only one part of the test. You also need to consider whether the supply was actually received, whether it is connected with business use, whether any blocked-credit rule applies, whether the supplier’s tax has been paid to the government, and whether the return and timing requirements have been met. Mixed business and non-business use, or taxable and exempt use, may require an apportionment rather than a full claim.
This guide reflects the general position for regular registered taxpayers and is dated October 2026. State or Union Territory procedures, special transactions, registration status, blocked-credit provisions and later amendments can change the result. Verify an unusual or high-value claim with a GST professional.

Can I claim GST input tax credit?
Use this eligibility sequence before entering any amount in your ITC register or return.
1. Confirm registration and business purpose
The claimant must be a registered person entitled to take credit. The goods or services must be used, or intended to be used, in the course or furtherance of business. If an item serves both business and private purposes, isolate the business portion and apply the required restriction or apportionment.
2. Check the statutory conditions
The Act identifies conditions that include possession of a prescribed tax invoice, debit note or other document; receipt of the goods or services; payment of the tax charged to the government (subject to the Act’s mechanisms); and furnishing the relevant return. Your files should let an auditor trace each condition to contemporaneous evidence.

3. Screen for blocked or restricted credit
Some categories are disallowed or limited even when the supplier has charged GST and the document appears in GSTR-2B. Review the nature of the expense, any personal element, exempt-use proportion, special transaction rule and any reversal requirement before claiming. GSTR-2B does not display every statutory ineligibility situation.
4. Avoid double benefits on capital goods
Credit cannot be claimed on the GST component of a capital-goods cost when depreciation has been claimed on that same tax component. Coordinate the fixed-asset register, depreciation calculation and ITC register so the same tax is not used twice.

Documents needed to support an ITC claim
Keep the prescribed source document and the records that demonstrate receipt, accounting and reporting. The principal documentary bases identified in the rules are:
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches| Transaction | Primary document | Records to connect it to the claim |
|---|---|---|

| Price adjustment or additional tax | Supplier debit note, with the original invoice trail | Amendment history, approval and revised accounting entry |
| Returned goods or reduction in value | Supplier credit note and original invoice reference | Reversal calculation, correspondence and revised ledger balance |

Check that the supplier’s legal name and GSTIN, document number and date, taxable value, tax rate and tax amount agree with your books. Preserve the original electronic file or a legible scan; do not rely on a portal line when the underlying document is missing.
How to claim ITC: a practical monthly workflow
- Close the purchase period. Collect invoices, debit and credit notes, bills of entry, ISD documents and receipt records for the tax period. Separate cancelled, duplicate and personal-use entries.
- Post the books. Record the supplier, document date and number, taxable value, each tax component, cost centre, payment status and whether the item is goods, services or capital equipment. Tag exempt, non-business and potentially blocked expenses for review.
- Download GSTR-2B. Obtain the period’s static, read-only statement from the GST portal. Save the file with the period and download date so the version used for the return can be reproduced.
- Reconcile line by line. Match supplier name and GSTIN, invoice number and date, taxable value, tax amounts, amendments, debit or credit notes, imports and ISD entries to your purchase register and receipt evidence.
- Investigate exceptions. Ask the supplier to correct a missing, duplicate, wrongly numbered or amended document in its filing. Record the issue, expected correction period and your decision to claim, defer or reject the credit.
- Apply legal filters. Remove blocked credit, private or exempt-use portions, duplicate claims and amounts requiring reversal. Check the capital-goods depreciation rule and any reverse-charge treatment.
- Prepare the return. Use the eligible totals in the applicable return, commonly GSTR-3B for regular taxpayers. GSTR-2B itself is not filed by the taxpayer; it is a read-only statement used to prepare the return.
- Review before filing. Compare the ITC register, reconciliation summary, reversal working and draft return. Confirm that imports and reverse-charge items are handled in the correct sections and that no document is claimed twice.
- File and archive. Save the filed return, payment or offset details, workings, GSTR-2B file, exception log and any supplier correspondence with the source documents.
How to match GSTR-2B with your purchase records
GSTR-2B is an auto-drafted, static statement generated from supplier filings and specified import data. Because it is read-only and does not change after generation for the period, it provides a consistent snapshot for reconciliation. It remains a preparation aid, not a substitute for your own eligibility assessment.
Fields to compare
- Supplier legal name and GSTIN
- Invoice or note number, date and document type
- Taxable value and each applicable tax component
- Amendments to earlier documents
- Debit notes and credit notes
- Import entries and ISD-distributed services
- Whether the item appears in the correct tax period and ledger account
Classify every mismatch
| GSTR-2B result | Likely action |
|---|---|
| Present and agrees with books | Confirm receipt, business use and other legal conditions, then include only the eligible amount. |
| Missing from GSTR-2B | Check supplier filing status and document details; defer or follow the applicable rule rather than assuming eligibility. |
| Duplicate | Trace the original entry and remove the duplicate from the ITC register and draft return. |
| Amended | Link the original and amended records, use the correct final values and preserve the adjustment trail. |
| Credit note received | Determine the required reduction or reversal and retain the supplier note and calculation. |
| Appears but fails another condition | Reject or restrict the claim; portal appearance does not override blocked-credit or business-use rules. |
The GST return interface permits editing of an auto-populated figure. An edited value is highlighted and accompanied by a warning. Treat that as an interface control, not permission to override the Act. If you change a figure, retain a written explanation and the supporting reconciliation.

What to do when the supplier will not correct an error
Keep the original invoice, screenshots or downloads of the relevant statement, emails or tickets to the supplier, and your decision log. A professional review may be appropriate where the tax is material, the supplier has ceased filing, or the timing deadline is close. Do not claim a duplicate or unsupported amount simply because the commercial payment has been made.
GSTR-3B reporting and reversals
For a regular taxpayer, the eligible result of the workflow is generally reported through the relevant GSTR-3B sections. Use the current GST portal labels and instructions; do not treat older references to GSTR-2 as current filing directions without checking the operative forms.
Record reversals separately from ordinary purchases. A reversal may arise from a credit note, non-business or exempt use, failure of a statutory condition, or another rule-specific event. When a later event permits reclaim, retain the original reversal and the calculation supporting the reclaim. Reverse-charge liabilities also need to be captured in the tax and accounting records; do not assume that a supplier’s GSTR-2B line settles your reverse-charge obligation.
How long do I have to claim ITC?
For the general section 16(4) time limit, CBIC Circular No. 237/31/2024-GST, dated 15 October 2024, reproduces the amended rule: “A registered person shall not be entitled to take input tax credit in respect of any invoice or debit note for supply of goods or services or both after the thirtieth day of November following the end of financial year to which such invoice or debit note pertains or furnishing of the relevant annual return, whichever is earlier.”
In practical terms, identify the financial year to which the invoice or debit note relates, then compare 30 November following that year with the date you furnish the relevant annual return. The earlier date is the general cutoff described in the circular. For example, an invoice belonging to financial year 2025–26 is generally tested against 30 November 2026 and the relevant annual-return filing date, with the earlier date controlling.

The same circular discusses retrospective sub-sections 16(5) and 16(6) for specified cases. Those provisions are not a blanket extension for every late claim. Prior orders, the taxpayer’s annual-return status, the invoice year and the precise facts can matter. Confirm the current notification, circular and case-specific conditions before relying on retrospective relief. Older sectoral FAQs may still show the former September-return wording; do not use that older wording as the current general deadline when the later amended text applies.
Records your GST system should contain
Under the account and record rules, a registered person other than a person paying tax under section 10 must maintain accounts showing tax payable, including reverse-charge liabilities, tax collected and paid, input tax and ITC claimed. The rules also require a register of tax invoices, credit notes, debit notes and delivery challans issued or received during each tax period.
Your records should include supplier and customer names and complete addresses, and details of storage premises and stock kept there, including stock in transit, where applicable. These requirements apply whether the working file is paper, spreadsheet-based or maintained in accounting software.
Operational record checklist
- Original supplier invoices, debit notes, credit notes, bills of entry and ISD documents, including amendments
- Purchase ledger and ITC register showing tax components and eligibility decisions
- Goods-receipt notes, delivery challans, service completion evidence and payment records relevant to the statutory conditions
- Period-by-period GSTR-2B downloads and reconciliation workbooks
- Filed GSTR-3B returns and the calculations behind reported ITC
- Reversal and reclaim calculations, credit-note adjustments and exception logs
- Supplier correspondence resolving mismatches or documenting why a credit was deferred
- Stock, warehouse and in-transit location records where the business holds goods
This list is a practical control framework, not a substitute for the exact records required by the rules for your business model. The account-rule material does not establish one universal retention period for every taxpayer and record type. Verify the applicable statutory retention provision and any sector-specific requirement before deleting files.

|---|---|---|
| Paper ledger with scanned backup | Simple for low transaction volumes and easy to review physically | Numbered folders, secure storage, manual duplicate checks and a reliable period index |
| Spreadsheet register | Flexible fields, filters and inexpensive period exports | Locked formulas, change history, controlled access, document links and regular backups |
| Accounting or GST software | Automated ledgers, document search, amendment handling and repeatable reconciliation workflows | Validate configuration, preserve export access, review auto-classification and retain an independent audit trail |
Whichever method you select, use a consistent unique key—typically supplier GSTIN plus document number and date—and keep a status such as eligible, deferred, rejected, reversed or reclaimed. That makes a later review faster than searching only by amount.
Common mistakes and how to correct them
Claiming every line in GSTR-2B
Why it fails: the statement does not decide blocked credit, private use, exempt-use apportionment, receipt or other legal conditions. Correction: apply the eligibility checklist to each line and document the exclusion.
Using a purchase register without receipt evidence
Why it fails: an accounting entry does not prove that goods or services were received. Correction: link delivery records, service acceptance or other appropriate receipt evidence to the invoice.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Overlooking amendments and credit notes
Why it fails: the original and revised values can both remain in a ledger. Correction: maintain a version-linked document trail and calculate the resulting reversal or adjustment.
Claiming tax that was depreciated
Why it fails: the same GST component receives two tax benefits. Correction: reconcile the fixed-asset and depreciation schedules before finalising capital-goods ITC.
Relying on an old deadline
Why it fails: older guidance may show the former September-return cutoff. Correction: identify the invoice financial year, apply the current section 16(4) text and check the annual-return date and any narrowly defined relief.
Editing auto-populated figures without an explanation
Why it fails: a portal edit changes the displayed return number but not the underlying legal position. Correction: retain the reconciliation, reason, approver and source documents for every edit.
