How to choose a business credit card that fits your company’s spending

The right business credit card is the one whose rewards, repayment terms, fees and controls match how your company actually spends and pays—not the card with the most impressive headline rate. Start with a representative period of company transactions, identify the categories that recur, estimate rewards at a redemption value you can realistically use, and compare that value with annual and transaction fees. Then test the card against your cash-flow pattern, employee-controls needs, accounting workflow and eligibility.

Card pricing, approval standards, reward categories, caps, exclusions and welcome offers change by issuer and applicant. Use the framework below to narrow your choices, then verify the current agreement and offer on the issuer’s own page before applying. Chase’s general guidance covers spending, rewards, APR, fees and employee use in more detail at How to Choose a Business Credit Card and How to Choose the Right Business Credit Card.

What “fits” means for a business credit card

Fit is a net-value and operations question. A card can earn a high rate in one category yet underperform if your purchases fall outside that category, hit a cap, or cannot be redeemed in a way your business will use. A no-fee flat-rate card can be worth more when spending is spread across changing vendors. A card with a low introductory APR can help during a planned cash-flow gap, but the long-term APR matters if balances will remain after the introductory period.

Think of the decision as seven tests:

  • Spending fit: Do the issuer’s eligible categories capture enough of your real purchases?
  • Redemption fit: Can the company use cash back, points or miles before rules, expiration or availability reduce their value?
  • Financing fit: Does the APR and any introductory period match the timing of expected repayments?
  • Cost fit: Do annual and transaction fees stay below rewards and benefits the business will actually use?
  • Control fit: Can you issue employee cards, set limits, restrict merchants and spot unusual transactions?
  • Workflow fit: Do reports and accounting or enterprise-resource-planning (ERP) connections match the way expenses are coded and reconciled?
  • Eligibility fit: Can the applicant provide the personal and business information the issuer requests?

Do not assume that a feature described by one issuer is available on every business card. Chase, Regions Bank and other issuers describe different products and audiences; the current terms for the specific account control.

Step 1: Turn company spending into a usable baseline

Use a representative period

Pull one typical month or a full year of company transactions, depending on how seasonal the business is. Include purchases that would actually move to the new card: supplies, advertising, software, travel, fuel, shipping, inventory, utilities and recurring subscriptions. Remove personal charges and one-off expenses that will not recur unless they are part of a planned event or expansion.

If revenue and expenses swing by season, make two views: an average month and the highest-spend months. A card that looks attractive on an annual average may run into a quarterly category cap during a busy season. Keep the period and assumptions identical for every card you compare.

Group transactions by the issuer’s definitions

Sort each purchase into the categories shown in the card’s earning rules, then mark transactions that do not clearly fit. The merchant’s coding—not your internal description—usually determines whether a purchase earns a category bonus. A software subscription may be coded as a particular service, for example, while a purchase from a retailer that sells many types of goods may not receive the category you expected. Treat unclear transactions conservatively until the issuer confirms the coding.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Record:

  • Dollar amount and frequency for each recurring category.
  • Large vendors and the merchant category they are likely to use.
  • Spending that is excluded, earns a base rate, or may be subject to a cap.
  • Foreign or cross-border transactions that could trigger a transaction fee.
  • Employee purchases and the people who need cards.
  • Seasonal or planned one-time spending separately from ordinary operations.

Find concentration and volatility

Calculate what share of total spend comes from the largest two or three categories. Concentrated, predictable spending can justify a category-bonus structure. Broad or rapidly changing spending often favors a simple flat-rate structure because less value depends on classification, rotating categories or remembering which card to use.

Step 2: Match rewards to eligible spending and real redemption

Category bonuses versus flat-rate rewards

Category cards reward selected types of purchases at a higher rate and apply a base rate elsewhere. They are strongest when your largest expenses reliably fall into eligible categories and remain below any stated caps. A flat-rate card trades a potentially lower top rate for a consistent return across a wide range of purchases, which can be easier to budget and audit.

Build a category map before valuing a card. For each candidate, write down the eligible categories, the base earning rate, caps, exclusions and any requirement to activate or select categories. Then apply those rules to the same spending baseline. Do not use a bonus rate for transactions whose eligibility is uncertain.

Value cash back, points and miles in business terms

Cash back is straightforward only when the issuer lets the business redeem it in a form and timing it can use. Points and miles may have different values depending on the redemption route, transfer rules, availability and expiration provisions. Use a conservative value based on the redemption the company would actually choose; do not assign a fixed cash value to every point.

The Consumer Financial Protection Bureau reported that consumers earned more than $40 billion in rewards on major issuers’ general-purpose credit cards in 2022, more than 50% above 2019 levels. Its report put average rewards value at 1.4 cents per dollar spent in 2019 and 1.6 cents in 2022. Those are market-wide figures for general-purpose cards, not a guaranteed rate for a particular business card. Read the CFPB Credit Card Rewards Issue Spotlight (May 2024) for the definitions and limitations behind those figures.

Check caps, exclusions and changes

A high rate on the first dollars of a category may produce less value than a lower uncapped rate when your company spends heavily. Check whether rewards stop after a monthly, quarterly or annual limit; whether returns, fees, balance transfers or cash advances earn rewards; and whether the issuer can change categories or redemption terms. Keep a copy of the terms you used for your calculation and revisit them when the issuer gives notice of a change.

Step 3: Compare rewards with APR and the company’s cash-flow pattern

If the business normally pays in full

When the statement balance is paid by the due date, the main financial comparison is usually annual and transaction fees against rewards and usable benefits. You still need to check the purchase APR, grace-period language and all account terms, because a late payment or an unexpected cash shortfall can change the economics quickly.

If the business may revolve a balance

Estimate the balance you might carry, the month it would be paid off and the amount of new spending during that period. Compare the applicable purchase APR and any introductory APR with that payoff plan. A rewards difference that looks large on paper can be overwhelmed by interest if a balance remains. Do not carry debt to earn rewards or a welcome bonus.

Introductory APRs have a duration and may apply only to specified transaction types. Record the end date, the post-introductory rate and the repayment amount needed each month to clear the balance on schedule. Issuers set APRs based on the applicant and current terms; no single rate can be assumed for every company.

Separate working capital from borrowing distress

Commercial-card guidance often describes cards as a working-capital tool because they can let a business pay merchants on time while managing the timing of cash leaving the account. Jay Darnell, head of Commercial Card and Fintech Enablement at Regions Bank, described commercial cards as a “working capital tool” that lets businesses “pay merchants up front and on time while increasing their bottom line.” That is a bank executive’s characterization, not a promise of savings or performance. Use a card for planned cash-flow timing only when the repayment source and date are clear.

Step 4: Do the fee and welcome-offer arithmetic

Calculate net annual value

Use one formula for every candidate:

Estimated net annual value = rewards from eligible spend + benefits you will use − annual fee − transaction fees − expected interest.

Count a benefit only when the business would otherwise use it or pay for it. A travel credit that goes unused is worth zero to your company. Include foreign-transaction charges when the business buys from overseas merchants, and include employee-card fees or other account charges if the issuer applies them.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Illustrative calculation

Suppose a hypothetical company spends $8,000 a month in a category earning 3% and $12,000 in uncategorized purchases earning 1%. Monthly rewards would be $240 plus $120, or $360; annual rewards would be $4,320 before fees, redemption adjustments or caps. If the annual fee were $300 and the company used $200 of benefits it would otherwise purchase, the estimated value would be $4,220 before interest. This is an illustration of the method, not a current offer or expected result for any issuer.

Test a welcome offer without changing behavior

Write down the required spend, the time window beginning from account opening, the reward form and any exclusions. Compare the requirement with spending the company already expects to make. Do not accelerate purchases, buy unnecessary inventory or carry a balance solely to earn a bonus. A bonus is one-time value; the annual fee and earning structure affect every year you keep the account.

Step 5: Make employee cards a control and bookkeeping decision

Match cards to roles and limits

List who needs a card, where each person buys, and the maximum amount and merchant types appropriate for that role. Compare whether the issuer offers employee cards, per-card spending limits, merchant-category restrictions, alerts and the ability to freeze or replace a card. A card that earns well but gives little visibility can increase reconciliation time and fraud exposure.

Require transaction-level visibility

Check whether reports show the employee, merchant, date, amount and category in a format your bookkeeper can export. Look for real-time or near-real-time alerts, receipt capture or notes if those are part of the issuer’s product, and a process for disputing unauthorized charges. Confirm whether limits can be changed by an administrator without issuing a new account.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Plan the reconciliation workflow

Decide who reviews transactions, who approves exceptions and when the statement is closed. Compare the issuer’s expense categorization and accounting or ERP integration with the fields your company already uses. An integration that imports transactions but loses project codes, tax treatment or employee identifiers may not save work. Regions’ commercial-card guidance discusses integration, controls and broader purchasing functions for mid-size and large organizations; those capabilities should not be assumed on a basic small-business card. See Regions’ commercial-card guidance for that distinction.

Step 6: Decide whether your company needs a small-business or commercial-card setup

Small teams and sole proprietors

A conventional small-business card may be sufficient when one owner or a few employees make purchases, spending categories are limited, and a standard statement export covers bookkeeping. Focus on rewards fit, APR, fees, employee limits and basic alerts rather than paying for capabilities you will not use.

Growing organizations

As the number of cardholders, locations or approval layers increases, ask whether you need centralized controls, detailed reporting, purchasing workflows or ERP integration. For larger organizations, commercial-card programs may include separate purchasing, travel or fleet functions, or an all-in-one structure. Those features can matter more than a small difference in rewards, but availability and pricing vary by issuer and company size.

Do not confuse a card with a broader spend-management program

A card account alone does not create a policy. Set written rules for permitted merchants, receipts, approval thresholds, personal use, disputed transactions and what happens when an employee leaves. Choose the account whose administrative tools support those rules, then test the workflow with a small group before issuing cards company-wide.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 7: Check eligibility before you apply

Application information and underwriting standards differ. Chase says applicants may be asked for personal and business details such as a tax identification number, years in business and revenue. Gather the information the issuer requests and verify the current criteria on the application page. Approval is not guaranteed by meeting a general checklist, and the issuer’s agreement controls the account after approval.

For a sole proprietor, determine which personal and business identifiers the issuer accepts and how the application asks for revenue. For a corporation or partnership, confirm who is authorized to apply and which tax or registration details are needed. Avoid submitting multiple applications simply to chase a bonus; each issuer may evaluate applications differently, and offer terms can change.

Use one comparison worksheet for every candidate

Copy this structure into a spreadsheet and fill it from each issuer’s current pricing and rewards pages. Keep the same spending period and redemption assumptions across columns.

Comparison area What to record Decision question
Eligible spending Category definitions, base rate, caps and exclusions What share of our real spend earns the advertised rate?
Redemption Cash-back form or points/miles options, restrictions and expiration rules Will we redeem it at the value used in the model?
Financing Purchase APR, introductory APR, duration and post-introductory terms What will this cost under our expected payoff schedule?
Fees Annual fee, foreign-transaction charge, employee-card charges and other account fees Does recurring value exceed recurring cost?
Welcome offer Required spend, deadline, reward type and exclusions Can we meet it with planned spending and no debt?
Employee controls Card availability, limits, merchant restrictions, alerts and fraud controls Can we control and review each employee’s purchases?
Reporting and integration Statement detail, exports, categorization and accounting or ERP compatibility Will reconciliation fit our existing process?
Eligibility Personal and business information, revenue, years in business and tax-ID requirements Can the applicant provide the requested information?

Run three scenarios

  1. Normal month: Apply the ordinary spending mix and expected redemption.
  2. High-spend month: Test caps, employee limits and cash flow during the busiest period.
  3. Balance-carrying month: Add the balance and payoff timing the company might realistically face, then include interest at the applicable APR.

Rank the cards by net value in each scenario, not just by the normal-month result. A card that wins only when spending is unusually concentrated or a bonus is earned may not be the best long-term account.

Common mistakes and how to correct them

Choosing from the headline rewards rate

Problem: The rate applies to a narrow category, has a cap or excludes the merchants where your company spends.

Fix: Map every transaction to the issuer’s eligibility rules and calculate the blended rate on total spending.

Assigning a fixed value to points

Problem: The model assumes a point is always worth the same amount, even though redemption route and availability change.

Fix: Use the redemption method the business will actually use and model a conservative value.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ignoring interest because the card has rewards

Problem: A revolving balance erases the reward advantage.

Fix: Include the expected balance, APR and payoff date in the same calculation as rewards.

Spending to earn a bonus

Problem: Unneeded purchases, excess inventory or carried debt cost more than the bonus.

Fix: Count only planned spending that would occur without the offer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Paying for unused benefits

Problem: A benefit appears valuable in marketing but does not match the company’s travel, purchasing or reporting habits.

Fix: Assign a value of zero unless the business will use the benefit or avoid a cost it would otherwise incur.

Forgetting employee and bookkeeping friction

Problem: Manual coding, weak limits or missing alerts create labor and control costs that the rewards calculation omits.

Fix: Test a sample statement and employee workflow before issuing cards broadly.

Treating one issuer’s guidance as a universal feature list

Problem: A capability described for a commercial program is assumed to exist on every small-business card.

Fix: Confirm each feature, fee and restriction in the specific issuer’s current agreement.

A practical decision path

  1. Export a representative month or year of business transactions.
  2. Separate recurring, seasonal and one-time spending.
  3. Classify purchases using each issuer’s eligible-category definitions.
  4. Calculate rewards with caps, exclusions and a realistic redemption value.
  5. Subtract annual, foreign-transaction, employee-card and other relevant fees.
  6. Model interest for any balance the business may carry and the date it should be repaid.
  7. Value only benefits the company will use.
  8. Review employee cards, limits, alerts, merchant controls and reporting.
  9. Confirm accounting or ERP compatibility and the reconciliation process.
  10. Check personal and business application requirements and the current offer terms.
  11. Compare normal, high-spend and balance-carrying scenarios before applying.

Final checklist before submitting an application

  • The spending sample reflects the company’s current operations and seasonality.
  • Every major category has been checked against the issuer’s definitions, caps and exclusions.
  • Rewards are valued using a redemption method the company can realistically use.
  • The annual fee and transaction fees are lower than the recurring value the business expects to receive.
  • The APR and introductory-period end date fit the repayment plan.
  • No purchase or balance will be created solely to earn a welcome offer.
  • Employee limits, alerts, merchant restrictions and dispute procedures are documented.
  • Reports and exports preserve the information needed for bookkeeping, tax records and project tracking.
  • The applicant has the personal and business information the issuer requests.
  • Current pricing, rewards, eligibility and offer terms have been read on the issuer’s own page.

Bottom line

Choose the business credit card that produces the strongest realistic net value for your company’s spending and cash-flow pattern while making employee spending and reconciliation easier to control. A category-bonus card can win when your largest purchases consistently qualify; a flat-rate card can win when spending is broad or unpredictable. If the business may carry a balance, APR and payoff timing can matter more than rewards. Verify every current term and eligibility requirement with the issuer before applying.
