Before a vehicle leaves, verify the bill on India’s official E-Way Bill System—not from a screenshot or a Part-A slip. Confirm that the record is generated and active, read the bill-specific valid-until time, and match the Part-B vehicle number with the vehicle carrying the goods. Keep the invoice or other applicable document and the e-way bill number with the person in charge.
If the bill is expired, cancelled, still only a Part-A slip, or tied to another vehicle, stop dispatch and correct the record through the permitted portal process. The expiry displayed on the individual bill controls the practical decision because official static materials currently show conflicting distance formulas.

The pre-departure pass/fail test
A vehicle should leave only when all five checks below pass on the official E-Way Bill System:
| Check | What must be true | What failure means |
|---|---|---|
| Bill record | The e-way bill number returns a generated, active record; it is not merely a temporary Part-A slip and has not been cancelled. | Do not treat the movement as covered until Part-B is completed and the active record is available. |
| Validity | The bill’s displayed valid-until date and time are later than the planned departure and expected movement. | Resolve an expired or near-expiry bill under the portal’s extension rules before movement. |
| Vehicle | The road vehicle number in Part-B matches the vehicle physically carrying the goods. | Update Part-B for a permitted vehicle change before continuing. |
| Documents | The person in charge has the invoice, bill of supply, delivery challan, bill of entry where applicable, and the e-way bill number. | Dispatch staff may be unable to substantiate the consignment during verification. |
| Registration data | The vehicle number is accepted by the system and is consistent with the transport records. | Investigate Vahan or RTO data problems before relying on the vehicle entry. |
The general portal threshold is movement of goods exceeding ₹50,000, subject to prescribed rules. The threshold is not a universal exemption test: the NIC FAQ identifies special cases, including specified handicraft and job-work movements, that can require an e-way bill below ₹50,000.

Step-by-step: check the bill before dispatch
1. Obtain the correct e-way bill number
Ask the consignor, generator, or assigned transporter for the e-way bill number associated with this consignment. Use the number to retrieve the record in the official E-Way Bill System. Do not rely on a generic transport document, an old printout, or a message that does not identify the bill.
2. Make sure it is a completed e-way bill, not only Part-A
Part-A contains initial consignment information. NIC explains that entering the transportation details in Part-B converts the temporary Part-A slip into an e-way bill. For road transport, the vehicle details belong in Part-B. If the record is still only a Part-A slip, the road movement has not been completed in the system; have the generator or responsible transporter enter Part-B before the vehicle leaves.
3. Confirm the status is active
Check the bill’s status in the system and ensure it is generated and active, rather than cancelled. The official API documentation identifies active and cancelled status fields in system records. A number that exists but is cancelled is not a usable authorization for the planned movement.

Record the exact valid-until date and time displayed for the bill. Compare it with the planned departure, route, and foreseeable delays. Use the displayed value rather than calculating a new expiry from an old chart: the official portal homepage, NIC FAQ, and retrieved Rules PDF do not present the same distance rate.
5. Match Part-B to the physical vehicle
Read the road vehicle number recorded in Part-B and compare every relevant character with the registration plate of the vehicle at the loading point. The recorded conveyance must be the conveyance actually carrying the goods. If a vehicle has changed because of a breakdown or trans-shipment, the bill generator or assigned transporter should update Part-B through the permitted process before movement continues.
6. Assemble the documents and number
Give the person in charge the invoice, bill of supply, delivery challan, bill of entry where applicable, and the e-way bill number. NIC’s FAQ says the person in charge may quote the number to a proper tax officer for verification. The FAQ’s wording, attributed to Rule 138A, is: No. He can merely quote the e-way bill number to the proper tax officer. Tax officer based on that number will do all the requisite verifications.
Quoting the number does not remove the need to keep the underlying document required for the transaction.
7. Recheck after loading
Perform a final comparison after the goods are loaded, not only when the booking was created. Confirm that the vehicle which actually received the goods is the same vehicle shown in Part-B, that the status has not changed to cancelled, and that the displayed expiry still covers the planned departure. If a different vehicle is substituted at the gate, pause the release and have the authorised party update the bill before it travels.
8. Preserve a dispatch record
For an internal control, note the bill number, check time, status, displayed expiry, Part-B vehicle number, and the document reference in the dispatch file. This does not replace the portal record; it shows who checked the live record and when. On a long route or a handover, repeat the check rather than assuming the original entry remains correct.

How the validity clock works—and why static tables conflict
The individual bill’s displayed expiry is the safest operational reference because the official materials retrieved for India describe different formulas.
| Official material | Validity description | Qualification |
|---|---|---|
| NIC E-Way Bill FAQ | Validity starts when the first Part-B entry is made. It describes one day for each 100 km or part of 100 km for regular vehicles, and one day for each 20 km or part for over-dimensional cargo. It says validity expires at midnight of the last day. | FAQ page accessed in 2026; its figures conflict with the portal homepage notice. |
| Retrieved CGST Rules PDF | One day up to 100 km and one additional day for each further 100 km or part; each day is described as 24 hours from the relevant date. | The wording differs from the FAQ’s midnight description. |
| E-Way Bill System homepage | Notification 94/2020 dated 22 December 2020 is described as changing the rate from 100 km per day to 200 km per day, effective 1 January 2021. | The homepage notice conflicts with the static FAQ and Rules PDF; the available material does not establish which text controls every current case. |
Do not treat the old 100-km table as settled current law, and do not assume the 200-km notice applies without exception. Retrieve the bill and use its displayed valid-until time. If the displayed date appears inconsistent with the applicable notification or the route, contact the GST helpdesk or a qualified tax professional before dispatch.
For planning, remember that validity is tied to the Part-B entry and is bill-specific. A calculation made before Part-B is entered can be wrong once the transportation details are submitted. The first Part-B entry is therefore a control point: record when it was made and avoid promising a departure based on an earlier estimate.

Vehicle-number checks and Vahan alerts
Why the system may flag a number
NIC states that the E-Way Bill System is integrated with the Transport Department’s Vahan system. If a registration number is missing or inconsistent in Vahan, the e-way bill system may show an alert. The NIC vehicle FAQ directs users to check the vehicle record and contact the relevant Regional Transport Office when registration data needs correction. Temporary registration numbers are treated as a special case in the FAQ.
What to do at the loading point
- Compare the number entered in Part-B with the vehicle’s registration certificate and number plate.
- If the portal shows a Vahan-related alert, check whether the registration details are present and accurate in Vahan.
- Where the record is absent or wrong, ask the vehicle owner or operator to work with the RTO to update it; do not silently substitute a different number.
- After a permitted correction or vehicle change, retrieve the bill again and confirm that the active record now shows the vehicle actually carrying the goods.
An alert is a data-integrity problem to investigate, not proof that the consignment is automatically exempt or invalid. Movement should wait until the bill and vehicle record are consistent enough for the applicable portal process.
Keep the registration certificate or reliable vehicle details available for the person checking the entry. A single transposed character can make a correct vehicle appear different from the recorded conveyance, so compare the complete registration rather than only the last digits.

Changing the vehicle after a breakdown or trans-shipment
The NIC FAQ allows the generator or assigned transporter to update Part-B with a new vehicle number for events such as a breakdown or trans-shipment, subject to portal rules. The update must describe the conveyance that will actually transport the goods.

The official API documentation states that a Part-B update is limited to an active bill and cannot be made after validity expires. Retrieve the bill after the update, check the new number, and confirm that the resulting expiry still covers the planned movement. A paper correction, text message, or driver’s assertion is not a substitute for the portal record.
At a handover, the outgoing and incoming transport teams should agree which party is responsible for the update. If the portal still shows the previous vehicle, do not assume that possession of the goods authorises the new vehicle to depart. Complete the permitted update first, then provide the revised bill number or record to the new person in charge.
If the bill is close to expiry or already expired
Do not start or continue an ordinary movement on an expired bill
The NIC FAQ says goods are not supposed to be moved once e-way bill validity has expired. Stop the dispatch decision when the displayed expiry has passed, and do not assume that a delay automatically grants extra time.
Check whether an extension is available
The FAQ describes extensions for exceptional circumstances such as a natural calamity, law-and-order problems, a trans-shipment delay, or a vehicle accident. The API documentation, version 1.03 accessed in 2026, gives an extension window from eight hours before expiry through eight hours after expiry. The request requires a reason, the present location, and the remaining distance.
Only the current transporter may extend the bill when a transporter is assigned. If no transporter is assigned, the generator may extend it. Confirm the portal’s eligibility and complete the extension before proceeding; an extension request outside the permitted window or without the required details should not be treated as approved.
After an extension
Retrieve the record again and verify the revised valid-until time, active status, and Part-B vehicle number. Give the updated number and applicable documents to the person in charge. If the portal does not permit an extension, obtain case-specific advice from the GST helpdesk or a qualified tax professional rather than moving on an assumption.
Do not use an extension as a routine substitute for dispatch planning. It is described for exceptional circumstances, and the request must identify both why the delay occurred and where the goods are located. Save the confirmation or updated record with the consignment file.

Documents and roadside verification
The person in charge should be able to produce the underlying document for the movement: an invoice, bill of supply, delivery challan, or bill of entry where applicable. The e-way bill number should be readily available even when the person uses the number rather than a printed copy.

NIC’s Rule 138A explanation says an electronic copy is not mandatory merely for the purpose of quoting the bill: the number can be given to the proper tax officer, who can perform the requisite verification. This is a convenience in carrying records, not permission to omit the transaction document or to use a number belonging to another vehicle or consignment.
Before departure, make sure the document details describe the same consignor, consignee, goods and movement as the e-way bill. A valid status cannot cure a mismatch in the underlying transaction papers. If an officer asks for verification, quote the correct bill number rather than a draft, cancelled or previous consignment number.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Common dispatch problems and the correct response
| Situation | Correct response before departure |
|---|---|
| Driver has only a Part-A printout | Have Part-B transportation details entered and retrieve the completed, active bill. |
| Bill number is found but status is cancelled | Do not use it; have the responsible party generate or correct the applicable bill and verify the new record. |
| Expiry is later today | Compare the displayed time with the route and expected delays. If an exceptional delay exists, use the permitted extension window and required fields. |
| Expiry has already passed | Stop movement and check extension eligibility. The API rules prohibit a Part-B update after expiry, so do not try to fix the vehicle number through an expired record. |
| Vehicle was replaced after a breakdown | Update Part-B through the generator or assigned transporter, then verify the active bill and new vehicle number. |
| Vahan alert appears | Check the Vahan record and involve the RTO if registration information is missing or inconsistent. |
| Someone says the value is below ₹50,000 | Check the transaction and applicable exemptions. The general threshold is subject to prescribed rules, and certain special movements can require an e-way bill below ₹50,000. |
| Screenshot is available but portal access is unavailable | Do not treat the screenshot as proof of current status or vehicle assignment. Restore access or have the responsible party retrieve the live record before release. |
| Transporter changes during the journey | Repeat the Part-B and expiry check at handover and identify the party authorised to make any required update. |
A repeatable control for businesses
For each dispatch, assign one person to perform the portal check immediately before loading is released. Record the bill number, status, displayed expiry, Part-B vehicle number, and the underlying document reference in the dispatch file. A second person—such as the loading supervisor or transporter—should compare the recorded number with the physical vehicle.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsWhen a consignment is handed from one transporter to another, repeat the vehicle and expiry checks rather than relying on the first handover record. For long routes, set an internal alert before the displayed expiry so that an exceptional delay can be documented and an eligible extension requested within the eight-hour window.
Keep a note of any Vahan or RTO correction, including when the vehicle data was checked and who requested the correction. This creates an audit trail without replacing the authoritative bill record.
Train dispatch staff to distinguish three different outcomes: a record that cannot be found, a record that is found but is only Part-A or cancelled, and a record that is active but does not match the vehicle or expiry plan. Each outcome requires a different correction, and none should be cleared by a verbal assurance alone.
What ultimately determines whether the vehicle may leave
The decisive evidence is the live, bill-specific record on the official E-Way Bill System: it must be generated and active, its displayed validity must cover the movement, and its Part-B vehicle number must match the actual conveyance. The person in charge must have the applicable underlying document and e-way bill number. Where official static pages disagree about distance-based validity, rely on the expiry shown for that bill and obtain case-specific clarification before dispatching on an apparent discrepancy.

Frequently Asked Questions
Is a Part-A slip enough for a road vehicle to leave?
No. NIC describes Part-A as temporary. Transportation details, including the road vehicle number, must be entered in Part-B to convert it into the completed e-way bill.

Can the driver carry only a phone screenshot instead of a printed e-way bill?
The person in charge may quote the e-way bill number to the proper tax officer for verification. Keep the applicable invoice, bill of supply, delivery challan or bill of entry as required; a screenshot is not a substitute for a live, active record.
What should I do if the vehicle number is rejected or a Vahan alert appears?
Check the registration details in Vahan and compare them with the registration certificate and plate. If data is missing or wrong, involve the vehicle owner and relevant RTO, then retrieve the bill again after the permitted correction.
Can Part-B be changed after the e-way bill expires?
The official API documentation says a Part-B update is limited to an active bill and cannot be made after validity expires. Resolve the vehicle issue while the bill is active.

When a transporter is assigned, the current transporter may extend the bill. If no transporter is assigned, the generator may do so. The documented window is from eight hours before expiry through eight hours after expiry, with a reason, present location and remaining distance.
Does goods value below ₹50,000 always mean no e-way bill is needed?
No. ₹50,000 is the general portal threshold subject to prescribed rules. NIC identifies special handicraft and job-work cases that can require an e-way bill below that amount.
Which distance formula should I use to calculate validity?
Use the valid-until time displayed on the individual bill. The portal homepage cites 200 km per day from 1 January 2021, while the retrieved FAQ and Rules PDF contain 100-km descriptions, so a static calculation may be misleading.
The Bottom Line
Release the vehicle only after the live official record is generated and active, the displayed expiry covers the planned movement, Part-B matches the actual vehicle, and the person in charge has the applicable document and bill number. Stop for any cancellation, Part-A-only record, expired validity, vehicle mismatch or unresolved Vahan alert.
