Check the written pay revision against the new salary slip, then compare the slip with your previous slip and bank deposit. Start with the pay period and effective date, verify every earnings line, review deductions, and recalculate gross pay to net pay. A mid-period revision may produce a legitimate split calculation, so do not judge the change from the deposit alone.
Payslip fields, payment deadlines, tax treatment and complaint routes depend on your country, contract, employer and pay frequency. The checklist below is a document-comparison method; use the country-specific guidance and local authorities for legal questions.

Put the right documents side by side
Collect the pay-revision letter, contract amendment or other written notice that states the new pay. Place it beside the revised payslip and the immediately preceding payslip. If the revision was communicated by email or an HR portal, save a copy showing the date and the exact amount.
Record the pay period and payment date printed on each slip. A monthly slip may cover a calendar month, a payroll month that ends earlier, or another employer-defined period. The payment date can also differ from the period end. These labels determine which work and which rate belong in the calculation.

Do not rely on a screenshot of the bank balance as proof of the correct salary. The bank entry usually shows only the final amount, while the slip explains how that amount was produced.
Use a six-axis comparison
This table gives you a single worksheet for the review. Fill in the actual values from both slips and the expected value from the written revision.
| Comparison axis | Previous slip | Revised slip | Question to answer |
|---|---|---|---|
| Pay period and payment date | Period covered and payday | Period covered and payday | Are you comparing equivalent periods, and was the payment made on the stated date? |
| Rate and effective date | Old rate | New rate or split rates | Does the new rate apply to this entire period or only part of it? |
| Gross earnings | Base pay and other lines | Base pay and other lines | Which line changed, appeared, disappeared or used a different amount? |
| Hours or units | Hours, days or units used | Hours, days or units used | Do the quantities support the amount paid? |
| Deductions | Each deduction | Each deduction | What explains every new, missing or changed deduction? |
| Net pay and deposit | Net amount and bank receipt | Net amount and bank receipt | Does the arithmetic produce the slip’s net pay, and does the deposit match it? |
Confirm the revised rate and its effective date
Identify the unit of pay
A revision can state an annual salary while the slip pays monthly, or state an hourly rate while the slip calculates pay from recorded hours. Convert neither figure by guesswork. Ask payroll which rate is used in the payroll system and what period it covers.
Check that the currency, grade, working hours and employment status in the revision notice match the slip. If the notice changes only base pay, allowances or bonuses may remain unchanged unless the document says otherwise.
Check whether the first revised period is split
If the effective date falls after the start of the pay period, the first revised slip may contain old-rate pay for one part and new-rate pay for the rest. Look for two base-pay lines, a separate adjustment line or a stated arrears amount. There is no single proration method established for every country or employer, so request the employer’s calculation rather than applying a universal daily-rate formula.
Ask payroll to show:
- the dates or units paid at the old rate;
- the dates or units paid at the new rate;
- the rate used for each segment;
- any arrears or adjustment included; and
- the treatment of weekends, unpaid leave, overtime or other non-standard units.
Compare that explanation with the revision’s effective date. A slip that uses the new rate from the wrong date is a specific, documentable discrepancy even when the final net payment looks plausible.

Inspect gross earnings line by line
Base or basic pay
Write the base-pay amount from each slip in a separate column. Do not compare only the total gross figure: an unchanged total can conceal a base-pay error offset by another line, while a higher total can result from a one-time payment rather than the revision.

Compare every separately listed allowance, bonus, commission, shift payment, overtime amount, expense-related payment or adjustment. Check whether the revision notice changes eligibility for any of these items. A line that vanishes may be a genuine policy change, a missed input or a payment that belongs to a different period; the slip alone cannot tell you which.
Hours, days and units
Where an amount depends on time or units, multiply the documented rate by the relevant quantity and compare the result with the line on the slip. Check approved timesheets, attendance records, commission statements or bonus notices when those documents feed payroll.
In the United Kingdom, GOV.UK says hours must appear when pay varies according to time worked. Australian Fair Work Ombudsman guidance lists the applicable hourly rate and hours, as well as separately identifiable loadings, allowances, bonuses and penalty rates. Those are country-specific examples, not a universal format requirement.
Use an earnings worksheet
| Line | Expected source | Previous amount | Revised amount | Check |
|---|---|---|---|---|
| Base or basic pay | Revision notice and contract | Enter amount | Enter amount | Rate and effective-date calculation |
| Hours or units | Timesheet, attendance or commission record | Enter quantity | Enter quantity | Quantity multiplied by applicable rate |

| Overtime, bonus or commission | Approval or statement | Enter amount | Enter amount | Correct period and calculation |
| Other adjustments | Payroll explanation | Enter amount | Enter amount | Written reason and date |
Replace each “Enter amount” cell with the actual figure; the table is a comparison aid, not a substitute for the employer’s payroll records.

- Statutory deductions: tax, social insurance or equivalent items can change when gross pay changes or when local thresholds and withholding details apply.
- Benefits and contributions: insurance, pension, retirement or other benefit deductions may be a fixed amount or a percentage of a defined pay component.
- Voluntary deductions: loans, salary advances, charitable giving or other elections should correspond to an authorization or notice.
- Corrections and recoveries: an adjustment may relate to an earlier overpayment or underpayment; ask for the period and calculation.
In the UK, GOV.UK says variable deductions such as tax and National Insurance must be shown, while fixed deductions must be explained on the payslip or in a separate written statement. Other countries use different categories and disclosure rules, so do not treat the UK list as a global standard.
A new deduction is not automatically an error. The error is a deduction that has no identifiable basis, is calculated from the wrong pay component, or conflicts with the written terms and applicable local rules.
Reconcile gross pay, deductions and the bank deposit
Do the arithmetic
Add the earnings lines to obtain gross pay. Add the deductions, then apply:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
gross earnings − total deductions = net pay
Use the figures printed on the slip, retaining the employer’s rounding to the smallest currency unit. If your result differs, check for a line you omitted, a negative adjustment, a deduction displayed in another section or a rounding difference. Ask payroll to explain any remaining gap.
Compare net pay with the deposit
Once the slip arithmetic agrees, compare its net pay with the bank amount for the same payday. Check whether the deposit is a single payment or whether the employer uses separate deposits. If the bank amount does not match the slip, report the exact difference and payment date rather than assuming the salary calculation is wrong.
A higher gross amount does not have to produce the same percentage increase in net pay. Deductions can change at the same time, so net pay alone cannot diagnose a tax or withholding error. Verify the deduction lines and use the relevant tax authority’s guidance for your country.

Illustrative split-period calculation
Suppose a written notice raises a monthly rate effective halfway through a payroll period. The expected gross may consist of an old-rate segment plus a new-rate segment, with an additional adjustment for an earlier period. The correct split depends on the employer’s payroll calendar, working-day rules, hours and local law. Use the employer’s stated method and source quantities; do not infer a universal half-month formula.
Know which payslip rules apply in your country
Legal requirements differ. The following examples show why you must identify the jurisdiction before relying on a field, deadline or escalation route.
| Jurisdiction | Official guidance | Examples of requirements | Timing or qualification |
|---|---|---|---|
| United Kingdom | GOV.UK: Payslips | Earnings before deductions, deductions that may vary each payday (such as tax and National Insurance), earnings after deductions, and hours when pay varies by time worked. Fixed deductions must be explained on the slip or in a separate written statement. | Payslips are due on or before payday. These are UK rules. |
| Australia | Fair Work Ombudsman: Pay slips | Pay period, payment date, gross and net pay, applicable hourly rate and hours, separately identifiable loadings, allowances, bonuses and penalty rates, deductions and superannuation information. | The guidance says a payslip must be provided within one working day of payday. This is Australian guidance. |
| India | Press Information Bureau, Government of India | The cited Government of India release says wage slips should be provided electronically or physically on or before wage payment under the Code on Wages provisions it discusses. | Confirm current commencement, rules and the applicable government before relying on this as legal advice. |
For India, Kerala’s SPARK pay-revision arrears instructions describe an administrative process for officials to verify service history, drawn statements and generated bills. They do not establish a universal employee payslip checklist.
If you work elsewhere, look for your labor ministry, tax authority, wage inspectorate or equivalent official source. Confirm whether your status—employee, contractor, casual worker or public servant—changes the rules.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Turn a mismatch into a precise payroll query
Raise the issue promptly with your manager, employer or payroll team. Acas states: "If an employee or worker thinks there’s an error in their payslip, they should speak to their manager, payroll team or employer as soon as possible." You can make that conversation easier by giving payroll one well-defined discrepancy instead of a general complaint.

1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsInclude:
- Your name, employee or payroll number and normal pay frequency.
- The pay period and payment date shown on the slip.
- The revision notice’s new rate and effective date.
- The exact line that differs, such as base pay, overtime, tax or pension.
- The amount you expected, how you calculated it and the amount printed.
- The amount deposited and the date it reached your account, if the deposit also differs.
- Copies of the revision notice, both payslips and relevant timesheet or approval records.
Ask for the payroll calculation and the rule or authorization behind any changed deduction. If the first revised period is split, ask for the dates, rates and quantities used in each segment. Keep your message factual and request a written response.

What to do after payroll responds
If payroll confirms the slip is correct
Save the explanation with the revision notice and payslip. If the explanation relies on a policy, contract clause or tax treatment you do not understand, ask for the document or official authority that applies to you. Recheck the next payslip if the change was meant to continue.
If payroll confirms an error
Ask when the correction will be paid and request a corrected payslip or written correction showing the revised year-to-date figures where applicable. In the UK, HMRC describes correcting wrong pay or deductions through updated year-to-date figures on a regular or additional Full Payment Submission; the employer, not the employee, normally makes that payroll submission. See HMRC’s correction guidance.
Keep the original slip, corrected slip, calculation and correspondence. Do not delete the first version: it documents what was issued and helps reconcile later tax or benefit records.

Follow the formal grievance, payroll-complaint or labor-authority route available in your jurisdiction. Check deadlines before escalating, because limitation periods and required steps vary. For tax withholding questions, contact the relevant tax authority; for wage-payment questions, contact the labor or employment authority. A union, employee representative or qualified local adviser may also explain the process.
Troubleshoot the most common mismatch patterns
Gross pay is lower than the revised rate suggests
- Confirm that the effective date did not fall partway through the period.
- Check whether the slip uses an hourly or daily rate and whether all hours or units were recorded.
- Look for a missing allowance, overtime, commission or approved adjustment.
- Request the split-period calculation rather than estimating proration.
Gross pay looks right but net pay is lower
- Compare each deduction with the previous slip and identify every new or changed item.
- Check whether a benefit, pension or other percentage-based deduction is calculated from the revised pay.
- Ask payroll or the tax authority about withholding; do not conclude that tax is wrong from net pay alone.
The slip’s net pay is right but the bank deposit is different
- Match the deposit date and account against the payment date on the slip.
- Check for a separate or split payment shown in another bank entry.
- Send payroll the slip net amount, deposit amount and transaction dates so it can trace the payment.
The revision notice and slip use different descriptions
Ask whether the revised amount was entered as base pay, an allowance, an arrears adjustment or another payroll code. Different labels can affect deductions and benefits, so obtain the employer’s written definition before deciding whether the total is correct.
Quick Recap
