Before calling a period “late” or “not filed,” check whether the supplier files monthly or quarterly, whether the government extended the due date, and whether that taxpayer type is required to file the return you are checking.
If a period still appears missing, send a neutral message naming the supplier’s GSTIN, return form, tax period and the result you saw. Ask the supplier to confirm the filing status or explain the apparent gap. A missing public entry is a reason to verify the record; by itself, it does not establish intentional non-compliance or decide your tax entitlement.

What you need before checking
The public lookup is designed for checking a registered taxpayer’s details and return-filing information. You do not need a GST Portal login, but you do need enough information to identify the right taxpayer and period.
- Supplier GSTIN or UIN: Copy it from the invoice, purchase order, vendor master or another reliable record. A single wrong character can return the wrong taxpayer or no result.
- The relevant tax period: Identify the month or quarter covered by the invoice or transaction. Also note the financial year in which that period falls.
- The return form: For sales invoices and outward-supply reporting, this is often GSTR-1, but do not assume every taxpayer has the same filing obligation.
- Your transaction record: Keep the invoice number, invoice date, supplier name and GSTIN together so you can compare the portal result with your accounts.
The GST Portal’s Search Taxpayer guide says the public search can show the GSTIN/UIN, legal and trade names, registration effective date, constitution, principal place of business, cancellation date where applicable, and return-filing details.

How to check a supplier’s GST return filing status
1. Open Search Taxpayer
- Go to the GST Portal homepage.
- Select Search Taxpayer.
- Choose the GSTIN/UIN search option if the portal presents more than one taxpayer-search method.
This is the public supplier-search workflow, not the logged-in filing screen used by the supplier itself. The portal may change labels or screen layout, so follow the current on-screen instructions if they differ slightly from the guide.
2. Enter the GSTIN or UIN and CAPTCHA
- Enter the supplier’s GSTIN or UIN exactly as shown on the invoice or registration record.
- Enter the CAPTCHA.
- Click Search.
The search is available without logging in. If the result does not match the supplier’s legal or trade name, stop and recheck the identifier before looking at filing history.
3. Confirm the taxpayer identity
Compare the returned legal name, trade name, registration effective date, constitution and principal place of business with your supplier record. Check the cancellation date if one is displayed. This identity check matters because a branch, successor, related entity or transposed GSTIN can otherwise lead you to review the wrong taxpayer.

- Click Show Filing Table.
- Select the financial year containing the month or quarter you need.
- Click Search to display the filing details for that year.
The filing table is organized by financial year. Selecting the wrong year can make a valid filing appear absent, especially around April, March and quarter boundaries. Record the exact return form, period, filing status and date displayed rather than relying on a general impression from the page.
5. Check return-filing frequency
- Click Show Return Filing Frequency.
- Note whether the supplier is shown as a monthly or quarterly filer for the relevant financial year.
- Use the option provided by the portal to inspect the previous financial year’s frequency when the transaction period crosses a year boundary.
The GST Portal guide identifies monthly and quarterly frequencies. A quarterly filer will not be expected to have a separate GSTR-1 entry for every month, so frequency must be checked before treating a monthly row as missing.
How to read the result without jumping to the wrong conclusion
Use the filing table as a dated record of what the public portal displays, not as a substitute for checking the applicable rules. The most useful notes are the taxpayer identity, filing frequency, return form, tax period, status and filing date.
| What you see | What it can tell you | What to do next |
|---|---|---|
| A filing entry with a status and date | The portal has a filing record for the displayed form and period. | Save the form, period, status and date with your reconciliation notes. If your question concerns an amendment or invoice reporting, ask the supplier for the relevant acknowledgment or explanation. |
| No monthly entry for a month | The absence may reflect quarterly filing, a wrong financial year, an extension, a taxpayer category or a display/update issue. | Check frequency, due-date notifications and taxpayer type before contacting the supplier. |
| A period or form different from the one you expected | You may be looking at the wrong return, period or entity. | Match the invoice date and transaction type to the form and period, then verify the GSTIN again. |
| A cancellation date | The registration record indicates cancellation from the date shown. | Compare that date with the invoice and supply dates. For consequences of a particular transaction, obtain current professional or official guidance. |
The portal’s public instructions explain how to retrieve the filing information, but they do not create a buyer-side determination that a supplier intentionally failed to comply. If the display looks inconsistent with your records, document the discrepancy and ask the supplier for confirmation.

Check the correct due date before calling a return late
GSTR-1 timing depends on filing frequency and can be changed by government notification. The GST Portal’s GSTR-1 FAQ states the standard schedule as follows:
| Filing frequency | Standard GSTR-1 due date in the FAQ | Qualification |
|---|---|---|
| Monthly | The 11th day of the succeeding month | The FAQ says the date may be extended by the government through notification. |
| Quarterly | The 13th day of the month following the quarter | The FAQ says the date may be extended by the government through notification. |
These are standard dates stated in the FAQ, not a guarantee that they apply unchanged to every period. Verify the notification and current portal information for the exact month or quarter you are reviewing. Keep the extension qualification beside the date in your notes; otherwise a valid extension can look like supplier delay.
Confirm that GSTR-1 applies to this taxpayer
The same FAQ says GSTR-1 must be filed even when there is no business activity in the period, but it also identifies taxpayer categories that are not required to file GSTR-1, including composition taxpayers and certain other taxpayer types. Do not apply the ordinary GSTR-1 expectation until you have considered the supplier’s taxpayer category and the form relevant to your transaction.
If your concern is a different return, name that form specifically when you contact the supplier. A GSTR-1 result should not be described as proof of the supplier’s filing status for every other GST return.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteMonthly versus quarterly filing: the key interpretation
Monthly filer
A monthly filer generally has a GSTR-1 reporting cycle for each month, subject to the applicable rules and any notified extension. When checking one month, select the financial year containing that month and compare the displayed period with your invoice date.
Quarterly filer
A quarterly filer reports on a quarterly cycle. The absence of a separate entry for one month inside the quarter is not, by itself, evidence that the supplier skipped a filing. Check the filing-frequency view and the quarter-end period before escalating.
Frequency can change
The portal guide provides a way to inspect the previous financial year’s frequency. Use it when a supplier changed its filing pattern or when your transaction falls near the start of a financial year. Do not carry a prior year’s monthly or quarterly assumption into a new year without checking the portal.

What to do when a period appears missing
Use this sequence so that your follow-up is specific and fair.
Recommended Free Tools
First, repeat the lookup carefully
- Re-enter the GSTIN/UIN from the invoice rather than relying on a typed copy.
- Confirm the legal or trade name returned by the search.
- Select the correct financial year.
- Check the return-filing frequency, including the previous financial year if relevant.
- Identify the exact form and tax period shown, or note that no matching entry is displayed.
Next, test the timing explanation
- Compare the period with the monthly or quarterly standard date.
- Check whether a government notification extended that date.
- Allow for the possibility that a recent filing or portal update is not yet reflected in the public view.
- Check whether the supplier’s taxpayer category means the expected form is not required.
Do not label the supplier “non-compliant” in your first message when these checks remain unresolved. The fact you can observe is narrower: the public filing table currently appears not to show the expected form and period, or shows a different status.
Then contact the supplier with the exact discrepancy
Use a neutral request that gives the supplier enough information to investigate. The following is practical correspondence, not an official statutory notice or prescribed demand:
We are reconciling our records for GSTIN [supplier GSTIN] and tax period [period]. The GST Portal currently appears to show [specific return/status]. Could you confirm your filing frequency and whether the return has been filed or amended? If available, please share the filing acknowledgment or let us know when we should check again.
Replace each bracketed item with the actual GSTIN, period and portal wording. If you checked GSTR-1, name GSTR-1; if you checked another form, name that form instead. Include the invoice number only when it helps the supplier locate the transaction, and avoid sending more personal or commercial information than necessary.
Allow for a correction or amended return
Ask whether the supplier filed under a different period, amended the return, or has a filing acknowledgment that is not yet visible in the public table. This does not prove that any one explanation is correct; it gives the supplier a short list of concrete possibilities to verify.

How to document the check
Good records let you show what you checked and when, without overstating what the public page proves.
- Record the date and time of the lookup.
- Save or print the taxpayer identity details and the filing-table result where your policies permit.
- Write down the selected financial year, filing frequency, form, tax period, status and filing date.
- Keep the related invoice, purchase record and reconciliation note together.
- Retain the supplier’s reply, acknowledgment or explanation and the date you plan to recheck.
- When a due date was extended, retain the relevant government notification or an official reference used for your check.
Use access controls appropriate to your accounting records. The objective is an auditable reconciliation trail, not a public accusation.

When the supplier does not respond
Send one concise follow-up that repeats the GSTIN, form, period and portal result, then set a reasonable internal review date. If the transaction is material or the issue affects your tax reporting, consult current official GST guidance or a qualified GST professional about the facts of your case.
The available portal instructions do not establish a buyer’s legal remedy for a missing supplier entry, nor do they say that a public omission alone proves deliberate non-filing. Avoid threatening language, withholding payment solely on an assumption, or promising a tax outcome unless you have current advice specific to the transaction and applicable law.
Distinguish the public lookup from the supplier’s own filing screen
The GST Portal’s GSTR-3B manual describes a logged-in taxpayer workflow: Services > Returns > Returns Dashboard. After a successful filing, the taxpayer’s return status changes to Filed, and the filed return can be viewed or downloaded.
This terminology can help you understand a supplier’s acknowledgment, but it is a different workflow from the public Search Taxpayer lookup. Do not tell a supplier that you accessed its private filing dashboard when you only reviewed the public filing table. Ask the supplier to provide its own acknowledgment or filed-return document if that is necessary for your reconciliation.
Return-preparation methods and what you do not need
The GSTR-1 FAQ lists three preparation routes for a taxpayer: direct online entry on the GST Portal, the Returns Offline Tool and third-party applications operated through GST Suvidha Providers. These routes explain why a supplier may describe its internal filing process differently from yours.
You do not need to purchase a separate return-preparation product to perform the public supplier lookup. The government portal is the primary route for checking the filing details exposed through Search Taxpayer. If a supplier uses software or an accountant, ask for the filing acknowledgment rather than assuming the software’s internal status matches the public portal.
Troubleshooting common lookup problems
The GSTIN returns no matching taxpayer
Check every character, remove accidental spaces, and compare the identifier with the invoice. Ask the supplier to confirm the GSTIN printed on the invoice. Do not substitute a company name search when your accounting record depends on a particular registration.

The taxpayer name is different
Compare legal name, trade name, constitution and principal place of business. A trade name may not match the legal name on your vendor record. If the GSTIN belongs to another entity, stop the filing review and correct your supplier master data.
The expected month is absent
Check the financial year and filing frequency first. Then check the due date and any extension, the taxpayer category and whether the return form is actually required. Record “not displayed” rather than “not filed” until the supplier or an authoritative record confirms the position.
The supplier says it filed, but the public table differs
Ask for the filing acknowledgment or filed-return document, including the form and period. Compare those details with your portal notes and check again later if the supplier says the filing was recent. Preserve both records rather than deleting the original discrepancy.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →The portal page or CAPTCHA fails
Refresh the page and retry using the current GST Portal instructions. If the problem continues, note the date, time and error, then use the official portal’s available support channels. Do not treat a temporary technical failure as evidence about the supplier’s compliance.
The supplier was cancelled
Use the cancellation date shown in the taxpayer details to separate supplies made before and after that date. The portal display alone does not answer every transaction-specific tax question, so obtain professional guidance where the date affects your reporting or recovery position.
A repeatable reconciliation checklist
- Obtain the supplier’s GSTIN or UIN from the transaction record.
- Open the GST Portal’s Search Taxpayer page.
- Enter the identifier and CAPTCHA, then search without logging in.
- Confirm the returned taxpayer identity and registration information.
- Open Show Filing Table.
- Select the correct financial year and search.
- Open Show Return Filing Frequency and note monthly or quarterly filing.
- Record the exact form, period, status and date displayed.
- Compare the period with the applicable standard date and any government extension.
- Check whether the supplier’s taxpayer category is required to file that form.
- If a gap remains, send a factual request naming the GSTIN, form and period.
- Save the portal result, invoice and supplier correspondence, then recheck on the agreed date.
Limits of what a public filing result proves
A public filing-table result is useful evidence for reconciliation, but it is not a complete explanation of the supplier’s tax position. It may not tell you why a period is absent, whether an amendment is pending, or what legal consequence follows for your particular purchase. The official guides reviewed describe the lookup mechanics and filing workflows; they do not establish a dedicated buyer-side procedure or a universal remedy for every missing entry.
Use the portal to identify a precise question, give the supplier a fair opportunity to confirm the record, and escalate only with facts tied to the exact GSTIN, return form and tax period. For transaction-specific consequences, rely on current official guidance or advice from a qualified GST professional.
