Why your earnings record matters
SSA uses the earnings record attached to your Social Security number to determine insured status and calculate retirement, disability, and survivors benefits. Your Social Security Statement also uses that record to show benefit estimates. An omitted or understated year can therefore reduce benefits for you and eligible family members.

The record is not the same thing as your complete tax file. It reflects wage and self-employment information reported to SSA and matched to your name and Social Security number. You should check it periodically, especially before claiming benefits and whenever you discover a payroll or tax-reporting problem.

Open the official Social Security Statement
Use a personal my Social Security account
Workers age 18 or older can view their Social Security Statement online through a personal my Social Security account. After signing in, open the Statement and locate the earnings-history section. Review the listed wages and self-employment income one calendar year at a time.
Use the Statement itself as the official starting point rather than an estimate from a payroll app, a tax-preparation service, or an old benefits letter. Save or print a copy showing the years you reviewed and any discrepancy you find.
Compare each year with your own records
Employees
For wage income, compare the Statement with the Social Security wages shown on each Form W-2, not merely the amount of take-home pay. Gather pay statements, year-end payroll summaries, and employer records when a W-2 is unavailable or appears incorrect. Check that the employer, year, and amount correspond to the disputed entry.

Compare self-employment earnings with the relevant federal tax return and supporting schedules. Keep copies of the return, schedules showing net earnings from self-employment, payment confirmations, and business records that explain the amount reported. SSA’s Form SSA-7008 asks you to identify the disputed years and provide supporting evidence.
A practical review worksheet
| Year | Statement amount | Your source document | Difference or note |
|---|---|---|---|
| Calendar year | Amount shown by SSA | W-2, pay record, tax return, or schedule | Explain a missing year, wrong amount, or name/number issue |
| Each additional year | Amount shown by SSA | Matching document | Record the exact discrepancy and where proof is stored |
Keep the original documents secure. When you submit evidence, provide copies unless SSA specifically asks for an original. Redact unrelated financial information where practical, but leave the details needed to identify the year, employer or business, your identity, and the amount.
Decide whether a missing year is simply too recent
A current-year omission, and sometimes an omission for the immediately prior year, may reflect processing time rather than an error. SSA says recent earnings may not yet have been recorded and recommends checking the Statement in August for the previous year’s amount.

For example, if you are checking in early spring and the prior calendar year is blank, note the date, retain your W-2 or tax records, and recheck in August. This timing guidance does not excuse an older gap or an amount that is clearly wrong after the normal posting period.
| What you see | Best next action |
|---|---|
| Current year is absent | Allow time for reporting and processing; keep your payroll evidence and review again later. |
| Previous year is absent before August | Recheck in August, as SSA recommends, before opening a formal correction request. |
| Previous year remains absent after the posting period | Investigate reporting details and prepare a correction request with evidence. |
| Older year or amount is wrong | Trace the cause promptly because the ordinary correction period is limited. |
Trace the cause of an older discrepancy
Wrong name or Social Security number
SSA may be unable to credit an employer’s report when the name and Social Security number on the W-2 do not match its records. Compare the identity information on the disputed W-2 with your Social Security card and account. A typographical error, a transposed number, or use of a former name can send earnings to an unmatched file.
A name change was not reported
If you changed your name and did not update SSA, a later W-2 may not match the agency’s record. Treat this as an identity-matching issue as well as an earnings issue. Explain the name used during the year in question and provide documentation that connects the former and current names.
Employer reporting error
An employer may have omitted wages, reported the wrong amount, or used incorrect identifying information. Compare the W-2 with your final pay statement and ask the employer’s payroll department to review its filing. The employer, rather than the employee, normally corrects an incorrect W-2 by filing Form W-2c.
Earnings reported under another person’s number
SSA lists earnings reported with another person’s Social Security number as a possible reason for a missing year. Give SSA the employer, dates, amounts, and identity information shown on your records so the agency can investigate the mismatch. Do not assume that a similar name means the earnings will be moved automatically.
Self-employment reporting problem
For self-employment, check whether the income was reported on the correct return and schedule and whether the amount is net earnings used for Social Security purposes. A discrepancy can arise from a missing return, an amended filing, an incorrect schedule, or a payment that has not yet been posted. Include the relevant tax records in your request.

Choose the right correction route
| Problem | First contact | What to request or submit |
|---|---|---|
| Incorrect W-2 information | Employer or former employer | Ask whether the employer will file Form W-2c. SSA says the employee does not need to make the correction independently when the employer submits the W-2c. |
| SSA Statement does not reflect a correct W-2 or tax record | SSA | Use an online correction option if it is available in your account, or contact SSA and submit Form SSA-7008 with evidence. |
| Employer is unavailable or will not correct the W-2 | SSA, after gathering proof | Explain the employer’s response or inability to respond and provide W-2s, pay records, and other evidence. |
| Self-employment amount is missing or wrong | SSA | Request correction and attach the tax return, schedules, and records supporting the reported net earnings. |
Do not send your Social Security number, tax documents, or identity records to an unrelated service that promises to repair the account. The correction is a government process handled by your employer and SSA.
Request a correction from SSA
Online option
After reviewing your Statement, check whether your personal my Social Security account offers a way to report the discrepancy online. Follow the prompts for the disputed year, describe what is wrong, and upload or otherwise provide the requested evidence. Availability of an online option can depend on the case and account.
Form SSA-7008
Form SSA-7008, Request for Correction of Earnings Record, is SSA’s official correction form. Identify every disputed year, state the amount you believe should be credited, explain the reason for the difference, and list the documents attached. Sign the form and retain a complete copy and proof of submission.

If an online request is unavailable, contact SSA through its official telephone or office channel and ask how to submit an earnings-record correction. An SSA employee can tell you where to file the form and what evidence is needed for your circumstances. Keep the date, method, representative’s name or identification if provided, and any confirmation number.
What a written request must contain
Under 20 CFR § 404.820, a written correction request must say that the record is incorrect, be signed by you or an authorized signer, identify the period involved when possible, and describe or attach available evidence. It may be filed with an SSA employee at an office or with an authorized SSA employee elsewhere.
- Identify yourself: provide the information SSA needs to locate your record and explain any name used during the disputed period.
- Identify the period: list the calendar year or specific period, employer or business, and the amount shown versus the amount you believe is correct.
- State the correction: say plainly whether earnings are missing, understated, assigned to the wrong year, or associated with incorrect identity information.
- Attach proof: include W-2s, corrected W-2s, pay statements, employer statements, tax returns, self-employment schedules, and other records that support the claim.
- Sign and preserve a copy: keep the signed request, attachments, delivery confirmation, and all SSA responses together.
Build an evidence package that answers SSA’s questions
For wage earners
- Form W-2 for each disputed year, including Form W-2c if the employer corrected it.
- Final pay statements or payroll summaries showing year-to-date Social Security wages.
- An employer letter confirming the dates worked, wages paid, and any correction submitted.
- Documentation explaining a name change or a discrepancy in the Social Security number.
For self-employed workers
- The federal income-tax return and schedules for the disputed year.
- Records supporting the net earnings figure, such as business income and expense records.
- Proof of filing, amended returns, or payment records when they explain a difference.
Organize the package by year and label each attachment. A concise cover sheet that maps each claim to a document can make the review easier, but it does not replace the signed form or the underlying records.

Understand the ordinary correction deadline
SSA generally cannot correct an earnings record after three years, three months, and 15 days from the end of the taxable year in which the wages were paid. The period is measured from the end of that taxable year, not from the date you first notice the problem.
Recommended Free Tools
| Situation | What the timing means |
|---|---|
| Within the ordinary period | Submit the correction and evidence as soon as possible; do not wait for the deadline. |
| Near the deadline | File a specific written request promptly and retain proof of filing. |
| Past the ordinary period | Correction may still be possible under a regulatory exception; contact SSA rather than assuming the claim is barred. |
For illustration, wages paid in a taxable year ending December 31 ordinarily must be corrected within three years, three months, and 15 days after that year ends. The exact calculation can differ with the taxable year and facts, so SSA should confirm the deadline for your case.
When a late correction may still be allowed
20 CFR § 404.822 lists exceptions that can permit a correction after the ordinary time limit. The exception is fact-specific and requires evidence; it is not an automatic extension. Examples include:
- A correction needed to make the earnings record agree with a federal tax return.
- A written correction request or benefit application filed before the deadline, even if the issue is resolved later.
- An SSA investigation that began within the allowable period.
- An obvious error in the record.
- An entry assigned to the wrong person or wrong period.
- Certain omitted or underreported wages covered by the regulation.
- Corrections involving fraud.
- Transfers of certain railroad earnings.
Because the regulation’s categories have conditions and documentation requirements, describe the facts fully and ask SSA to determine whether an exception applies. Do not discard older records merely because the three-year, three-month, and 15-day period appears to have passed.
Common situations and the best next step
The current year is blank
Keep your year-end payroll or tax records and allow for normal posting. If the prior year is still absent, check again in August as SSA recommends. Escalate after the posting period if the entry remains missing.
Your W-2 is wrong
Ask the employer to issue a corrected W-2 and file Form W-2c. Once the employer submits the correction, SSA says you do not need to correct the record independently. Keep the original and corrected forms.

Your W-2 is right but the Statement is wrong
Submit the W-2 and related pay evidence to SSA through the available online route, Form SSA-7008, or an SSA contact channel. Identify the year, employer, amount, and exact mismatch.
You changed your name
Explain the name used when the wages were reported and provide records connecting the names. Ask SSA to review the name-and-number match rather than treating the omission as an ordinary wage dispute.
You worked for an employer that closed
Gather every W-2, pay statement, employment record, and tax document you have. In your SSA request, state that the employer is unavailable and provide the strongest independent evidence of wages and identity.
You found a gap from many years ago
Act immediately. Calculate approximately when the ordinary deadline would have expired, then submit the evidence and ask SSA to evaluate any applicable exception under 20 CFR § 404.822.
After you submit the request
- Keep the submitted form, attachments, delivery confirmation, and a copy of the Statement showing the discrepancy.
- Monitor notices from SSA and respond by the stated date if the agency requests clarification or additional documents.
- Check the earnings history again after SSA processes the correction. Compare the revised entry with your evidence rather than relying only on a verbal assurance.
- If the record still appears wrong, ask SSA to explain the determination and what review or appeal route applies to your case.
Do not alter your tax records or file a new tax return solely to make the Statement match. Correct the underlying employer or tax filing when required, and separately ask SSA to update its earnings record.
A final accuracy checklist
- Have you opened the current Social Security Statement in your personal my Social Security account?
- Did you compare every listed year with W-2s, pay records, employer statements, or self-employment tax records?
- Could a current-year or pre-August prior-year omission be a posting delay?
- Did you check your name and Social Security number, including names used before a legal name change?
- Is the problem an employer’s W-2 error, an SSA matching error, or a self-employment reporting issue?
- Did you ask the employer about Form W-2c when the W-2 itself is incorrect?
- Did you use the available online correction route or Form SSA-7008 for an SSA discrepancy?
- Does your written request identify the year, amount, reason, signature, and supporting documents?
- Is the ordinary three-years, three-months, and 15-days period approaching or expired?
- If it has expired, did you ask SSA to evaluate the specific exceptions in 20 CFR § 404.822?
