Before accepting a QR, compare which payment instruments it supports, where money settles and when, the fee for each instrument, reconciliation tools, KYC requirements, support and any device charges. Add a soundbox only if an audible confirmation improves your counter workflow.
Do not assume that every UPI payment is charged the same way or that a personal UPI QR is equivalent to a merchant account. The written acquiring agreement—not a generic promise that payments are instant or free—should determine your choice.

What a merchant UPI QR solution actually is
A merchant QR is a payment acceptance service tied to your shop’s business profile and settlement account. The acquiring bank or its merchant-payment partner supplies the UPI infrastructure, onboards the business and defines how transactions, refunds, disputes and payouts are handled. NPCI’s FAQ says a merchant must partner with an acquiring bank to start accepting UPI and identifies QR, intent, application-based and collect integrations: NPCI UPI Frequently Asked Questions.
For a physical counter, QR is usually the simplest customer-facing option. A shopper scans the code with a UPI app, authorises the payment and receives a result in that app. The merchant then relies on the provider’s confirmation, dashboard, bank credit or soundbox rather than on the customer’s screenshot alone.

Merchant QR versus a personal QR
A provider-issued merchant QR is linked to the business onboarding and the settlement arrangement in your agreement. A personal QR may not provide business-level KYC, transaction reports, refund controls, staff access, a merchant support path or the same treatment of payment instruments. Ask the acquirer whether your proposed setup is a merchant account and whether the settlement account can be your business bank account. Obtain tax and accounting advice for your business structure; do not treat a personal code as an interchangeable substitute.
Static and dynamic QR
A static QR stays on a counter standee or sticker and normally requires the customer to enter the amount. A dynamic QR is generated for a particular sale and can carry the amount and a transaction reference. NPCI lists both static and dynamic designs, but the official material reviewed does not establish one universal feature set across providers. Ask whether the QR can encode sale-specific amounts, whether it creates a reference usable in your billing system and whether a fixed display is still available for small cash-desk purchases.
Set your shop’s requirements before comparing providers
Write down the operating conditions that the QR must handle. This prevents a low headline fee from hiding a settlement or workflow problem.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minute- Counter pattern: Estimate the number of payments, typical ticket size, peak hours and number of checkout points. A single static standee may suit one counter; multiple tills may need separate identifiers or a billing integration.
- Customer payment sources: Decide whether you need ordinary bank-account UPI only, or also RuPay credit cards, credit lines and wallets on UPI. These categories can have different merchant charges.
- Settlement destination: Specify the exact bank account or merchant pool into which money should arrive. If the business has several accounts, record which one the agreement names.
- Reconciliation: Decide who will match daily QR transactions to invoices, what reference must be retained and how staff will handle a payment that is pending in the app but absent from the merchant report.
- Connectivity: Check mobile-network coverage at the counter, power availability and whether any optional device uses a SIM, Wi-Fi or another connection.
- Staff access: Determine whether more than one employee needs transaction visibility, whether roles can be separated and how a manager will review refunds or failed payments.
- Documentation: Ask what KYC and business documents are required for your legal form and annual turnover. Requirements are provider-specific.
- Support: Identify the channel and hours for payment disputes, settlement mismatches, refunds and a lost or damaged QR.
How to compare UPI QR solutions
| Decision point | Questions to ask the acquirer or provider | Why it matters |
|---|---|---|
| Onboarding and eligibility | Is the service available for my business type and location? What KYC, bank-account and turnover documents are required? | An incomplete or mismatched KYC file can delay activation or settlement. |
| UPI interoperability | Can customers pay from any UPI-based application, or are there restrictions? | Customers should not have to use a single app unless your agreement clearly says so. |
| Payment instruments | Does the QR accept bank-account UPI, RuPay credit cards, credit lines and wallets on UPI? Are any categories disabled? | Instrument type affects eligibility, reporting and potentially MDR. |
| Charges | What is the rate by instrument and merchant category? Is GST added? Are there device, rental, support, refund or settlement fees? | A zero-fee claim for one payment source does not price every source. |
| Settlement | Which account receives funds? Is credit immediate, or is there a provider-defined payout cycle? What happens on weekends, holds or risk reviews? | Cash-flow planning depends on the written settlement terms. |
| Reports and reconciliation | Can you export transaction history, search by reference, separate payment instruments and match a sale to a settlement? | Good records reduce disputes and bookkeeping time. |
| Refunds and failed payments | How are refunds initiated, how long can they take and who handles a debit-without-credit complaint? | Staff need a repeatable process rather than ad-hoc screenshots. |
| QR format | Is the code static, dynamic or both? Can each counter have a distinct identifier? Does it work with your billing software? | The display and the accounting workflow must agree. |
| Soundbox | Is a soundbox available, and what are its connectivity, rental, purchase, replacement and recurring service charges? | An audible alert is useful only when the device remains linked and powered. |
| Support and complaints | What is the escalation route and what evidence must you provide? Which party is the acquiring bank? | NPCI directs merchants to their acquiring banks for UPI transaction complaints. |
Understand fees without confusing customer charges and merchant MDR
There are three different questions: does the customer pay a fee, does the merchant pay a merchant discount rate (MDR), and does the bank or provider add a separate service charge? Keep them separate in your comparison sheet.
Bank-account UPI versus other instruments
Google’s merchant guidance says payments made directly from a customer’s bank account have no fee within the service it describes. The same guidance says RuPay credit-card, credit-line and wallet transactions on UPI can incur MDR and GST. The rate depends on business category, so use the selected provider’s current written schedule rather than a generic UPI rate: Google’s guidance on RuPay cards, credit lines and wallets.

On that Google page, merchants with annual business turnover below ₹20 lakh pay MDR only for the described RuPay credit-card, credit-line and wallet transactions above ₹2,000; merchants above ₹20 lakh pay MDR on all such transactions. These are conditions of the published guidance, not a universal rule for every acquirer or merchant category. Confirm your turnover classification, instrument eligibility, rate and GST treatment before activation.
A separate BHIM UPI statement for individual accounts
Google’s separate business help page says an individual merchant account can receive up to ₹50,000 per month with BHIM UPI without fees and that the bank may charge after that: Google Pay for Business help. Do not combine this statement with the ₹20 lakh annual-turnover and ₹2,000 transaction conditions above; they address different service and eligibility contexts. Ask your provider to state which rule applies to your account.
Policy can change
In an 8 August 2026 clarification, the Ministry of Finance said consumers would not face transaction charges, person-to-person transactions would remain free and any MDR introduced for merchants would apply only to a limited set of merchant transactions above a threshold at a nominal rate. The release does not provide a universal numerical threshold or replace an acquirer’s fee schedule: Press Information Bureau clarification of 8 August 2026. Save the dated fee disclosure that applies when you sign up and recheck it when policy or your payment mix changes.
Settlement: find out where the money goes and when
NPCI says a merchant receives funds immediately after the customer confirms payment into the merchant pool or bank account, according to the agreement. “Immediately” therefore describes the NPCI payment flow, not a promise that every provider uses the same visible payout process. Read the settlement clause and verify the intended account before putting the QR on your counter.
Questions to get answered in writing
- Is the displayed balance a merchant pool balance or a direct bank credit?
- When will the amount become withdrawable if the provider performs a risk or KYC review?
- Are there separate settlement rules for bank-account UPI and RuPay credit, credit-line or wallet payments?
- What reference appears in the bank statement and in the provider report?
- What is the process when the customer is debited but the merchant status is pending?
Run a small live test after activation. Record the customer-side reference, merchant dashboard status, settlement account and the time each status changes. Use the result to train staff; do not rely on an assumed payout schedule.

Choose and install the right QR display
Follow the current NPCI sticker requirements
NPCI’s BHIM-UPI guidelines updated 4 June 2026 specify that a sticker-format merchant QR should be at least 2 cm by 2 cm and include the merchant name, UPI ID and an instruction to scan and pay with any UPI app: BHIM-UPI Guidelines updated 4 June 2026. Use the acquiring provider’s issued or approved artwork. A generic standee does not itself create a settlement relationship.
Print at a size that remains easy to scan, keep the code flat and well lit, and place it where customers can inspect it before paying. Check the UPI ID and merchant name against the onboarding record. Replace a scratched, faded or tampered sticker immediately and remove the old one so customers cannot scan two different accounts.
Static or dynamic for your workflow
- Static: Best when staff can see the customer’s entered amount and the shop has simple, low-complexity billing. It is inexpensive to display but needs careful amount confirmation.
- Dynamic: Better when each invoice should carry a fixed amount and reference. Confirm whether your provider generates it from a point-of-sale or billing system and how staff handle an abandoned or partially paid invoice.
- Both: Some shops keep a static backup for outages while using dynamic codes for regular sales. Ask how duplicate or late payments are identified before adopting this arrangement.
Onboard a merchant QR step by step
- Select the acquiring relationship. Shortlist banks or merchant-payment providers that can support your business type, desired instruments and settlement account. Request the full fee and complaint documents before accepting the QR.
- Submit KYC and business information. Provide the documents the provider requests for your business type and annual turnover. Google says its India business app requests KYC documents based on those factors; other providers may ask for different evidence. Keep names and bank details consistent across documents.
- Confirm the commercial terms. Get the instrument-level MDR, GST treatment, recurring charges, refund rules, settlement timing, account number or pool description and termination process in writing.
- Verify the merchant profile. Check the legal or trading name, UPI ID, registered mobile number and settlement account in the approval message or dashboard. Correct errors before printing.
- Choose the QR format. Decide between static, dynamic or an integrated option. If dynamic, test the amount and invoice reference produced by the billing system.
- Run controlled test payments. Use a small amount from at least two UPI apps and, if enabled, each relevant payment instrument. Confirm the customer result, merchant alert, dashboard record and bank or pool settlement.
- Install the display. Follow the NPCI layout and minimum-size guidance, place the QR away from glare and secure it against substitution. Keep a record of the approved UPI ID.
- Train every cashier. Teach staff to verify the merchant name, amount, status and reference; to avoid treating a screenshot as final proof; and to escalate a pending or disputed payment without asking for a customer’s UPI PIN.
- Set a reconciliation routine. At closing, export or review the day’s transactions, match them to sales and flag missing, duplicate, reversed or refunded entries. Store references according to your accounting and retention policy.
- Publish the support route. Keep the acquiring bank’s merchant helpline, dispute procedure and required evidence at the counter manager’s workstation.
When a soundbox is worth adding
A soundbox is an optional QR payment alert speaker. Paytm describes its soundbox as announcing successful payments received on its QR: Paytm for Business soundbox explanation. Federal Bank describes an audible amount notification and says payments are credited directly to the merchant’s bank account on settlement: Federal Bank soundbox information.
The device can help when a cashier cannot watch a phone or dashboard for every sale, but it is not an independent payment terminal. Confirm that the soundbox is linked to your merchant QR, supports the required network or SIM, remains powered during trading hours and has a defined replacement process. Compare purchase or rental cost, recurring service fees, connectivity charges and what happens if the QR or settlement account changes. Do not assume a separately purchased speaker will announce payments from every provider.
Provider example: Google Pay for Business
Google says its India Google Pay for Business app is intended for small and medium merchants and that merchants can accept payments from any UPI-based application. Its help describes acceptance by QR code, phone number and Tez Mode, along with payment information and direct bank-account payment: About the Google Pay for Business app.

Use this as an example of the questions to ask, not as a universal promise. Google lists business-eligibility limits and requests KYC documents based on business type and annual turnover. Check the current app terms, fee page and settlement arrangement for your account. A different acquirer may support different instruments, reports, soundboxes or refund workflows.

- Inspect the code: Compare the displayed merchant name and UPI ID with the approved record. Replace any sticker with an unexplained overlay or altered destination.
- Protect credentials: Staff should never request or handle a customer’s UPI PIN, one-time password or phone unlock code.
- Verify before handing over goods: Use the merchant app, dashboard, bank notification or linked soundbox. A customer screenshot is evidence to investigate, not proof of settlement.
- Separate duties: Where practical, let one person serve customers and another review refunds and end-of-day exceptions.
- Keep references: Retain the transaction reference, amount, date, counter and invoice number needed by your acquirer and accountant.
- Plan outages: Have a visible notice or alternative payment method for a network failure, but never redirect a customer to an unverified personal QR.
Troubleshoot the common failure cases
The customer is debited but your merchant status is pending
Ask for the transaction reference and exact time, check the merchant dashboard and settlement account, and avoid requesting a second payment until the status is resolved. Open a ticket with the acquiring bank using the reference and retain the customer’s contact details only through your normal privacy process. NPCI directs merchants to their acquiring banks for UPI transaction complaints.
The QR scans but shows the wrong merchant
Stop using the display, compare the UPI ID with your onboarding documents and contact the acquirer. Remove the suspect sticker and use the approved replacement. Do not edit the code yourself.
The customer paid the wrong amount
Record the sale, amount received and reference. Follow the provider’s documented refund or adjustment process; do not make an informal cash settlement that leaves the transaction unmatched in your records.
A payment is duplicated
Match both references to the invoice and ask the acquirer how a duplicate refund is initiated. Keep one clear record of the amount returned and the date, because a customer’s app may show a reversal later than the merchant report.
Best Value
- It can be a gift option
- Comes with secure packaging
- Helpful in various ways
The soundbox is silent
Check power, network or SIM status, volume and the linked merchant identifier. Verify the dashboard or bank credit independently. If the device remains offline, use the provider’s support route rather than assuming that silence means failure or success.
A practical decision framework
Single-counter, low-complexity shop
Prioritise a merchant static QR, clear settlement to the business account, basic transaction history and responsive dispute support. Confirm whether customers can use any UPI app and whether your likely payment instruments carry different charges.
Busy counter with several cashiers
Prioritise dynamic QR or separate counter identifiers, searchable references and an export that maps payments to invoices. A soundbox can reduce missed confirmations, but budget for connectivity and recurring service costs.
Recommended Free Tools
Shop accepting credit-linked UPI instruments
Ask for instrument-level MDR and GST examples using your typical ticket sizes. Use the provider’s turnover and transaction thresholds, not a general claim that UPI is free, to model your monthly cost.
Shop with unreliable connectivity
Test the provider’s network requirements at the actual counter, ask how pending payments are reported and maintain a backup payment method. Do not print multiple unverified QR codes as a workaround.
Final pre-signing checklist
- The contract names the acquiring bank or responsible merchant provider.
- The settlement destination and timing are explicit.
- Fees are listed by payment instrument, merchant category and GST treatment.
- Eligibility, KYC and turnover conditions are clear.
- The QR displays the correct merchant name and UPI ID and meets the current NPCI sticker guidance.
- Static, dynamic or billing-integrated behaviour matches your counter process.
- Reports include references needed for daily reconciliation.
- Refund, failed-payment and complaint procedures include an escalation contact.
- Any soundbox has confirmed linkage, connectivity and total cost.
- You have completed live tests and trained staff before displaying the code.
The best UPI QR solution is therefore the one whose acquiring agreement fits your payment mix and cash-flow needs—not necessarily the one with the loudest “free” claim. Start with a verified merchant QR, test settlement and reporting, and review the instrument-specific fee disclosure whenever your shop begins accepting a new type of UPI payment.
