Choose the bakery that can confirm your quantity and date, provide a complete quote, match your flavor and packaging needs, deliver or stage the order reliably, and explain ingredients and allergen controls in writing.
Send every bakery the same event brief: headcount, desired cookie quantity, flavors, decoration, packaging, delivery or pickup details, budget, and deadline. Then compare written replies on six points—capacity, total cost, menu, packaging, fulfillment, and allergen information—before paying a deposit.

Use one scorecard for every bakery
Bakery policies vary by location, season, staffing, and order size. A quote is useful only when each bakery is answering the same question. Put the following information in one document and ask each candidate to complete it.
| Decision area | Questions to ask | Why it affects your order |
|---|---|---|
| Capacity and date | Can you produce this quantity on this date? What is the normal cutoff, rush policy, and final-change deadline? | A bakery may accept small orders while declining a large one, and published lead times are not universal. |
| Quote and terms | What is included? Is a deposit required? When is the balance due? What are cancellation and change terms? | A low per-cookie figure can exclude delivery, wrapping, setup, or booking requirements. |
| Menu and quantity | Which flavors are available, and can quantities be mixed? Are there minimums or a custom-quantity process? | The best mix for your guests may require a custom quote rather than a standard box. |
| Packaging | Will cookies arrive loose, on trays, boxed, or individually wrapped? Can labels or event packaging be added? | Packaging determines serving speed, transport risk, and whether guests can take cookies home. |
| Fulfillment | Is the order pickup or delivery? What address, time window, fee, and handoff procedure apply? | An accurate order still fails if it arrives at the wrong place or outside the event setup window. |
| Ingredients and allergens | Can you provide current information for the exact products? How are shared equipment and cross-contact handled? | A menu label such as “dietary-friendly” is not an allergen guarantee. |
Ask for the final quantity, total price, ready or arrival time, address, contact person, and fulfillment method in a written confirmation. Save the confirmation with your payment receipt.

Confirm capacity and the real ordering deadline
Start by asking whether the bakery can actually make your quantity on your event date. Do not rely on a website’s standard checkout inventory: a bakery may have separate production limits for catering, decorated cookies, individually wrapped items, weekends, or holidays.
Published lead times are examples, not industry rules
Detroit Cookie Company classifies orders of five dozen or more, or orders requiring individual wrapping, as catering. Its FAQ says catering should be placed at least three days ahead and may be arranged up to one month in advance. That is a policy of that business, not a safe deadline for every bakery.
Perfectly Parnell Pastries states that standard custom orders need five to seven days, while weddings and large events of 50 or more servings require at least two weeks. It also describes delivery within its stated region for an added fee. Dirty Dough advises giving large groups and weekend dates more notice and shows availability, timing, and fees for participating stores.

Ask for the bakery’s cutoff for your exact date, whether the date is held while you decide, and what happens if you need a rush order. If your event is during a holiday, graduation season, or wedding-heavy weekend, request availability before finalizing the menu.
What to put in the capacity request
- Event date and required ready or arrival time.
- Total cookies, estimated servings, and whether pieces are standard size or minis.
- Decoration, icing, logos, colors, or other labor-intensive details.
- Flavor quantities and any individually wrapped pieces.
- Pickup or delivery location, including stairs, loading restrictions, or a receiving desk.
Ask the bakery to identify the date on the written confirmation. “We usually can” is not the same as a production slot reserved for your order.
Plan quantity around the event format
There is no independently established universal cookie-per-guest benchmark in the available evidence. Quantity depends on whether cookies are the only dessert, whether a meal is served, the cookie size, how long guests can access them, and whether people are taking extras home. Avoid presenting a vendor’s serving estimate as a general rule.

Build a portion plan
- Count confirmed guests, then separate adults, children, staff, and vendors if their access will differ.
- Decide whether each person should receive one serving, whether cookies will be displayed for open self-service, or whether guests will receive take-home favors.
- Specify the cookie size and format. Minis, standard cookies, decorated favors, and sandwich-style products are not interchangeable.
- Ask the bakery to recommend a quantity for your stated format and to explain the assumption behind that recommendation.
- Record the bakery’s recommendation and your approved quantity in the quote.
Cookie Dough Creations’ Naperville page lists 12-cookie, 24-cookie, and custom trays; it describes the 24-cookie option as serving 20–30 guests and requires 24 hours’ notice for pickup. Treat that range as the bakery’s own guidance. It should not be converted into a general rule for another bakery, cookie size, or event.
If the order serves two purposes—onsite dessert and favors—ask for those quantities separately. A tray count that covers table service may leave too few individually packaged cookies for departures.
Compare flavors, customization, and minimums
Large orders often have a narrower menu than ordinary retail orders. Ask which flavors are available in your quantity, whether the mix can be changed, and whether each flavor has a minimum number of pieces.
Questions that prevent an unusable mix
- Can you combine several flavors in one order, and what is the minimum quantity per flavor?
- Are decorated or logo cookies priced and scheduled differently from standard cookies?
- Can the bakery substitute a flavor if an ingredient becomes unavailable?
- Will the final flavor list appear on the invoice?
- Are sample cookies or photographs representative of the size and decoration included in the quote?
Send the same flavor list to each bakery. Otherwise, one quote may cover plain cookies while another covers custom decoration, making the totals look comparable when they are not.
Choose packaging that fits service and transport
Packaging can matter as much as the cookie count. Loose cookies may be economical for a staffed dessert table; trays can speed setup; individual wrapping is useful for favors, hygiene-sensitive settings, or guests taking cookies away.

- Loose or bulk-packed: suitable when your team will arrange cookies immediately and has serving containers.
- Trays: useful for display and transport, but confirm tray dimensions, stacking, lids, and whether the bakery supplies them.
- Boxes: easier to carry and store; ask how many cookies each box holds and whether flavors are separated.
- Individually wrapped: convenient for favors and takeaway, but it adds labor, material, and often lead time.
Cottage House Cookies describes bulk and corporate orders that can include individually wrapped treats and custom quotes. Detroit Cookie Company treats individual wrapping as part of its catering category. These examples show why wrapping must be stated in the initial request rather than added casually after a date is booked.
Rank #3
If the bakery does not provide suitable servingware, ask whether you need disposable cookie trays with lids. A clear-lid tray may help with transport, but check first: many bakeries provide trays or include them in the quoted packaging.
Work out the full cost before you compare prices
Request a line-item quote. The meaningful comparison is the total for the same quantity, flavors, decoration, packaging, fulfillment, and timing—not the advertised price of one standard cookie.
Items to have priced explicitly
- Cookie quantity and size.
- Flavor mix and decoration or personalization.
- Individual wrapping, labels, ribbons, or other presentation.
- Trays, boxes, and lids.
- Delivery fee, setup, or room placement if offered.
- Deposit amount, payment deadline, and balance due date.
- Rush charges or weekend handling, if applicable.
One cited custom bakery requires a deposit for some larger orders, while another provides custom bulk quotes. Neither policy should be generalized. Ask when the deposit becomes nonrefundable, whether the balance changes if the headcount changes, and whether a cancellation or postponement produces a credit.

Do not fill unknown cells with an estimate. Write “not stated” in your private worksheet and ask the bakery to clarify before you approve the order.
Verify pickup, delivery, and the handoff
Confirm whether the bakery offers pickup, delivery, or both for your location. Dirty Dough says participating stores may offer delivery and pickup, with availability, timing, and fees shown by store. Cookie Dough Creations describes its cited trays as pickup-only and requiring 24 hours’ notice. These are location-specific policies, not guarantees for another store.
Handoff details to confirm
- Exact pickup address or delivery address, including room, suite, or loading entrance.
- Ready or arrival window and the latest acceptable time.
- Delivery fee and whether the fee changes by distance or time.
- Named day-of contact and phone number.
- Where the order will be left if the recipient is temporarily unavailable.
- Temperature, storage, and stacking instructions after handoff.
For a venue, ask who is authorized to receive food and whether the bakery must check in with security. For a school or workplace, confirm whether delivery can reach the event room or stops at a front desk. A narrow delivery window is worth paying for when setup depends on it; otherwise, choose a pickup time that leaves room for transport and inspection.

Handle allergies with product-specific information
Ask for current ingredient and allergen information for the exact flavors, fillings, toppings, and decorations you are ordering. Tell the bakery the guest’s need plainly, then ask how shared equipment and cross-contact are managed.
Why menu labels are not enough
Dirty Dough says its cookies are prepared on shared surfaces and equipment and cannot be guaranteed completely free of allergens. Problem Baker similarly says its open kitchen and shared equipment process multiple allergens and that it cannot guarantee any product is completely allergen-free. KC Cookies describes some products as gluten-friendly while warning that its kitchen is not gluten-free.
Those disclosures illustrate the distinction between an ingredient choice and a controlled allergen-free process. Do not promise a guest that a cookie is safe merely because a menu calls it gluten-friendly, dairy-free, or another dietary-friendly label.
Questions to ask in writing
- Which allergens are present in the selected products?
- Are recipes, suppliers, or decoration materials subject to change?
- Are mixers, trays, cutters, ovens, or work surfaces shared?
- What cleaning or separation procedures are used?
- Can the bakery guarantee avoidance of a specific allergen, or only disclose risk?
Give the bakery’s written response to the person managing the guest’s dietary safety. If the bakery cannot provide the necessary assurance, arrange a separately controlled option rather than asking staff to guess.

- Guest count and your planned cookie quantity.
- Cookie size, flavors, decoration, and any logo or color requirements.
- Packaging preference: bulk, trays, boxes, or individual wrapping.
- Delivery or pickup preference and any access restrictions.
- Allergen and ingredient questions for the exact products.
- Budget range and whether you need a deposit invoice or payment schedule.
- Deadline for your decision and the date by which changes may be needed.
Ask the bakery to reply with availability, total price, payment terms, lead time, fulfillment details, and its change or cancellation policy. A bakery that answers clearly is easier to manage than one that provides only a per-cookie number.

Evaluate replies and make the decision
First eliminate any bakery that cannot confirm the date, quantity, or required fulfillment method. Among the remaining options, compare total cost and terms, then assess menu fit, packaging, allergen communication, and the reliability of the handoff plan.
Warning signs
- The bakery will not state whether the date is available.
- The quote omits quantity, size, packaging, or delivery assumptions.
- A deposit is requested before cancellation and change terms are explained.
- Allergen questions receive a vague “there should be no problem” response.
- The bakery cannot identify a ready time or day-of contact.
- Important promises appear only in a phone call and are absent from the invoice.
When two bakeries are close in price, favor the one with a complete written plan and realistic lead time. Paying slightly more for confirmed packaging or dependable delivery can prevent an emergency replacement order.
Use a practical event timeline
Several weeks before the event
- Set the guest count, service format, cookie size, and flavor goals.
- Contact multiple bakeries with the same brief.
- Ask about capacity, lead time, deposits, and allergen controls.
After selecting the bakery
- Approve the written quantity, flavors, packaging, price, and fulfillment method.
- Pay the required deposit and save the receipt.
- Record the final-change deadline and the bakery’s contact details.
Before the final deadline
- Confirm headcount and any flavor or packaging changes.
- Reconfirm delivery or pickup address, window, and day-of contact.
- Obtain updated ingredient and allergen information if the product list changed.
On the event day
- Have the named contact ready to receive and inspect the order.
- Check quantity, flavor labels, wrapping, and visible damage before the driver leaves or you leave the bakery.
- Store and display cookies according to the bakery’s instructions.
Common problems and how to recover
The bakery is sold out
Ask whether a simpler decoration, fewer flavors, standard-size cookie, or pickup instead of delivery opens capacity. If not, send the same brief to another bakery immediately and preserve your original specifications.

The quote is higher than expected
Request a line-item explanation. Remove optional decoration, wrapping, or delivery only after confirming that the revised plan still meets the event’s needs. Do not compare a stripped-down quote with a fully packaged one.
Headcount changes late
Use the written change deadline. Ask whether the bakery can add or remove pieces, whether the flavor mix can change, and how the total and deposit are affected. Never assume a phone request changed the order until you receive an updated confirmation.
Delivery is delayed
Call the bakery’s named day-of contact, then notify the venue or event lead. Keep a record of the promised window and any revised plan. A pickup backup is useful only if the bakery confirms the order can be released to you.
An allergen concern appears after ordering
Pause service for the affected product and contact the bakery for the exact ingredient and cross-contact information. Do not relabel a product as safe based on appearance or a staff member’s memory.
