How to Choose a Tax Filing Service or Tax Professional (U.S. Guide)

The right tax-filing route depends on four things: the complexity of your return, how much help you want, your total cost, and whether you may need someone to deal with the IRS after filing. Start with free options if you qualify and have a straightforward return. Move to guided software when you can answer questions and review the result yourself. Choose a credentialed professional when your income, deductions, records, or need for representation make personal support valuable.

This guide covers U.S. federal individual income-tax returns. State rules, local availability, specialist business or international advice, and provider pricing can change, so confirm current terms before you commit.

Start with the decision: what kind of help do you need?

Classify your situation before comparing brands or prices. The filing method should follow the work your return requires, not the other way around.

A free program may fit a basic return

Check IRS Free File and Volunteer Income Tax Assistance (VITA) before paying. Guided Free File software can work when you have common income documents, standard deductions or uncomplicated itemized deductions, and no unusual tax issues. VITA provides free basic preparation by IRS-certified volunteers for taxpayers who meet program qualifications. Each site sets its own schedule and scope, so confirm that it handles your return before making an appointment.

Guided software fits a hands-on filer

Software is a reasonable choice when you are comfortable entering Forms W-2, 1099, mortgage-interest statements, retirement information, and similar documents; answering a guided interview; and checking the completed return. You remain responsible for the entries and the filing authorization. Software can explain common questions, but it cannot replace judgment about a novel transaction or represent you in an IRS dispute.

A professional earns its cost when complexity or support matters

A paid preparer is often preferable when you have self-employment, rental or investment activity, multiple states, stock or digital-asset transactions, a business sale, large or unusual deductions, prior-year problems, or records that need reconciliation. A professional can also be useful if you want a continuing adviser or someone who may explain an IRS notice and, if properly credentialed, represent you.

Compare the three main filing routes

Option Consider it when Verify before choosing
Guided software or IRS Free File You can answer guided questions, review the return, and your facts fit an available offer. Current eligibility rules; supported forms and situations; whether state filing costs extra; and which features trigger a paid upgrade.
VITA or another qualifying free-assistance site You need basic preparation and meet the program’s qualification and scope rules. Site location, operating dates, appointment timing, return types accepted, and whether the site can finish your return when you need it.
Paid tax professional You want a person to prepare the return, have less-common income or deductions, or want advice and possible representation. Credential and relevant experience; directory listing where applicable; complete written fee; availability after filing; signature and PTIN; a full copy; and who handles later questions.

Use five comparison axes for every route: fit with your forms and circumstances, preparer qualification and representation rights, total federal/state/add-on cost, post-filing support, and control of sensitive records and filing authorization.

Map your return before you shop

Make a one-page inventory of the tax work you expect. It lets you ask comparable questions and quickly rules out services that cannot handle your return.

List every income source

  • W-2 wages and unemployment compensation.
  • Interest, dividends, brokerage sales, and other investment income.
  • Freelance, gig, farm, or other self-employment receipts and expenses.
  • Rental or royalty income.
  • Retirement distributions, Social Security, pensions, or annuities.
  • Digital-asset transactions, foreign income, or income reported on numerous information forms.

List deductions, credits, and life changes

  • Mortgage interest, charitable gifts, medical expenses, or other potential itemized deductions.
  • Child, education, retirement-saving, energy, health-insurance, or other credits you may claim.
  • Marriage, divorce, a new child, a move, home purchase or sale, college attendance, or retirement.
  • Prior-year losses, amended returns, estimated-tax payments, or an IRS notice.

Identify filing complications

Note every state in which you lived, worked, owned rental property, or earned income. Ask whether you need more than one state return, a city or local return, foreign-account reporting, or a return for a deceased taxpayer. A service that handles only a standard federal return may not be suitable even if its headline price is low.

Understand credentials, PTINs, and IRS representation

PTIN: required, but only a baseline

The IRS says any tax professional with a preparer tax identification number (PTIN) is authorized to prepare federal tax returns. A PTIN shows that the person is registered for paid federal preparation; it does not prove education, accuracy, experience, or a right to represent you in every IRS matter.

The IRS distinguishes preparers by skill, education, credentials, and representation rights. Treat the PTIN as a minimum compliance check, not as a recommendation.

Unlimited representation rights

Enrolled agents, certified public accountants, and attorneys have unlimited rights to represent clients before the IRS on matters such as audits, collection and payment issues, and appeals. If you expect a dispute or want the same person to handle an IRS examination, ask specifically whether the individual will represent you and under what engagement terms.

What an enrolled agent designation means

Enrolled agents are licensed by the IRS. The IRS describes requirements that include passing a three-part Special Enrollment Examination, passing a suitability check, and meeting continuing-education obligations. Those requirements establish a defined credential, but they still do not guarantee that a particular agent is the best fit for your industry or transaction.

Other preparer categories

The IRS recognizes Annual Filing Season Program participants and lists certain qualified preparers in its public directory. Other preparers may have narrower representation rights. Ask what the person can do if the IRS sends a notice, and who will take over if the matter becomes an audit, collection case, or appeal.

An absence from the IRS credential directory does not by itself prove that a PTIN holder is unqualified; the IRS notes that people who are not listed may still provide quality preparation. Use directory information as evidence of stated credentials and rights, then evaluate experience, process, and references separately.

Verify experience that matches your facts

Credentials tell you what a preparer is authorized to do. Experience tells you whether the person regularly handles your type of return.

Ask targeted experience questions

  • How many returns like mine do you prepare in a filing season?
  • Have you handled my income type, state combination, deduction, credit, or transaction before?
  • Who will prepare the return, who reviews it, and who signs it?
  • Will you prepare amended returns or respond to an IRS notice if needed?
  • What records do you require, and how do you protect and return them?

Look for concrete answers rather than a general claim to “handle everything.” A preparer who recognizes the limits of their practice and refers specialized issues is safer than one who accepts work without explaining the boundaries.

Get the complete price in writing

Request an itemized fee explanation

Ask for the total expected cost before engagement, including the federal return, each state return, additional schedules, electronic-filing fees, bookkeeping or document cleanup, amended returns, and support after filing. Ask whether the quote is fixed, hourly, or subject to change if the facts differ from your initial description.

IRS consumer guidance advises asking for clear fees and cautions against charging a percentage of your refund. A refund-based fee can encourage a preparer to seek aggressive positions and makes it hard to compare providers. Prefer a transparent fee tied to the work performed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Separate preparation from optional products

Some services offer add-ons such as audit assistance, identity protection, expedited support, or refund-transfer products. Ask which are optional, what they cost, and what service you receive if you decline them. Do not treat a low advertised price as the final price until every required form and state return is included.

Reject unsafe payment arrangements

Do not allow a preparer to direct all or part of your refund into the preparer’s own financial account. Pay through a documented method and retain the engagement letter, invoice, and proof of payment.

Check the professional’s filing and security practices

Confirm the signature and PTIN

A paid preparer must sign the return and include the preparer’s PTIN. Before authorizing electronic filing, review the complete return, confirm that the preparer’s identifying information appears, and ask for a full copy for your records.

Never sign a blank or incomplete return

Do not sign a return with missing schedules, blank fields, or unexplained numbers. Ask about any income, deduction, credit, or bank-account information you do not recognize. The IRS states that taxpayers are ultimately responsible for all information on their federal income-tax return, regardless of who prepares it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Control filing authorization and records

Use a secure document-transfer method, limit access to sensitive identity and financial information, and clarify how long the preparer retains records. Confirm the bank account and routing number for any direct deposit yourself. Keep the signed return, source documents, e-file acceptance, invoices, and communications in a secure location.

Evaluate support after filing

Tax questions often arise after the filing deadline. Ask who answers follow-up questions, how quickly they respond, and whether the quoted fee includes basic explanations or representation.

Year-round availability

IRS guidance favors a preparer who can be reached after filing season. “Available” should mean more than an inbox that accepts messages: ask whether the same preparer will review a notice, prepare an amended return, or explain a correction.

Representation is a separate service

Preparation and representation are not identical. A PTIN-only preparer may prepare your federal return but have limited rights before the IRS. If representation matters, confirm that the individual has unlimited rights or that the firm will engage an enrolled agent, CPA, or attorney when necessary, and obtain the terms and fee in writing.

Use free filing programs carefully

IRS Free File eligibility can vary by offer

A 2026 filing guide from the Consumer Financial Protection Bureau says taxpayers with adjusted gross income (AGI) of $89,000 or less might qualify for free online federal preparation through guided IRS Free File software. An IRS Free File partner page surfaced an AGI limit of $84,000 or less for the referenced offer and states that a state return is not necessarily free with a free federal return. These figures may reflect different filing-year offers or eligibility rules.

Do not choose based on a threshold remembered from an earlier year. Use the current IRS Free File selector, read the particular provider’s offer terms, and verify:

  • Whether your current-year AGI and age or other conditions qualify.
  • Whether your income, forms, state, and tax situations are supported.
  • Whether the state return is included or carries a separate charge.
  • Which optional features, support channels, or add-ons cost extra.
  • Whether the offer remains free through the final filing and payment steps.

VITA has qualification and scope limits

VITA uses IRS-certified volunteers to provide free basic preparation to qualifying taxpayers. Check the official locator for site availability, opening dates, appointments, identification and document requirements, and the kinds of returns the site accepts. A VITA site may be excellent for a basic return but unable to handle a complex rental, business, international, or other specialized issue.

  1. Fit: “Does this service handle my income types, deductions, credits, states, and any extra schedules?”
  2. Responsibility: “Who prepares and reviews the return, and what credentials and representation rights do they have?”
  3. Price: “What is the complete federal and state price, including extra schedules, amendments, and support?”
  4. Process: “What documents do you require, how are they transferred, and when will I review the finished return?”
  5. Filing: “Will you sign the return, include your PTIN, and provide a complete copy and e-file confirmation?”
  6. Aftercare: “Who answers questions after filing season, and what happens if I receive an IRS notice?”
  7. Software offers: “What makes me eligible, which forms are supported, and what remains paid?”

Write down the answers. A provider unwilling to give a complete fee, identify the actual preparer, explain representation rights, or provide a copy should be removed from consideration.

Recognize red flags and know what to do

Warning signs before filing

  • The fee is based on a percentage of your refund.
  • The preparer refuses to provide a written price or says the price cannot be estimated.
  • You are asked to sign a blank or incomplete return.
  • The preparer will not sign, include a PTIN, or provide a complete copy.
  • The preparer asks for the refund to be deposited into the preparer’s account.
  • The person promises a specific refund without reviewing your records.
  • The service cannot explain who will answer an IRS notice or what representation is available.

If a return was filed or changed without your consent

Gather the return, communications, bank records, and filing confirmations. The IRS identifies Form 14157-A, Tax Return Preparer Fraud or Misconduct Affidavit, for reporting a preparer who filed or changed a return without authorization. Keep copies of everything you submit and consider obtaining independent tax advice about correcting the return.

A practical decision framework

Choose free assistance when all of these are true

  • Your return is basic and falls within the program’s scope.
  • You meet the current Free File or VITA eligibility requirements.
  • You can review the return and do not need specialized advice or representation.
  • You have confirmed that state filing and any required forms are included.

Choose guided software when these trade-offs work for you

  • You can organize documents and answer detailed questions accurately.
  • Your forms and transactions are supported by the current edition.
  • You want lower cost and control over the filing process.
  • You accept responsibility for reviewing the completed return and handling any later issue.

Choose a paid professional when one or more of these applies

  • Your income, deductions, states, or transactions are complex or unusual.
  • You need planning advice rather than data entry.
  • You want year-round access to a person familiar with your records.
  • You may need IRS representation or help with an existing notice, audit, collection issue, or appeal.
  • The time and risk saved are worth the documented fee.

Final pre-filing checklist

  • Confirm the service handles every income source, state, schedule, deduction, and credit you need.
  • Verify the preparer’s credential, PTIN, relevant experience, and representation rights.
  • Obtain the complete fee, including state filing, add-ons, amendments, and post-filing support.
  • Review privacy, document-transfer, retention, and refund-deposit procedures.
  • Read the entire return before signing or authorizing electronic filing.
  • Confirm the paid preparer signs, includes a PTIN, and gives you a full copy.
  • Save the return, source documents, e-file acceptance, invoice, and communications.
