The safest way to choose a property manager in India as a non-resident Indian (NRI) is to compare candidates for your property’s exact city and type, then put authority, money handling, repairs, records, tenant decisions and termination terms in a written agreement. There is no substantiated nationwide ranking or standard package to rely on. Your shortlist should be built from verifiable local capacity, a clearly bounded service scope, independently checked references and controls that let you remain the decision-maker from abroad.
Start with the job you actually need to delegate
“Property management” can mean anything from finding a tenant once to handling every rent payment, repair and dispute. Before contacting firms or individuals, write down the tasks you want performed and the decisions you will retain. A candidate should respond to the same written scope so that prices and promises are comparable.

List the operational tasks
- Tenant sourcing and advertising.
- Identity, employment, income and reference checks.
- Lease drafting or coordination with your lawyer, signing and renewal tracking.
- Rent collection, arrears follow-up and reconciliation.
- Move-in and move-out inventories, periodic inspections and photo records.
- Maintenance triage, contractor coordination and completion checks.
- Communication with the housing society, municipality, utility providers and insurers where relevant.
- Periodic financial and property reports.
- Handling notices, complaints and escalation to a lawyer when a dispute arises.
Ask each candidate to mark every task as included, available for an additional charge or excluded. Request a sample monthly report and a written list of exclusions. This avoids the common failure in which an owner assumes that inspections, legal notices or emergency attendance are included while the manager treats them as extra work.
Define the decisions you will keep
Most remote owners want convenience without surrendering control. State that the manager cannot approve a tenant, sign or renew a lease, change rent, authorize non-emergency work above a specified limit, settle a dispute or sell the property without your written approval. The agreement should identify the communication channel that counts as approval and the people who may give instructions on your behalf.

Compare candidates on the same six decision axes
Use a common question sheet and score the answers. Local ability matters more than a polished national-sounding website: the relevant test is whether the person can reach your building, knows its rules and can respond when you are in another time zone.
| Decision area | What to ask for | What to verify |
|---|---|---|
| Local coverage and response | Exact neighborhoods served, staff or contractors nearby, normal and emergency response times, and after-hours contact. | Visit or call the stated local office; ask references how quickly urgent problems were handled. |
| Tenant and lease process | Screening documents, reference checks, approval workflow, inventory process, lease and renewal responsibilities. | Sample redacted screening checklist, lease workflow and move-in report. |
| Money handling | Where rent is paid, who may hold it, remittance timing, reconciliation format, arrears process and permitted deductions. | Sample rent statement, bank-account details and a clause requiring supporting records. |
| Maintenance controls | Emergency definition, approval threshold, contractor selection, quotation rules, inspection of completed work and warranty follow-up. | Sample itemized invoice and an explanation of how conflicts or related-party contractors are disclosed. |
| Accountability and references | Named responsible person, escalation path, reporting frequency and references from owners with similar properties and remote-owner needs. | Contact references independently and ask specific questions about vacancies, repairs, money and exit. |
| Contract, fees and exit | Fee basis, taxes and pass-through charges, minimum term, notice period, termination events, liability and handover procedure. | Read the complete agreement, including annexes and powers of attorney, before paying or handing over keys. |
Do not treat a low headline fee as the cheapest option until you have added tenant-placement charges, renewal charges, inspection fees, emergency attendance, contractor mark-ups, legal coordination and taxes. Require the fee basis and every pass-through amount in writing.
Check local capability before signing
Verify the operating address and people
Confirm the manager’s legal name, business address, phone numbers, bank-account name and the person responsible for your property. Ask who will inspect the home, who approves invoices and who covers absences. A single individual may be perfectly suitable, but you need a documented backup for illness, travel or departure.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteTest communication rather than accepting promises
Send a short set of practical questions and observe whether answers are prompt, specific and written. Ask how a burst pipe at night, a society complaint, a missed rent payment and a tenant request for a major alteration would be handled. Vague assurances such as “we manage everything” are not an operating plan.
Take references seriously
Request owners whose properties resemble yours in city, building type and tenant profile. With permission, contact references yourself rather than relying on a testimonial supplied by the manager. Ask:
- How long did the manager take to find and screen a tenant?
- Were rent statements accurate and delivered on the promised date?
- Did repair invoices include receipts and photographs?
- Who made decisions during an emergency?
- What happened when the owner ended the relationship?
One reference is not enough to establish reliability. Look for consistent answers and any unresolved concern that the manager cannot explain.

Put authority and money controls in the agreement
Lease and tenant authority
Specify who may advertise, negotiate rent, approve a tenant, sign a lease, issue a renewal and serve notices. If you use a power of attorney, limit it to the stated property-management acts, define its duration and obtain legal advice on execution and registration requirements that apply to your situation. Keep the original document in an owner-controlled archive unless there is a compelling reason to place it elsewhere.
Rent collection and remittance
State the account into which rent must be paid, the date by which the manager must remit funds, the permitted deductions and the format of the reconciliation. A monthly statement should show opening balance, rent due, rent received, arrears, taxes or statutory deductions recorded, each expense, manager fees, amount remitted and closing balance. Require the manager to send bank credit evidence or another reliable record for material transactions.
Avoid arrangements in which rent is paid into a personal account or held indefinitely without a clear trust or client-money process. If a separate client account is used, identify the account holder and the circumstances in which funds may be withdrawn.
Repair approvals
Set a rupee approval limit for routine work and a separate rule for emergencies. Require at least one quotation above the routine limit where circumstances permit, prior written approval for larger work and itemized invoices with receipts. Define what qualifies as an emergency and require photographs, a description of the risk and a completion report. The manager should disclose any relationship with a contractor and any commission or mark-up.
Records, keys and data
List every record the manager must maintain: lease and renewals, tenant identification documents, inspection photographs, meter readings, society correspondence, invoices, warranties, notices and rent reconciliations. Require copies in a storage location you control. Record who holds keys, how duplicates are logged and when they must be returned. Ask how personal data and account credentials are protected and how access is removed when the contract ends.

Monthly financial report
Insist on a fixed reporting date and a consistent format. Reconcile the report to the bank account and preserve the underlying invoices and receipts. A report that merely states “rent received” does not let you detect an unauthorized deduction, a vacancy or a growing arrears balance.

Property condition report
Agree how often inspections occur, who attends and what is photographed. The report should identify leaks, damp, electrical or plumbing defects, appliance condition, unauthorized alterations and safety concerns. Compare each inspection with the move-in inventory so that responsibility for damage is documented rather than argued at move-out.
Vacancy and arrears alerts
Require immediate notice of a notice to vacate, missed payment, utility disconnection, society complaint, legal notice or suspected abandonment. Specify the escalation path and the maximum time before you are contacted. A monthly report is not adequate for an event that can damage the property or create a legal deadline.
Understand the India-specific legal and tax context
These rules are owner- and transaction-specific. A manager can organize records and coordinate professionals, but should not be assumed to provide qualified tax or legal advice.
FEMA and permitted ownership
Reserve Bank of India guidance states: “A NRI can acquire by way of purchase any immovable property (other than agricultural land/ plantation property / farm house) in India.” The guidance identifies payment through inward remittance by normal banking channels and eligible funds in NRE, FCNR(B) or NRO accounts as permitted routes. The FEMA (Acquisition and Transfer of Immovable Property in India) Regulations, 2018 provide controlling detail and also address Overseas Citizen of India situations.
Before applying that general rule, confirm your status, the property’s classification, how and when it was acquired, the payment trail and any proposed transfer. Ask the manager to preserve documents, not to make an unsupported eligibility decision. Use current RBI material and an Indian adviser for a purchase, transfer, inheritance or sale.
Income from a let-out house property
The Income Tax Department’s guidance on let-out house property explains that computation uses annual value and relevant deductions and adjustments. Its framework discusses municipal valuation, fair rent, actual rent, vacancy, municipal taxes and deductions available under the applicable rules. Your manager should therefore provide complete, dated rent, vacancy, tax and expense records in a format your tax adviser can use. Do not assume that a manager’s calculation is a tax opinion.

Tax deducted from rental payments
The Income Tax Department’s Form 141 guidance identifies the tenant or payer as the Schedule A deductor and the landlord or payee as the deductee. The page states that deducted tax is paid within 30 days from the end of the deduction month and that the challan-cum-statement is due within one month from that month. Rules, forms and thresholds can change. Your agreement should say who prepares records, who communicates with the tenant and who assists your adviser, while recognizing that statutory responsibility belongs to the person identified by the applicable rule.
The Department’s current content also describes changes effective 1 October 2026 for specified non-resident property-sale reporting. Because the details and applicable tax year are time-sensitive, recheck the current form, transaction and responsibilities before acting.
If you may sell the property
The Income Tax Department’s FAQ on sale of immovable property by a non-resident says the buyer must deduct tax at source when purchasing from a non-resident. It describes different rates based on the holding period, with surcharge, cess and treaty considerations. If a sale is possible, keep the manager’s role limited to documents, access and coordination unless a qualified adviser gives transaction-specific instructions.
RERA is not a universal manager-quality badge
Section 2 of the Real Estate (Regulation and Development) Act, 2016 defines a real-estate agent in terms of negotiating or acting for transactions involving transfer of real estate. That definition does not establish that every rental property manager must be registered under RERA. Ask the relevant state authority or counsel whether the candidate’s specific activities trigger a registration or other obligation. Do not use registration status alone as a substitute for checking service quality, authority and records.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Screen the tenant without outsourcing your judgment
Set written screening criteria
Define acceptable documentation, income or affordability evidence, employment or business verification, references, intended occupants, pets, move-in date and permitted use. Apply the same criteria consistently and comply with applicable privacy and anti-discrimination requirements. The manager should explain what is verified, what is merely self-declared and what cannot be confirmed.

Approve the lease package
Review the final tenant file, proposed rent, deposit, term, lock-in or break clause, maintenance obligations, notice provisions, permitted alterations and inventory before signing. Confirm that the lease, society rules and local requirements do not conflict. Keep a signed copy and proof of registration or stamping where applicable, after obtaining local advice.

Control deposits and move-out
Specify where the security deposit is held, who may authorize deductions and how the final statement is prepared. At move-out, require joint inspection where practical, meter readings, key return, photographs and an itemized deduction statement. Never accept a vague “cleaning and repairs” deduction without supporting evidence.
Plan for disputes and emergencies
Use an escalation ladder
- The manager records the complaint, date, people involved and immediate risk.
- The manager attempts the contractual remedy and tells you what action was taken.
- You approve settlement, major work or a notice where the agreement requires owner consent.
- A local lawyer or other qualified professional handles legal advice, proceedings or statutory deadlines.
Define which events require same-day contact: non-payment, abandonment, serious water or electrical damage, fire, unauthorized occupation, police contact, a formal society notice and any government or court communication.
Prepare an emergency file
Give the manager current owner and emergency contacts, property details, utility and society contacts, insurance information, contractor permissions and a spending limit. Keep a duplicate in your own secure archive. The manager should report what happened, what was done to prevent further damage, the amount committed and the next decision required.

Review the contract before handing over keys
- Scope: every included task, exclusion and extra-charge service.
- Authority: tenant approval, lease signing, rent changes, repairs, notices and dispute handling.
- Money: collection account, remittance deadline, deductions, fees, taxes, receipts and reconciliation.
- Standards: inspection frequency, response times, report contents and record-retention period.
- Conflicts: contractor relationships, commissions, mark-ups and disclosure duties.
- Privacy: storage, access, credential handling, data sharing and breach notification.
- Liability: what the manager is responsible for, exclusions, insurance and indemnities.
- Termination: notice period, immediate-termination events, final accounting and tenant communication.
- Handover: keys, funds, leases, tenant files, photographs, warranties, open work orders and vendor contacts.
Have an Indian lawyer review a power of attorney, lease form or unusual liability clause. A management agreement should not silently give the manager authority to dispose of the property or bind you to unrelated obligations.
Onboard in a controlled sequence
- Complete the written scope, approval limits, fee schedule and termination terms.
- Verify identity, business details, references and bank-account ownership.
- Prepare an inventory with dated photographs, meter readings, keys and appliance details.
- Transfer only the documents and access needed for the agreed tasks; retain originals and administrator credentials where possible.
- Notify the tenant, society and relevant vendors of the authorized contact and the boundaries of that authority.
- Set the reporting calendar, emergency contacts, rent due date and escalation rules.
- Review the first rent statement and first maintenance invoice line by line.
- Schedule a formal review after the first inspection or tenancy cycle, then at least annually and whenever the tenant, law or property condition changes.
Recognize warning signs early
- Pressure to sign immediately or pay into an account unrelated to the contracting entity.
- Refusal to provide a complete agreement, sample report, references or an itemized fee schedule.
- Promises of guaranteed rent, zero vacancy or effortless legal protection without written conditions.
- Requests for unrestricted power of attorney, original title documents or permanent access to all accounts.
- Cash repairs, round-number invoices, missing receipts or contractors who cannot be independently identified.
- Delayed statements, unexplained deductions, inconsistent tenant information or reluctance to permit inspections.
- No clear person responsible during holidays, emergencies or the manager’s absence.
- Resistance to an owner-controlled archive or to returning keys, records and funds at termination.
One warning sign may have an innocent explanation; several together justify pausing the appointment and obtaining independent advice.
Make the final choice
Choose the candidate who can demonstrate dependable local execution and accepts transparent controls, not merely the one with the broadest list of services. Your decision file should contain the comparison sheet, verified references, proposed agreement, fee schedule, sample reports, identity checks, property inventory and a written record of every exception you accepted.
Because city, property type, tenant market and owner circumstances differ, a provider recommendation or national fee comparison cannot be responsibly made without those details and fresh verification. The durable choice is a manager whose scope is explicit, whose money trail can be reconciled, whose repairs can be challenged, whose references withstand independent checks and whose exit process leaves you with your property, records and funds under control.
