Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Before claiming input tax credit (ITC), verify five separate things: the supplier’s GST registration and identity, the invoice particulars required for that transaction, any applicable e-invoice record, the underlying purchase and payment evidence, and the document’s appearance in your GSTR-2B. A valid GSTIN, a passing QR check, or a GSTR-2B entry is useful evidence, but none of those checks alone proves that a supply occurred or that every statutory ITC condition is satisfied.
This workflow is for GST-registered businesses and their finance, procurement and tax teams in India. E-invoicing rules, exemptions, document requirements and ITC restrictions depend on the transaction, tax period and current notifications, so confirm the rules that apply to the invoice date.

What “genuine” means for a GST invoice
In practice, an invoice is supportable for ITC only when several questions have consistent answers:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Does the GSTIN belong to the supplier whose goods or services you actually bought?
- Does the document contain the particulars required for its document and transaction type?
- Where e-invoicing applies, does the signed electronic data or QR code correspond to an invoice registered with the Invoice Registration Portal (IRP)?
- Do purchase orders, contracts, delivery or service records, accounting entries and payment evidence support the transaction?
- Does the supplier-reported document reconcile to your GSTR-2B, and have you separately checked all applicable ITC conditions and restrictions?
A technical check answers only the question covered by that check. For example, a GSTIN search confirms registration details displayed for that number; it does not prove delivery. QR verification checks the electronic record and signature; it does not prove that the described goods were received. GSTR-2B reflects supplier-filed information; it is not a complete legal eligibility ruling.

A practical pre-claim workflow
- Validate the supplier’s identity and GSTIN.
- Review the invoice particulars and calculations.
- Verify the e-invoice record when the transaction is subject to e-invoicing.
- Match the invoice to commercial and accounting evidence.
- Reconcile the document to GSTR-2B.
- Preserve evidence and make a separate ITC eligibility decision.
Complete the checks in this order so that a basic identity problem is found before staff spend time reconciling a document that should be held.
1. Check the supplier’s GSTIN and identity
Use an official taxpayer search
Search the supplier’s GSTIN in the GST portal’s taxpayer facilities or an official IRP taxpayer-search tool. Record the displayed legal name, trade name, principal address and PIN code. The search result is an identity signal tied to the number entered, so copy the GSTIN from the invoice carefully rather than relying on a manually retyped number.
Compare every identity detail
Compare the displayed details with:
- the legal entity or business name on the invoice;
- the supplier master record approved by procurement;
- the address or state shown on the invoice and purchase order; and
- the entity that accepted your order and supplied the goods or services.
A trade name can differ from a legal name, and a business may have registrations in more than one state. A difference is therefore a prompt to reconcile the records, not automatic proof of fraud. An invalid or inactive GSTIN, an unexplained state mismatch, or an identity that cannot be reconciled should stop the ITC claim until the supplier provides a credible correction or explanation.

A GSTIN lookup cannot establish that this supplier made the particular supply shown on the invoice. Keep independent evidence of the order, receipt or performance and payment. If the supplier asks you to pay an account belonging to an unrelated entity, or the invoice entity cannot explain the difference, escalate it before posting ITC.
2. Inspect the invoice particulars required for the transaction
Apply the correct rule set
CBIC’s invoice rules prescribe particulars, but the applicable list varies with the document and transaction. A tax invoice, debit note, credit note, bill of supply, export document and reverse-charge or special-case document do not necessarily use one identical checklist. Check the current CGST Rules and relevant notifications for the invoice date and transaction type instead of treating a fixed field count as universal.

Core fields to compare
For an ordinary taxable supply, review the fields that generally identify the document, parties, supply and tax calculation:
- supplier name, address and GSTIN;
- recipient name, address and GSTIN or other required recipient details;
- a consecutive invoice number and invoice date;
- description of goods or services, quantity or unit details where relevant, and HSN or service classification;
- taxable value, applicable tax rate and each tax component;
- place-of-supply information where the rule requires it;
- references to any debit note, credit note, advance or adjustment; and
- the applicable signature or digital-signature treatment.
Use this list as a review aid, not as a substitute for checking the rule that applies to the document. For an electronic invoice issued in accordance with the Information Technology Act, the rule reproduced in official guidance states: “the signature or digital signature of the supplier or his authorised representative shall not be required in the case of issuance of an electronic invoice in accordance with the provisions of the Information Technology Act,2000 (21 of 2000).” That statement concerns the specific electronic-invoice case; it is not a blanket exemption for every invoice.

Recalculate the numbers
Reperform the arithmetic from quantity and rate through taxable value, tax components, rounding, adjustments and the final amount. The taxable value plus the applicable tax should reconcile to the total, subject to disclosed rounding or other documented adjustments. Compare rates and quantities with the purchase order, contract, goods-receipt note or service-acceptance record. An unusual price, tax rate or quantity requires clarification and supporting evidence; it is not by itself proof that the invoice is fake.
Look for alterations and incomplete data
Check whether invoice numbers, dates, GSTINs, tax amounts or bank details appear overwritten, inconsistent between pages or different from the electronic file. Missing mandatory particulars, contradictory addresses, unexplained manual edits, pressure for an urgent payment, or a request to send money to a third party are warning signs. Preserve the original file and ask the supplier for a corrected document through an auditable channel rather than editing the invoice yourself.
3. Verify an e-invoice when it is applicable
First establish whether the mandate applies
Do not assume that every GST invoice must have an IRN or QR code. E-invoice applicability depends on the supplier, transaction, turnover criteria, exemptions and the rules in force for the relevant period. Confirm current CBIC and GST portal notifications for the supplier and transaction. The fact that a supplier has issued an ordinary invoice does not, without this applicability analysis, prove that the invoice is invalid.

Verify signed JSON
When the supplier provides the signed e-invoice JSON, use the IRP’s “Verify Signed Invoice” function. Upload the signed file and save the verification result with the invoice record. Confirm that the returned information matches the copy you received, including supplier and buyer GSTINs, invoice number, date, taxable and invoice values, tax amounts, line descriptions and the IRN.
Verify the QR code
Use the IRP’s “Verify QR Code” function for the signed QR data. Official IRP guidance describes QR data that can include the supplier and buyer GSTIN, invoice number, generation date, invoice value, HSN, IRN and the IRP’s digital signature. Compare each returned value with the PDF or printout, purchase order and receipt or service evidence. A QR reader that merely displays text is not equivalent to a portal verification result.
Understand the IRN flow
The supplier reports invoice data to an Invoice Registration Portal. The portal generates and digitally signs an Invoice Reference Number (IRN), returns the e-invoice with its QR code, and the reported data is saved in the GST system. The data may then auto-populate the supplier’s GSTR-1. This flow explains why a successful verification is useful evidence of the electronic record’s integrity and reported content.
A successful signed-JSON or QR verification still does not establish that the underlying goods or services were delivered, that the supplier’s description is truthful, or that every ITC condition is met. Keep the commercial evidence and perform the legal checks separately.
4. Match the document to the real purchase
Build a three-way or four-way match
For goods, match the invoice to the purchase order, goods-receipt note, transport or delivery record and inventory entry. For services, match it to the contract or work order, milestone or acceptance evidence, timesheets or other proof of performance and the payment record. Match the supplier’s bank details and your ledger posting to the approved vendor record.

Record the date, quantity, location and recipient of the supply where those facts matter. A document can pass every electronic check and still describe a transaction your business never received. If the invoice is for an advance, retention, reimbursement or adjustment, retain the agreement and accounting treatment that explains it.
Confirm payment and accounting trail
Retain the purchase order or contract, original invoice or e-invoice file, delivery or service evidence, payment advice and bank or cash record permitted by your controls, and the ledger entry. Investigate duplicate invoice numbers, duplicate amounts, credits not posted, or payments made to an entity different from the supplier on the invoice.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.5. Reconcile the invoice with GSTR-2B
What GSTR-2B tells you
GSTN describes GSTR-2B as a read-only, static, auto-drafted ITC statement generated from supplier-filed information and related records. For the relevant tax period, compare supplier GSTIN, invoice or debit-note number, date, taxable value, tax amounts, amendments and credit notes. Save the reconciliation file or working paper and identify the person who cleared each exception.
When the invoice is missing
An absent document may result from a supplier filing delay, a wrong GSTIN, an incorrect invoice number or date, an amendment, a credit note, or a period mismatch. Ask the supplier to check its outward-supply filing and correct the source data where necessary. Do not simply take the credit because you possess a PDF; resolve the return-data discrepancy and apply the rules for the relevant period.
When the values do not match
Compare the source invoice with the supplier-filed values and any amended document. Quantify the difference in taxable value and each tax component. Hold the disputed portion until the supplier explains or corrects it, and retain the correspondence. A mismatch can be a clerical error, but it needs an auditable resolution.

When GSTR-2B marks credit as unavailable
GSTN’s “ITC not available” summary covers specified cases only. GSTN also cautions that other legal restrictions may apply and directs taxpayers to self-assess and reverse or take the relevant credit in GSTR-3B. Therefore, an item shown as available is not a blanket assurance of eligibility, and an item shown as unavailable requires analysis under the applicable rules rather than an automatic override.
6. Make the ITC decision after verification
Separate document authenticity from eligibility
After the checks above, assess the conditions and restrictions applying to your recipient, supply and tax period. Documentary support is necessary, but technical authenticity does not answer every statutory question. Consider whether the supply is used for business, whether any blocked-credit category or other restriction applies, whether required tax has been dealt with correctly, and whether the prescribed time and return treatment are satisfied.
Use a hold-and-escalate rule
Pause the claim when any of these remain unresolved:
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- the GSTIN is invalid, inactive or belongs to an entity that cannot be reconciled;
- invoice particulars or arithmetic conflict with the order or receipt;
- signed JSON or QR data differs from the invoice copy;
- the supplier, invoice or tax amount is absent or materially different in GSTR-2B;
- delivery, service performance or payment evidence is missing; or
- e-invoice applicability or an ITC restriction is uncertain.
Request a corrected invoice, supplier filing amendment, credit note or other documentary explanation as appropriate. Escalate material or unresolved matters to the business’s GST adviser before claiming or retaining the credit.
What each check can and cannot establish
| Check | What it helps establish | What it does not establish alone |
|---|---|---|
| GSTIN and taxpayer-details lookup | Registered identity details displayed for the GSTIN, such as legal or trade name and address | Actual delivery, payment or ITC eligibility |
| Signed JSON or QR verification | IRP signature or content and the invoice data associated with the e-invoice record | That the underlying supply occurred or every tax condition is satisfied |
| Invoice-particulars review | Whether document details appear complete and consistent with the applicable rules | Authenticity of every transaction fact |
| GSTR-2B reconciliation | Whether supplier-reported document data appears in the buyer’s drafted ITC statement | Complete statutory eligibility; GSTN says other restrictions may apply |
| Purchase, receipt and payment records | Commercial evidence supporting the transaction | Supplier return compliance or every legal ITC condition |
Evidence file to retain
For each claimed invoice, keep an indexed file containing:
- the original invoice PDF, paper scan or signed e-invoice JSON;
- the QR or signed-file verification output and the date of verification;
- the GSTIN search result or an internal record of the identity check;
- purchase order, contract and approved supplier record;
- goods-receipt, transport, inventory or service-acceptance evidence;
- payment and ledger records, including explanations for adjustments;
- the relevant GSTR-2B download and reconciliation working paper; and
- emails or tickets resolving mismatches, corrections or credit notes.
Restrict editing rights on the original files and preserve the version that was actually received. A clear audit trail lets another reviewer reproduce your conclusion without relying on memory.
Common mistakes that lead to weak ITC support
- Checking only the GSTIN: registration does not prove that the supplier made this supply.
- Scanning a QR without comparing the result: verification is useful only when the returned fields match the invoice and transaction.
- Treating GSTR-2B as a guarantee: it reflects supplier-filed data and does not replace the self-assessment of legal restrictions.
- Using one universal invoice checklist: particulars differ by document and transaction type.
- Ignoring commercial evidence: a digitally valid record cannot substitute for proof of receipt or service performance.
- Editing a supplier invoice internally: obtain a properly corrected document or other permitted record instead.
- Assuming an ordinary invoice is acceptable when e-invoicing may apply: establish mandate applicability for the supplier, transaction and period.
- Claiming while an exception is open: document the resolution or hold the credit until the conflict is cleared.
A compact approval checklist
- GSTIN search result agrees with the supplier’s legal or trade identity and address.
- Invoice number, date, parties, classification, values, rates, tax components and required place-of-supply details agree with the applicable rules.
- Arithmetic, purchase-order terms and receipt or service evidence agree.
- Where required, signed JSON or QR verification returns matching IRP data and IRN.
- Supplier, document identifiers, values, amendments and credit notes reconcile to the correct GSTR-2B period.
- Payment, ledger and transaction evidence are retained.
- Separate ITC conditions and restrictions have been assessed for the recipient, supply and period.
- Any unresolved discrepancy is held and escalated rather than silently overridden.
Rules and portal functionality can change. For an invoice-date-specific decision, recheck current CBIC notifications, GST portal guidance and the applicable CGST Rules before filing the return.
