Use your official EPFO Member Passbook and Claim Status account to check whether contributions are actually posted for you. Then compare each monthly passbook entry with the PF deduction on your payslip. A payslip deduction is a payroll record; a passbook credit is an EPFO account record, so the deduction alone does not prove that the employer remitted the money.
The amount your employer must contribute cannot safely be calculated as 12% of gross salary for every employee. An older EPFO employer booklet describes a 12% ordinary rate and a ₹15,000 wage ceiling, while an EPFO employer-portal notice accessed on 13 October 2026 refers to FAQs about revising the ceiling from ₹15,000 to ₹25,000. The notice text available here does not establish the operative notification, effective date, affected employees or exceptions. Confirm those points in the live EPFO FAQ or Gazette before relying on a calculation.

What “covered by EPF” actually means
EPF coverage is not established merely because a salary slip contains a line called PF, nor is it disproved merely because a current month is not yet visible online. There are several separate questions:
- Is the employer’s establishment within the Employees’ Provident Funds framework?
- Does the employee’s wage and employment situation fall within the applicable coverage provisions?
- Does the employee have an existing EPF membership or prior service history that affects the result?
- Has the employer actually posted the required contribution to the employee’s UAN-linked account?
The official material available for this guide confirms the account-checking facilities, but it does not provide a complete current legal test for every establishment, wage component, prior-membership situation or exception. For an individual legal determination, check the current EPFO FAQ and Gazette notification rather than applying a simplified salary rule.

Membership and remittance are different questions
Your UAN and member passbook answer whether EPFO has an account and whether entries have been posted. Payroll records answer what the employer says it deducted or calculated. A person can therefore have a payslip deduction that has not yet appeared in the passbook, or a passbook entry that needs to be checked against the corresponding wage month. Treat the two records as complementary evidence.
Salary is not the same as the contribution base
Do not assume that “gross salary” is the legal contribution base. The EPFO employer booklet discusses wages, a ceiling, pension allocation and higher contributions, and the material does not establish every wage component or exception applicable to an individual. A correct answer may depend on the applicable wage definition, ceiling, membership history and establishment rules.
How to check your EPF account step by step
- Open the official passbook service. Go to EPFO Member Passbook and Claim Status and sign in with your UAN and password. The service is the direct official place to view passbook entries and claim-status information. The page also advertises missed-call and SMS balance-enquiry options, but use the live page for the current instructions rather than relying on an old message or phone number.
- Identify the correct member account. If you have changed jobs, confirm that the UAN and member ID shown for the employment you are checking are the ones connected to the relevant service period. EPFO’s For Employees page lists Member Passbook, Member UAN/Online Service and claim and grievance facilities. Use those official member-service links if you need to inspect membership information or claims.
- Review entries month by month. Start with the wage months for which your payslips show a PF deduction. Record the contribution month, employee amount, employer amount and any pension-related or other ledger description exactly as displayed. Do not infer that a current month is missing simply because it has not appeared immediately; the retrieved EPFO page confirms access to the passbook but does not specify a universal posting timetable.
- Compare every entry with the payslip. Put the payslip and passbook side by side. Check the wage month, not only the date on which the transaction became visible. Note any month with a deduction but no corresponding passbook credit, any amount that differs, and any month for which the payslip itself is missing or unclear.
- Check claims and account details. A claim-status result, transfer information or member-service record can explain why a balance or entry looks different from a recent payslip. Keep a copy or screenshot of the relevant page with the date you checked it, while protecting your UAN and password.
- Escalate a genuine discrepancy through the official route. Preserve payslips, employment records, bank statements showing salary payment and passbook screenshots. Then use the current member or grievance instructions linked from EPFO’s employee page. The available material does not establish a fixed documentary list or a current step-by-step complaint workflow, so follow the instructions shown by EPFO at the time you submit anything.
What each record proves—and what it does not
| Record | What it can show | Limit |
|---|---|---|
| Payslip PF deduction | Payroll recorded a deduction or employee contribution for that pay period. | It does not by itself prove that the amount was remitted to EPFO or that the legal coverage decision was correct. |
| EPFO member passbook | An entry has been posted to the account for a wage month, subject to the labels and timing shown in the service. | A newly deducted month may not appear immediately; the retrieved service page does not publish one universal posting timetable. |
| UAN/member-service record | Member, account and claim-related information available through EPFO’s online facilities. | It does not replace checking the underlying wage month and contribution amounts. |
| Employer payroll or contribution statement | The employer’s calculation and remittance records for the employment period. | Ask for the current record and reconcile it with the EPFO passbook; an internal statement is not the same as an EPFO posting. |
This distinction matters when someone says, “PF was deducted, so it must be deposited.” The deduction is an important lead, but the account entry is the record that lets you check whether a credit was posted for the relevant month.

What the employer-contribution material says
Two official EPFO sources point to different stages of the wage-ceiling rule, so they must not be blended into one definitive calculation.
| Official source | What it says | How to use it |
|---|---|---|
| EPFO Employer Information Booklet (an older, 2022-era publication) | Describes an ordinary 12% contribution rate and contributions up to a ₹15,000 wage ceiling. It also discusses higher employee contributions and pension allocation. | Use it to understand the older description, not as a final rule for every employee in 2026. |
| EPFO Employer Portal notice accessed 13 October 2026 | Refers employers to FAQs about a revision of the wage ceiling from ₹15,000 to ₹25,000. | The notice text available here does not state the operative notification, effective date, covered employees or exceptions. Check the live FAQ or Gazette. |
The 12% figure needs its qualification
The booklet’s 12% description is an ordinary-rate statement in that publication. It is not evidence that every employer must contribute 12% of an employee’s gross salary, nor that every part of the amount is credited to the same EPF component. The booklet discusses a ceiling and pension allocation, which means the contribution base and allocation matter.
The ₹15,000 and ₹25,000 figures are not interchangeable
The older booklet states ₹15,000; the later employer-portal notice signals a revision FAQ referring to ₹25,000. Because the retrieved notice does not establish the legal notification or its effective terms, do not tell an employee that ₹25,000 automatically applies, and do not assume that the older ₹15,000 figure remains the final rule in every case. Confirm the current ceiling, the date from which it applies, the establishments and employees covered, and any transition or exception rules in the current official material.

Higher employee contributions do not automatically increase the employer’s obligation
The booklet says an employee may contribute above the ordinary rate, while the employer is not obligated to match that higher employee contribution. A voluntary increase in the employee’s own contribution therefore should not be presented as proof that the employer must pay the same higher percentage. Check the approved arrangement and the current rules for the employment in question.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesWhy you should not calculate the employer amount from gross salary
A gross-salary calculation can be wrong for several independent reasons:
- The applicable ceiling may differ from the figure in an older booklet or may have changed from the date relevant to your employment.
- The legal wage base may not equal the headline gross-pay number on your offer letter or payslip.
- Part of the contribution may be allocated under pension provisions rather than shown as a simple EPF balance increase.
- An employee’s voluntary contribution above the ordinary rate does not require an equal employer match under the booklet’s description.
- Membership history, establishment coverage and exceptions can affect whether a particular employee is covered.
For these reasons, a statement such as “my salary is ₹X, so my employer owes exactly 12% of ₹X” is not supported by the available official material. Use the passbook and the current EPFO rule text to verify an actual account rather than relying on a gross-pay formula.

What to do when the payslip and passbook disagree
There is a deduction but no passbook credit
- Write down the exact wage month and the date on which you checked the passbook.
- Check whether later months have posted, which can help distinguish a single-month issue from a broader account problem without assuming a cause.
- Keep the payslip, employment record and any salary-payment evidence together.
- Ask payroll or HR to confirm the remittance status for that wage month and to identify the UAN/member ID used.
- If the issue remains unresolved, use the current EPFO member or grievance route linked from the For Employees page. Follow the live documentary and submission instructions; do not rely on an unofficial template.
The passbook amount differs from the payslip deduction
First check that both records refer to the same wage month and employment account. Then compare the labels and any pension-related allocation shown in the passbook rather than comparing only the total salary-slip deduction with one balance line. If the difference cannot be explained by the displayed allocation or timing, preserve both records and request a reconciliation from payroll before escalating through EPFO’s current process.
The current month is not visible yet
Do not declare non-remittance solely because a very recent month is absent. The official passbook page confirms the service but does not publish a universal posting deadline. Check again using the date and wage month recorded in your notes, and escalate when the delay becomes a documented discrepancy under the instructions currently provided by EPFO.

- Which establishment rule applies? Coverage can depend on the employer and establishment, not only the employee’s salary.
- What is the applicable wage definition? Do not substitute gross salary for the statutory contribution base without confirming the rule.
- Which ceiling and effective date apply? Reconcile the older ₹15,000 booklet statement with the employer portal’s notice referring to ₹25,000.
- Does prior EPF membership matter? The current FAQ and Gazette should be checked for prior-membership rules and their effect on the person’s status.
- Are there exceptions? The retrieved material does not list every exception; obtain the current official wording before making a categorical decision.
Common situations and the safest next action
| Situation | What you can conclude | Next action |
|---|---|---|
| PF appears on every payslip and every month is posted in the passbook | Payroll deductions and EPFO postings are aligned for the months reviewed. | Keep the records and continue checking future wage months. |
| PF appears on payslips, but one month is absent from the passbook | A discrepancy is indicated, but the cause and legal responsibility are not established by the two records alone. | Record the month, ask payroll to reconcile it, and use the current EPFO member/grievance instructions if unresolved. |
| No PF deduction appears on payslips | The payslip does not show a deduction; it does not by itself settle whether the employee or establishment is legally covered. | Check UAN/member records and the current coverage provisions, then ask payroll for the basis of its treatment. |
| You increased your own contribution | The booklet says the employer need not match a higher voluntary employee contribution. | Separate the ordinary employer obligation from your voluntary amount and verify the arrangement. |
| Your expected amount is based on ₹15,000 or ₹25,000 | Those figures come from different stages of official material, and the operative 2026 rule is not established by the notice alone. | Check the current EPFO FAQ or Gazette for the ceiling, effective date and scope before calculating. |
Protect your UAN and financial information
EPFO expressly warns users not to share Aadhaar, PAN, bank details or OTPs, and not to make payments in response to calls claiming to be from EPFO. Use the official passbook and EPFO member pages by entering the address yourself or using a trusted bookmark. Do not disclose your password or one-time code to payroll intermediaries, callers or messages that demand immediate action.
Records worth retaining
For each wage month under review, keep the payslip, the relevant employment or joining record, a dated passbook screenshot or downloaded entry where available, and correspondence with payroll. If you submit a grievance, retain the acknowledgement and any response. Organising records by wage month prevents a common error: matching a transaction date to the wrong pay period.
How to verify the rule before relying on a contribution amount
- Open the current EPFO employer or employee information pages rather than relying solely on the older booklet.
- Find the live FAQ or Gazette notification that explains the wage-ceiling revision referenced by the employer portal.
- Read the effective date, covered establishments and employees, wage definition, prior-membership provisions and exceptions.
- Check your own passbook and payslips for the exact wage months affected.
- Ask payroll to explain any difference using the same wage definition and effective period.
Until those steps are complete, the most defensible answer is limited: the passbook shows what EPFO has posted; the payslip shows what payroll recorded; and the employer’s legally required amount depends on the current coverage and contribution rules, not on gross salary alone.
