The safest way to verify a supplier’s GST registration is the government GST Portal’s Search Taxpayer service. Search the supplier’s GSTIN/UIN (or its PAN when the GSTIN is unavailable), then compare the returned legal name, trade name, address and registration dates with the quotation, invoice or other document. The public lookup is available before login.
For an older invoice, do not rely only on the status displayed today. Confirm that the registration was active on the invoice or note date, because a registration can later be cancelled or otherwise change status.

A GSTIN check is an identity and timing check. It should sit alongside your normal review of the contract, delivery evidence, tax calculation and payment instructions, rather than replacing those controls.

A GSTIN lookup checks the number against the registration record published by the Goods and Services Tax Network (GSTN). The result can help you establish whether the number is associated with a registered taxpayer and whether the taxpayer details match the business that issued your document.

- Compliance information: return-filing details that the portal makes available in the taxpayer profile.
- Document consistency: whether the GSTIN printed on an invoice corresponds to the supplier named on that invoice.
This is a record verification, not a guarantee that the underlying sale occurred, that every invoice field is correct, or that the tax treatment and tax amount are lawful. A valid-looking number should therefore be treated as one part of your review.
Why use the official GST Portal?
The GST Portal is the government-facing record used for the public taxpayer lookup. GSTN’s welcome material specifically describes the Search Taxpayer facility as a way to verify GSTIN authenticity, including a GSTIN printed on a manual or handwritten invoice, and to help avoid dealing with a supplier using a fake GSTIN.
Third-party websites may display information copied from elsewhere, but they are not a substitute for the government record. If a third-party result conflicts with the GST Portal, use the official portal as the primary check and ask the supplier to explain any discrepancy. Portal wording and the position of links can change, so follow the labels shown on the live site rather than an old screenshot or an unofficial guide.

- Open the portal. Go to www.gst.gov.in. On the home page, select Search Taxpayer. The public search is available in the pre-login area.
- Select the GSTIN/UIN search. Enter the number exactly as supplied by the business. Check every letter and digit before submitting. The pre-login search asks you to enter the displayed CAPTCHA and then select Search.
- Review the returned profile. Check the GSTIN/UIN, legal name, trade name, effective registration date, business constitution, principal place of business, current status information and any cancellation date shown. Return-filing details may also be displayed.
- Compare the profile with the document. Match the legal or trade name and the principal place of business against the supplier name and address on the quotation, invoice, purchase order or contract. Also compare the GSTIN character by character with the number printed on the document.
- Check the dates. For a historical invoice or note, compare its date with the effective registration date and any cancellation date. A current result is not automatically proof of the position on an earlier date.
- Record what you checked. Note the lookup date, the document number and date, the GSTIN searched, and the key fields returned. Keeping those notes gives your accounts or audit file a clear record of the check performed.
- Resolve discrepancies before relying on the invoice. A different legal name, unrelated address or status that does not fit the transaction is a reason to pause and ask the supplier for an explanation and corrected documentation. Do not silently substitute a different GSTIN.
You do not need to create an account for this basic lookup. The portal manual does distinguish pre-login information from additional fields that require login, so do not assume that an anonymous search exposes every taxpayer field.
How to read the taxpayer profile
Read the result as a set of connected fields, not as a single “valid” label. The GSTIN identifies the registration record, while the names, location and dates help you decide whether that record belongs to the supplier and relates to the document in front of you.
- GSTIN or UIN: Confirm that the returned number is exactly the number printed on the document. A transposed character can point to an entirely different taxpayer.
- Legal name: This is the registered entity’s name. Compare it with the contract party, purchase order and payment beneficiary where those details are available.
- Trade name: A business may present a trading name to customers while the registration record shows a different legal name. Both fields should be considered before deciding that a name difference is an error.
- Effective registration date: This establishes when the registration began according to the profile. It matters when checking an invoice issued early in the relationship or near the start of a registration.
- Business constitution: The constitution shown in the profile can help you see whether the registered taxpayer is the type of entity named in your paperwork.
- Principal place of business: Compare the registered location with the supplier address on the invoice. A difference may reflect a branch, an amended record or a mistake, so it should be explained rather than ignored.
- Status and cancellation date: Use the status information and any cancellation date when assessing whether the registration fits the transaction date. A status displayed today does not, by itself, answer a historical question.
- Return-filing details: These may be visible in the profile and can provide additional context, but they do not establish that your particular invoice or tax calculation is correct.
If a field is not visible in the pre-login view, do not fill the gap with an assumption. The public result may be enough for an identity check, while other information may require an authenticated view by the taxpayer.
Which fields should match?
| Verification axis | Portal information | What to compare on your document | What a mismatch means |
|---|---|---|---|
| Identity | Legal name and trade name | Supplier name, invoice heading and contract party | Ask whether the trading name belongs to the registered legal entity; obtain a correction or supporting explanation before payment. |
| Place | Principal place of business | Supplier address shown on the quotation or invoice | An address difference may reflect a branch, amended registration or an error. Confirm which registered location applies. |
| Status and dates | Effective registration date, current status information and cancellation date where applicable | Invoice or note date | For a historic document, determine whether the registration was active on that date, not merely whether it is active now. |
| Document context | GSTIN/UIN returned by Search Taxpayer | GSTIN printed on the invoice or other paperwork | A transposed or reused number can attach the document to another taxpayer. Stop and have the issuer recheck it. |
Do not let one matching field outweigh several inconsistent ones. For example, a correct GSTIN alongside an unrelated legal name and address still requires clarification. Conversely, a different trading name can be explainable when the portal’s legal name identifies the same supplier. Ask for written support or a corrected invoice when the relationship is not clear.
What to do when you do not know the GSTIN
If you have the supplier’s PAN but not its GSTIN, GSTN materials describe a taxpayer search by PAN. Enter the PAN in the relevant Search Taxpayer option to see registrations associated with that PAN. Review every result carefully: a PAN search can reveal registrations associated with the taxpayer, but it does not by itself tell you which registration should appear on a particular invoice.
Use the business name, state and address on the document to identify the relevant registration, then compare that registration’s details with the invoice. If the supplier gives you a GSTIN that does not appear among the expected registrations, ask the supplier to explain the discrepancy before treating the invoice as verified.

When several registrations are associated with one PAN, do not choose one merely because the name looks familiar. Match the relevant state or principal place, the trade name and the transaction documentation. The GSTIN printed on the invoice should be the one you search and reconcile to the supplier’s record.
Checking an old invoice or credit/debit note
A current search result answers a current-record question. It does not automatically prove that the GSTIN was active when an earlier transaction took place. GSTN’s return utility instructions tell taxpayers to verify the GSTIN through Home > Search Taxpayer > Search by GSTIN/UIN and to make sure that registration was active on the invoice or note date.
- Write down the exact invoice or note date and the GSTIN printed on the document.
- Search that GSTIN on the official portal and record the effective registration date, current status information and any cancellation date displayed.
- Compare those dates with the document date. A registration that began after the invoice date could not support that earlier transaction; a cancellation before the date requires clarification.
- Consider the date in the context of the document type. A credit or debit note also has a document date that must be checked, not just the date of the original invoice.
- If the displayed information does not conclusively establish the historical status, ask the supplier for an explanation and corrected records rather than assuming that today’s status applies retrospectively.
The official instruction is: “Enter a valid GSTIN very carefully. Verify GSTIN from the GST portal: Home > Search Taxpayer > Search by GSTIN/UIN, and make sure the GSTIN registration is active on the date of invoice/note.” This wording appears in GSTN’s GSTR-10 Offline Utility.
Keep the original document with your notes. If the portal later changes its displayed status or fields, your record should still show which number and date you checked and what the profile showed at that time.
How to interpret common results
The name and address match
A matching legal or trade name, principal place and GSTIN provide a consistent registration identity. Continue checking the invoice’s other requirements, tax rate and transaction details separately; the lookup does not validate those items.
The GSTIN is found, but the name is different
Do not assume that a trade name difference is fraud or that it is harmless. Businesses may trade under a name different from their legal name, which is why both fields matter. If neither the legal name nor trade name reasonably identifies your supplier, pause the transaction and obtain clarification or a corrected invoice.
Free tools Windows power users keep installed
One-click scans. No signup required.
The address is different
Compare the address on the document with the portal’s principal place of business. A supplier may need to explain whether the invoice relates to another registered location, an amended registration or a simple clerical error. Do not alter the GSTIN or address yourself to make the records appear consistent.
The portal shows a cancellation date
Use the cancellation date when assessing the document date. An invoice dated after cancellation needs an explanation; an invoice dated before cancellation may still require checking that the registration was active on that earlier date.
The effective date is after the invoice date
A registration that became effective later does not support an earlier invoice merely because the GSTIN is valid today. Ask the issuer to review the invoice and provide corrected records if necessary.

The GSTIN cannot be found
Re-enter the number carefully, including every character, and use the portal’s current search flow. If the number still does not return a taxpayer profile, do not treat it as verified. Ask the issuer to confirm the number and, if necessary, provide a corrected document.

The portal manual distinguishes pre-login information from additional fields that require login. The public search is sufficient for the basic registration identity check, but do not claim that an anonymous lookup exposes every taxpayer field.
The supplier sends a certificate instead
A certificate can support the supplier’s explanation, but it should not replace your comparison with the public taxpayer record. Check that the certificate, portal result and invoice identify the same taxpayer and that the dates fit the transaction.
Getting a copy of the registration certificate
The registered business—not an unrelated customer—can sign in to its GST account and open Services > User Services > View/Download Certificates. The registration certificate can be downloaded as a PDF, and an amended registration certificate will also appear when applicable.
A supplier may provide that PDF as supporting documentation, but the public Search Taxpayer record remains the practical way for a customer to check the current registration record. Compare the certificate and portal result with the invoice rather than relying on a certificate alone.
Recommended Free Tools
If the supplier sends an amended certificate, check whether the amendment explains a changed name, address or other profile detail. Retain the version supplied with the transaction documents, while still checking the live portal record for the current registration status.
What a valid GSTIN does not prove
- It does not prove that the supplier actually delivered the goods or services.
- It does not prove that the invoice was issued by an authorised employee or representative.
- It does not establish that the tax rate, place-of-supply treatment, reverse-charge treatment or tax amount is correct.
- It does not make a mismatch in legal name, address or transaction date irrelevant.
- It does not replace your normal checks of purchase orders, delivery evidence, contracts and payment instructions.
- It does not prove that every return-filing detail or other compliance information is complete or current for your transaction.
Use the GSTIN check to validate the registration identity and timing, then review the commercial and tax substance of the transaction separately.
A practical verification checklist
- Use the official GST Portal, not a third-party database, as your primary source.
- Search by GSTIN/UIN and complete the CAPTCHA; use PAN search only when the GSTIN is unavailable.
- Save or note the returned legal name, trade name, principal place, effective date, status information and cancellation date, if shown.
- Compare the returned identity and location with the supplier details on the document.
- For an older invoice or note, compare the registration timeline with the exact document date.
- Keep a record of the lookup date and the document reviewed, especially for accounting or audit files.
- Ask the supplier to correct or explain any mismatch before relying on the document.
- Remember that registration verification is separate from checking the transaction and tax calculation.
A simple decision path
Start with the GSTIN printed on the document. If the portal returns no profile, recheck the characters once and then ask the issuer to confirm or correct it. If a profile appears, compare the legal name, trade name, principal place and dates. If those fields fit, continue with your invoice and transaction review. If they do not fit, pause and obtain an explanation before payment, credit or tax reporting.
When only a PAN is available, search by PAN, identify the registration that matches the supplier and transaction, and then verify that specific GSTIN. When the document is old, make the invoice or note date the central question and assess whether the registration was active on that date.

When to stop and seek clarification
Pause before payment, credit or tax reporting when the GSTIN is missing from the portal, the legal and trade names do not identify the supplier, the principal place is unrelated, the registration was not active on the document date, or the supplier refuses to explain a discrepancy. Request a corrected invoice or written clarification and retain the original document and your lookup notes. If the issue affects a filing or a material transaction, consult your tax adviser rather than guessing from the number alone.
Frequently asked questions
Do I need a GST Portal account to verify a GSTIN?
No. The Search Taxpayer lookup is available in the pre-login flow, although the portal manual says some additional profile fields require login.
Can I verify a GSTIN using only a PAN?
Yes. GSTN materials describe a Search Taxpayer option that returns registrations associated with a PAN. You must still identify the registration that matches the supplier and transaction.
Is a GSTIN valid if the business name on the invoice is different?
Not automatically. Compare both the legal name and trade name returned by the portal. If neither reasonably matches the supplier, stop and obtain clarification or a corrected invoice.
Does a current active status prove an old invoice was valid?
No. Check whether the registration was active on the invoice or note date, using the effective and cancellation dates and any status information shown.
Can I rely on a GSTIN printed on a handwritten invoice?
You can check it through Search Taxpayer in the same way as a number on a printed invoice. GSTN’s welcome material identifies manual or handwritten invoices as an example for which the authenticity lookup is useful. The result still does not prove that the transaction or tax calculation is correct.
What if the supplier has a trade name that differs from its legal name?
Compare the document with both profile fields. A trade-name difference can be explainable when the legal name identifies the same entity. If neither field reasonably identifies the supplier, request clarification before relying on the invoice.
What if the address on the invoice differs from the principal place of business?
Ask whether the document relates to another registered location, an amendment or an error. Do not ignore the difference or change the document yourself; obtain an explanation or corrected paperwork.
Can the portal confirm every detail on my invoice?
No. It confirms information in the taxpayer registration record. It does not establish delivery, authorization, tax rate, place-of-supply treatment, reverse-charge treatment or the correctness of the tax amount.

Who can download the GST registration certificate?
The registered business can sign in and use Services > User Services > View/Download Certificates to download the certificate as a PDF. A customer may receive a copy from the supplier, but should still compare it with the public Search Taxpayer result.
Should I use a private GSTIN lookup website?
Use the official GST Portal as your primary source. A private lookup can be treated only as an additional convenience, not as a replacement for the government record.
