How to Check Your Employer Life Insurance Coverage and Beneficiaries

By TheFinanceBase Team 13 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use your employer’s HR or benefits portal to find the current life-insurance amount and beneficiary record, then verify both against the latest certificate, policy, enrollment confirmation, or benefits statement. If anything is missing or unclear, ask HR or the plan administrator for written confirmation. Coverage and beneficiary designations are separate records, and neither a payroll deduction nor a general benefits summary proves what is currently in force.

This U.S.-focused process works for most employer plans, but the controlling procedure depends on the employer, insurer, plan documents, and applicable law. Treat every amount, deadline, reduction, and change method as something to confirm rather than assume.

What you need to verify

Your goal is to establish the plan record that applies to you now, not to estimate coverage from a handbook or a pay stub. Capture these items for every relevant coverage option:

  • Insurer name and group or policy number
  • Your name as the covered employee
  • Basic employer-paid life insurance
  • Optional or supplemental employee coverage
  • Dependent life coverage, if offered and elected
  • Current face amount and effective date
  • Employee cost or payroll deduction, if applicable
  • Age-based, retirement, employment-status, or other reduction and continuation terms
  • Primary and contingent beneficiary names, identifying details, and shares
  • The date your beneficiary designation was last confirmed

Also note whether an amount is a fixed dollar benefit, a multiple of salary, or an increment selected during enrollment. If the amount is salary-based, ask which salary figure and effective date the plan uses. Do not calculate a benefit from your paycheck unless the plan administrator confirms that formula.

The U.S. Department of Labor’s Employee Benefits Security Administration identifies the summary plan description (SPD), policy, certificate, and other evidence of coverage as plan documents that can explain these terms. The controlling amount and designation are the records maintained for your plan, not a generic description of workplace benefits.

Step 1: Check the HR or benefits portal

  1. Sign in to your employer’s official HR, payroll, or benefits system. Use the employer’s normal sign-in route rather than a link from an unverified message.
  2. Look for menu labels such as Benefits, Life Insurance, Coverage, Elections, Dependents, or Beneficiaries.
  3. Open the life-insurance election or coverage page and record the insurer, coverage type, amount, and effective date.
  4. Open the beneficiary section separately. Record primary and contingent beneficiaries, contact or identifying information, and percentages or shares.
  5. Download, print, or save the confirmation page and note the date you accessed it.

Menus are employer-specific. Michigan’s state employee system, for example, uses a Benefits > Beneficiary path, but that label is not a universal standard. Your system may put life insurance under open enrollment, payroll, or a separate insurer link.

Check whether the portal distinguishes an election from active coverage. A selection made during enrollment may have a future effective date, require evidence of insurability, or remain pending. Look for a status such as active, approved, pending, declined, or waived, and ask HR about any status you do not understand.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If your portal shows coverage but no beneficiary page, do not assume that no designation exists. Some employers display only elections while the insurer or plan administrator holds beneficiary forms. Request the official record instead.

Step 2: Find the document that proves the coverage

Documents to look for

  • Individual certificate of insurance
  • Group policy or policy summary
  • Enrollment application or election confirmation
  • Annual benefits statement
  • Summary plan description
  • Insurer-issued evidence of coverage

Compare the document’s issue date and effective date with your employment and enrollment history. A document from an earlier enrollment period may not reflect a later election, salary-based change, qualifying event, or reduction schedule. Keep the newest document, but retain older confirmations when they help establish what was submitted and when.

Check the covered person carefully. A document can describe employee coverage while a separate schedule covers a spouse, domestic partner, or child. Confirm that dependent names and eligibility categories match the plan’s definitions.

Terms that can change the amount

Read beyond the headline benefit amount. Ask whether the plan reduces coverage at a stated age, at retirement, or after a change in employment status. Check whether optional coverage has a separate effective date or evidence-of-insurability requirement. A requested increase may not be fully effective until the insurer approves the required information.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Look for provisions addressing exclusions, limitations, waiting periods, or conditions that affect when coverage starts. Do not assume a limitation applies—or does not apply—without reading the certificate or asking the administrator. Do not apply another employer’s formula to your plan; Michigan and federal FEGLI materials illustrate that reduction and continuation provisions are plan-specific.

When the document uses an abbreviation or code, ask for its plain-language meaning. Record the exact wording of any reduction or continuation clause and the date it applies. That makes later conversations with HR or the insurer more precise.

Step 3: Verify beneficiaries as a separate record

A benefits statement can show that life insurance is active without proving who receives it. Review the designation itself and check:

  • Every primary beneficiary’s full name and identifying or contact information
  • Every contingent beneficiary, if the plan uses contingent designations
  • Allocation percentages or shares, which should follow the plan’s required format
  • Whether a trust, estate, organization, or other entity is named and correctly identified
  • The date and confirmation number of the latest designation

Check that the shares total the amount required by the form, usually the entire benefit. If the portal uses dollar shares, review those instead of assuming it uses percentages. Confirm whether the plan permits the type of beneficiary you selected and whether additional identifying information is required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The National Association of Insurance Commissioners (NAIC) advises reviewing beneficiaries at least annually and after major life events. Its consumer guidance specifically recommends checking that all beneficiaries are included and that their contact information is correct. Tell beneficiaries or a trusted adviser where policy and certificate information is kept. You do not need to disclose private account credentials; provide the location of the policy and the insurer’s contact information in a secure way.

Changing a designation

Use only the employer’s or insurer’s official change process. Depending on the plan, that may be an online form, a signed beneficiary designation, or a submission through HR. Save the completed form, electronic receipt, and confirmation showing when the change became effective. A draft or an unsubmitted portal change is not proof that the record was updated.

Ask whether the plan imposes a deadline, requires consent for a particular designation, or uses a separate process for an irrevocable designation. The applicable procedure comes from your plan documents and administrator. If you are changing a designation after marriage, divorce, a child’s birth or adoption, or a beneficiary’s death, mention the event and ask whether supporting documentation is required.

Do not cancel an existing designation merely because a new form has been started. Keep the prior confirmation until the administrator confirms that the replacement is accepted and controlling.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 4: Ask HR or the plan administrator for written confirmation

Contact HR, benefits, or the named plan administrator when the portal is unavailable, contradictory, or incomplete. Send specific questions rather than asking only, “How much insurance do I have?” Request written answers to:

  • Is my coverage active as of a specified date?
  • What are the basic, optional, and dependent coverage amounts?
  • Who is the insurer, and what are the group and policy numbers?
  • What are the effective dates for each election?
  • Does the amount reduce at a particular age, at retirement, or after another status change?
  • What beneficiary designation is currently on file, including primary and contingent shares?
  • How do I change a designation, and what submission deadline applies?
  • Can you provide the certificate, policy, SPD, enrollment confirmation, and beneficiary confirmation?

Include your employee identification information, the date you checked the portal, and screenshots or document names when reporting a discrepancy. Ask the representative to identify which record controls if two documents conflict. Save the response with your other plan records.

If HR cannot answer a policy question, ask for the insurer’s group-benefits contact and the correct administrator. The Department of Labor’s disclosure guidance describes routes for obtaining plan documents, but the precise disclosure rights and timing depend on the plan type and applicable law. Follow up if a promised document or confirmation does not arrive.

How to compare basic, optional, and dependent coverage

When more than one type of coverage appears in your records, compare each on the same terms. Do not combine amounts until you confirm that each election is active.

Coverage type Who is insured Amount to verify Cost to verify Other questions
Basic employer-paid Usually the employee, subject to the plan’s eligibility rules Face amount and any salary multiple or fixed amount Whether the employer pays all or part Effective date, age or status reductions, and continuation terms
Optional or supplemental employee The employee who elected the option Selected increment or face amount Payroll deduction and whether it changes with age Evidence of insurability, exclusions, effective date, and portability or conversion provisions stated in the policy
Dependent coverage Eligible spouse, domestic partner, or child as defined by the plan Amount for each covered dependent Employee contribution or deduction Eligibility, dependent-status changes, exclusions, and termination or continuation rules

The categories and rules in this table are a comparison framework, not assumptions about any particular employer. Confirm every cell in the certificate and plan material. A Florida 2026 group-certificate statute is one example of state law addressing information that may appear in a certificate; it is not a nationwide requirement.

Compare cost with the coverage period and amount shown in the official record. A payroll deduction may cover more than one benefit or may continue while an election is pending, so use it as a clue to investigate—not as proof of the face amount or beneficiary.

If your portal shows no beneficiary record

Common explanations

  • The employer stores beneficiary designations in the insurer’s system rather than the HR portal.
  • The portal displays only current elections, while beneficiary records require a separate form.
  • A recent change has been submitted but not processed.
  • You are viewing a benefits statement that omits beneficiary information.
  • The record is held by a former employer’s plan administrator after a merger or plan transition.
  • Your access is limited because the plan uses a paper process or a separate login.

What to do

  1. Ask HR which organization maintains the designation.
  2. Request a current beneficiary confirmation or a copy of the designation on file.
  3. Ask whether the plan accepts online changes, paper forms, or both.
  4. Submit a new designation through the official route if the record is missing or wrong.
  5. Keep the receipt and follow up until you receive confirmation that processing is complete.

Do not infer that a spouse, child, or estate is automatically the beneficiary. Default rules can depend on the plan and governing law, and the record should be confirmed directly. If HR says no designation can be found, ask what default provision would apply and request the applicable plan language in writing.

Federal employees: the FEGLI process is different

If you are a federal employee covered by the Federal Employees’ Group Life Insurance (FEGLI) Program, use the Office of Personnel Management (OPM) process rather than assuming a commercial-employer portal will contain everything.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Find your coverage

OPM directs federal employees to their agency human-resources office for FEGLI records. The latest Standard Form 50 (SF-50) can help identify coverage codes in Block 27. OPM’s FEGLI calculator can estimate the current value using your age, salary, and coverage type, but the estimate does not replace the official record. Ask HR to explain any code you do not recognize and to confirm the effective date of each option.

OPM states that beneficiary records are not available online to federal employees. To make a designation or change, submit Form SF 2823 through your HR office and retain proof of submission. Ask HR to confirm when the form is accepted and which designation is controlling. Keep a copy of the signed form with your other records.

When a job change, retirement, or age change is involved

Ask for the exact rule that applies before relying on the amount shown in an old statement. Plans may contain provisions addressing:

  • Reduction at specified ages
  • Termination or reduction when employment ends
  • Retirement eligibility and coverage continuation
  • Conversion to an individual policy
  • Portability of optional coverage
  • Deadlines for electing continuation or conversion

These provisions are policy-specific. Request the relevant section of the certificate or policy and the deadline in writing. A payroll deduction can continue during a transition without proving that the same benefit amount or beneficiary record remains effective. If you have already left employment, contact the former employer’s plan administrator and insurer promptly; do not wait for an annual statement.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ask whether a status change creates a short election window and what date starts that window. Record the name of the person who gave the answer and retain the written notice. Portability, conversion, continuation, tax treatment, and change windows should all be confirmed for your circumstances rather than inferred from a general benefits explanation.

A printable verification checklist

Complete this list for each employer plan and keep the documents in a secure location:

  • Insurer: name, group number, and policy number
  • Coverage: basic, optional, and dependent amounts
  • Dates: election and effective dates
  • Conditions: age, retirement, employment-status, or salary-related changes
  • Cost: employee contribution or payroll deduction, if any
  • Beneficiaries: primary and contingent names, identifiers, and shares
  • Proof: saved portal confirmation, certificate, forms, and processing receipts
  • Review date: the date you last confirmed the record
  • Contacts: HR, plan administrator, and insurer group-benefits contact

Review the list at least once a year and whenever you marry, divorce, have or adopt a child, lose a beneficiary, change jobs, retire, or experience another event that could affect the designation or coverage. NAIC’s consumer guidance emphasizes the annual review and accurate contact information.

What official sources can and cannot establish

NAIC consumer guidance supports annual beneficiary reviews, accurate contact information, policy-detail checks, and updates after major life events. The Department of Labor’s disclosure guide explains that plan documents such as an SPD, policy, certificate, or other evidence of coverage are important sources for employee-benefit terms. OPM’s instructions apply specifically to federal FEGLI records. Michigan’s self-service route and benefit structures apply to that state employer, and Florida’s 2026 certificate provision is a state-specific example rather than a national rule.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Those sources explain how to locate and verify records; they cannot determine your personal benefit amount without your employer’s current plan records. If the documents conflict, ask the plan administrator which record controls and request the answer in writing. General online descriptions, a coworker’s experience, or a payroll deduction cannot substitute for that confirmation.

Practical mistakes to avoid

  • Checking only the amount: coverage and beneficiary records are separate tasks.
  • Assuming the default beneficiary: confirm the designation and any default rule in the plan.
  • Relying on a pay stub: deductions do not establish the current face amount or beneficiary.
  • Leaving a change as a draft: retain proof that the administrator accepted and processed it.
  • Using an old certificate: compare issue and effective dates with recent elections and status changes.
  • Applying another employer’s rule: reduction, continuation, and evidence-of-insurability provisions vary.
  • Ignoring contingent beneficiaries: record both primary and contingent designations when the plan allows them.
  • Waiting after a job change: ask immediately about continuation, conversion, portability, and deadlines.

Frequently Asked Questions

How do I find out how much life insurance I have through work?

Sign in to the HR or benefits portal and open the life-insurance election or coverage page. Then verify the amount, insurer, group or policy number, and effective date against the latest certificate, policy, enrollment confirmation, or benefits statement. Ask HR for written confirmation if the records differ.

How do I check the beneficiary on my employer life insurance?

Open the portal’s beneficiary section separately from the coverage page, or request a current beneficiary confirmation from HR, the plan administrator, or the insurer. Check primary and contingent names, identifying details, shares, and the date of the designation.

Can I change my work life-insurance beneficiary online?

Some plans permit online changes; others require a signed form or submission through HR. Use only the procedure specified by your employer or insurer, and save the receipt and final confirmation. A saved draft does not prove the change was accepted.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does a payroll deduction prove that my life insurance is active?

No. A deduction may relate to a different coverage option or continue while an election is pending. Confirm active status, amount, effective date, and beneficiary through the official plan records.

What if my HR portal has no beneficiary information?

Ask HR which organization maintains the designation and request a copy or confirmation of the record. The insurer may hold it separately, or the plan may use a paper form. Follow up until you receive proof that a submitted change was processed.

What happens to employer life insurance when I retire or leave?

The answer depends on the certificate and policy. Ask about reduction, termination, continuation, portability, conversion, and the deadlines for any election. Do not assume a payroll deduction or old benefit statement proves that coverage continues at the same amount.

How often should I review my life-insurance beneficiary?

NAIC advises checking at least once a year and after major events such as marriage, divorce, a child’s birth or adoption, or a beneficiary’s death. Confirm contact information and keep policy-location details available to beneficiaries or a trusted adviser.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do federal employees check FEGLI beneficiaries?

OPM says FEGLI beneficiary records are not available online to federal employees. Contact your agency HR office and submit Form SF 2823 to make or change a designation. Use the latest SF-50, including Block 27, and the FEGLI calculator only as aids; HR records control.

The Bottom Line

Verify two things separately: the coverage shown in your current certificate or policy and the beneficiary designation on file. Save the portal confirmation and official documents, review them annually and after major life events, and ask HR or the plan administrator for written answers about amounts, reductions, deadlines, and changes. Federal FEGLI employees should use OPM’s HR and SF 2823 process.
