To check it, start with the bonus pay statement and payment date, then compare the payment-year payroll totals with W-2 Boxes 1, 3, and 5 and compare withholding separately in Boxes 2, 4, and 6. Those boxes do not have to match one another. A different withholding amount on a separately identified bonus does not, by itself, mean the bonus was omitted or reported incorrectly.
If the records do not reconcile, ask payroll for a written explanation. When an employer confirms that a filed W-2 is wrong, the employer—not the employee—corrects it with Form W-2c and furnishes corrected copies. The steps below address federal W-2 reporting using IRS guidance available for 2026; state, local, and unusual compensation arrangements may require separate advice.

What “reported correctly” means for a retention bonus
For federal purposes, a retention bonus paid as compensation for employee services is generally wages. The key question is not when you signed the retention agreement or when the bonus was promised. It is when the payment was actually made, as shown on the payroll record. A bonus paid in a different calendar year from the year it was promised can therefore appear on a different W-2 than you expected.

One free scan finds every outdated or missing driver and matches the right update for your exact hardware.Free scan · exact hardware matchA correct W-2 check has four parts:
- The bonus is assigned to the W-2 tax year that matches its actual payment date.
- The wage amount is included in the applicable wage boxes, subject to the different tax bases for each box.
- Federal, Social Security, and Medicare withholding agree with what payroll actually withheld.
- The W-2 matches the employer’s year-end payroll records, rather than merely matching the amount in your bonus agreement.
Your W-2 reports wages and taxes; it does not determine your final federal income-tax liability. A refund or balance due on your tax return is not proof that the bonus was reported incorrectly.

Step 1: Gather the records that establish what was paid
Before comparing numbers, assemble the documents that show the transaction and the year involved. Keep copies of each item with your tax records.
- The retention-bonus statement or award notice.
- The pay stub for the bonus payment, including its payment date, gross amount, and each tax withheld.
- Any regular pay stub that includes the bonus in a combined paycheck.
- Your final pay statement or year-end payroll summary for the relevant year.
- The W-2 for that calendar year.
- Any written explanation from payroll or human resources.
Separate a promised amount from an amount actually paid. An agreement may describe a future payment or conditions that were never met; that promise is not the same as wages paid in the year you are checking. The payroll record showing the payment is your starting evidence.
Step 2: Confirm the correct W-2 year
Use the payment date, not the promise date
Write down the date on the bonus pay statement and the tax year printed on the W-2. If the statement shows a December payment, it normally belongs to that calendar year even if the retention agreement was signed months earlier. If the payment was made in January, it may belong on the following year’s W-2 even when the agreement or performance period ended in December.
Check whether the payment was a separate payroll run or part of a regular paycheck. A separate check can make the date easy to identify; a combined check requires you to locate the bonus line on the detailed stub. Do not use the date you received an agreement, the date you became eligible, or the date you expected to be paid as a substitute for the payroll payment date.
Resolve a year mismatch before comparing totals
If the bonus appears on a pay statement for one year but on a W-2 for another, ask payroll to explain the timing and the payroll posting date. Do not “move” the amount yourself on a tax return simply because the agreement refers to another year. A tax professional can help when the payment date, payroll date, and check date appear inconsistent.

Step 3: Compare the wage boxes one at a time
Boxes 1, 3, and 5 use different wage bases. They may legitimately show different totals, so a mismatch among those boxes is not automatically an error.
| W-2 box | What to compare | Why the amount may differ |
|---|---|---|
| Box 1 — Wages, tips, other compensation | Payment-year taxable wages from your year-end payroll summary, including the retention bonus to the extent included in federal income-tax wages. | Box 1 follows federal income-tax wage rules and exclusions that may not apply to Social Security or Medicare wages. |
| Box 3 — Social Security wages | The payment-year Social Security wage total on payroll records, including the bonus to the extent subject to Social Security tax. | The Social Security wage base and applicable exclusions can produce a total different from Box 1 or Box 5. |
| Box 5 — Medicare wages and tips | The payment-year Medicare wage total, including the bonus to the extent subject to Medicare tax. | Medicare wages do not use the same taxable-wage limits as Social Security wages, so Box 5 may differ substantially from Box 3. |
Compare each box with the corresponding year-end payroll total, not with the other two boxes. If your payroll summary shows the bonus included in federal wages but your W-2 Box 1 excludes it, identify that specific difference for payroll. If the bonus appears in Box 1 but not in Box 3 or Box 5, ask payroll to explain which wage rule or limit produced the result instead of assuming the omission is wrong.

Payroll systems often include a separately listed bonus in the gross wages of the same paycheck. Adding the bonus again to the year-end total can create a false discrepancy. Use the year-to-date figures on the final pay statement and the detailed bonus line to determine whether the amount is already included.
Step 4: Compare withholding separately from wages
After checking the wage boxes, compare the taxes actually withheld with W-2 Boxes 2, 4, and 6.
| W-2 box | Tax reported | How to verify it |
|---|---|---|
| Box 2 | Federal income tax withheld | Add the federal income-tax withholding shown on the relevant pay stub or year-end payroll record and compare it with the W-2 total. |
| Box 4 | Social Security tax withheld | Compare the Social Security withholding shown on payroll records with the W-2 amount, considering the applicable wage base. |
| Box 6 | Medicare tax withheld | Compare the Medicare withholding shown on payroll records with the W-2 amount, including any additional Medicare withholding that payroll applied under the applicable rules. |
Why bonus withholding can look different
IRS Publication 505 (2026) explains that when supplemental wages are identified separately from regular wages, an employer may use a 22% flat federal income-tax withholding rate under specified circumstances. That percentage is a payroll withholding method, not a special tax exemption and not a universal tax rate for bonuses. The amount withheld during payroll is a prepayment; your final federal income tax is calculated on your tax return using your overall income, deductions, credits, and applicable rates.

Consequently, a 22% line on a bonus check, a lower or higher effective withholding percentage than on your regular paycheck, or a refund or balance due does not by itself establish that the W-2 is wrong. The question is whether the W-2 reports the wage and the amount the employer actually withheld.
Distinguish a withholding difference from a reporting error
If Box 2 equals the federal income tax actually withheld across your pay records, the fact that the bonus was withheld at a different rate is not an error. If Box 2 differs from what payroll actually withheld, document the exact pay dates and amounts and ask payroll to reconcile the total. The same approach applies to Boxes 4 and 6.
Step 5: Build a reconciliation before contacting payroll
A short reconciliation makes it easier for payroll to answer a specific question. Create a four-column list for the payment year:
- Record the bonus payment date and gross bonus amount from the pay stub.
- Record the amount of that paycheck included in year-to-date federal, Social Security, and Medicare wages.
- Record the federal, Social Security, and Medicare taxes withheld from the paycheck.
- Compare the year-end totals with W-2 Boxes 1, 2, 3, 4, 5, and 6, noting only the boxes that differ.
Do not add a bonus to a W-2 total if the year-to-date payroll figure already includes it. If you have several bonus payments, list each payment separately and then total them. Preserve the original pay statements rather than relying on a spreadsheet alone.
Illustrative reconciliation format
| Record | Payment date | Gross bonus | Federal wages | Social Security wages | Medicare wages | Federal withholding | Social Security withholding | Medicare withholding |
|---|---|---|---|---|---|---|---|---|
| Bonus pay stub | From the stub | From the stub | From the stub | From the stub | From the stub | From the stub | From the stub | From the stub |
| Year-end payroll summary | Payment-year total | Payment-year total | Year-to-date total | Year-to-date total | Year-to-date total | Year-to-date total | Year-to-date total | Year-to-date total |
| W-2 | Tax year shown | Not a W-2 box | Box 1 | Box 3 | Box 5 | Box 2 | Box 4 | Box 6 |
The table is a comparison aid, not a rule that the three wage columns must be equal. Mark a difference only after confirming that you are comparing the same calendar year and that the bonus has not been counted twice.

Step 6: Ask payroll for a written explanation
Contact payroll or the employer’s designated wage-and-tax administrator in writing. Include enough detail for the administrator to locate the transaction without sending your entire tax return.
- Payment date shown on the bonus pay stub.
- Gross bonus amount.
- W-2 tax year.
- The specific box or boxes that do not reconcile.
- The payroll total you used for comparison.
- A request for an explanation and, if necessary, a corrected W-2.
You can use this structure in an email:
Subject: Reconciliation request for retention bonus on Form W-2
My retention bonus was paid on {{payment date}} in the gross amount of {{gross amount}}. It appears in my payroll records for {{tax year}}. I compared the year-end payroll totals with Form W-2 Boxes {{box numbers}} and found this difference: {{brief description}}. Please confirm how the bonus was included in the wage and withholding totals and tell me whether a corrected Form W-2 is required. I have attached the bonus pay statement and the relevant year-end payroll record.
Keep your sent message, attachments, and the employer’s response. If payroll explains that a wage box differs because of a tax-base rule, ask which record supports the explanation. If the employer agrees that a filed W-2 is wrong, ask when the corrected employee copy will be furnished.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When the employer should issue Form W-2c
The employer is responsible for correcting a filed W-2. The IRS General Instructions for Forms W-2 and W-3 state: “Use Form W-2c to correct errors on Forms W-2, W-2AS, W-2CM, W-2GU, W-2VI, or W-2c filed with the SSA.” A W-2c is not a second opportunity for you to change an amount based on your own estimate; it is the employer’s correction after it determines that the filed statement is wrong.
Ask for Form W-2c when the employer confirms a reporting error, such as wages assigned to the wrong year or a wage box that does not reflect the employer’s payroll records. The employer should furnish the corrected employee copy after filing the correction. Follow the corrected form’s instructions when preparing or amending your return.
Special rule for federal income-tax withholding in Box 2
W-2c corrections are box-specific. Under the W-2c instructions, Box 2 federal income-tax withholding is corrected only for an administrative error—when the amount filed differs from the amount the employer actually withheld. A later determination that the withholding percentage was not enough to cover your final tax liability is not, by itself, a Box 2 administrative error. Your final liability is settled on your income-tax return.

If the employer will not correct an incorrect W-2
Request IRS assistance after trying to obtain a correction
First document that you contacted the employer and gave it an opportunity to investigate. IRS employee guidance says that if the employer does not correct an incorrect W-2 after you have tried to obtain a correction, you may request that an IRS representative initiate a W-2 complaint by the end of February. The end-of-February point is a procedural threshold for requesting assistance, not a general tax-return filing deadline.
Have your W-2, pay statements, employer contact information, and copies of your written correction request available. The IRS can explain the complaint process, but it does not turn your estimate into an employer-issued W-2c.
Filing while the W-2 is still wrong
If you must file a return while the employer has not corrected the form, IRS FAQ guidance discusses Form 4852, Substitute for Form W-2, Wage and Tax Statement. The form is used to report the actual wages earned, taxes withheld, and the period for which the wages were received when the required wage statement is missing or incorrect. Follow the current Form 4852 instructions for your filing situation and retain the calculations and evidence supporting every figure.
Do not enter a promised retention bonus that was never paid, and do not guess at wages or withholding. Form 4852 and an IRS complaint serve different purposes: the complaint addresses the employer’s wage statement, while Form 4852 is a possible filing substitute when you cannot obtain a correct statement in time.
Common retention-bonus W-2 problems and responses
| What you see | Most useful first check | Next action |
|---|---|---|
| The bonus is absent from the W-2. | Confirm the payment date and whether the bonus is already included in year-to-date wages. | Ask payroll to reconcile the payment-year wage totals and issue Form W-2c if it confirms an omission. |
| The bonus appears on a different year’s W-2 than expected. | Compare the actual payment date with the W-2 year. | Ask payroll to explain the posting and payment dates; do not change the year yourself without professional advice. |
| Boxes 1, 3, and 5 are different. | Compare each box with its corresponding payroll wage total. | Ask which wage-base rule accounts for the difference before treating it as an error. |
| Federal withholding on the bonus looks different from regular pay. | Check whether the bonus was separately identified as supplemental wages. | Verify the amount actually withheld and reported in Box 2; a different rate alone is not proof of an error. |
| Box 2 does not equal payroll’s federal withholding total. | Add the federal withholding from the relevant pay records. | Request an administrative reconciliation; a W-2c Box 2 correction is tied to what was actually withheld. |
| The employer does not respond. | Keep dated copies of your written requests. | After attempting to obtain a correction, review the IRS W-2 complaint process and the Form 4852 instructions if filing cannot wait. |
Federal limits and situations requiring extra care
The checks above address federal Form W-2 reporting. They do not determine every state or local tax result. A state may use different wage or withholding rules, and a retention arrangement involving a former employee, deferred payment, equity, repayment clause, or another unusual feature may not fit the ordinary payroll pattern. In those cases, review the applicable state or local agency guidance and consider a qualified tax professional.
Do not infer a required box treatment from the label “retention bonus” alone. The payment date, employee status, payroll coding, and the taxes actually withheld determine what the employer reports. When the records conflict, ask the employer to identify the payroll entry and the rule it applied rather than relying on a generic bonus calculator or a comparison with another employee’s W-2.
Quick Recap
A final checklist before you file
- Have you identified the actual bonus payment date?
- Does that date fall in the W-2 calendar year you are reviewing?
- Do you have the bonus pay stub and year-end payroll summary?
- Did you compare Boxes 1, 3, and 5 with their corresponding payroll wage totals?
- Did you compare Boxes 2, 4, and 6 with taxes actually withheld?
- Did you avoid assuming that the three wage boxes must be identical?
- Did you treat a separately withheld supplemental wage as a withholding issue, not automatically a reporting error?
- Did you send payroll a concise written reconciliation and save its response?
- If an error was confirmed, did you request Form W-2c from the employer?
- If the employer did not resolve it, did you review the current IRS complaint and Form 4852 instructions rather than guessing?
