Buy your first artwork only after you have measured the space, set a maximum for the complete landed cost, compared the seller’s terms, and reviewed ownership, provenance, authenticity and condition documents. The displayed artwork price is just one component: framing, delivery, installation, taxes, insurance and conservation can change the decision. Use the checklist below to make a considered purchase rather than an emotional or rushed one.
1. Start with the wall, shelf and complete budget
Measure the space before you shop
Record the usable width, height and depth of the wall, niche or shelf, including clearance for furniture, doors, lighting and ventilation. Note whether the work will face direct sunlight, sit near a heat source or be exposed to humidity. Keep those measurements on your phone while viewing listings. Ask for the artwork’s framed and unframed dimensions; a work that fits on paper may not fit once a frame, mount or protective glazing is added.

Whenever possible, judge the work in person. Art Fairs’ checklist, updated 26 September 2026, cautions that a screen is a poor guide to texture and subtle colour. An in-person viewing also lets you inspect the edges, reverse, frame and any visible repairs.
Set a ceiling for the landed cost
Choose the maximum amount you can spend before discussing a particular work. Build that ceiling around the complete purchase, not the sticker price. Ask the seller exactly what the displayed price includes and obtain every extra in writing.

| Cost component | Question to answer before committing |
|---|---|
| Artwork price | Is this a fixed price, a negotiable asking price or an auction estimate? |
| Frame and glazing | Is the work framed, and are mounting, glazing and a replacement frame priced separately? |
| Packing and shipping | Who packs the work, which carrier is used, and what level of protection is included? |
| Installation | Does delivery stop at the door, or are hanging, hardware and positioning included? |
| Taxes and customs | Will sales tax, import VAT, customs duty or other border charges apply in your jurisdiction? |
| Insurance | Who carries transit risk, and when must you add the work to your policy? |
| Conservation or storage | Does the condition require treatment, special storage or environmental controls? |
Add each confirmed amount to one written budget. If a charge is unknown, treat it as an unresolved condition of purchase rather than assuming it is zero. The budget is complete only when you know the amount due to the seller and the likely cost of getting the work safely onto the wall.
2. Look before committing
Make a first pass without trying to sound like a specialist
Visit a fair, gallery, artist presentation or online catalogue and look broadly. Record the works you keep returning to, the artist, the seller, the medium, the dimensions and the asking price. You do not need specialist vocabulary to ask useful questions. Saying what attracts you, what feels wrong for the space or what you cannot understand is enough to begin a serious conversation.
Taste and fit are legitimate decision criteria. A first purchase can be exploratory; you do not need to prove that you have chosen an important name or a fashionable style. Consider whether you would still want to live with the work if nobody else saw it and if its resale value never rose.

After the first pass, narrow the field to a small shortlist and request information for each candidate. Compare the works on the same basis: dimensions, medium, condition, documentation, total delivered cost and the seller’s terms. If colour, surface or scale is central to your decision, arrange an in-person viewing before paying a deposit.
3. Compare a gallery or artist sale with an auction
The channel changes the pace, fees, documents and logistics of the purchase. Compare those elements rather than chasing a headline price.
| Issue | Gallery or artist sale | Auction |
|---|---|---|
| Conversation and pace | Usually allows a slower discussion about the work, materials, framing and payment. | Registration, bidding deadlines and a competitive atmosphere can compress the decision. |
| Price language | Often presented as an asking or fixed price; ask whether negotiation or staged payment is possible. | Usually gives an estimate range, but the final price also depends on bidding and the buyer’s premium. |
| Documentation | Request the seller’s factsheet, ownership evidence, provenance, condition report and authorship records. | Read the catalogue entry and conditions of sale, and obtain the lot’s condition report and provenance information. |
| Fees and logistics | Confirm framing, delivery, installation, taxes and insurance responsibility in the written terms. | Allow for registration, buyer’s premium, payment deadlines, collection or shipping coordination and possible taxes. |
| Best suited to | A buyer who wants time to ask questions and arrange a tailored payment or delivery plan. | A buyer comfortable with fixed deadlines, bidding rules and coordinating post-sale transport. |
Use auction-house services as a benchmark, not a guarantee
Christie’s official buying guide describes a process that includes specialist support, authentication, provenance review, a condition report and an estimate range. Those are useful benchmarks when you compare another seller’s process. An estimate is guidance about an expected auction result, not a guaranteed resale price or a promise that the work will appreciate.

The Responsible Art Market Art Transaction Due Diligence Toolkit advises investigating the parties, the artwork and the transaction, and examining the work firsthand when possible. Its central point is practical: obtaining as much information as possible about all three protects collectors and helps manage reputational and financial risk. A gallery conversation deserves the same care as an auction purchase.
4. Request a complete document pack before paying
Ask for the documents before you send a deposit or bid. Save the files with the artwork’s name and seller, and compare every document with the invoice and the physical work.
| Document | What to request and verify | Why it matters |
|---|---|---|
| Full factsheet | Artist, title, date, medium, dimensions, edition information where relevant, and the seller’s identifying details. | Establishes exactly what you are buying and prevents ambiguity between similar works. |
| High-resolution images | Clear recto and verso images, plus edges, frame, labels, signatures and any marks or damage. | Lets you compare the offered object with the catalogue description and inspect details not visible in a thumbnail. |
| Proof of ownership | A statement or record showing that the seller has the right to sell the work. | Ownership evidence is distinct from provenance and should be settled before money changes hands. |
| Provenance file | A documented chain of previous owners, with supporting invoices, gallery records, auction records or estate documentation where available. | Shows the ownership history and can reveal gaps, disputes or restrictions. |
| Condition report | A detailed description of damage, repairs, restoration, conservation, relining, replaced parts and the report date. | Condition affects enjoyment, future conservation cost and the work’s value. |
| Authorship evidence | A certificate of authenticity or other attribution evidence, identifying who issued it and what evidence supports the attribution. | A certificate has limited value if its issuer, basis and relationship to the artist are unclear. |
| Exhibition and publication history | Past exhibitions, books, catalogues and catalogue-raisonné references where available. | Independent records can support attribution and establish a documented history. |
| Transport and border records | Packing specifications, shipping instructions, export or import permits and cultural-heritage paperwork when applicable. | Cross-border omissions can create delays, unexpected charges or legal problems. |
| Written sale terms | Payment schedule, returns, framing, delivery, insurance responsibility, title transfer, inspection rights and cancellation provisions. | Turns verbal promises into terms you can enforce and budget against. |
| Appraisal or expert report | An appraisal or independent expert opinion when attribution, value or provenance is complicated. | A second professional view can identify issues that a seller’s description does not resolve. |
UBS’s 2022 Collectors’ Compass includes high-resolution recto and verso images, a factsheet, proof of ownership, detailed provenance, an appraisal, an expert report, a detailed condition report, transport documentation, an insurance inventory, catalogue-raisonné records and exhibition or publication history. It also recommends consulting an official archive or foundation where possible and obtaining more than one professional opinion when provenance or authentication is complicated. Treat that list as a strong completeness test, while recognising that the exact documents needed depend on the artist, medium, country and transaction.
5. Check authenticity, editions and condition
Ask who stands behind the attribution
A certificate alone does not establish authenticity. Ask who issued it, when it was issued, what records or examination support it, and whether the artist, estate, gallery or recognised expert stands behind the attribution. Clarify whether the document applies to the specific work you are buying rather than to a similar image or an entire edition.
For an established artist, check whether an official archive, foundation or catalogue raisonné records the work. If the seller cannot explain a gap in provenance or the basis for attribution, pause the purchase and seek an independent opinion. The cost of advice is easier to absorb before purchase than after a disputed attribution.

Handle editions as specific, numbered objects
For a print, photograph, sculpture or other edition, confirm the total edition size, the individual number, the publisher and the medium. Check that the certificate corresponds to that exact number and that any artist’s proofs, hors commerce examples or variants are identified. Ask whether the stated edition is complete or whether additional authorised versions exist under the seller’s terms.
The Royal Academy’s editions, for example, are supplied with an official certificate of authenticity and the institution offers bespoke framing. That illustrates the value of institution-issued documentation, but you still need to read the particular seller’s certificate and sale terms rather than assuming every edition follows the same practice.
Read the condition report as a financial document
Look for repairs, overpainting, tears, dents, fading, foxing, warping, relining, replaced components and previous conservation. Ask whether the report was prepared by the seller, an auction specialist, an independent conservator or another party, and whether you can commission your own inspection. Request photographs of every issue mentioned.
Compare the report with the work in person. A report records condition at a stated time; it does not remove the need to understand how the work will be packed, transported, installed and cared for. If the report is missing, unusually brief or inconsistent with the images, treat that as a reason to delay rather than a detail to resolve after payment.
6. Calculate the landed cost and agree the transaction terms
Write the cost stack in one place
Use a simple worksheet with one line for every amount. Start with the artwork price, then add framing and glazing, packing, shipping, installation, taxes or customs, insurance and any conservation or storage requirement. Mark each line as confirmed, estimated or not yet applicable. Do not treat an estimate as a final total until the seller confirms the underlying assumptions.
Ask when title transfers and when the risk of loss or damage transfers. A seller may remain responsible during packing, or risk may move to you when a carrier collects the work; the written terms should state the point clearly. Confirm who insures the work in transit and what evidence is required if it arrives damaged.

Gallery and artist-sale terms
Ask whether the price is fixed, whether payment can be staged and how long the seller will hold the work while you review documents or arrange funds. Confirm the deposit’s refundability, the balance due date, cancellation rights and whether framing or delivery can be changed after the invoice is issued. If the work is being shipped, obtain the packed dimensions and a firm delivery quotation before final approval.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsAuction terms
Read the conditions of sale and buyer’s premium schedule before bidding. Include the premium and any applicable taxes in your maximum bid calculation. Check registration requirements, bidding increments, payment deadlines, storage or late-collection charges, shipping arrangements and the procedure for reporting transit damage. An attractive hammer price can become unaffordable once these obligations are added.
Cross-border purchases
Export controls, import permits, cultural-heritage rules, tax rates and customs classifications vary by origin and destination. Ask the seller which party handles each document and which party pays each charge. For a work that may be protected by cultural-heritage law, obtain jurisdiction-specific advice before committing; do not assume that a commercial invoice is sufficient.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.7. Set decision rules before a countdown or negotiation
Choose a maximum and do not move it under pressure
Write your maximum landed cost and maximum bid before you enter a sale or begin negotiation. A countdown, a claim that another buyer is waiting, or competitive bidding is not evidence that the work is worth more to you. If a seller will not allow enough time to review the document pack, treat that refusal as information about the transaction.
Separate enjoyment from speculation
Buy because you want to live with the work. Any future appreciation is uncertain, and an auction estimate is not a resale guarantee. Your financial plan should remain sound if the work never increases in value and if selling it later takes time and incurs fees.
Use a pause test
Before paying, take enough time to read the invoice, condition report and terms without the seller present. Ask yourself whether the dimensions suit the space, whether the landed cost fits the budget, whether the records establish ownership and provenance, and whether you would accept the documented condition. If any answer is unclear, request clarification or walk away.

8. Complete the purchase and handover carefully
Reconcile the paperwork
Before payment, match the invoice to the factsheet, images, edition number, dimensions, price and agreed extras. Make sure the invoice identifies the seller’s legal name and the work precisely. Keep proof of payment and every written amendment to the agreement.
Coordinate packing, delivery and installation
Confirm the collection or delivery date, packed dimensions, handling instructions, insurance responsibility and installation plan. Tell the carrier or installer about stairs, lifts, narrow doors and restricted access before dispatch. Follow the seller’s care and hanging instructions rather than improvising hardware or placement.
Inspect on arrival
Photograph the packaging before opening it and photograph the work, frame and labels as soon as it is unpacked. Compare what you see with the condition report and the photographs supplied before sale. If there is new damage, preserve the packaging, notify the responsible party promptly and follow the written claim procedure.

Create a permanent ownership file
Keep the invoice, certificate, condition report, provenance records, expert opinions, transport documents, photographs and correspondence together. Store digital copies in more than one secure location. A complete file supports an insurance claim, future conservation, a later sale and your own ability to establish what you own.
Insure and inventory the artwork
Add the work to an appropriate insurance policy or a scheduled valuable-articles list. UBS’s checklist specifically includes an insurance contract with a detailed inventory. Give the insurer the artist, title, medium, dimensions, purchase date, agreed value, photographs and documentation they request, and verify whether cover applies during transit, while on loan and during installation.
Follow care and hanging guidance
Use the seller’s instructions for light, humidity, cleaning, handling and hanging. Do not clean a surface, alter a frame or commission conservation without understanding how the change could affect the work and its documentation. Keep updated photographs and note any professional treatment in the ownership file.
A first artwork is a financial commitment as well as a personal one. The safest purchase is the one whose total cost, ownership history, condition, authenticity evidence, delivery risk and ongoing protection are all clear before you pay.
