How to calculate the true cost per desk at a coworking space

By TheFinanceBase Team 12 min read

The true cost per desk is not the advertised monthly rate. For a chosen period, add every workspace cost attributable to that period—including rent or membership, service charges, utilities, operations, technology, taxes, insurance, one-time fit-out and furniture costs, and any applicable exit charges—then divide by a clearly named desk-month denominator. The core calculation is cost per available desk-month = total workspace costs for the period ÷ (available desks × months). A buyer comparing memberships should instead use effective contracted desk cost per month = total expected charges over the agreement term ÷ (contracted desks × months).

Those formulas answer different questions from a utilization-adjusted figure. Label whether your result is per available, contracted, or actually occupied desk, and compare every offer over the same term, desk count, and service scope.

What “true cost per desk” should include

A coworking quote usually emphasizes a desk rate, but that number may exclude charges that are unavoidable for your use. A defensible calculation treats the desk as a share of the entire cost of occupying and operating the workspace. The exact list depends on the contract and jurisdiction, so request a written schedule rather than assuming that a service is included.

Recurring occupancy and operating costs

  • Base rent or membership fees, including scheduled increases, indexation, or step-ups.
  • CAM or service charges when billed separately.
  • Utilities, cleaning, repairs, maintenance, security, reception, and other facility operations.
  • Internet and ordinary IT connectivity.
  • Taxes and insurance that the operator or occupier must pay.

Include a cost only for the period in which it applies. For example, a 12-month total should include 12 months of recurring charges, while a fee billed quarterly must be converted to the same monthly or annual period.

Technology and service extras

Check whether the quoted connection is adequate for your work. Dedicated bandwidth, a private network, static IP addresses, phone service, enhanced security, or IT support can be optional. Meeting-room credits also need a monetary treatment: record the number of included hours, the overage price, and any expiry or rollover rule. Refreshments or hospitality may be charged per person, desk, or office.

One-time and capital costs

Furniture, fit-out, cabling, partitions, branding, configuration, and later reconfiguration are part of the economic cost of obtaining the desks. Allocate these costs to the period you are measuring instead of allowing a large upfront invoice to distort a short comparison. Amortize a capital item over its stated useful life or contract period, state the period used, and state any residual-value assumption. If the agreement ends before the item is fully amortized, the remaining amount may be an exit cost.

Deposits, advance payments, and exit obligations

A deposit is cash committed at the start of a contract, but it is not automatically a permanent expense. Show it separately from operating cost and record whether it is refundable, when it is returned, and which deductions are allowed. Include financing or opportunity cost only when you are deliberately building a cash-flow or present-value model. Reinstatement, “make good,” removal, or other exit obligations belong in the total-cost model when the contract makes you responsible for them.

Choose the denominator before you calculate

The denominator determines what your answer means. Use the label in the table below in the spreadsheet heading and in any presentation to management or a prospective member.

Metric Formula Question it answers Important qualification
Cost per available desk-month Total workspace costs for period ÷ (available desks × months) What does it cost to maintain capacity? Use the desks physically available under the plan, not a target occupancy percentage.
Effective contracted desk cost per month Total expected charges over term ÷ (contracted desks × months) What is the all-in monthly cost of the seats being purchased? Best for comparing membership offers with the same term and seat count.
Cost per occupied desk-month Total workspace costs for period ÷ occupied desk-months What did each actually used desk-month cost? It rises as utilization falls because the same cost is spread over fewer used desk-months.

Do not call a capacity-based number “cost per employee” unless headcount is genuinely the intended denominator. A 40-desk office with 20 people using it every day has 40 available desk-months per month but only about 20 occupied desk-months if each person uses one desk for the full month. Those are operationally different measures, not competing answers.

Available versus occupied: keep both when decisions require both

Operators normally need the available-desk figure to price capacity and test whether the site covers its fixed costs. Workplace managers may need the occupied-desk figure to compare the cost of a hybrid program with a conventional office. Report the two side by side when utilization is material, and name the observation period. Track occupancy over a representative period rather than using one unusually busy day.

Desk allocation versus area allocation

There are two legitimate allocation methods. A desk-count method spreads a cost across available or contracted desks. An area method first allocates occupancy cost by space and then applies the resulting rate to the room or desk area. Keep the methods separate: do not calculate rent by usable area and then divide it again by an unrelated desk count without explaining the bridge.

If you allocate by area, define “usable” and “rentable” consistently. State whether corridors, kitchens, meeting rooms, reception, storage, and other common areas are included. Leadership Answers describes allocating monthly occupancy costs by usable area and applying the rate to an individual space; the CoworkingResources guide likewise warns that inconsistent area definitions can make two rates look comparable when they are not.

Build a complete cost ledger from the quote

Ask for a line-by-line written breakdown and classify every line as included, metered, optional, or one-time. This prevents a low headline rate from hiding a recurring charge.

Line to verify Questions to ask How to model it
Base rent or membership Is the rate fixed? Are increases scheduled? Is it per desk, office, person, or month? Enter each period’s contractual charge, including step-ups.
CAM or service charge Is it included, reconciled later, or estimated? Can it change? Use the contractual amount or a documented estimate and flag uncertainty.
Utilities and facilities Are power, water, cleaning, repairs, security, and reception included or metered? Use recurring invoices or the contract schedule; separate variable items.
Internet and IT Are dedicated bandwidth, private networks, static IPs, phones, or enhanced security extra? Add setup and recurring charges to the same period.
Meeting rooms How many credits or hours are included? What is the overage price? Do credits expire or roll over? Estimate expected use and show included and overage portions separately.
Refreshments and hospitality Is billing per person, desk, office, or event? Use your expected headcount or event frequency, not a generic allowance.
Furniture and fit-out Who pays for desks, chairs, cabling, partitions, branding, and changes? Amortize over the stated useful life or contract term; show residual value.
Deposit and advance payment When is it refunded? What deductions are allowed? Show cash committed separately; expense only the nonrefundable portion.
Exit and reinstatement Are removal, repair, notice, or “make good” charges specified? Include expected contractual cost in the term total or model it as a dated cash flow.

Office Freedom’s guidance highlights meeting-room overages, specialist connectivity, hospitality, furniture changes, deposits, and reinstatement as common points where differently bundled offers diverge. Treat those as items to verify in a particular quote, not as fees every provider necessarily charges.

Calculate the result step by step

  1. Set the comparison period. Use the full agreement term for a membership decision, or a consistent month, quarter, or year for operating analysis. If one offer runs 12 months and another 24, normalize both to the same horizon or show the terms separately.
  2. Set the desk count and desk type. Record how many dedicated, hot, private-office, or shared seats are actually included. Do not combine different desk types unless you have a stated weighting method.
  3. Enter recurring charges by period. Include rent or membership, CAM, utilities, cleaning, repairs, facility operations, IT, taxes, and insurance when borne by the operator or occupier.
  4. Add expected variable charges. Estimate meeting-room overages, hospitality, metered utilities, or other usage fees using your own expected pattern. Keep the assumption visible and run a low-use and high-use case when uncertainty matters.
  5. Allocate one-time costs. For each fit-out, furniture, setup, cabling, branding, or customization item, record the amount, the amortization period, and any residual value. The periodic charge is (cost − expected residual value) ÷ amortization months.
  6. Handle deposits separately. Record the cash timing and refund date. Include a permanently retained amount in cost; do not silently treat a refundable deposit as an expense.
  7. Include exit costs. Add reinstatement, removal, repair, or early-termination charges that the contract makes likely or unavoidable. If the amount is uncertain, show a range rather than burying it in the headline rate.
  8. Choose the denominator. Divide by available desk-months for capacity cost, contracted desk-months for an offer comparison, or observed occupied desk-months for a utilization metric.
  9. Check units and dates. Keep currency, tax treatment, square-foot or square-metre units, contract dates, and escalation dates attached to every input. A monthly figure is not comparable with an annual figure until the periods match.

Spreadsheet layout

A simple worksheet can use one row per cost and these columns: category, included/metered/optional/one-time, billing frequency, amount, start date, end date, tax treatment, amortization months, residual value, and source in the quote. Sum the rows that apply to the comparison period, then calculate three outputs:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • available desk-months = available desks × months
  • contracted desk-months = contracted desks × months
  • occupied desk-months = sum of occupied desks in each month

Keep one-time cash flow and periodic economic cost in separate columns. That lets you answer both “How much cash must we commit on signing?” and “What does each desk-month cost over the term?”

Worked figures: the dated India model and what it does—and does not—show

The CBRE-prepared report for Smartworks states that its assumptions are in Indian rupees as of 31 March 2025. Its hypothetical Tier I city flexible-workspace model uses:

Assumption Value Scope
Fit-out cost ₹2,400 per sq. ft. of leasable area Capital assumption in the report’s India model
Rent ₹102 per sq. ft. per month Monthly assumption
CAM ₹13 per sq. ft. per month Monthly assumption
Operating expenses ₹35 per sq. ft. per month Monthly assumption
Stabilized occupancy 85% Model assumption, not a universal target
Average seat density 60 sq. ft. per seat on leasable area Model assumption
Rent-free period Five months Modelled concession

For a simple run-rate illustration using only the model’s recurring rent, CAM, and operating-expense inputs, the monthly occupancy cost is ₹150 per sq. ft. (₹102 + ₹13 + ₹35). At 60 sq. ft. per seat, that equals ₹9,000 per available seat-month before fit-out amortization, taxes, insurance, utilities not captured in those lines, and other costs. If the same cost is spread over an 85% stabilized occupancy level, the arithmetic is approximately ₹10,588 per occupied desk-month (₹9,000 ÷ 0.85).

That calculation is not a current market quote or a global benchmark. The report also models the ₹2,400 per sq. ft. fit-out, a five-month rent-free period, and periodic cost and revenue escalations. To include fit-out in a desk figure, convert the fit-out to a periodic amount using the useful or contract period you have chosen, then apply the same denominator. The report does not establish one universal amortization period for every operator, so state yours rather than implying that the figure above includes it.

For a conventional lease comparison, include rent and service charges over the term, rent step-ups, fit-out capital, professional fees, IT and furniture, reinstatement, and operating costs retained by the occupier. Subtract rent-free periods or landlord contributions where applicable. For coworking, include the all-in desk rate plus setup, customization, and exit charges. Make desk-sharing and area-per-desk assumptions explicit.

Savills Singapore states the comparison principle plainly: “Model both scenarios over the same period, on a total cost of occupancy basis, and reduce each to a single effective cost per desk per month.” The timing of upfront fit-out, deposits, and later reinstatement can matter in a multi-year model, so a cash-flow version should place each payment on its actual date rather than treating every dollar as if paid at the end of the term.

Using occupancy and utilization without misleading yourself

Occupancy and utilization are related but not identical. Occupancy can describe how much capacity is sold or leased; utilization describes how much of that capacity is actually used over time. A site may have 85% of desks contracted but lower daily attendance because members work remotely or share seats.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Track two operational measures

  • Space occupancy: the share of the relevant area that is leased, sold, or otherwise committed.
  • Workstation occupancy: the share of desks that are occupied or booked during the period and under the definition you specify.

CoworkingResources.org notes that no single occupancy percentage determines profitability for every operator because area mix and business model differ. Its cited experience of 80–85% profitability is the guide’s own operator experience, not a universal threshold. Use your own cost structure, desk mix, and demand pattern.

Measure a representative period

Collect daily or weekly desk-use records across a representative period, then calculate occupied desk-months. Explain whether a desk counts as occupied when it is booked, when a member checks in, or when it is used for a minimum number of hours. Apply the same rule to every month. A workplace analytics vendor’s basic formula—total workspace costs divided by usable desks—captures capacity cost but does not include utilization; treat its list of rent, utilities, furniture, IT, maintenance, janitorial service, taxes, and insurance as a checklist rather than independent market benchmarking.

Common mistakes and how to correct them

Using the advertised rate as the total

Problem: The quote excludes rooms, connectivity, hospitality, furniture changes, or exit work.

Correction: Obtain the written schedule, classify every line, and add expected metered and one-time charges.

Dividing by the wrong desk count

Problem: A buyer divides by available desks even though the quote is for contracted seats, or an operator divides by headcount.

Turning one dated model into a market average

Problem: A geographically specific example is presented as a universal coworking benchmark.

Correction: Keep currency, units, geography, date, occupancy, and hypothetical status attached to the figure. The Smartworks assumptions above are an India Tier I city model as of 31 March 2025, not a present-day quote everywhere.

When a cash-flow or present-value model is worth using

A simple desk-month calculation is usually enough for a short, stable membership. Build a dated cash-flow model when the choices have materially different timing: a large upfront fit-out, a refundable deposit held for years, rent-free months, stepped rent, a delayed landlord contribution, or a substantial reinstatement payment at exit.

List each payment and receipt by month. If you discount future cash flows, state the discount rate and whether it represents borrowing cost, an internal hurdle rate, or another opportunity-cost assumption. Do not add a financing or opportunity-cost number to a basic operating-cost comparison unless the model is explicitly intended to be present-value or cash-flow based.

A practical decision rule

Use the available-desk figure to test whether the workspace’s capacity can support its recurring and amortized costs. Use the contracted-desk figure to choose between membership offers. Use the occupied-desk figure to understand the economic cost of actual attendance. Then compare a coworking option with a conventional lease over the same time horizon and desk requirement, including fit-out, furniture, IT, taxes, insurance, professional fees, concessions, deposits, and exit obligations that each option places on you.

The result is only as reliable as the quote, area definition, utilization record, and assumptions attached to it. Keep those inputs visible, preserve the date and geography of every external benchmark, and present the headline number with its denominator so a reader can tell exactly what “per desk” means.
